How to Connect Client Xero Accounts to Zapier (and Automate Tasks)

Isaac shows how to connect multiple client Xero accounts to Zapier by using the reconnect workflow to build a single "All Clients" connection. This unlocks automations like weekly transaction aggregation across all clients, automated depreciation journal entries, and consolidated tax projections pulling net income and specific accounts into one place.

Hey, this is Isaac, and in this video I'll share a brief tutorial on how to connect your Client Zero accounts to Zapier and just briefly touch on all the automation possibilities it unlocks. Okay, so let's get started. We're looking at Zapier's, uh, actually Discover page, but let's go back to the home page. This is what you'll see once you log in and you're looking at your particular account. If I go to App Connections specifically, this is where I'm able to add New Connections, as the name suggests. And if I click on this button at the top right, I'm able to find for a specific application. In this case, I'm looking to connect Xero, so I'll look for Xero, and I'll have the ability to click on it, click Add Connection, and it's going to prompt me to connect that particular account. Now you'll see that I have a dropdown to select multiple organizations. So if you are an accounting firm and you have access to 10, 50, 100 clients, you'll see that list right here. You'll be able to select a specific client and click on Allow Access. Now unfortunately, the way, um, this works currently, you can— you cannot connect them all at once. So once you've connected the first one, you'll go into Apps and you'll scroll down to find that zero connection. Reason being, we don't want to create new connections and new connections because then we'll have different connections for each client, and what we actually want is one connection that have access to all of them. If I click on Edit Connection Name, just for clarity, let's just say that this is All Clients. And what I'll do here is I'll click on those 3 dots and I'll click on Reconnect. By clicking on Reconnect, I'll be prompted to that same window that we saw earlier, but this time I'll see that that particular one, it's already connected, and I'll be able to select a new one And similarly click on Allow Access to get that additional option. And that's effectively how you connect it. Now let me talk to you about why this is useful. It's kind of hard to understate or overstate, whatever, how useful this is, but it essentially unlocks roster-wide automations. What do I mean by that? Uh, for example, we're working with a client, they wanted to see in one place all their uncoded transactions for our clients. On a weekly basis, that's something we built. She also wanted to run depreciation on a cash basis because zero only runs it on an accrual basis, and she actually had to manually void those journal entries and then recreate them and making sure those are posted on both bases. Again, that's something we did. We're actually working with a client right now that wants to automate or streamline their tax projection process and wants to pull from zero like net income and specific accounts like donations. Contributions, meals into one place. And again, that's something we're building. And when you connect all your clients into one account, it gives you that ability to do things across all of them if needed. In fact, actually, I just recorded a Xero automation tutorial with a couple more examples and use cases. So you probably should check that video next and I'll see you in the next one. And until then, stay efficient.
