How to Organize Your ChatGPT with Projects Like a Pro Final Video

This is a YouTube video titled "How to Organize Your ChatGPT with Projects Like a Pro Final Video" created in July 2025. The content is a tutorial-style presentation by a single speaker explaining how to use the projects feature in ChatGPT to organize chats, manage files, and customize instructions for different use cases such as marketing, health coaching, and meal planning. The speaker provides detailed examples of how to set up and utilize projects effectively to streamline workflows.
Hey there. In this video, I'm going to show you how to use the projects feature in ChatGPT to be able to organize your chats and not have to give it as much information all the time. So first things first, who has access to projects? If you have the Plus Pro or team version, that means you're paying anywhere from $20 a month to $200 a month, you're going to have access to projects. If you're on the free version, you might not have access to it yet, but supposedly you will have access to it in the future. Now you'll find projects over here and it'll say projects and then a plus sign. If we want to add a new project, we click that plus sign right here. But first, before we do that, let's talk about what a project is and how it's going to help you. A project is basically a folder where you keep all the similar stuff. So I have my marketing command Center, My Health Coach 1, Meals and Recipes, My project management folder or project, and my speed coach. I have a few other offers here as well. So let's just take a few look at. Look at a few of these. So here's my marketing command center. So anything that has to do with my marketing, I'm going to have in here. Here I have my CMO strategy and insights. This was a chat that I was talking about what strategy I wanted to do, and I basically said, I want you to act like my chief marketing officer. And so not only did it have the information I gave it, but then it also had this information here, the project files. So these project files are the files that I want it to reference. And anytime I'm doing a chat in this project. So for example, here we have anytime somebody joins one of our programs, we have them fill an intake form and it gives us insight on why people like working with us. We also have here's who our audience is, our brand voice, our offers about me, and then the workshops and other traffic events that we have since this is, you know, part of our marketing plan. And then you also have this custom instruction piece. So this custom instruction piece helps it understand who it's supposed to be or how it's supposed to act. And anytime there's a chat in this project. So in this project, it knows, okay, this is the marketing command center for any of my brands. It's trained on my audience offers brand and voice. And my job is to suggest strategy updates, rewrites, all of that. So it goes over what the goal is, what the job of this particular project is what its role is and primary objectives. It just helps it kind of understand that whole thing. And so then anytime I want to do something that has to do with marketing, I come here and. And instead of creating a new chat, I'm going to just go to my marketing command center and start a chat in here. Now you may be thinking, oh, crap, I already have done so much of this in other chats that really sinks, so I have to start over. You don't. So what you'll do is go to any of the chats that you have. So let's say this one weekly email guide. Let's say that one needs to go to my marketing command center. I can click the three dots next to it that says options, and then I can click add to project, and then I can add it to whatever project I want. And now you'll see. Okay, now it's in here. And so now if I click back into it, it's going to work through the project files. It's going to use that as a reference, as a knowledge base, and it's going to use the instructions. So anytime it responds to me, it's going to be responding from this. This thought process of, here's what the instructions are, here's what my role is, here's what I need to know. So in this one, for example, this would be like a CMO or chief marketing officer that comes into my company and I give them a folder that says, hey, here's everything that you need to know about the company, about the brand, about our audience. Here's the job description so you know what you're doing. Job description would be like the instructions, and then the project files would be like that folder that gives it all the pertinent information. And then when I put a new chat in the project, that's basically me saying, okay, here's the task that I want your help with now. Now let's take a look at another one. So I also have my health coach one. I can click on that. I only have one folder or file in here right now. But. But in my project files, I have my lab reports that I just got. I had some blood drawn recently. I have my 23andMe summary. I can put instructions that says something like, you know, you're my health coach, you're my nutritionist, whatever I want it to do here. I also have my meals and recipe one. I just started one right here. But I can add files that talk about, you know, here's what, because I have to do I have type 2 diabetes so I have to eat foods that are, you know, low on the glycemic index, high protein, high fiber. So I can add in information about that, about type 2 diabetes, about those kinds of things. And then the instructions I can say, you know, I want you to think like a professionally trained chef who makes recipes really easy and accessible and makes recipes specifically for families that have a mom with type 2 diabetes. Like I can get really, really specific with it. And that is how you're going to use the projects. If there's ever something you want to add in again, you can go down to that chat, click the three dots next to it, click add to project and then whichever one you want it to add to. And then if you want to just start a new chat in here too, like the marketing command center, I can start a new chat and it'll automatically add it in.
