SaaStr Annual 2024: Announcing our Sponsor Hall and Sponsor Activations

In this 40‑minute SaaStr Annual 2024 sponsor briefing, the events team walks current and prospective sponsors through the updated sponsor portal, the tier‑based booth‑selection process, and the layout of the two San Mateo County Event Center hangars (with the AI Summit and Cantina central to foot traffic). The host explains how sponsors are invited to pick booths in waves based on sponsorship level (Diamond → Platinum Plus → Platinum → Super Gold → Gold) and contract‑signature date, the timeline for submitting top‑5 booth choices, and how the final booth assignment is confirmed. The session then shifts to activations, presenting a turnkey menu of food, beverage, and interactive vendor options, while emphasizing that activations are recommended but not mandatory and can be customized. Detailed steps for activation selection, contracting, and on‑site logistics are covered, including space requirements, power/refrigeration needs, insurance, temporary health permits, staff badge registration, and cost structure (pass‑through vendor fees plus venue add‑ons). The presenter also offers guidance on lead‑generation tactics (scanning vs. conversation), swag considerations, and best practices for respecting the crowded AI‑summit‑focused campus. Key deadlines (graphics due August 16) and contact points (events@sastrank.com) are highlighted, and the host teases upcoming reminders on networking and other event programming (AI Summit, CCO Summit, poker night).

We do the latest and greatest information for all sponsors who are participating in this year's SAAS Annual. It's also a great behind-the-scenes look if you're just curious and watching this on the livestream of kind of what our sponsor process looks like and kind of some of the inside information leading up to the show. So thanks everyone for joining. There's a bit we want to go over today, and I know these have been very informative sessions. And we are gonna try and keep this one as much as we can to hopefully a half hour, because I know some of the feedback is that these are very long and there's a lot of information. So we'll just try and hit some of the high-level points. We will have time for questions. So if you want to, you can drop them into either the chat or Q&A. Either place is great. So without further ado, I'm gonna go ahead and kick us off for today. There's 2 big things we wanna go over with you guys today just based on some of our sponsor communications and, and kind of what's going on right now in the run-up to SaaStr Annual. So first and foremost, there were two big things we launched onto our sponsor portal this week. So hopefully first and foremost, as a sponsor, you've been using the sponsor portal and logging into it. This is something that we have been adding to, I would say almost daily at this point leading up to the show. There's a lot of so much like really great information in here. It is a little dense, so sometimes I know it can take some time to go through, but Honestly, I think everything and anything you would need for SaaStr is in here for this year to not only get set up for the show, but also to make it a success. So just know that we are continually updating this and we will continue to all the way up through the event. So without further ado, again, there's two things I want to go over. So the first one being booth selection. I'll try and get this to fit in my screen. It's a big map. So, yeah, so two things we launched this week onto the portal as well as some other things, but two big things we launched. One is the map here that you're seeing for booth selection, which I'll go through, and then activations, which I'll also go through. And then we'll hit some quick reminders and then answer any questions you guys might have. Again, try and keep it concise this week. So for booth selection, this did kick off this week. For those who don't know, we do booth selection and activation selection strictly in order of level and contract signature date. So even though this map is here, many of you are like, I haven't gotten to pick my boots yet, and that is because again, we do go in order of level and contract signature dates. So we go top tier to gold. So the Diamonds go first, then Platinum Plus, then Platinum, then Super Gold, and then Golds. When we do things like the Super Golds and the Golds, we do these more so in waves because there's multiple sponsors who pick at once. So you'll notice when it's your time to choose We will send you an individual email that it is your time to choose your booth. You will give us your top 5 selections for your booth because we do waves of 5. So, um, you give us your top 5 selections. We'll also ask you if there's anyone, you know, you either do or don't want to be neighbors with in particular. Um, and then we go from there to help, um, confirm and solidify your booth. So you'll send us your choices. Um, our standard is 48 hours in order to do that. And then, you know, we'll give you your selection back within the 72-hour timeframe of, you know, we email you, everyone has 48 hours to give us their top 5 choices. And then on the third day, we slot all the booths and give you back your confirmation of what your booth number is and your location on the show floor. So that's a quick rundown of the process, which means, you know, our top tier sponsors do get to pick one at a time. So that means all the Diamonds, Platinum Pluses, and Platinums are beginning to choose now. We've gone out to our Diamonds for their selections. I imagine we'll get to the Platinums by early next week and then we'll kick off the Super Golds and the Golds, I would estimate by mid next week. Now, if you're watching this and you're thinking, I need a better timeframe than that to know when is it going to be my turn to choose? And I would say it's a little bit hard for us to predict. We can kind of tell you like where you're in and in the order of people that are going to be choosing based on your contract signature date. As a reminder, some people do renew literally onsite at SASTRA Annual or right after SASTRA Annual. So these are folks that have had contracts since last year. So if you just signed, you know, you've got all those people that kind of get to choose first. But with that, I will also say we have done a lot of changes that I'll just call out on this booth selection map real quick for folks to know, right? So we have these two giant hangars at the San Mateo County Event Center that we use a lot in parallel. These are like where the main areas are for attendees and sponsors. And so last year we used those hangars. They were a hit. And we did a lot of like different things with them. And so this year we decided, you know, since we're having an AI summit, we've got an AI stage in here, you know, just to help draw some of the focus to it. And we also have all of our sponsor booths in one hangar this year. So we actually had done this based on a mix of feedback from this year and also based on how foot traffic was last year. We spread all the booths out across two hangars. You know, the hangar that is the main hangar, which is this one, the Hangar West, is huge. It's a really big space. I don't know if it's— it's probably football field big if I looked it up, but it's a huge space. So I know like years previous we were outside and so there was a lot of tenting and so it looked like it took up more space. Um, this is actually like, I think it's over 100,000 square feet. So again, it's like stadium size. It's, it's humongous. Um, and so to help with some of the foot traffic for this year, um, we decided to consolidate these sponsors into one of the hangars for this year. Um, it, you know, will hopefully mean that there's a lot of more footfall and traffic into this hangar this year, because I know last year we were spread across two. Again, it's not that we couldn't have fit all the sponsors last year into one hangar because of how big the main one is. It's just when we moved inside, that's how we decided to do it. And I would say for this year, it's super optimized, right? So I kind of harken this one back to how we've done it in previous years, right? This is actually the 10th SAS for Annual too. So we've done a lot of these sponsor floor plans now. And how we've engineered this, I would say, is maybe the most optimized we've ever made it. You know, you've got two main stages. You've got the main stage. The AI stage, the massive Saastr Cantina. So this is gonna be the main hangout area for all attendees throughout their 3 days. And then the sponsors basically ring around these main primary sections. So that's how we've engineered it. You know, I would say if I close an eye and throw a dart at it, there's no bad booth on this floor. Just considering there's so much going on in this hangar. And that is, you know, just one thing to also note, like when you pick your booth, I know there's kind of like a few different schools of thoughts of how people pick their booth. Booths. Sometimes people wanna be further from the stages 'cause it's less noisy. Sometimes people wanna be at the entrances, but you'll notice like, you know, there's an entrance on 3 sides of this. So the north, the east, and the west reg entrances. So it's kind of entrances in 3 areas. And then some people wanna be, you know, as close as they can to the Cantina. So given all that, you know, it's always interesting to see where people pick their booths. But yeah, I would say there is honestly one, yeah, you could close an eye, throw a dart, and there would be no bad booth because there is so much going going on in here. It will feel, you know, probably maybe even a bit more crowded than it has in previous years because of how much there is going on, um, in this Hangar West, you know, which should be a good thing. We've added AI Summit for this year as, um, as well as a lot of like events within the event this year. Um, so yeah, there's a lot going on at SaaStr in honor of our, you know, 10th SaaStr annual. We're kind of blowing it out as a celebration. So lots going on here. Um, So again, so what that means for all of you guys is like, honestly, if you're on this webinar or watching the recording, great. Like it's probably not your turn to pick your booth yet. But it's always good, you know, to look at it cuz I know some people like wanna get like a game plan going of, okay, when it is our turn to choose, what are we kind of gonna go for? You know, some pe— again, some people like to go Cantina, some people like to go Entrance, some people like to go End Caps. There's kind of different food schools of thought here. It's— I've always been wrong when I've tried to predict where I think the booths will be here. So, so lots of great stuff going on in the expo hall. I would say too, I know some of you that are joining here, I see some great names that are sponsors who have just joined us. So I would say too, this is the year where we're getting maybe the, maybe the most last-minute sponsors and attendees for Zaster Annual. Not sure what that means for the world of SaaS in general and the trends, but yeah, interesting to see that mix as well. So yeah, lots going on here, you know, and again, this is booth selection as of today. This may change, right? We may add some more booths because right now this is, this is the prediction of how many booths we'll end up with. But honestly, a lot has changed in the last week. We've had a lot of sponsors join in the last week. So there may be even more booths on this map by the time we get to September and even more activations. So hopefully this is a helpful run through of the booth selection and the process. Again, at any time though, if you're like, okay, I'm feeling antsy about booth selection, I want to make sure I haven't missed where we are in booth selection, feel free to email events@sastrank.com. We can— I will asterisk that we can try and give you a time frame as best we can of when we think you'll be able to choose your booth. Again, sometimes I'm wrong about this because one person takes a really long time and then beyond their 48 hours, and we gotta track them down to pick their booth. So we could try and give you an estimate. Sometimes even that, you know, is pretty much just like a rough estimate of where you are in the, in the selection process. So yes, just know that, you know, we have begun this process. This is a good thing to look at and know, right? It also might help you if you're starting to design your booth before those deadlines next month of, you know, kind of where booths will be and what else is going on. I know sometimes people like to incorporate kind of what else is going on in the expo hall as part of either their design or, you know, to use that to play off of what else is going on in that space to help optimize their traffic. So that was the first thing we wanted to go over. I do want to go over activations because I know we went live with this yesterday as well. And there's been some questions on this because I think this is maybe a little less straightforward. Then the booth selection, right? Like you're gonna give us your choices and pick your booth. It's really just a matter of maybe where you are in booth selection. That is the biggest question there. So I'll spend the rest of the time here on activations. So one thing I will say that I've also been reminding sponsors is that, you know, the activations are not mandatory. We've put this slide here because we have seen that, you know, folks who do Activation typically get more leads at SaaStr. It is something where, you know, for some reason our attendees know it's kind of a vibe for our sponsors to have activations. So we've put the numbers here, but it doesn't mean you have to do one. It also does not mean that you need to do one of ours. Like if you already have something custom or something in mind that either you don't see on this deck or that you're thinking about doing because it ties more, it relates more to your product than maybe just like a food item. Then again, that's a case where you would wanna email us to, just to go through the process to get your activation approved. But that is something I wanted to call out. Obviously we recommend it, but it is not required if you're like, I've got so much going on at my booth already. It is not mandatory to do an activation. Recommended, but not mandatory. So yeah, so these are just like, you know, the kind of the lead counts from last year of folks with or without an activation, just so you can see at a glance of like why you might wanna consider doing one. And the process has changed year over year. So for all sponsors, whether you're new or returning, I'll go over this process because it has changed a bit. So activations, much like our booth selection, just kicked off yesterday. Again, it's the same order that we do it. So it's in order of level and contract signature date. And then, you know, again, as a reminder, the vendors and activations that are listed in this deck strictly in that order. There's a few folks who, like, signed for an activation literally on their renewal last year. And so they kind of earmarked their activations for this year. But other than that, we go in order of the level and contract signature date. We do try and keep this deck, as long as it may be, to, like, one thing per sponsor so that you're not like, oh, they literally have the same thing we have just on a different day. You know, we try and avoid that as much as we can. And as we go through, you know, this deck is linked in the portal. It's at the bottom of the— where we added the— I'll just go back to the activations page. So I made that small to see the map. But if you are clicking up here, you know, you'll see here's how you access the Expo booth and floor plan. And then if you click this activations tab at the bottom here, you'll see this link to use to view the activations deck. And that's what I'm on now, if you're wondering. How I teleported there on the Zoom. So this has this all listed out, but I'll also go through it because this is, I think, the bulk of where the questions have been coming, is that, you know, we do go in order of contract signature date. We do try and keep it one per sponsor as much as we can. You know, sometimes there's literally different flavors of ice cream, meaning, you know, we might have ice cream in one spot and gelato in another. And as ones are chosen, you will see them starting to be marked as reserved in this deck. So that you know that, you know, somebody else has already taken it. So if you've already looked at this deck yesterday and are like, I see something I'm really eyeing, again, just know I'd probably go through this deck with your team and probably pick a few things. Or I'd go through this deck and see, you know, okay, does this give me a good idea of something we want to do that we want to bring in that maybe again ties a bit more to our product or what we're doing overall in our booth and then reach out, you know, to our team events@sevastian.com. To see how we can coordinate you guys bringing in your own activation. Again, you do not need to use this deck exclusively. It's meant to be turnkey of which, you know, we've given you a bunch of ideas here and we've already contacted all these vendors. But I know it's not, you know, inclusive of everything on planet Earth that you could possibly do at SAS Re:ANUAL as an activation. So you can also use it, you know, as some people use this as like a launching off point of, okay, I kind of can see now what's faster and Maybe other sponsors will be contracting. And so I've got like, again, my own idea that I want to do. We have seen a lot of folks do this already that have reached out to us and said, you know, I was a sponsor last year. I kind of saw what people did. I want to do my own thing and bring in my own kind of more custom activation. Again, that either ties to our product or what we're doing in the booth. So we are seeing that trend pick up a bit this year as well. So doesn't mean you need to do this. We have put these together for you, but you're also, you know, more than welcome to reach out now if you're like, okay, I, just have something in mind that is not in this deck. It's something that, you know, I think would be helpful for attendees. And again, maybe ties in a bit more to your product or what you're doing in the booth. And then you could just coordinate with us on bringing that in. So do, do that. Also know that, you know, as extensive as this list is, it is not everything. I know in the last couple of days, especially since we've gone live with this, some folks have already emailed us to say, you know, I want to bring in XYZ activation that's not in this deck. I've got a vendor, how can I get the proper approvals? And so again, as much as we can, we do try and keep it like one thing per like sponsor, like, okay, you know, one activation of whatever it is, photos, whatever, you know, food, ice cream, popsicles, as much as we can. So just know that too of like, you know, if you've got an idea in mind, it also helps, right? The more custom it is or to you and what you're doing. The more unique it is, one, you know, the more, the more it'll probably play better to attendees because it is something unique to you that maybe more creatively ties into what you're doing or, or how you're helping, you know, the folks that are attendees to approach you. But also, you know, the less likely it is that somebody else is trying to do this if it ties more directly into your company. So that's always something I've, you know, bared in mind to folks back when I was a a sponsor of SaaStr, which was a while ago now, or Trish, who's on our team and who you guys have been emailing with, was also a sponsor, right? We tried to tie in things from our products to our activations when we were sponsors. Again, if you make it more custom, then it's less likely that somebody else is doing it. But this is a good, I would say too, like, not that you can't just pick one of these, but it is a good launching off point too if you're like, okay, like, a con, and that gives me like motive of what I wanna do specifically at SaaStr. It also too will give you a good sense of, you know, by the time we get to kind of like the final choices and stuff, this deck will get really long because we'll, again, we'll try and add in everything that everyone's doing on campus, even if they're bringing it in themselves. And you'll see that, you know, you'll kind of get a sense of what folks are kind of doing and, and everything that we have going on at the annual. So, you know, hopefully that's been a helpful overview. I keep going through these because I think Again, some of this is— many of the questions that we've gotten in the last couple days has been mainly more so around the activations. So again, if it's not on this deck, doesn't mean you can't do it. Just reach out to our team, right? We did RFP, I would say, literally hundreds of vendors to put this deck together. So as extensive as it is, I know it's not everything. And it's not, you know, they're fairly turnkey. So there's not a lot of custom ones. Some of them have customizations in terms of like logo branding. But beyond that, you know, most of them are, are, are meant and are turnkey in that nature because we've put them together for you guys. So again, things that are gonna be more custom are gonna be ones where you're gonna wanna work with our team on. 'Cause these are more turnkey, kind of more just like either logo branding or, or just the activation itself, right? So they're also, you know, minimal effort of like you, if it, when it comes your turn to pick an activation, if you're eligible to do so that, you know, you go through all the contracting with us and, and it's really easy too. 'Cause you know, there's not a ton to brand and you already have of your logo. So even if you do a logo branding, it's, it's fairly simple. You know, there's not a lot of design requirements. So just keep that in mind too. You know, again, we've kind of seen folks trend both ways. We, we see folks in a school of thought of, you know, I want something that's turnkey. I don't mind that it's just my logo on it cuz it makes it a lot easier. And I've seen folks, again, I've seen a lot of folks more so this year than previous years go more custom on their activation. And I don't want folks on this webinar to think, you know, custom necessarily means expensive. Like I have folks I know that are bringing in like, you know, custom branded either food items or custom branded swag items, or even more like an activation style thing of like, you know, okay, we're going to rent some iPads from you guys and just do like an interactive kind of thing with our team and our product. And like, that's our activation. So again, I, I've seen that more of a trend this year. It doesn't mean you have to go either way. You could skip an activation altogether. But I'm just kind of giving you the— because we have a lot of data based on all the sponsors of what we've seen for this year versus previous years. So anyway, so what happens now, right? You guys all have access to this deck. I'll hit a few more of these points and then just show you some samples of the activations in here is, you know, when it is your turn to choose. And again, be much like booth selection this year, we're just going in order of level and contract signature date. Then you would give us your top choices for an activation, and then we would work with you to confirm your activation and then secure it. So when that happens, right, there's a few steps. Even though it is turnkey, there are a few steps that if you're picking something off this list, would still need to happen. So, you know, we're going to work with you and the vendor once you've picked one of these things to work on, you know, any loading dates, any additional requirements. So I know we've listed the prices in this deck. I would just keep in mind, you know, we've tried to call out when certain vendors need things like extra power or refrigeration or water, things like that, you know, are at cost to you as the sponsor bringing in the activation. So there might be, you know, additional costs associated with the activation that are not listed on the slide, and we've tried to call that out, right, of what additional needs that they have. And then keep in mind, right, some of— I know the— or I guess just to just keep in mind that most sponsors, right, last year, might change for this year, most sponsors last year are in school of thought of I'm gonna do my activation, not the entire time, right? Again, that, that sometimes can get extremely costly to have it the entire time. I've seen most folks do it just during happy hours or either during, right before, or like after lunch. So basically a 2-hour block of time per day. It also doesn't mean you need to do it all 3 days, right? It's not required that you do it 2 hours a day, all 3 days. That's just kind of, again, the, the average trend that we see. Folks do. Doesn't mean you gotta do that. You can, you know, pick 2 full days if you want, or 1 full day instead of like, you know, 2 hours and 6 hours spread across 3 days. So yeah, just keep that in mind that, you know, the more you bring in too, right, the more it might need, the more space it may need. So I always bear that in mind that, you know, even though these activations are turnkey, they do still need to fit within your booth. So you'll see too, and I'll go to a sample slide shortly where we've called out, you know, what size of booth that it will fit in because not all of these fit in every single booth size. Some are smaller, some are bigger. And so some of them need like, you know, the table that's in a Platinum, for instance, or the table that's in a Super Bowl. So you'll see that as well. The other thing to note is, you know, as a sponsor, you need to have insurance coverage anyway, but you kind of need like extra insurance if you're doing an activation. And you do need what is called a temp— like if it's food-based, you do need what's called a temporary event health permit. We do help you file this now this year versus last year. So That part is not as difficult to manage. We'll help you fill everything out. You basically just have to sign it and pay for it. I think it's like a couple hundred bucks, but again, minimal, but it is an additional cost, right? And then once everything's finalized, we'll work with you to, you know, get it all confirmed. And then what actually happens in September is that your vendor will show up, you know, at the times you've confirmed with them, with the items you've confirmed at that date and time. And then we will make sure that their staff is also badged and registered. So they will, they'll be registered as, you know, sponsors effectively because they're coming as part of your team and your activation. So we'll work with you to help register these folks, but they do all need to be registered before the show. So that all being said, last but not least, I literally named the slide that because again, I just Some other considerations for folks and activations is, you know, I know in years previous, if you've been a previous or a returning sponsor and have done like different editions of the SAS 3 Annual, you know, this is kind of varied in different ways for like the activation process throughout the years. I do know there is sometimes this school of thought of like, you know, this is too complicated, so we're just going to start up with our activation and we'll figure it out for a number of reasons. We cannot accommodate that for all the reasons I just said of, you know, permitting and insurance and registration and security and enhanced security this year. Like, there's a number of reasons why, like, skipping that process is not skippable. So it is also, you know, not all of this, as I say a lot, is up to us. A lot of this we consolidate rules that, you know, are with fire marshals, if you can't have things sticking out in aisles, that's why it has to fit in your booth. Some of it has to do with food handling. You'll notice on here, and I'll just call it out, that there's no alcohol on here. Like, I don't have a liquor license, right? The venue does, but I don't. And so yeah, you'll see certain things on here that, you know, either aren't on here at all, or, and it also, you know, pertains to why we have this process. Again, I know sometimes folks are like, yeah, this is a lot to keep up with because, you know, there's activations and booth graphics and booth selection and I got to register my team and start promoting, you know, our presence at the show. Yes, you should be doing all those things and considering activation. Again, we've tried to make it as, you know, turnkey and seamless as possible this year, but there are just going to be steps that do need to be taken to secure the activation. We've tried to make this again as turnkey this year as possible. Again, you know, with helping you guys fill out the forms, securing these vendors, you know, alerting any additional on-site vendors who need it, either like the Freeman or the power people or the AV teams. Again, just to get you everything you need to bring your activation to the show. But again, it doesn't mean that, you know, outside of that, outside of that, you still need that permit and you still need that, you know, certificate of insurance. And if you show up without one, I, you know, I can't accommodate it because we do typically have the fire marshals on site all 3 days, right? We've got the health inspectors, like there are union rules and all that stuff, which we keep track of. Um, and so again, for a number of reasons, we don't accommodate any unapproved activations cuz they do need to complete and follow these certain guidelines and steps. Um, so hopefully, you know, this makes it a little bit easier to do that so that you don't feel the need to just kind of Show up with something random. So the other thing I'll say is that, you know, some people have asked us now since we've gone live with this, like, do I also need to approve my swag items, etc.? So, you know, swag, I kind of define as, you know, t-shirts, water bottles, things you're giving away. Again, I think it's still a good idea to ask or just tell us what you're doing. A lot of folks have been like, hey, I'm gonna do shirts at my booth. And we're like, cool, great. You know, here's the, you know, shipping information that's in the portal, but in case you need it, here's, you know, all the shipping stuff and guidelines. But also it's a good, I think, you know, between myself and Trish, we're also good sounding boards on like a lot of folks, which I think is really great, have been asking us like, how much swag should I bring if I'm doing an activation or if I'm not doing an activation? Or people have asked us on ideas, you know, for swag of like, hey, you know, what are you seeing other people do? Obviously, the most popular items are always t-shirts and water bottles. People, I would say, too, typically at SASTR play up into the fact that it is festival style. We do have things outdoors. So sometimes people will do outdoors that pertain to being, you know, indoors or outdoors, just to keep in mind. But again, it's not that you necessarily have to get your swag approved. We just recommend it because we can also let you know if, you know, somebody else is also doing something fairly similar and, and maybe you want to do something more unique. So I think that's probably, again, enough on that. But last but not least, on the last but not least slide, I will say, you know, bear in mind with how we've optimized the whole campus for this year and the expo halls and the fact that we have a whole AI summit within SAS Re:Annual, you know, going on the 10th and 11th this year. It is gonna feel very crowded. So, you know, with the, with the stages being in there with the networking and the cantina and all your fellow sponsors being in there, we do, you know, try and make sure that all activations are like respectful, you know, to the nature of being at an event at this scale, right? It is a big campus, but, you know, usually people congregate to the same areas. And so we try and, you know, make things as respectful as possible. Like some of these you'll see are like games, you know, we'll just want to make sure that, you know, if you get any yarn balls that, you know, you're not throwing them around and stuff like they're for the games. Again, we've never had an issue with this. It's just as a final, last but not least reminder, you know, there is a lot of people always going around faster, so which is great. But yeah, we try and keep it, you know, respectful, and you know, if it ends up being disruptive, we may need to modify it. But again, typically this hasn't been an issue. It's just the final call out there. So a few things you'll see on this deck. You know, we've tried to categorize it by what's available, and then you'll start to see as things are, as we call them, reserved, like later in the deck, right? So I'll go back to the available. I'll just hit the, hit the churros because why not? This is, this is the specific food and beverage section. So this is a food item, but If you do pick something like a churro, right? I'll just pull out kind of like what all these sections mean for you to bear in mind. One, you'll notice like the price points on here are all varying. Again, this is just a straight pass-through cost. So if you do pick one of these activations, like we would contract with Churia SF, we would pay them, you would pay us. It's literally at a straight pass-through cost. The reason you would pay us is because we would basically add on anything that you would need from the venue to do it. Not like a SaaS fee, just like, you know, a health permit, which is like, I think a couple, like $150 or something like, you know, it'd be like, well, whatever you decide to be your offerings plus that, plus if you need any additional power, basically we're going to put it on one bill for you. So like we pay the vendor, you pay us because we put everything onto one bill for you. So, um, that's how that works. Like this one, for instance, needs, you know, extra electrical. Cause if you think about it, like churros are warm. I don't think you would want a cold churro. I mean, I've had one, but it's not as good, right? You want the warm one. So this one does need power. Because they're gonna do warm churros. And so you'll see that here, right? So, you know, what are the services? This one is churros. They do offer hot chocolate, which, you know, maybe if you're thinking about this one might just be like a morning thing because it does sometimes get pretty warm in September in San Mateo. So you probably don't need hot chocolate all day, but sometimes in the mornings it's kind of nice. Again, we've put recommended times and recommended servings as the pricing. It also has, you know, you can math out the price per thing based on this, right? This also says like, you know, a churro is $5. So if you want to just math it out yourself, you can, and you don't have to do these times. It's just, we made a recommendation so that, you know, if you're like, okay, I'm going to show this to my VPM because I know it's our turn to pick, like you've got these pricing kind of like at a glance to go with. So it makes it a little bit easier. This one does call out what they can brand, right? So this one has custom stickers that they can do on like the wrappers for the churros. It also says space allocation. So again, this one's a little bit bigger. It's an 8x8 space, which means it would only fit into a Platinum, Platinum Plus, or a Diamond. And then, you know, this one needs additional equipment. So tables, right? Your Platinum booth, let's just say as an example, comes with one. You would just order an additional one and then the additional power that it needs. And then there's notes here, right? Of like the— usually the notes are if there's any flavors you can pick. You know, standard for a churro is churro sugar. It's like sugar, you know, but they can also do cinnamon, strawberry, or Mexican chocolate. And then those are kind of the notes there to keep track of. So you'll see that on each of these options, right? It'll call out, you know, what the size is, what it needs for space, any additional electrical. As a reference, you know, electric is usually, again, a couple hundred bucks just to do an extra power drop. This one, for instance, which is Pop Nation, which does these cute custom popsicles. You can see this is a sample from Salesforce, right? That one's brand, a little bit more branded. This one doesn't need, you know, any additional electrical. Like they come each day with the popsicles and their coolers. So it doesn't need, even though you would think it needs refrigeration 'cause it's cold, they bring it in like, you know, the dry ice coolers and it stays cold. So again, I would just pay attention to those things 'cause it will call out additionally what it needs. This one, you know, It's $5.75 a popsicle, plus if you want to brand it, you know, it's basically an extra buck. And then we also put on here if they have minimums, we've called that out on the vendors, you know, again, to the point of if you don't want to do 2 hours, right? Some of them do have like a minimum of, you know, okay, we, our minimum is, you know, 200 per day. You know, if you think about the time it takes to pass out a popsicle Popsicle, you know, it's probably like a minute. So they could probably do, let's say, 60 to 80 an hour. It also depends on, again, school of thought of like, are you going to be chatting to these people to get their popsicle? Like, how are they going to get this? Are they just going to show up and you're just going to scan them and they get it? So people have done different things in different ways with their activations. I would say 99% of sponsors will scan people in order to get the activation thing. And about half of those sponsors will actually talk to folks either, you know, as they're enjoying their activation, like while they're having their popsicle, or, you know, or some sponsors will say, you know, you need to talk to our team and then you can get the thing of whatever it is. In this case, a popsicle. We don't really have a preference on what you do with the activation. That's more so up to you of like, you know, what do you consider a lead? Is it talking to them first? Is it, you know, you want to go for volume and you just want to scan everybody who gets a popsicle? That we leave to you and how you can count leads during an event. So I will say though, as a reminder, you know, most of our audience, more than half of our audience is typically, you know, director and VP level or above. So it's probably still a good scan even if you didn't talk to them for very long. That's my school of thought, but doesn't mean you have to follow it. So yeah, just to wrap, because I know we're already close to the 40-minute mark. Just to wrap on this, you know, you'll see a bunch of options in here. There's food options, there's non-food options, right? So there's more so things like, you know, games in here, whack-a-mole, vending machines, right? So not everything is a food item. Again, this is as of now 63 slides. We are still adding activations as we secure more, but it's not, you know, a list of everything on planet Earth you could do in your booth. So I'll just end by saying, you know, if you missed any of the beginning, kind of the main takeaway being that activations are recommended but not required. You do not have to do something on this list. You can do something on your own. You know, these are more turnkey. They're available to folks. We do go in order of booth selection though. So if you think, you know, you just signed on, it might be a good idea to source your own. And then, you know, the other thing I'll say is, yeah, you know, just the trend, just to reiterate the trend we've seen of of folks doing either this with something custom that relates to their product or, you know, something that plays up to their booth theme. If you're like, okay, I've got like, or you wanna secure your activation and then pick a theme for your booth of, you know, okay, we got the juice or we got the popsicles and we're gonna, you know, play that into our booth graphics somehow. Again, we've seen people do it all sorts of ways at SaaStr. So hopefully this rundown was helpful and that was a good explanation of, you know, kind of how to do an activation, how to think about it, and what happens now. Final reminder, I'll just give folks, you know, this is all in the portal. It's all linked here as well as the floor plan. We will be updating the floor plan as people choose. So you'll see that refresh, like as people choose their booth, we'll add their logo to what booth they chose so that you can see if, you know, the booth you're eyeing is either still there or gone. And there's a bunch of FAQs in here. And then, yeah, last but not least, you know, the biggest deadline will be starting to do those graphics because they are due August 16th. So that is kind of the latest and greatest. If you guys have any more questions, please don't hesitate to reach out to us, you know, events@sasterinc.com. Again, hopefully this was super helpful. And you know, we are getting closer to the SASTRA annual. So again, lots of really great things to think about, really great excitement picking up. It is, you know, the 10th year. It's our first our full like AI summit within Saastr Annual. We're doing other things like poker night and a CCO summit, all of which you can see on saastrannual.com now. So yeah, lots of really great things to see and do. And we will be back to you guys again next Thursday with again, more of the latest and greatest information. We'll probably hit a lot of reminders next week 'cause there's a lot going on. We'll start to talk about networking the week after. But yeah, hopefully you guys are getting stoked. Again, we've seen a lot of really great pickup just in the last couple weeks, which is really amazing to see. It's gonna be a big celebration. So if you have any questions in the meantime, just reach out to events@sastrank.com. That does go to me and Trish and some other folks on our team so that we can help you answer any questions or coordinate any, you know, activations and help with anything else you might need to make the SAAStra annual a success. So with all that, we will see you guys next Thursday, and thanks for watching, and we will see you there.
