Overwhelm, being disorganized, dropping the ball, and losing sleep. Yes. This industry is tough. It takes its toll on us. And we must have a plan and be prepared. Because without it, we get into that loop. That loop when we're sleeping. It's like, oh, I have this scope to write. I have this insurance company to follow up with. Hey, I have to chase down this payment. I have to show up for install day on this one. Oh, my gosh, I totally forgot. I need to get in touch with that customer. Oh, my gosh, I forgot to follow up with that referral. Okay, go back to this one. I got to do this assessment. Got to follow this. And then all of a sudden, we keep looping and looping so we don't forget. So we get this busy mind, or we don't have a busy mind, we don't have a plan, and we drop the ball. And this happened to me. I was actually in the vehicle with a client of mine on the way to dinner on day two of RoofCon, and we see on the little Bluetooth, ring, ring, ring. Phone call comes up, and he sees the phone number, and instantly I watch him go, shoot, he dropped the ball. The adjuster was out that morning, and he forgot to tell him that he was at the conference. These things happen because we are so busy. We are in reactive mode, and so much is going on. So people walk up to me, tons of them. At roofcon, this was one of the most common questions I got was, Adam, how do I plan my day? So in this video, I'm going to be teaching you a very simple structure to help you plan your day effectively and efficiently. So you can do the complete opposite. Kill the overwhelm. Stay calm, cool, collected, so you can be incredibly organized. Very simply, by the way, I know this doesn't come naturally for people. And to help you start sleeping well and through the night, because when everything's on paper, you don't forget it and your mind doesn't go on loop. And to keep you from dropping the ball. So you can do what? Sell more, smash your income goals, and give every customer an amazing experience. And after all, that's what we do here on the roof strategist podcast and YouTube channel. Welcome back. My name is Adam Bensman. If you're new here, what's up? Glad to have you here. You're in the right place. So let's get to it. How do we plan our day? Now, Brian Tracy says that for every one minute planning, we save 10 minutes in execution. So I'm one minute in planning saves 10 minutes in execution. And I think that is spot on, by the way. Read every single thing Brian Tracy ever wrote. You will learn a lot. Love it. So I know it's a little overwhelming when we get busy, but the best habit that you can make, the best habit is to plan the night before. Okay, now you've probably heard me say this before. I'm going to break down that plan in a little bit more detail. But the night before, that's when we want to start our planning. This is going to help put our mind at ease. When things are written down, we don't want to. We won't forget that because they're in writing. You basically have your, like, trusted vault of your reminder system. So write it all down and then you're ready to go next. I like to write everything by hand. I personally use. Oh, it's just off camera. I use a. I was using a digital tablet. You've seen it in other videos. It was a remarkable. And I've since gone from using that remarkable to using pen and paper. I find that the tactile, being able to touch and feel and flip pages is just easier for me. So I plan the night before and I end my day. So this is how I end my day. It's the last thing that, that I end my day with. And when I say end my day, I mean my work day. So even, like, I literally, I still practice this to this day. Ask my wife. We finish, I say, I just need five minutes to plan tomorrow. I sleep better, I wake up, I know exactly what I'm going to do, and I very seldom drop the ball. All right, so let's get to it. How do I plan my day, and what's the best way to do it for you? Here is how. And by the way, quick side note, in the marketing battle pack, I do have in the goal setting section, the goal setting and productivity section. I have a daily planner in there. And it was the exact one that I used when I was in roofing sales that I printed out literally copies of it and I'd fill them out. I have since evolved my own daily practice, and I'm going to be sharing that one with you today because this is a moving, living, breathing organism of adaptation of what works. And part of this influence came from the book, the one thing by Gary Keller that really helped me get focused. So what I do is I sit down and I write this. I say, this is my success list, and then I'll write the date. So today's Date, as you can see, is 10 5. So I'd write it for 10 6. So today that I'm filming, this is the fifth and I'm writing down 10 6. And I call it my success list, not my to do list. I don't get into all the nitty gritty details. So by the way, this is literally, you know, let me grab it, I'm going to grab this, you can still hear my audio. And I'm going to show you that I practice what I preach because I've got my little journal right here. So here's today's success list, here's yesterday's success list, right at the top, success list. And then I check them off, alright, and, and then it goes back. I've made a lot of notes on my flight plan. Here's another one on my success list. So I practice what I preach and I want to show you how I structure this. So first thing on a success list is my daily goal. Okay, now for you, your daily goal may be get this roof approved, open up this new neighborhood, get this referral, get this roof bought. But to have a single and that mission will carry you through and you need that why to push through when things get tough. Plus it's fun when you chase a goal and you get it, you get to give yourself a pat on the back and that reward feels great. Next, this is what I'm going to call the must do's. Okay, Now I want you to think of these must do's as the things that if you get those done and then imagine that there's a panic phone call. I hate the dreaded panic phone call. Makes my skin crawl. It could be a family emergency, it could be a customer situation, some crazy disaster that happened. But this all of a sudden pulls our attention away and we are in reactive mode and everything else goes by. So these must do's, think of them like if I got this done and then everything else had to wait, I'd be okay. This by the way, I got from Gary Keller, the book, the one thing. So to me I write my must dos. Generally speaking, these are the appointments with adjusters and homeowners or anything that like is a commitment where someone is expecting from me. But things like a follow up or things like chasing down a scope or a final payment, if a day went by or a few hours, it's not going to be the end of the world. All right, so these are your must do's again, those appointments. Then from there I want all of my sales activities. So from Here I'm going to write sales activities. Now these sales activities could be things following up, working your installation, asking for referrals. These are the key activities. I have an install going on, I gotta go hit it. It's the easiest way to make sales, right? I have all my direct mail letters to send, whatever that might be. Then I'm gonna have my section of admin. And by the way, I've done a few videos on this daily plan. You see how this is an evolving organism. I test these things, I play with them, and as they change, I change them and bring them to you because they work well for me. And what worked well for me 10 years ago is different than today. So. And by the way, you will see some updates in the battle pack on this stuff because I love bringing on those updates and all existing customers, you do get those for free, just so you know. So with your login, when you pop in, anything that changes, you'll see it. That's how we added the Spanish version, the Florida version, the retail version, and it is now probably about 10 times the size it was when it was first developed. All right, so these are the administrative things, things like setting up your CRM, things like, excuse me, not setting up, staying up to date, doing paperwork, things like that. Then we have our miscellaneous tasks. Now this is why I personally hand write things. I used to use a digital tablet. The digital tablet was a remarkable. And what I found with the remarkable is that I could write everything out on my success list. And then with a digital tablet I can erase and I just use the same page. But I found that I started to procrastinate. So when I follow this, the daily goal, the must dos, the sales activities, my admin, and then my general tasks. By the way, the tasks might be little things. Get the car, you know, change your oil, rotate your tires, pay my cell phone bill. All the little odds and ends that don't really warrant your brain power, but you need to have them tracked and in a place where you're going to remember them. But the reason I hand write these is each day when I write my new success list, any of those items that weren't yet done, like here's mine, for example. And I'm covering some of this up because I've got some private stuff on there. But I'll show you the bottom. It says the personal things from the day before, I had to carry over. I had to carry over all this stuff and I checked it off, which means the things I don't do, I need to Feel that pain of the reminder that I didn't get it done. So those tasks have to be rewritten and you're going to find yourself with this new habit. Crap, I didn't get this done. Crap, I didn't get this done. Shoot, I didn't get this done. And you're going to carry it over. So key takeaways and very simple plan. And there's going to be one more little bonus tip I'm going to leave you with here in a minute. Write your daily goal. I had a gentleman ask me this, by the way. He says, adam, I'm not motivated. I don't know what to do every day. And I said, well, what's your goal? And he goes, well, I don't have one. And I said, dude, you literally can't hit a target that you can't see. So if you don't know what this bullseye is, how are you going to hit it? That's like putting blindfold on, spinning you in circles, putting a bow and arrow in your hand. It's like, go get the kill. What are you doing? You need to have that goal. So that's why we have that goal to chase again. Those must dos that way. That's my first priority. If I'm called out of the office, I have those things done. My sales activities. Because this is going to put money in my pocket. My administrative things and my miscellaneous tasks and then you can transfer those by writing it the day before. So this is the last thing you do on your day is write the next day's plan. Last thing I want to share with you is a little bonus tip and it is to batch your time. Now I want you to think of this batching your time. If you have, let's say follow up phone calls to make, what's going to be more efficient. Doing one follow up call right here and then another one four hours later and another one an hour later. No, no, no. Get all of them done at once. When you have your admin stuff on your CRM, do it all at once. When you have estimates or follow ups, do them all at once. Batch your time of doing all of the activities so you shift into that mindset of doing it next what we want to do. And I go into this in detail in my program, the complete sales strategy. Just as a side note, this program, the complete sales strategy is an optional add on for the marketing battle pack. There's a link in the description below. It is also included with the roofing sales success formula which is the complete package of everything that I have that is in use today by individual reps who've become multi million dollar earners and some of the top 100 roofing companies in America following my sales training and strategies and it is included in both of those should you be interested. But I do have a time management little bonus section in there and part of that I'm going to be sharing with you here about batching your time. So I want to ask you a question. Sales activities. What is the most profitable time for you to be out knocking doors? Yeah, four to six, four to seven Saturdays. So should I be in the office doing admin and getting my oil changed from 4 to 7? No. I want to batch my time in the right areas. I want all of my sales activities done in the best time to sell. I personally am an early riser so those little tasks or my admin I'm going to do in the morning, let's say between 7:30 and 10:30am I can power through all this, knock those things down and then I'm in a really good spot where I haven't taken away from my earning potential. On rain days I can catch up on this. In the evening when it's dark, we're coming into that time where we have less daylight so I can batch my time into the areas that don't make sense, rain day, snow days and so on. So as a quick summary and you are welcome to recap this if you are getting my emails because you've downloaded the Pitch Like a Pro video library which by the way is available here@theroofstrategist.com or if you are a customer or receiving the Far snapshot. I have this in writing in the far snapshot that awaits in your inbox. So in there, KEY TAKEAWAYS Number 1 End your day by planning the day before. Number 2 Follow this structure. Daily goal must do sales activities, admin and tasks, hand write it out. And number three batch your time doing these things and chipping through them very fast, as fast as you can. Think of it like a sprint. And by doing this it will set you up for success. I've done a lot of videos speaking of success and you can learn, most importantly, not from me, but from other highly successful sales reps who I've interviewed on the channel and they've shared their secrets to time management and productivity.
