This Tool Syncs Your Spreadsheets with QBO & Xero in 3 Minutes (G-Accon Intro)

Andrei and Sonia demo G-Accon, a Google Sheets add-on that syncs QuickBooks Online and Xero data in minutes. It pulls raw data, pushes invoices and journal entries back, builds custom reports, and automates refreshes with email alerts. Built on 30 years of data warehouse experience, it's designed for accountants who live in spreadsheets.
Chapters
Hello, hello everybody. This is Isaac from Opsido Code, and in this episode we have special guests that are going to be presenting a special tool that is loved in the accounting community. We have Andrew, Andre, who's the— that's right, Andre, who's the CEO and founder of GACon, and we also have their client success Director Sonia. So how are you doing, guys?
Good. How are you?
Great.
Perfect. So to start off, I would love to understand how GAConn came about. I know that you, Andrei, have a lot of experience in the software world, and I love to understand like why accounting and why specifically, you know, this problem that GAConn is solving.
kind of like easy, not easier. So I, uh, if you check my LinkedIn, I was actually 30 years Java developer.
Yeah.
And I used to work for the different banks and mostly, uh, mortgage industry where we actually like, uh, combined mortgage, analyzed mortgage, created the crazy system. Usually banks, they have actually more than one system because there was absolute system, then there was a new system and there was a new system and the best system and everybody need to integrate each other with each other then because actually it should be transparent. And then the guys build the— sorry for the specifics— big warehouses where you kind of doing a crazy search. And we did all that stuff and usually business looks at us and said like, yeah, yeah, it's very good, it's very good, it's consistent, it's Perfect. It's actually calculating everything, but will you be able to, uh, put it in Excel so we can actually take it, analyze it? And it's actually any project, any project where I was, the end was like that, like outcome. Can I actually push it in Excel? Well, in Excel, yeah, like it exists for a while, you know, like it's a pretty old tool and, uh, they integrated a huge integration. But when the Google Spreadsheets come up, what is the difference between Excel and Spreadsheets? That you have actually the Apps Script and it's cloud. In Excel, when you're closing the notebook, nothing going on. In Google Sheets, when you're closing, nothing happened really, really. Actually, it's still working, it's still on, it's still doing everything for you. And that's the difference. And I kind of came to the— I went to the company where I was 10 years consulting and it was cloud almost. It was just start of the cloud. It was AWS, Google, Azure. And we all sat on the Google Spreadsheets because at that time, I don't know, but they kind of pick up there's a provider and office and the mail and everything is a Google Spreadsheet. And I figured out that Google Sheets is pretty cool stuff. And again, when we work with the business— that time I worked for Best Buy, for Johnson& Johnson— still there were requirements like spreadsheet, please.
Yeah, yeah.
So obviously, you know, like, yeah, I understand. And actually, yeah, I was on both sides because, uh, from one perspective, as the IT guy, I understand the data consistency, reliability, backup, everything. But from the perspective of the— if you need to touch that data, work with that data, probably, uh, Google Spreadsheets or Excel, you— there is no nothing better than that if you need just like work with that particular data. Yes, of course you cannot replace it as a database, or you cannot replace with consistency, but working with that, massaging data, yeah, it's the best tool. So that's why, and, and, and, um, And in that situation, we kind of starting— I had a project with Salesforce originally. We pulled the data. Actually, Salesforce just came up, came originally. Not— there were not a lot of guys who actually knew the API and work with them. They have actually like HQL or something like SQL, not some kind of specific language which allowed you to pull the data. Uh, from the— and, uh, Salesforce is a marketing tool, you know, I'm pretty sure you know what is it. Uh, and, uh, we originally like created the add-on for that. I— and, uh, honestly, honestly, originally we thought actually that it will be not very popular because like, uh, IT guys, all IT guys thinking that actually like, come on, how you're gonna sell Uh, push and pull data to the spreadsheet. It's kind of like it's impossible to sell because, you know, like, like IT guys, usually they're thinking like you will do something like very, very expensive, will make it open source, everybody will use it, and then there will be million, million dollars, right? Uh, but in, in real reality, you're doing something useful, everybody can use it, and it's actually pretty good. Uh, so yeah, we started from Salesforce. Uh, we, uh, sold it. We had actually HubSpot as well. We also sold. We decided to concentrate on the, um, finance mostly because, uh, if we're dealing with marketing, they don't have predefined reports. It's very hard to suit customers because like you are creating the report and you don't know, you need to kind of like extra effort to sell it because there is no standard there. Like, for example, in finance you have balance sheet, profit and loss, uh, cash flow, and everybody knows exactly what should be there.
Yeah, it's like the same principles essentially, right?
Yeah, the same principle, yes. And in marketing, uh, because it's— I guess it's a new industry, it's kind of like very hard, uh, to come up with a really good report, or you need to come up with a really good wizard which allows you to query pretty fast data.
Yeah.
And, uh, so, and, uh, that's what kind of like when we started to deal with the Salesforce, maybe Salesforce is not, they kind of have really good, uh, tools, but like HubSpot, Zoho, we figure out that it's actually kind of hard to design report and understand what people want. And meanwhile, we had actually Xero integration, QuickBooks integration, FreshBooks integration, we decided to concentrate on financial and just kind of like dump the marketing tools.
Yeah, interesting. I guess that's your story reminds me of a particular phrase that people say a lot, which is like, if you can't beat them, join them. Because I know that accounting professionals and financial professionals, they love their spreadsheets. They've been around for decades and there's no way they can stop using them. So I like that, that you guys decided to have more like an add-on as opposed to trying to, you know, replace the tool. That makes sense. Now, is there any— when people find out about GACon, I'd be curious to hear from you, Sonia, because I would assume you're kind of a little bit more on that side. Is there any particular pushback or resistance that people you know, show when they're trying to like adopt the tool and get into it?
Um, I wouldn't say resistance so much as, um, you know, bumps in the road, if you will. So initially looking at the tool, um, showing people the product, demoing the different features and things that you can use it for. There is such a variety of things that you can do with the pulling of data out of QBO or Xero. pushing data back into QBO or Xero and having that all done on a consistent automated basis, you can really in theory build so much off of that. And so it can be very intimidating initially kind of learning the ropes of how to do all of that and not only, you know, understanding the functionality of it all, but then applying it to your specific or the client-specific use case. So I think the initial pushback, if you will, would just be that in like very, very beginning period of time where they're learning how to use GACon, and how to even more specifically use it for their particular accounting and business needs. Because there is so much functionality to the product. Like I said, initially, it might seem a little overwhelming, it might seem a little intimidating, like there's a lot going But in reality, I find once people start using the tool with their specific QBO or Xero accounting data, I think it's a big reason why we offer that 14-day free trial initially. Once they start using it with their data, see their reports with familiar numbers coming through, they start to understand, oh, this— I could use it for this client, or I could generate dashboards. for this use case, or, you know, have the team update things through Google Sheets and then push that back into QBO, things of that sort. I think on face value, surface level, it seems like a lot. It seems a little tedious, but it's, it's not that scary.
Awesome. Got it. Love it. So it looks like there's just so much that they can sometimes don't have a clarity on what specifically to use it for initially. And I would assume is that's Is that usually the norm, or have you found that some firms actually come to you super crystal clear on exactly what they want?
So it kind of depends on where or how they may have heard of us. I know there are a lot of people, you know, on YouTube like yourself where you kind of demonstrate a product. A lot of people will demonstrate how they use GACon, and, you know, potential clients will watch that and say, hey, I need that exact use case, or I need to, I need a tool that does that exact thing for me. And that's when they'll kind of come on, schedule a demo or a call with myself and ask, I saw this, I want to know how to do it. You know, exactly, for example, pull a profit and loss report per organization, automate it on a daily basis and send it out to somebody. That's exactly what I want to know how to do. Those cases are obviously, you know, the best We're always happy to hear that people have heard of us and seen us in use before. But there are very many cases where people will come and say, I know exactly what I want out of this tool, just show me how. And obviously we're happy to do so. But yeah, there are a lot of times that people just come generally and they say, give, give me all of it, you know, give me all your info, give me all the education, and then let me, let me go on my way and play around with it and see what I can do.
Awesome. Perfect. Love it. Well, I was taking a look at GACon on the Google Sheets App Store, and, you know, it has like many reviews, like 4.8 out of 5, and it's rare because many of the add-ons there usually are not greatly developed. And I think that speaks about, you know, Andrei's technical ability. I'd be curious to hear like what's been the feedback after the fact, and is there any specific maybe stories of specific clients you're very proud of? that you could share with us?
It's to me, question?
Yeah, go for it.
Yeah, okay. Uh, you know what, uh, mostly probably what we're really proud, and that's what actually for real surprising, that, uh, first of all, uh, for the year I think we suggested that tool for free because we were not sure if it will be, uh, we just tried to monetize that, but honestly we just didn't know that, can we sell it or not? Can we not sell it? How we will deal with customers? Because it was, uh, didn't look actually really kind of the tool which we can sell. And then we figure out then eventually, because we have an infrastructure, we're running on AWS, obviously we, we had to monetize it because how long you can pay for that, right? And we kind of set up and the first surprise was the people actually coming pay And they started to pay right away. And that was actually the first surprise. And the second surprise that there is a lot of guys who is doing business around us and who is actually the kind of, they're providing services. So we are not providing service ourselves. So like, for example, if you need to create cash flow, we probably will. We don't have enough resources to build for your cash flow, but we have partners, the guys who knows very well Jacob. Probably better than us developers because they're using each day. We're developing, they're using it. So it's a big difference. So sometimes they're surprising us because they say like, oh no, no, you can press that button. And like, oh, that's kind of new feature for us anyway. You know, it's kind of strange. But, and those guys actually, they are very, very good and they are doing a lot of kind of like, um, They have a lot of success, good customers who is from one perspective they're using us and then they're dealing with them directly because they have a better domain knowledge or business knowledge. Let's say that way. And that was actually the second surprise which we kind of like didn't account because obviously from the day one we can start it. We thought like, oh, there is a partner program, but okay, what is partner program, right? It's just words. And we figure out for us partner programs is the people who is doing business based on Jira. Practically.
Yeah.
And obviously we have support for them. We are, uh, we have, uh, if they, we have issues, they're coming to us. They're kind of, uh, also we distribute through them new features. If we are pushing new features, we're pushing them and then we're pushing to everybody. So it's kind of like beneficial for everybody. So they know about new features, uh, just in advance compared with all other guys.
So, got it. So it looks like that product development and support is something they really appreciate.
Yeah. Yes. Yeah. Because they have exclusive support from us, practically.
Got it. Makes sense. Makes sense. How about you, Sonny? I'm curious to hear, like, what's typical feedback you hear? What do you think, based on what customers have told you, what is it that they really love about the tool? What's like the favorite thing for them?
I would say the automation of it all is a big, big, big one. There are a lot of clients that will come to us and they're just manually exporting data, sharing it with their team. Any modifications them and their team may be making is all being done manually. It's all being done on a case-by-case, report-by-report basis. And so not only being able to automate the reports out of QBO and the sharing of them. But there's just small features that I found people really, really appreciate. Just for example, our workflows, the entire automation tool within GAcon. It's not only automation that we provide in the workflow, it's also a sharing aspect where you can share the updated data, whether it be through the Google Sheet or through an Excel file. or CSV or PDF files. So the versatility in the sharing of it, in addition to kind of like Andre was talking about where, you know, sky's almost the limit with what you may need because you can build anything you want or need really off of those automated data reports. And in turn, anything you build off of anything, something automated is also going to be automated. So the easiness of putting together a dashboard having it consistently refreshed and consistently shared with those that you, you know, need to be sharing that data with without you having to open your computer or even Google Sheets or QBO. Really, I know a lot of people have come and said, you know, you've saved us hours. Thank you so much. You know, really appreciate that. So yeah, I think that's what people appreciate the most, or at least that's the feedback that I've gotten the most is the function itself and then the versatility of it.
Perfect.
Perfect.
Well, I'm excited to take a look. I kind of dabbled with it a little bit, but I wanted to come in a little fresh too to ask questions and dig into the demo. So if you wanna share your screen and we'll be more than happy to take a look at the app.
Sure thing. All right. Let me know when you're seeing my screen. Okay.
I am.
Awesome. Okay, so to get into it, when you first download the extension, you'll find it right over here, GACon for QuickBooks or GACon for Xero, depending on the accounting software that you use. First step is to sign in, get that data connected to your QBO or Xero, and then you have this entire menu of tools and features to be choosing from. So the main areas that I want to run through with you here now are the Get Accounting Data/Reports sections. So you'll notice there's 4 different sections here. We have Get Accounting Data up at the top. This is almost like a raw data pull, raw accounting data pull right out of your accounting software into Google Sheets. And then you can, you know, manipulate that data, update it, modify it, push it back into QBO. That is the 2-way sync, is a most liked feature in addition to our accounting reports being over here. So we've got formatted reports, custom accounting reports, and consolidated reports. Consolidated reports being in the case where you have multiple QBO or Xero organizations connected and you'd like to run, let's, you know, for say a balance sheet or a cash flow statement across all of those organizations and have it be all bunched into one consolidated report.
Yeah.
The main 2 areas though that I do want to kind of show you in real time here are the formatted reports.
Okay, I'm curious to ask you.
Sure.
You mentioned like, you know, you download the extension, you installed it. I noticed that there was like one line per different application. Is that like a different setup process depending if it's QuickBooks or Xero or other tool?
So the setup process actually isn't different per se much at all. It's really just there is a different extension per accounting accounting software. So GACon for QBO, GACon for Xero are almost, almost identical, I will say, with a few exceptions, mainly surrounding how the accounting softwares themselves are set up.
Right.
So as you probably already know, you know, QBO will name certain fields or items one thing while Xero might reference them as another. And it's those slight differences that you'll see, but in the initial connection, signing in and running the reports, that's all consistent.
Got it. And just for the audience, that's all included in the pricing, so it's not like they have to pay separately per app. It's kind of all included in their GACon package.
So the GACon package is per software. So you would have a subscription package and license per software that you are using GAcon with. And, you know, those packages can vary depending on the amount of organizations and users you plan to have both using GAcon and then the organizations you plan to have connected out of QBO or Xero with GAcon. But I do think that is in a way a big strength of ours. You're getting the same capability across all of our different packages. The main differentiator, like I said, is the amount of users you plan to have using it and the organizations connected. So we're never kind of shorting you on reports or functionality there. It's just all about, you know, the accessibility of it all, really.
Got it. Makes sense.
Yeah.
Yeah. So, and hopping into the formatted reports here, and again, this is something you'll see for both QuickBooks and Xero. We do try to keep it consistent between the two. So you're going to have this formatted report section in Both GACon extensions there. These reports we made because there was actually a big customer base ask for reports that are nicely formatted, good for presenting, good for sharing with clients, making the data easy to digest, easy to understand, nicely laid out. So just for example here, I'll go ahead and pull a statement of cash flows. You'll get this report parameters met here when you first select the report. It is going to vary slightly depending on the report that you choose, obviously, but these are going to help you kind of hone down the data exactly to your liking to see exactly what you're looking for. You're always going to have that date range at the top there available to you. You can choose between dynamic or clicking this icon, you can use a static date range in addition to clicking this icon over here, using a cell reference as your date range. So you do have a lot of variety in what you could pick there. This cell reference I do see widely used. Especially when people are running multiple reports. You'd like them to all follow that same consistent date range. You could have them all reference a few set of cells, and then if you ever want to change that date range around but maintain consistency, in the case maybe you're making a dashboard or you have a custom workbook for a client and you'd like everything to remain consistent, you just need to change those few cells rather than go into each and every report and, and modify it. So universal function, I always like to cover that date range because you're going to see it across all the accounting reports you set up. The rest of the parameters here by default are going to have everything selected, but this is where you can go and like I said, kind of hone down the data to exactly what you want. Universal function, again, hitting this empty checkmark box, it deselects everything. You can go through, select the particular items that you would like in your report or not in your report. For demo's sake here, I'm going to keep everything selected, but this is the typical setup you'll get in terms of parameters once you choose the report. Once that's all said and done, moving on to our pull settings. These are mainly formatting-based report settings, rather. Things like create a new sheet, hide gridlines, negatives in red. Again, up to the user and ultimately how they'd like the report to look and feel once it is run. I do always like to give the reports a name here and then move on to the report style settings. So this is unique to the formatted reports. Again, this was a big ask, so we implemented it. So from the title all the way down to the section row, you can play around with the text color, background color, font, and so on. A lot of clients will use this to either reflect their organization's color scheme and aesthetic or a client's color scheme and aesthetic in the case that they might be preparing something for an external client. If you are feeling, you know, a little silly goofy that day, we do have this AI color generator feeling lucky right over here. So you click that, it will put together a color scheme for you, um, all, all on AI. At the bottom, we have our multi-currency converter that's always available to you as well, um, if you are working with various currencies. I will keep it at USD for demo's sake here, um, but that is always available in GACon accounting reports as well. So hitting execute, we're going to go ahead and get our statement of cash flows here.
I like how many options you've given the user to kind of customize the report to kind of their own liking.
So yeah, and even in just that one report, you can already see though how there's so many, you know, open ends to make it exactly what you want that it initially kind of seems like a lot, you know. But it is once you kind of dive in there and get your hands on it, if you will, that you get a feel of this is exactly what I want. This is what I need to edit. Um, but yeah, so here you have your formatted report, nice and pretty. We got, you know, typical to what you would expect within an organized accounting report— line items being indented, totals in bold, negatives in red, so on and so forth. We do have those deep links in there, so if you are wondering exactly where this data or this particular value came from, you can always give it a click. It'll take you exactly to that spot or that source data in QBO or Xero. So yeah, those are our formatted reports. I do also want to touch on our custom accounting reports. If you notice, we had a few different formatted reports available, and in the case that, you know, you're looking for something a little bit more comprehensive, you're looking for something with a little bit greater level of detail, the custom accounting reports is where you're going to want to go. In a second here, you'll see Once I enter this dropdown menu, much, much longer list of reports to be choosing from, various levels of detail and categorization. So we really do try to give you everything and anything that you might need to create what exactly you want or need to present to your client base or need for your accounting processes. In this case here, we'll go for just a detailed transactions report, very widely used report. Very comprehensive reports. So you can see in the parameters already we have more things to be selecting from here, greater levels of detail as to what you'd like included or not included. Like I said, by default everything here is selected. It is up to the user to kind of decide, I'm going to be using this report for this particular reason and thereby need to go through, select particular items to be included or not included. Or have, you know, AP paid, AR paid, and so on selected to particular items. Once everything is selected in your parameters and your pull settings, you're seeing a whole lot more pull settings here because these reports are not pre-formatted to an extent in the way that these formatted reports over here are. So you have a lot more of the format settings to play with, things like show only data rows, only report summaries, You see that deep links option. It is by default always selected, but it's up to you to turn it on or off. As always, I'm going to go ahead and give my template a name. And then we've got that multi-currency converter at the bottom here. So that's always going to be available to you. You'll notice the schedule a refresh saying obsolete over here. That is because we have our new automation tool work Flows available in its place. So instead of using this guy over here, we will use our workflow automation tool. Last thing I want to note here is you can place the reports. A lot of people will use these custom accounting reports like we had mentioned previously as a raw data or total data tab, feed it into a query, set up VLOOKUPs, even connect to Google Data Studio, Power BI. The possibilities are almost endless there with how you'd like to manipulate the data. But we've seen clients do some really, really amazing things with the data out of these reports, whether it be just in Google Sheets, or connecting to a, you know, BI or visualization software, and creating something spectacular out of that. The entire base of it does come down, though, to GACon pulling that data. And then in a second, I'll show you how to automate it. And like I said, in turn, anything that's built on that automated data will also be automated. So here we've got our detailed transactions report. We've got those deep links. It's giving us every bit of detail and info we could want within the report. And yeah, just overall, you know, very comprehensive report. I am working with dummy data here, so it may not look as—
Right.
you know, filled out as, as some other QBO data might, but, uh, just for, you know, examples and visualizations purposes here.
Curious question. Yeah, I know it's a 2-way sync, so you're supposed to be able to push data into QuickBooks as well, as far as I understand.
Yeah, yeah, absolutely. So the 2-way sync utilizes, and I think I touched on this briefly at the beginning here, this Get Accounting Data section of things. So Get Accounting Data, like I said, we'll click into it here, is an accounting object pull. So you're pulling an accounting object with all its related attribute fields to your liking here. So as I just scroll through, you'll see accounts, bills, budgets. I know this is used often with things like invoices or journal entries, for example. So these options here, whichever you pick, once you pull them, you do have that ability to utilize our 2-way sync and push modifications, updates, additions back into QBO. In our case here, we have invoices. You'll see these are all of the related attribute fields as they exist in QuickBooks. You can expand these fields, you can collapse these fields, you can even play around with the column order once you select them. Here you go. You can even play around with the column order. So if you want particular items of information, you know, more towards the beginning of your report or the end of your report, you could absolutely do that to your liking. I'm going to select all fields right here just for demo's sake. As always, we've got that date range at the top where you can select between that dynamic or static. Same with the cell reference, always available to you. Like I said, universal across GA Con. Once you've got your object and then fields selected, moving on to our pull settings. Again, formatting-based settings, so typical to what you— what we've seen before. I'm going to keep things as is. We'll give this a name, invoice Demo. And then at the bottom here, unique to the Get Accounting Data section, actually, you can go ahead and filter by those related attribute fields, order, or order by those related attribute fields, or both. Completely up to you. Again, we do try to give you all the tools to really hone all this data down to exactly what you might be looking for or need in your specific use Quick question there.
Am I able to select, for example, multiple criteria when I'm filtering the fields? Like if I want, say, multiple conditions to be met?
Sure, sure. Yeah, absolutely. And pardon me for hitting execute too early.
Don't worry.
Yeah, no, you absolutely can. And I mean, it's a good thing because it just here goes to show you can always go ahead and edit the template that you have just run. So if you— in this case, we ran invoices. We want to go ahead and edit that template. Hitting Edit Templates for Current Sheet brings up our side window over here. And then here's where I can hop in, hit this little pencil icon, and it's going to take me right back to that same window we were in. And I can go ahead and deselect fields, select new pull settings, go to the fields to filter by. You know, for example, balance does not equal 0, just for example. Add that filter. Here we go. We've got one added filter. We could go ahead and add another and another and another. Completely up to you and what exactly you are looking for in your data.
Perfect.
Yeah. So I am actually gonna just go ahead real quick and find an invoice for us. So I pulled all the invoice data, but you can see here's that invoice ID. And if I click on this, it's gonna take us exactly to that invoice in QuickBooks. It might have me log in here. Pardon that. You guys know how QuickBooks goes. Yeah, having you log in every, every 10 minutes or so. All right. Good thing we got our touch ID.
While you get there, I'm curious to hear, like, the workflows feature you mentioned. Is that like a new thing that's already launched? And what does that look like?
Yeah, yeah, absolutely. So the workflows feature is our automation feature, and like I mentioned previously, it's not just automation that it offers you. So going to automation and create workflow, we are going to start to build our workflow, and I'll walk through all the different options that you have available there. So hitting that, we have our window that's going to pop up here, and then we can go ahead and call this Isaac's workflow. Give it a name, description, and then status, active or not active. Maybe you're still setting it up. You wouldn't like it to, you know, fully start executing yet. That's where you would choose that. Our operations log by default is turned on. I do always recommend to keep this on. I think it's a best practice, but it's completely up to you. Just to show you what that looks like, it is literally an operations log of Date and time when your workflow began to run, which reports particularly were updated when that happened, and when that workflow came to a successful end. So nice audit of sorts, great for, you know, when you're sharing with clients or team members, they can always go check it out. I always like to keep that on. At the bottom of this first page, we have our scheduler. So you can schedule your workflow to run and the reports within it to update to the latest and greatest out of QBO or Xero. Every 3 hours all the way over to a monthly basis and pretty much anywhere in between, dependent on, you know, how often you need this data refreshed and how often you're working with it. In our case here, well, let's say every day around 6:00 AM, a little bit before our workday, and then go on to page 2. So this is where every report or template that you have put together and executed within the workbook is going to show up on this left-hand side over here. This is why I like to name my templates. Makes things a little easier to find. But yeah, as you can see, I've got all sorts of different items here. Let's go ahead and say we'd like to pull that detailed transactions. You could drag and drop like I just did, or if we want that statement of cash flows, just for example again, and that invoice template. Pulling invoices out of QuickBooks, you just select the particular ones you'd like and pull them on over to the right-hand side. Main concept being the ones you want included in this 6 AM daily updating workflow are on the right-hand side. Once that's said and done, moving on to page 3, this is where our sharing option kind of comes in. So anybody that you specify in this To field up here, this could be yourself, it could be internal colleagues, it could be an external client. Completely up to you. And you can put multiple addresses, email addresses up here. When the workflow runs and the data is updated, it will send out an email to anybody specified in this to field with the subject and message of your liking. And then also give you the option to share that updated data, not only as a spreadsheet link to your live Google Sheet, but also as a static Excel file, CSV file, or 2 different formats of PDF here. So really dependent on your use, your client's use, maybe you have people that prefer Excel. Maybe you prefer Excel, you're better with pivot tables in Excel. Whatever the case may be, um, the option is available to you and you can share the data, use the data in a variety of ways.
Love it.
Yeah, all that being said and done, uh, you can also create alert rules. So let's find our statement of cash flows just for example here. Uh, these are conditional rules that you can set up, particularly handy when you want to keep your eye on a specific set or value of data as it updates throughout time. In our case here, let's say we'd like to look at net income for May 2023 in the statement of cash flows. I'm going to select the cell or range of cells that I'd like to kind of keep an eye on, and I don't even need to type anything in. Just hitting this icon right here, it recognizes statement of cash flows sheet B7 is exactly where I'd like it to pay attention to. And then I'm going to go ahead and set up that rule or alert. So I'm telling it the data here is a number, and if that number just again, for example, goes anywhere over that 233,000 value, I would like to be alerted of it. So hitting next, we've got that condition set by default. Your own email or the user's email is going to be included here, but the same logic applies. You can share with whoever else you would like by putting their address in here, and then you give your alert a little message if this condition is met. So if 6 AM of tomorrow morning rolls around, that net income value for May of 2023, for whatever reason, has increased. We'll say, you know, May 2023 net income has gone over.
Go look.
Something like that. Creating the alert rule.
Higher.
Yes. Yeah. Alert. Yep. So if 6 AM comes around, my condition is met. I am going to receive an email along with this alert message. So yeah, particularly, particularly handy. I know a lot of people like this feature as well, and you can set up to 20 of these per workflow. They do not have to be in the same report. You can absolutely disperse them across different sets of data. Completely up to you there. So yeah, another very versatile little feature. Webhooks. I'll— I'm actually not going to get into webhooks in too much detail here today. But these are a little bit more of a technically advanced feature. Basically, you know, pulling data from different URLs or web pages. If you're familiar with them, you, you might use these in a variety of ways. Again, this is one of those really versatile features. They are not pertinent to your workflow, though. So if you're not familiar with them, don't feel pressured as though you need to get familiar with them. They're really just there to help you if that's an item or feature that you can use. Hitting skip on that for right now. Last but not least, we have our backups. I know that QuickBooks and Xero do backups of accounting reports. However, they do start to self-delete after a given amount of time. Our backups don't do that. So if you turn this guy on, what's going to happen is every time the workflow runs, the data is updated, it is going to create a copy of that data with all those reports, and store a static copy of it in your Google Drive. So it's a great way to get a historical look at your data as it is updated throughout time. I know a lot of people have used that data to build something of like cash flow models, forecasting models, things of that sort. Like I said, people get really creative with how they use the data and the features that we provide there. But yeah, it's— and it's all stored in your Google Drive, so it's nothing—
Awesome.
You know, you don't need to exit your Drive or exit Sheets or go to QBO or anything. It's all done here. Hitting Create, our workflow is up and running. So as of 6 AM tomorrow morning and every single day after that, our workflow is going to run, our reports are going to update to the latest out of QBO, it'll share with anybody I've specified, send alerts on any values I've specified, and create a backup if I choose to.
Perfect.
I love it.
I mean, this is music to my ears. I thought you were gonna go deep into the webhooks part because that's something we deal with a lot internally as we work with clients if we want to connect them elsewhere. Andrey, you want to add something?
Yeah, as concerning webhooks, it's actually the ability of post-processing. So if you, for example, yes, we are providing workflow, but obviously we cannot give you all ability, like for example, massage that or manipulate that. And, uh, Google Spreadsheets, they have Apps Script, which is allowed to go to Google's, uh, just read the data and do whatever you want with that. So practically what you can do, you can actually create Apps Script, deploy it as a web app, and using those webhooks, uh, execute your Apps Script code after our web, uh, workflow done. So which is giving you unlimited a practically unlimited, uh, possibility what you can do with data. Like, you can take that data, move it to the different system, you can actually put it to the database, so whatever you want. Uh, yeah, I know that it's very, very scientific. It's pretty scientific, but we have a lot of customers who's very, very scientific, really. So it's right now specifically for those people because of course we cannot develop everything. So that's why we kind of like, it's kind of like we open possibility to the people who cannot find, what is it, what we cannot find any other way to do that. So.
Yeah, interesting. So it looks like I would assume most people are that are using that are either sending that to another Google Apps Script where they are, you know, coding whatever other manipulation they want, or potentially like a local tool to send that data elsewhere, maybe a Slack message or whatever it might be.
Yeah, or big data, for example. They can actually move it to big data, and if they're building some kind of data warehouse, something like that.
Got it, got it. Makes sense. Well, I love it. Anything else you guys want to share about the app?
I think that's it for right now. I do want to— if you wanted to finish The, that 2-way sync demo, I could go ahead and do that for you.
Yeah.
Just to show you how it works, because we did pull those invoices, but now to edit them and re-upload back to QuickBooks. So we've got that invoice ID 105417, and then let's go ahead and find our Description. Here we go. You can see I use the descriptions often as a visualization there. So previously we had Tyler Demonstration in there. Here we'll say Isaac YouTube Demo. So we've now updated this invoice and this is just a one-off case basis. You know, this could be a journal entry. Like I said, this could be a bill, this could be an expense. Whatever the object may be, we've modified it in Google Sheets to push this update back into QuickBooks Online or Xero, whichever it may be that you are using. Because we've pulled it, we can now upload it. So upload accounting data, that's our 2-way sync there. And you'll see there are a few different features to use here to push that data back in. So it's not just one-off cases that you can push back in. Going to the row selection mode, you can see that you can select all rows, new rows, or specify a data range or row numbers. So bulk modifications of items out of Google Sheets into your accounting software are absolutely possible with GAConn in the case that you are making those bulk modifications or updates, making sure that your QuickBooks object aligns. So we pulled invoices. Now we would like to push invoices. You are going to get a respective set of operations. In the case of invoices, obviously these are something that— these are voidable items. So you do see that void is available to you, delete is available to you, even send via email is available there. In our case, we're just updating an existing record. So that's what we will hit is update. And then the currently selected rows option is quite nice just because you don't need to select the entire row. You just need to select a cell within that row. GAConn will recognize it's the data of the row that you are referencing. Last thing is making sure that first table header cell aligns so that we will get our results accordingly in column EX. All that being said and done, we have everything set up. I'm going to go ahead and hit execute and save.
Do you see people Adjusting, for example, things like journal entries here and like changing the amounts? And how does GACom make sure that, for example, if there's an error and things don't balance, that data doesn't get pushed?
So it is exactly kind of what you said. It is going to give you an error, and you'll see that over here. So that's the point of the results area that we have over here. So you see that invoice ID, that we updated. In this case, it wasn't too crazy of an update, nothing too technical. However, in the case— and I've even experienced this happening when I've forgotten to adjust the other line items where it doesn't balance out— it will give you a detailed error message right over here saying, you know, journal entry line items don't— do not balance out, or this debit is not equal to credit or something of the sort, or even if you're missing an attribute field, if you're missing an item that is necessary for QuickBooks to tie the information together properly within your organization's data, it is going to let you know. It is not going to push through that data and give you some skewed results. It's going to ask you to clear that up or clarify it. But in this case, we have a success. So we've successfully updated an existing record. Created false, which is what we want to see. We did not create anything brand new here. And then if we click on this ID, invoice ID, and let that load up for us, if QuickBooks wants to be nice with me today, we will see that update in that invoice. It'll say Isaac YouTube Demo, just as we changed it to be. In a, in a couple minutes here. So it's a really quick and easy process once you have everything down. Once you know which fields need to be populated, and, and like I said, there is the matter of making sure your data is accurate. As with any accounting process, you know, you, you gotta make sure things even out. You gotta make sure the checks and balances work and align.
Yeah. Another quick question on the shareability, I guess. How do you see people typically sharing these things with clients? Do they just share the file directly and they let it auto-update, or is it more common for them to like send them a PDF within what we saw like within the workflows feature?
Sure.
So it's honestly, it depends. There is a handful of clients of ours, or users of ours rather, that have clients of their own that just simply prefer Excel and, you know, prefer Excel spreadsheets, which is completely fair. And in that case, they'll use the workflow option. They'll use that share feature and just send it out on an automated basis as an Excel file. Their clients are happy and able to, you know, see the updated data in the format of their liking. They can play around with it in Excel if they'd like. And, you know, Bob's your uncle from there. But I do see a lot of other people, they will, and unfortunately QuickBooks is—
Don't worry, I'll trust, I'll trust the edit was made. I will trust that it was made. So we appreciate you for sharing that.
Absolutely.
And quick question for you guys, last question. Is there anything in the roadmap that we should be excited about? Is there anything that you guys are intending to build that you believe is incredible?
We just introduced consolidation. We had consolidation report for a while, but we added ability to eliminate some accounts and eliminations. We just recently added that for Xero and for QuickBooks it's coming. We just, as usual, we kind of like roll. So for Xero, it's already available. It's in the kind of we're testing and shortly we will introduce it for QuickBooks.
Awesome. Perfect. I also know, I don't know if it's on the roadmap, but I've heard that maybe the Excel integration is coming, meaning Using G-Account within Excel?
We are working at that. Let's say that we kind of— we don't want actually to come up with new integration because honestly there are a lot of applications which is doing integration with Excel, which is probably better than us. But we have ability to create the shared templates. I don't know if you're you know, uh, the all— each query or each report which you created behind the scenes, we're creating templates, and those templates can be uploaded to the cloud. So you can share those templates with other, uh, your team members. So it means actually, like, for example, you have team, you're creating one template, and you can make sure that all your team members using the same templates.
Got it.
Which is make you like actually And what we're gonna do, yes, we're going to introduce, uh, Excel where we will be able to reuse those templates and kind of to do transparency between the Google Sheets and the Excel. So it means actually people from the Google Sheets, they will be able to, with the same condition, jump to Excel and back and get the same data. So that's kind of like we try. Yes. And when, if we will do that, actually that's what will be, we Probably that will be the main feature, so they will not see difference between Google Sheets or Excel.
Interesting, makes sense. I see that Sonia is showing us a little bit of what that looks like.
Yep, I was trying to follow along, but as you can see, I just went over here to edit templates, clicked on the little cloud icon, created that cloud template, And then navigated to Load Cloud Template, Workspace Cloud Template Library. That's where you have that sharing ability between yourself and your team and the templates that you have created, where you can specify an email or go ahead and share with everybody within your subscription package. Hit Share and it will be available to not only yourself but to everybody else included in that subscription package. Yeah, so that is exactly what Andre was talking about. And as you will see, our invoice did upload correctly.
Yay, Isaac! There's my name.
Yep, Isaac YouTube demo. Exactly. QuickBooks decided to play nice now.
Perfect.
Awesome.
Well, I appreciate you guys coming on. I definitely see why many people would love this tool. Definitely a quite powerful and customizable, much more customizable than I would— that I was expecting, to be honest. So definitely appreciate the demo. I think the audience will appreciate it as well. And yeah, thank you so much.
Awesome. Thank you so much, Isaac, for having us on.
Awesome.
Thanks a lot.
Awesome. All right.
