Unveiling the Book Launchers Client Portal

A short product-demo style YouTube video (May 14, 2024) in which Julie Broad, founder of Book Launchers, presents a new client portal (Book Entrez) that helps self-publishing authors track and manage their book projects. The video explains why the portal was built (complex multi-step process, prior use of Excel/Process Street), demonstrates the UI and features (task lists, a "pizza tracker" style progress view, in-portal forms, resource library, chat), and mentions a VIP concierge support tier and plans for future phases.

Writing and publishing a book is an enormous project. There are so many steps, many people, and many aspects that need to be incorporated for the project to succeed. And when you self publish, you have even more to do to oversee it all. Now, if you want to see the really cool new tool we build to help our authors see the project details without drowning in every detail, well, I'm so glad this video is for you. Hey, I'm Julie Broad, the founder of Book Launchers. And if you're an author, you already know it's a huge project to become an author, especially if you self publish. That's why I started book launchers in 2017. I saw the need for a company that was focused on marketing of a book and focused on that marketing from day one. Especially if you're writing a book to grow a business or a brand as an author, bringing that marketing focus into the entire process of writing, editing, designing, publishing, and of course, promoting the book is vital to the success of the book, bringing it all under one roof. So a busy professional, business owner or subject matter expert can focus on their message and use the book to grow their brand and their business, while a team of professionals surrounded them with care, marketing minds and attention to detail to bring their book to life. It takes a lot of pressure off, although there's still pressure when you become an author. But it is such a big project. And in the early days of Book Launchers, we managed this big project with Excel spreadsheets. But we quickly saw the need for checklists and a more dynamic approach for managing a project. So to help us manage the projects, we built a really robust system behind the scenes in a project management, or in Process street, I should say, for project management. So you can see this is all set up in process street, and as you click on each item, you'll see every single task has subtasks, quality control elements, instructions and steps. So this is an enormous, enormous system behind the scenes, and we have standards and requirements for every step in the process. We've worked with just under 500 authors as I film this. And so the process has been refined, and authors who come to us and demand we break our process end up as unhappy as my team. But authors who come in and want us to work our magic, well, they end up very happy campers like Nick Hutchison, Virgie Bright Ellington, Scott Clancy, Efren Delgado, Brent Pullman, and hundreds more. And that is because of this process. And it's proven and it works. But on the client side, it can feel like nothing is happening for Weeks, while behind the scenes, we're busy checking off the boxes. And as you can see, there is a ton that goes into every step. So a client might not hear from us in a few weeks. But that's not because we've forgotten about them. It's because we're working on all the things. For years, as people complained about the fact that it felt like nothing was happening, we kept saying, we need a pizza tracker so clients can log in and see if their book is in the oven. Oh, now it's out. Now it's heading to the box. And we wanted to have this all happen without us having to manually update the client, because we spend a lot of time just telling clients where this pizza is in the process and what is happening and what that time could be better spent actually working on their project. So we did it. We built a freaking pizza tracker for your book. And it was way harder. And it took three times as long to do this because we thought we'd be able to easily connect the software to the process street system, but it wasn't that easy. But we have done it and we've rolled it out to our clients. So here's Shane, who spearheaded the project for us. Showing clients the new portal.
Welcome to the new Book Entrez client portal. This is our new initiative to be very transparent with everything that we're working on and everything that you should be working on, because there are a lot of moving parts when it comes to publishing your own book with us, because we have marketing coach right into the process. And so you're writing your book, you're doing content edits, you're building websites, you're creating lead funnels, you're designing your book cover. There's all sorts of things going on. So we wanted to get a central place where you can log in, see what it is that you should be working on, and you can see what we're working on at the same time as well.
So we have it set up so when a client logs in, they can see what they should be working on. They can get resources to help them with that step, and they can scroll down and see what book launchers is working on. It's not my ties on the beach for anyone in this author journey, but we create amazing books. So here's Shane showing you that.
So when you log in, everything on here should be populated to what it is that you should be working on at the moment. So here, all these tasks with all the images here, these are like my tasks that are assigned to me that I'm just in a test account at the moment and so there's a lot of them. And then also you can see the things that we're working on. So this is what book launchers is working on for you. And then all the ones that images here, these are all tasks that you can open to see what it is that you should be working on. I guess kind of over explaining at this moment, but yeah. So all these things on the left menu, these are all the different parts of our process and if you click through you can see things that you've completed already in the past and things that are still in progress or that need to be done. So we have pen to paper, process, production, publish and promote and all of these are organized based on, you know, what part of the process they are in your book publishing journey. If you go into each one of these, you will find a couple of buttons in here that's mark as complete. There's a contact support button if you have questions. But then you'll see a text description of what it is that you should be working on. And then also a. There's usually call to actions in here to let you know like, like actual action steps to take here. So in this one I'm in need of completing a couple forms. So we want to complete a bio form, an author bio form, and then a book description form. And these are forms you can fill out right here online. And then once you hit submit, that sends a message to us letting us know that it's complete. And then once you've completed both of these, you can mark this task as complete and there's no need to do anything more with that. We also have a little book completion progress circ right here to show you kind of how close you are to actually publishing your book. And we have a link to our book Entre foundation library down here as well, which if you don't know about this, this is just our another hub that we have. That's all. If you're a client, you have access to this as well. It's just online courses showing you more resources on each part of the actual platform. So yeah, that's it. Enjoy it. We hope that you get a lot of great use out of it and it's easy to understand where you're at in the process and you know, feel free to shoot us a chat or contact us through the support channel here if you have any questions or need any support at all. So yeah, thanks.
We also added a chat feature in here. My team needs to focus on manuscript production and that work should not be interrupted by emails. So in order to focus and get things done and have attention to detail, we batch respond to emails, which can feel like a long time to wait for responses if you're a client who just needs a quick answer. So we built this chat feature in and we will in the beginning be taking turns manning this. But at some point we're going to streamline this, bring in a new team member who will be solely responsible for managing the chat. That way they can get quick questions answered with timely responses so their project on their side doesn't get held up. Now if you hate the sound of waiting for an email, we do have a VIP level of support that gets you a concierge who responds as fast as humanly possible to you and moves your project along like a very well loved hot potato. This is phase one of this project and while there likely won't be a phase two until 2025, we are super excited about this new feature for our clients to track their project and see what is happening and what they should be working on now. What do you think? I'd love to hear from you down below. What features should we add in phase two? And if you have any thoughts or comments, go ahead, chat down below. And I don't have videos to throw this to. I don't think I will. We won't do a video. No.
