How to use the "Run Schedule" in the Campaign Set-Up

Vali and Liza walk through the run schedule feature in Volley, which automatically removes customers from campaign queues when they no longer fit your criteria. It's a way to keep your customer list clean without manual work.
Hello, everyone. Welcome back to another Volley rally. Today I'm joined by Liza, who wants to take the time to walk through something with Vali that she feels would help you all better utilize the tool. So, Liza, what are we talking about today?
Yeah, so I wanted to jump on and talk through a campaign functionality. So I'm going to be talking about some kind of has to do with campaign setup. So hang with me on your evergreen Volley campaigns, the ones where you probably have query parameters set up and you have a run schedule. And on that run schedule, whether it's every morning, every hour, once a month, whatever it is, Volley is looking through your entire database for customers who meet those criteria and it's pulling them into your campaign. You already knew that. You also already knew that you can expire customers from your campaigns based on number of days. You know, don't let a customer live in this campaign for greater than 30 days. You can expire customers manually from a couple of your management screens. You already knew that. What you may not have known is that you can also use your run schedule to reevaluate the customers who already exist in your campaign and expire them if they no longer meet your query parameters. So, example being I've got a due for service campaign and my query parameters are customers who serviced between four and six months ago who don't have an upcoming appointment in the next 60 days. If I run that every single day of the week, I'm pulling in more and more customers. But it's very possible if Jake met my criteria on the 1st of the month, he may have had an alert go off in his vehicle. He may have seen, you know, an ad online, something that reminded him, oh shoot, I need to get my car in. And he may have gone online and scheduled his own appointment without talking to your team. We can use this setting on the run schedule to re evaluate Jake and everybody else in our queue. And if we see that he no longer meets that criteria, he now does have an upcoming appointment in the next 60 days, we can kick Jake out of our campaign. Reps don't have to look at it, they don't have to run into it. So it just makes their process a little bit smoother, keeps your cues a little bit cleaner. I have conveniently a campaign pulled up here, so I'm going to show and.
It sounds like it can can work to alleviate some aggravation from the customer. Because you don't want to call someone who set an appointment and say, hey, do you want to set an appointment?
Right, yeah, exactly. Yep, yep, true. So I've got my campaign up here. It's due for service. Here's my query parameter. So I have this one down here says customers who haven't don't have an appointment in the next 90 days. Whatever your career parameters are. If I open up my Run schedule tab, I can create a new schedule. I'm going to edit my existing one. I have this campaign set to run weekdays, just Monday through Friday at 6am so I'm going to edit that schedule and it's this checkbox right here. So evaluate customers in the queue with query parameters and expire. If I have that box checked and I save it every time. This campaign runs. So Monday through Friday at 6am it's going to both look for new customers who meet my criteria to pull in and it's going to evaluate the people who are already there and kick them out if they don't meet my criteria anymore. So keeping my queue just a little bit cleaner.
And this is something that BDC manager who's using Volley can set up by themselves. They don't need to contact their rep.
If you are familiar with run schedules, you are you, you are absolutely capable. It's just that checkbox, if you're not certain, grab us and we're happy to help. It's a really easy checkbox for, for you or our team, but we're happy to walk you through it, so just let us know.
Awesome. Sounds great. Thanks, Liza, for, for walking us through that and definitely everyone watching. Reach out to your Volley rep if you have any questions about that or if you're looking for any other best practices that we can help you with. Definitely want to answer any questions you have. Thanks, Liza and I hope you all have a fantastic day.
