#710: How to Buy Smarter: In-Person Markets vs. Online Marketplaces
22 Apr 2025 · 27 min
Podcast episode #710 (recorded April 22, 2025) hosted by Ashley Alderson with guest Samantha Connor. The conversation contrasts buying at in-person trade markets with sourcing via the Boutique Hub’s wholesale marketplace, Hubventory. Key advice: plan before attending markets (use must-see lists, visit the Hub showroom, meet vendors and follow up), and pair an IRL market strategy with online ordering on Hubventory. Hubventory features highlighted: vetted brands, ROI calculator (rule of thirds markup tool), collections/boards (Pinterest-like), delivery calendars with automatic cancel dates, Shopify and trade-show/Faves integrations, TrendLines trend-reporting (next issue due July), membership perks (automatic 5–10% discounts and free shipping from participating brands), and 1% purchase rewards. The episode positions Hubventory as a complement to in-person market buying to help retailers buy smarter and manage inventory efficiently.

I'm your host, Ashley Alderson from the Boutique Hub.
You're.
And I can't wait to chat.
Hey guys, welcome back to the podcast. This week I have our very own Samantha Connor with me today. I'm so excited you're here, Samantha.
I can't believe that I'm here and it's been this long. I'm really excited too.
It's been a minute since you've been on the podcast. Yeah, it has. Yeah. So for anyone who doesn't know if you have experienced the Boutique Hub in person at market, you've probably met Samantha in person, right?
Yes. Yeah, yeah. Last year I think we did 21 markets, so I'm pretty sure I've seen a lot of you.
That is so crazy. It's so crazy. Well, you are such a great face of the company and just, you know, all things hub and all things that our members are going through on a daily basis. So I'm excited that you're here today because I think this is one of the most commonly asked questions we get, especially from new retailers or retailers who are they're ready to just grow to the next level and really maximize their time and their investment in inventory. And that's just how to buy inventory efficiently. Bridging the market gap with online marketplaces.
Yeah.
So it's, it's been a minute since we've talked about Hubventory specifically, so I'm ready to get into it with you today.
Yeah, yeah, for sure. So, you know, I talked about, we went to all these markets last year and what that experience was like. But you know, as we are moving through 2024, 2025, it's expensive to travel, it's expensive to leave your store, to get into a hotel, to, you know, take the flight. And so what we've seen is people want to source products online and so there's definitely advantages and disadvantages to, you know, in person market and same thing with shopping online, but it's a strategy. We have to have two options when it comes to getting inventory in our stores. Yeah, Provides a great option.
Let's start with the in person. I was going to do this inverse, but I'm going to actually go Back to my idea. Let's start with the in person. So when someone comes to a market, what are just a couple of best practices? Things they should do right away or things they should consider when finding the best brands?
Yes. Yeah. Well, for sure. It reminds me of grocery shopping. Don't go hungry. So we don't want to walk into the grocery store. You know when you're like, I'm starving and you just do the perimeter and you get all the snacks. Yeah. So we've got to have a plan and we need to like, go with our head straight. So make sure, like you said, you're rested and you've got food in your tummy, but that you've done the plan. So you've looked at what is it that I need to have in my store and which market is going to align with those needs. There's so many different shows to choose from, so you've got to know, what is it that I need and then where can I find it? So just doing that preview work of going and looking, you know, on the market website, using the Boutique Hub, we provide a must see list. Which vendors are going to be there and what incentives are they offering when I get to the show. So that's how I would start off.
What about also seeing the Hub booth when you come in showroom? I feel like giving people a safe place to start is also really beneficial.
Yes. Yeah. So, yeah, you kind of do that pre work. You know, what's on my grocery list, what do I need to get? Where's the market that aligns with that? The next piece is I walk into this building and I get my badge and then I feel like, what in the world am I going to do next? So come find us. That's what our team does. That's why we went to all those shows last year. So we wanted to be where you guys were so that we could help you. So in Dallas, in Atlanta, the Boutique Hub has a permanent showroom. So that's like your safe space. You know, when you're at the airport, the Admiral's lounge, come in, get a drink, charge your phone, talk to a friend. And all of our members have access to our must see list, which is a list of vetted brands that have been vetted by the Boutique Hub team. Proven greatness in customer service, quality delivery. So we give that list to all of our members and then the members get a badge too. And so for those brands, it shows them, hey, this is a really good buyer. They've been through a lot of the Hub training, we can work together and do business together. So that's the next step. Make a good plan. We show up, we check in with the Hub, and then we're off.
Yeah, absolutely. And then once they're off and they're getting onto the show floor and they're looking for Hub member brands, what are those next best steps and questions to make sure you're finding the right quality and also building relationships.
Yes. Yeah. And that's the thing about that in person is building the relationship, meeting the face behind the brand. So as you navigate through those shows, you're going to see the hot pink. The hot pink hub sign. So it's a rectangular sign, has a boutique hub circle on it. To me, it becomes like your stop sign. Right. Stop here. And so that that signifies to you this is going to be a great brand for me to work with and they'll have a conversation with me and they know that we're in the same professional network together. So that just makes that conversation easier to start. But, you know, we always start with, you know, meeting the people in those booths or in those showrooms and introduce your store to them. You know, you're the customer, and so they need to know how to serve you best. And they can do that if you tell them, you know, paint a picture of, where are you? What kind of, you know, apparel are you looking for? What is your customer like? What is your home and gift, you know, needs? And they can really start to think in their mind, what should I be showing her?
Oh, man. Every time you ask better questions, you get better answers.
So.
Absolutely true.
Yes. Yeah.
Whether you make the purchase or not, kind of the next step is the follow up. Right. So where can I go to find this brand when I'm not at market? And for us, the answer to that question was we really wanted to build our own wholesale marketplace that we felt like was quality, trusted, vetted. And so a lot of times those brands, then you can come home and find them and shop them on Hubventory. Tell me all about inventory.
Yes. Yeah. And so that's a big strategy, and I want to make sure everybody understands this. When you're at market, do not feel pressured to lay down a credit card and buy. Right then we want you to make a smart decision. The brand wants you to make a smart decision. Brands don't like canceled orders. So if you are somebody that says, I've got to look at my overall budget and decide how this is going to fit into that, I'm going to take it with me. And then I want to go home and think about it and look at that. So whether that home is I'm going to my hotel room tonight, or I'm physically going home, that relationship, you can either place the order by, you know, contacting the brand, or Hubventory is the great spot to place that order because it is those same trusted brands. So you, you know, met them at market, touch and feel the product. We would shop apparel, especially from the inside out. Right. Like, is it finished nicely? What's the quality of it? And then I can go find that exact same experience on Hubventory. And so that's really helped a lot of retailers when they've run into the thing of maybe I can't travel, there's something's going with my family, or, you know, I couldn't place the order at market. Whatever the circumstances is, there are a million different reason why we don't buy at market, but a million reasons why we need inventory in our store. And so Hubventory provides the place to do that.
Right. So if someone is listening and they aren't yet familiar with Hubventory, what would you compare it to? But then also, why is it different than everything?
Yes. Yeah. So, you know, I've had a lot of people say, oh, is it like a fair or a fashion go? And I say it kind of a. Kind of not. So when you think about what is an online platform, it's a place where we go and purchase things. And so in that sense, yes, that is the same. But what the feedback and what we've really wanted to do is craft Hubventory to be different. So instead of just letting any single brand sell on it, we wanted them to be vetted. We wanted to know that they had great customer service, great quality of product, you know, if you needed to make a return. Cause that happens when you get stuff. Sometimes you're gonna have to send it back. Something's wrong with it. How are they gonna handle that? You've got a relationship already built in with Hubventory. And so all of the brands that sell on Hubventory, like I said, have been vetted by our team. And then the way the shopping experience is, it's just totally different than anything else. It matches the way that retailers are building out collections in their store. And that's so important because those collections then turn into, I can get this great product, but then how am I going to merchandise it, market it, and sell it? Because getting it there is really just the first step. And so Huffentory helps with that. All the way around. And then the tools, I could talk forever about the tools that are on there. I know you talk a lot in retail Bootcamp about knowing your numbers. And so that really comes into play when we go into inventory investment is what is my budget for this product category? And then beyond that, once I buy this, how much money am I going to be able to turn? How much, how am I going to turn this product, how quickly, and what's the cash flow opportunity? So, you know, like, this blouse I'm wearing today is handy, handy. And so I love it. And it's beautiful. And as if you brought this into your store, there'd be a certain amount of them that you would sell at full price, but then there'd be a certain percentage that you'd have to mark down. Not a lot, because they're going to go quick, but a little bit. And so Huffentory helps you anticipate what the potential is on those products for earning. Because although we want 100% to go at 100%, we just know that that's not necessarily how it always goes.
Yeah, I've got to double down on that because that probably is one of my favorite tools. And one of the most underutilized tools on Hubventory is the ROI calculator. Yes. So exactly what we teach in retail bootcamp, I just think, you know, retailers, we can be compulsive buyers. Boutique owners can be compulsive buyers. And typically, how other sites work is you just go and you add all your stuff to your cart, and you kind of have to do the funny math in your head and figure it out and, you know, wonder if it's going to work. But on Hub and Tory, you can literally put your buying budget per category in, and you can watch that budget track per category as you start to make purchases and add to your cart, and it tracks what you've already spent in previous purchases. But then the ROI calculator, we call it the rule of thirds. So typically in retail, whatever you buy, like a third of it, you're going to blow out immediately at full price. A third might take a little while longer. Maybe you've got a slight, you know, like, loyalty discount or something you put on it. And then a third, you're going to have to really slash and mark out. So when you take that ROI calculator and you put your initial markup on, what would I sell this product for? And then you kind of adjust your thirds, you know, how much do I think I'll sell at these different Rates you can see. Is this investment worth my time? So a lot of times we're just, we're investing, we're buying things that have such little margin, it's not worth our time. So we want to help everyone buy a lot smarter when they're on Hub and toy.
Yes. Yeah. And the whole thing with that inventory investment, you know, even at markets it's so fun to buy it. Like that's so fun to get it. And then you're like, you get it and what do you do next? And so I think that's what makes Hubventory so different than other online platforms. Is it showing you and coaching and teaching you how to actually move the product through? Because our goal is for you to be successful with it, cash flow it and come back and shop again. We don't want you to be a one time shopper. We don't want to get you to get something in store that you can't move. So if we can use the boutique Hubs education pieces to help you be successful with the inventory, then we can feel confident that you're going to do well, the brand will be happy because then you're going to be a repeat buyer and we'll see you again whether at market or at Hubventory to make another purchase.
Yeah, absolutely. Go back to. You talked a little bit, alluded to the collections.
Yes. Yeah.
If anyone's listening and they've already bought on Hubventory, we've kind of changed terminology around between collections and boards. Our initial idea was how do we make a Pinterest for wholesale? And that's where this comes from because a lot of you, again, we want to make buying and investing easier because this is how the majority of retailers are selling. It's in collections that solve problems for their customers. And so why wouldn't we pair products together to make collections that solve your problems, that make it easier to buy? So can you talk about how collections work, where people can find collections on the platform, that whole process?
Yeah, yeah. And I love that creative piece because every single retailer that I talk to, that's really why they got into this. It wasn't because they were like, oh, I just really love calculating roi. No, they really love networking with people. They love sourcing product and they love building out collections. And whether you know you're doing it or not, you're building collections. So when you get a pair of pants for your store, you're deciding what are my options for tops with this, what would the shoes look like, what would the jewelry, the accessories the handbags look like. And so it is Pinterest meets inventory investment. So you're going to on Hubventory, there's a cute little, it's like a little pin, like a push pin that you put into a cork board. And, and that's how you're going to collect your products and save them on a collection board. This is a really smart strategy because if you're somebody and I say, I've been guilty of this, if you're putting things in a cart and saving them for later and then coming back and be like, what was that supposed to go with? When is that even arriving? This solves all those problems. So you're going to create a collection board. You're going to save those products that are going to merchandise beautifully together on the board and then when you're ready, you can move all of those items simply to add to cart. And that really gives you that visual piece. I know a lot of you that are shopping at market when you go into a showroom, one of my personal favorites, and I've seen your eyes light up when you guys do it too is the big grids in the showroom and you start putting the outfits together and you say, this is my July drop, this is my August drop, this is, you know, my November drop. And this is how it's going to come. This can go with this, this and this and that whole like beautiful mind moment that happens, you can do that online with Hubventory. And so it just really makes towards sourcing easier and it makes it easier for you once the product arrives on, on getting it merchandise beautifully, then being able to sell it.
Hey guys, one of the most important things you do in your business on.
A regular basis is source amazing wholesale products to stock in your store. So no matter what you sell, whether it's apparel or home and gift or children's or shoes or maybe just the right specialty and beauty products. I'm so excited and I want to invite you to shop on hubventory.com Hubventory.com is our very own grassroots wholesale marketplace built at the boutique hub by boutique owners for boutique owners. But you're going to find creative ways to buy your inventory from inventory planning boards, think Pinterest helps you build collections and really see your entire inventory before you buy it. You're also going to find your budget calculators, ROI tools and of course, anybody can buy on hubventory.com whether you're a member of the Boutique Hub or not. Hubventory also has Shopify integrations, both for the wholesale brand selling on the platform, but also for you as the retailer. The brands are waiting for you and they're looking for you there. So shop now. Our very own wholesale marketplace, built by our industry, for our industry.
Hubventory.com makes such a huge difference, I think, in just again, buying smarter. And then on the back end, something that I love is I see a lot of frustration when it comes to purchase orders and not always knowing when things are coming and when we're looking at purchase orders. A lot of times it's just like a piece of paper with, you know, a product description and a date. But on Hubventory, you can visually see it because you have a delivery board that visualizes these are all the pieces that are coming. This is the date as it's moving through your tracking. So you can literally see your collections as they're about to arrive.
Yeah, and that's so key because the thing about the plan is that the plan doesn't always work. You know, sometimes you're gonna say, I really wanted this top to go with this bottom. And they're both supposed to be here on this day. I have my employee coming in, we're gonna do the photo sh. It's going to hit social this day and then stuff starts falling apart and it doesn't arrive then you know. But if you know that it's not going to arrive, then you can make a alternate plan. And really, those delivery calendars are huge. You can set cancel dates. So if you're somebody that doesn't want to get shorts in July, they should have arrived, you know, in April. Set that up when you put the order. And you can put the delivery date and the cancel date so you don't have to worry about constantly thinking, where are those shorts that they come? Do I need to cancel them? I'm going to end up with shorts that I don't want at a time I don't need them. Huventory is going to solve all that for you. When you make that order, you can place all those restrictions, ideas, things like that together on I need it this time. And then if not, am I willing to accept it later? Yes or no. And having one place to monitor it, because the folder with all the papers in, it's a little confusing.
Yeah. And I actually think it's the only platform that allows those automatic cancel dates, you know, where you can build in that buffer.
Hey, if.
If these Christmas socks don't arrive by December 10, I don't want them. Yeah, cancel that order. So I think that's super helpful. And then the other thing that Samantha, I've always been so passionate about, and I know you people or you see people saving so much time with, is our direct Shopify integration that we've had since the very beginning, both on the brand and wholesale side of things, but then on the retailer side of things as well. Can you talk about how those work?
Oh, that makes life so much easier. So if you're not on Hub and go into Shopify, download the Hubventory app. So great. So my wholesale brand friends, they can literally transfer their products seamlessly over to Hub and tour in their profile and have it ready to sell to the retailers. And then on the retail side, once you place that order on Hubventory, it creates a draft product inside of your Shopify so you're not having to go through and do all the product uploads and get the photos in there and the product descriptions. All that's going to flow over, you can review it and then hit publish and it will go live. And that's going to save you a ton of time. And then also, the sooner we can get the products in front of your customers, the better chance we have of selling it. Ashley and Sarah are famous for the brown bananas. The brown banana, right. It's fruit coming in. So as soon as that product comes, we've got to sell it right away because it'll start turning brown. And Shopify, if we can get it into Shopify, Fast and get it in front of the customers. There's no way that banana is going to turn brown. It's going to be sold soon.
Absolutely. What other integrations do you want to share?
Yeah, so something that I really am passionate about is the trade show integration. So like I told you, I've been to a bunch of trade shows last year. That's the majority part of my work is I love to go to shows. I'm passionate about that. I think how cheating and filling a product is every retailer's job. Even if you just go once a year, it's your job to go talk to those brands and network. And so when we created Hubventory, you know, one of those questions was, oh, are you trying to replace a trade show? There's no replacing a trade show. You can never replace IRL in real life. You just can't replace that. And so on all of the brand's profiles, they upload their trade show calendar. So which show they're going to be at, where they're located and then if they're offering a discount to hub members. So as a retailer you can go on to haven't already and say, hey, I'm going to be Dallas market at the end of the month. It's the March market. Let's see who from Hubventory is going to be there. Oh, I love that brand. I'm following that brand. And you can create your own must see list that's tailored to you. And so that supports those brands because we, like we said, we want to shop with them online or in person. We want to support them. They're vital part of our business. And then the retailers, that helps you plan your trip better too, of where the brands that are going to help my business be successful, where are they going to be? And so that trade show integration is unique to Hubventory and I think that it speaks loudly of our beliefs on trade shows that you've got to have an in person experience paired with an online shopping opportunity.
I totally agree. And something else that goes so well in terms of integrations in the trade show is the Faves app integrating with the Faves app. So if you're also buying using the Faves app and organizing all of your inventory in person and you can also sync all of your hub injury purchases in between markets. So all of that inventory is tracked in one place.
Yes. Yeah. You know, I think there's so many different tools for retailers now, you know, to use. And so how do you decide which ones are the best to use? What you want is one that's easy to use. Because even if it's the best tool ever, if it doesn't work with your life or it makes things more complicated, it's not worth. It doesn't matter, you know what the return on it is. So what Hub and Tory does is pull together those. Those ones that most retailers are using. I know that we have contact with about 76,000 retailers every year. And if you look, they're on Shopify, they're using faves, they're going to trade shows, they're needing an online ordering option. And so we're able to take all that data and all that feedback from all those successful retailers and say, if they could design one tool, what would it be? What would be that one thing that would be a game changer for them. And that's what Hub and Toy really is. All right.
One of the biggest things that we have not talked about and that the Hub is famous for is we love to save people who are members of the boutique Hub money. It's very important to us that we save them money. So anyone can shop on hubventory, whether you're a Hub member or not. It's open to anyone. It's a general platform. But if you are a member of the boutique Hub. Tell me about that experience.
Yes. Yeah. So there's definitely that, that members only vibe with that, that, the savings. And so that's what's so cool as a Hub member. You know, as you log into hubventory, your Hub membership automatically syncs. And so any brand that is offering a Hub member discount, which a lot of them are doing, free shipping, reduced pricing on freight, different discounts, like 5% off, 10% off BOGOs. Just different things like that. You don't have to worry about entering a coupon code or reaching out to the brand and saying, hey, I saw you running this special. Can you make sure it gets applied to my order? Those discounts are automatically applied to your purchases. And the cool thing about it is this is not an extra add on. I hate an extra add on. I hate, like when you download a really cool app and you're so excited, and then it's $5 more to use this and $5 more to use this, and you're just nickeled and dimed all the way through. Hubventory already applies those things. You've got your annual Hub membership, you paid for that, and then this is just another perk of that. You automatically get those discounts applied to every purchase. So that's amazing. You don't have to think about it. It's a no brainer.
Yeah, absolutely. Yes. So best place to start, best advice, Someone's listening and they're like, oh man, I haven't been on Hub and free for a while or I'm new to Haventory. How do I start?
Yeah, so go hubventory.com and log in. You know, if you've forgotten your password, we built something great for you. It's called the magic password. You literally hit I forgot my password and it'll email it to you. So don't stress if you, you know, say, I don't remember it. I can't remember. I've got a million logins. I forget them all the time too. That's why we have the magic password. You'll get right into Haventory. And then Hubventory is smart, so she learns from your behaviors. So if you want to see certain things in your feed, start liking and following different brands. And so what the algorithm does, it learns, right? So it says, oh, this lady loves shirts with puffy sleeves and big bows. I'm going to show her more of that. And so then I'll see more of that in my feed. And then inspiration wise, I really like the collections that our team has built out because it's a cue and a reminder of what, what should I be buying next? Because sometimes we get in the moment and then suddenly it's like, oh my gosh, I don't have St. Patrick's Day. We don't want to be making purchases that feel urgent and rushed. We want to have a plan. So what we've done is build out those collections. So, you know, oh, when it's, you know, July, I should, you know, my game day should have already been arriving. So really I should have been buying that in April. So we're going to cue you on that so you don't have to worry about that. We're going to take that worry away. And that fear of, am I buying the wrong thing at the the wrong time? You don't have to worry about that anymore. We've got that solved for you. So you're going to like and follow brands, get a custom feed and then you're going to follow those cues on when to buy. And then like Ashley said with the ROI calculator, how should I even be buying this so I can be successful?
Awesome. It's so easy, so easy to just start those things and really customize your feed along the way. The other thing, I love that. I think our team has done a great Job of making easy is Trend Lines. So that's always been a part of.
Yes, yes.
Reports and analyzing what's working out in the world. Do you want to talk about that a little bit?
I have my printed copy, so I have to show her. So Trend Lines is amazing. The next thing that comes into mind, and we hear this question all the time when people show up to the market is they say, what should I be buying? You know, I know the season. I can tell what season I should be buying because I could see it all here. But what are people liking? Are puffy sleeves still in? Are bows still in? What is this fisherman vibe core thing that I'm hearing about and how should I bring that to my Midwest town? Because we're not near any fish. And so what Trendlines does is it breaks down the top patterns, colors, silhouettes. By season. We go all the way in from everything from Young Contemporary to your Missy customer. We touch on children's and home and gift as well. And what are those. Those things that are going to be looking at the data, what are they going to sell? You know what's going to sell, because anybody can say, I think Leopard's going to be in, but we want to have numbers behind it. So this is all in there. And then also a lot of our members will see themselves featured inside Treadlines because we pull real anecdotal stories from retailers. You know, those numbers and those. We had Management one day from Management, one gave us a lot of data on what went up. You know, loungewear went up in 2024. It's not just Christmas PJs now. We're wearing loungewear and PJs all year round. You know, Valentine's, Easter, all those things. And then what went down? What do we need to make sure that we're not as investing in as deeply? And so when we talked about Hub and where being so different because it's showing you what to do and how to be successful with it, Trend Lines is really that tool that's embedded into Hub Android. It's going to help you with that.
So helpful. So the next issue of Trend Lines, when can we have access to it?
Yes, yes. So that is coming out in July. So that will be ready for you. Trendlines is going to give you the next buying piece. Right. So what are those things that I need to have coming in for fall, winter and holiday when we touch on everything, like I said. So if you've got Young Contemporary, if you've got a Missy customer, your home and gift store We've got the trends for you and then children's as well. And I know that something interesting that we've seen happen in the industry is that crossover. And so trend lines includes the crossover. If you're buying candles, you're probably also buying dresses and vice versa. And how can we make those products seamlessly integrate together in your store?
I think that's really important to double down on because I'm sure there's people listening saying, oh, is Hubventory just for apparel stores or is trend lines just for apparel? And like you said, the industry is shifting big time and we're seeing home and gift and apparel just completely complement each other and people buying in both places.
Yes. Yeah, yeah, yeah. Something else that I did want to mention about Huffentory is that you earn money on every purchase you make. So I personally love that idea because and I say girl math with, you know, kind of tongue in cheek. Oh, well, it works out because I actually saved money when I bought this. And it's not girl math, it's smart math. And that's what we as women are doing. We're doing smart math. But with those Hubventory rewards, every purchase you make, you get 1% back. And I know a lot of you are investing a lot of money in inventory and when you're doing that any place else, you're not getting money back on it. And so Hubventory automatically saves those rewards for you and banks them. And then, you know, Hubventory will even send you a little message, hey, you've got money to spend. Come on over. You can make sure that's applied to your next. Your next purchase. Yeah.
Makes a huge difference.
Yes. Yes.
Samantha, is there anything else you want to share today about Hubventory or just helping our members and just those who are listening buy smarter. Yes.
Yeah, yeah. The trend is that we have less time to spend at market and that's what we're seeing. People are trying to do things faster and more efficiently. And so I know looking at your schedules and all the places and the things you have to go and do, you've got to find a way to invest in inventory in an efficient way. And partnering with Hubventory and then your in person trade show strategy is really what's going to help you be the most successful. And as we go forward in 2025, you know, to quote the famous Jeff Ben, the path to success is clear, but you've got to have a plan. And that plan is going to include partnering with the boutique Hub, seeing us at markets and then shopping online with Hubventory and we'll show you the way. We'll show you the products to get and the way to sell them so you're successful.
