Managing Renewals in AgencyZoom

Hunter Nelson (speaker) explains how to manage insurance renewals in the AgencyZoom platform, walking through the practical step-by-step workflow (renewal call → quoting → underwriting → presenting → binding → completing) and emphasizing documentation, due dates, and handoffs among team members (agents, CSRs, VAs, assigned producers). The guidance focuses on commercial renewals with examples of difficult leads and when to reshop vs renew with the current carrier.

All right, here's gonna be handling a renewal in agency zoom. So as we get through this process, gonna be a lot of people who are getting involved with this thing. Like right now it's Morgan, me, may, the Reese, Becky. I mean you guys kind of all got it here, but like just walking through this deal here, this is just the commercial side over to the personal side. You're quick too. You get to have the renewal call that is typically going to be the agent. If it's a large enough account, if it's a house account or something smaller, like under 2500 revenue, maybe 2000 revenue, you're gonna have the assigned CSR handling this deal. So in this case, like Morgan or Becky run through the upcoming renewal. You're just going to put it in here had a renewal call. This is going to trigger a response for the VA to go quota here. Mayor Larisse, once you're done with quota here, you're going to move it to quote I'm sorry quoted direct carriers. The assigned person, the agent or the CSR is going to look at this saying hey, do I need to put this in a brokerage? If so put it prepared for brokerage. Start getting those loss runs, those if does, whatever the heck is needed. Get that thing rolling, send it in underwriting. Once an underwriting, push it into. When you hear back, once you got quotes done, you're ready to present this to them. Put in ready present. If they're liking it and you're binding it right now, start throwing out a completing binding process. And once you're done tossing complete so very first just get started off here. You're going to have your main section. You're going to label this thing very basically how or what is going on with this renewal here. So we just got some of them. You got non renewal, you got paper mile quote reshop renewal renewal is mainly the thing if it's like you know, just kind of classify so you know what's going on. So like I think a reshop would be good for hey this renewals horrendous. We're reshop this thing everywhere. Maybe just like a renewals like hey I'm just renewing the single sand carrier. Just kind of clarify it so everybody's on the same page of what the heck is going on because it just says renewing with current carrier. It may sees this knowledge. He's not going to go quoted everywhere else because there's no point to like I had a daycare that got squeezed into Northfield and basically nobody else Take besides Kinsale. And I'm not going to Kinsale, so I'm not re shopping right now because they still got this atrocious claim on there, you know. So there's that deal. Make sure you're keeping track all the files. Keep track of the lost ones. You're getting the updated applications, all this stuff because you got VA's working on it. I'll check in. Becky will check in. Morgan. We're all going to have multiple people kind of maybe take a look at this if something's needed. But it's very important that we have all of our files in this thing. Keep track of all the quotes where we're currently at with this stuff. Policies. You go see the basic information here real quick. Main make sure you got the due date in here. Make sure you got the assigned producer, which is a producer or csr. You get the category right. These guys are directly through a commercial carrier. If there's surplus like it's an excess and surplus lines market then you throw it there, you know. But this is the commercial renewal space. So do that. You don't really need to worry about related policies. You can throw somebody else on there. If you're training, you're kind looking at it. Due date's very important. The description you want to want to keep a lot of tabs on this thing. Hey, where are we shopping this thing? Where's it been going? Prime example of this is going to be trash out crew. You look at trash out crew here, just a quick, very brief description of what they're doing here. And now this is a really tough lead. So if we got a really tough lead and we're shopping everybody possible go in here and start documenting the carries you've tried and where you're at with them. So I know this has been updated here. Prime. We need to send pictures of Vince. So I already sent in there stuff. But like you just got to know exactly where we're at. Underwritings, it's in underwriting. You have heard back. I can go in here and check the due date. Boom. I know I get 16 days to work on this thing or Morgan does before this thing's gone. You can go in here, make all your calls, add your notes, all your type of little stuff in here, see what's all going on. But this thing is just very important to keep checking this thing, having lots of detail, knowing exactly where things at. Because you're going to get multiple looking at this thing and noting any changes that's happened with the carrier. Any. All the applications we put in there, if it's tough and you like Jerus Harvesting and trash out crew are gonna be shopped with a million companies. They're very tough to insure. And so we're gonna be checking all of our bases, making sure they're sitting good. So, you know, we got to be doing that type of stuff. But, yeah, that's basically kind of how you run through the renewal. Once you kind of get down with that stuff, your documentation, the AMS keep calling your. Keep cooling all that stuff, make sure the old policies getting canceled, you're removing them. But yeah, that's kind of the deal there.
