Short tutorial by Donna Genie (pyopaccounting.com) advocating automation for studio workflows using Zapier. She explains the general trigger→action model, gives examples (automatically adding class sign-ups to email lists like Constant Contact; emailing customers whose last visit exceeds a time threshold; texting clients when kiln items are ready), and encourages viewers to explore Zapier and follow/contact her via social and email.

Foreign hi, I'm Donna with pyopaccounting.com I want to talk to you about automating yet again today. Here's a quick example of when you want to look to automate. If you are taking information from one place and putting it into another, duplicating your effort, always want to look to see if there's a way to automate that. A couple of quick examples that you might commonly see if someone signs up for a class and you want to add them to your email subscriber list, do you have to take that information manually from where they signed up from the class and add them to your list? You shouldn't have to. That's something that can be automated. We use our primary tool for automation as Zapier. Don't be afraid of Zapier. It's the handiest thing and once you figure it out, you will go crazy on automation. Zapier allows you to pick one app and select a trigger of what happens and then select the second app of what action should happen when that trigger is fired. So your action would be when someone signs up for a class, you typically probably get an email or that application where they sign up may have a trigger built into Zapier already and then the action will be to add them to Constant Contact, which has apps built in to Zapier so you can automate that whole process, never have to touch it again. Another example might be if someone hasn't been in your studio for a while, you may have your point of sale showing that that person's last visit date is greater than a year, six months, whatever your time frame is. Maybe you want to automatically trigger off an email to people when that time has elapsed. So you don't have to sit down and go at this every quarter and create this whole process to do it and remember to do it. It will automatically do it so it can look at your point of sale. Let's say you use clover or square. It can look at the record for that customer and determine when their last purchase date exceeds a certain point and then the trigger will happen. The action is to send them an email or send them an invite or whatever the action may be. So check out Zapier and think about the times when you take one thing that happens in your studio and create another. Another really good example I just thought of if you bring things out of the kiln, how about if you scanned a ticket number and it automatically texted your client to tell them that their product is ready for pickup? Wouldn't that be an awesome thing to automate? Check it out. Get lost on automations and make your life and your employees lives a lot easier. Please follow us on Facebook and Instagram.
