SaaStr Insider Webinar: SaaStr Europa Sponsor Kick-Off!

In this live SaaStr Insider webinar, hosted by Jason M. Lemkin (Speaker A) with co‑presenter Waylon McGill, the team walks potential and current sponsors through the upcoming SaaStr Europa event (June 4‑5, 2024) at London’s Tobacco Docks. They outline the event’s scale (≈3,000 attendees, 56‑60% VP+ level, ~1/3 North‑American), venue logistics, and the sponsor experience. The discussion covers the three primary sponsorship tiers—Gold, Super Gold, and Platinum—detailing booth dimensions, activation possibilities, speaking slots, customer‑pass allocations, and expected lead generation benefits. Practical logistics are explained, including early badge pickup, load‑in/load‑out timing, 3‑D venue tours, and on‑site resources (Sponsor Resource Center, happy‑hour networking, Brain Dates, early‑access hours, and the Founders Lounge). The presenters give concrete recommendations for booth staffing, emphasizing executive presence, rotating team members, and creative swag or high‑value giveaways to boost traffic. They also share contact information for Waylon (LinkedIn, email) and for Jason (email) and preview upcoming SaaStr Insider sessions. The tone is conversational and enthusiastic, aimed at encouraging sponsors to secure remaining slots and maximize ROI at the intimate, high‑touch SaaStr Europa event.

Okay, says we are streaming live. Hello everyone, welcome back to another, another faster live video. You're probably wondering why we do so many of these every day. We do different things kind of every day. So if you were watching anything live yesterday, that was our Workshop Wednesdays. We bring in like a different sound speaker each week to share and learn with the community. And then last week we had AI Day, so you probably saw us go live a lot, or maybe it's 2 weeks ago now, but you saw AI Day go up and live. And so yeah, lots of different livestreams on that. And then on Thursdays, just an intro for folks who may be new here, 'cause I know a lot of you are starting to watch on the livestream, we do what we call the SAS for Insider Series. So each Thursday we talk a little bit more about kind of an inside scoop on SAS for events in particular. As it relates to things like partnerships, sponsorships, media, event logistics. We kind of do a deep dive every Thursday at the same time. So 9 AM on Thursdays. And so this week we thought because we are getting close, we're almost within 60 days of our— we actually are in 60 days because it's the 4th from our South by Europa, but I was like, days. How does that work? From our SAS for Europa event, we would chat about SAS for Europa. We'll also take you guys into a deep dive of some of the event logistics because I know a lot of our current sponsors do watch this. So we'll kind of do a little bit of an overview just to get excited for SAS for Europa. And then we'll also chat about kind of just some of the behind-the-scenes logistics to give you guys a little tour of that. So let me share— screen. Try to move for a— optimize for video clip. Okay, well, we'll try that on Zoom. There's always a new Zoom update. All right, let me go, uh, slide show here and I'll kind of flip back and forth. So yeah, it's Asteroid Europa. We are 60 days away now because, yeah, it's June 4th, so I was like, what, why am I— we're now, you know, 60 days away. Um, it is our 5th Sounds for Europa this year. We did, you know, 2 in Paris, 1 in Barcelona in 2022 on the water. Excellent vibes. And then moved to London because everyone was like, why are we moving to London for a Jeremia event? So moved to London last year. So this will be the 2nd one in London and the 5th Sounds for Europa. Willa, maybe for folks who don't know, can you help explain with me some of the differences maybe and the, and how Europa is distinct versus the annual event, which is maybe what more folks know that might be watching.
Yeah, so I think like in terms of some similarities, it's like similar vibe in terms of it's indoor, outdoor, similar audience profile. So it's gonna be an executive level audience, primarily 56% of our audience or more is VP level and above and roughly 1/3 founders. What's gonna be different is Obviously the scale is a little smaller. You know, London is, you know, it's a big city, but, you know, getting a massive 40-acre campus like we have at Annual is obviously just not possible. So it's a bit more intimate. And what I've heard from sponsors and attendees is, yes, there's a smaller audience, but it's more intimate. You get to see the same people over and over because it is a smaller space and like you know, you're not just like having a great conversation with every good prospect the minute they walk by. Seeing them a few times can help, you know, build that familiarity and lead to bigger and better conversations. And also, if you have a conversation with someone, you're likely to run into them again. So, you know, you don't need to necessarily do all your selling in one. So I think there's some big advantages to the intimacy of the event. And it's still, you know, a few thousand attendees. It's not small, but you will see folks over and over.
Yeah, yeah, I think that's a great call out. I think, you know, with the annual event, I know we always consider Europa, I mean, by a math size, our smaller event, right? I'm like 3,000 versus like 10,000 to 12,000 on campus at annual is mathematically smaller. However, 3,000 people is still a lot. I think especially in a venue like Bacadox. So yeah, pretty funny that we're always like it's the smaller one, but but actually it's still a lot of people. So yeah, it's a, it's a fair amount of people. I would say too, you know, we'll get into a little bit of the overview here in the audience breakdown, which Waylon has already mentioned. But I think one thing I always like to call out as well is like a third of the attendees who come to Europa actually come from US and Canada. So it's important to note, right, this is a— faster than international community. This is an international event. It's maybe unlike other events you've been to in London or maybe, you know, specifically in the rest of broader Europe and the UK, like I think a lot of those are more so just, you know, UK and EMEA folks who are coming. For SaaS, because we have such a global community, you know, a third of those people are gonna be from North America. So that's always something I call out is like, this is a very global international audience. So if you are doing business in both markets, this is still a really great event sponsor, right? Really good way to do that, especially if you have teams that are local or if you have, you know, EMEA offices. In London. And so it is a great way to kind of hit that audience, but also still get some of that global SaaS community that is from North America coming over to London, right? A lot of people use this, I know, to meet up with their London teams, et cetera. And so it makes sense for them to make the trek in the summer. And so that's kind of how we have planned it. That's what kind of draws people in to going to this. And so yeah, I think it's a very— to Waylon's point, Europe is quite nice because you do see people more than once at annual. You know, it's 3 days, it's a lot of people, it's 40 acres, you're kind of like popping around, it's very busy, you meet a lot of people all at once, right? To his point, I think this is— Europe is great because it has that, you know, like that 3,000 attendee level where you can still have really great conversations and see that person later for happy hour, whereas like, you know, at Annual you're trying to meet someone new. So like here you can actually have like more of those conversations. Like he said, you don't have to do all the selling at once and you still get that great staffed audience of most folks. We say it's between 50 to 60% of the audience is usually the VP level and above. So you're having really good conversations no matter what you do, right? If you're in the audience going to session, especially if you're sponsoring, especially if you're doing things like networking, like there's just so much good that is jam-packed into these two days that, yeah, you definitely walk away with a lot. A lot more engagement from that face-to-face interaction in person in London. So, uh, no, I've always really liked our Europe event. It's the 5th one, so it's exciting, you know, it's kind of a milestone. The annual is the 10th one, so, you know, eventually Europa gets to 10 too. It's halfway there this year. Uh, but no, I, I've always really liked it as an event. Uh, we've met some really amazing people there. So, uh, we do still have a couple sponsorships left. I think I've bypassed in this deck the ones that we don't have left. But let's, let's maybe chat on the Super Gold and then I'll show you guys a few things too from a sponsor's perspective. So we'll just touch on these briefly. But this one, I think there's literally one of these left just given the time. Let me go back to slideshow. Waylon, I know you've got like a Super Gold sponsor in both events, but yeah, it's maybe help folks understand. Sometimes our levels are confusing, so Maybe help folks understand why the Super Gold is, is usually the, the one we recommend the most, I think.
Yeah, I think the Super Gold is the best value. So we start at Gold, Super Gold is where things get really interesting. You've got a larger space, typically enough space to do some meeting with people right at the booth, but it's also where speaking engagements start. And in our community, you know, it really is about thought leadership first. And so, so many people want to get in front of that high-level audience to display thought leadership that's going to drive additional booth traffic for you. It's also where we're able to do things like activation. So, you know, doing some sort of like food giveaways and things like that at your booth, those tend to generate a lot more foot traffic. We see at Annual the numbers are roughly 50% more leads for, for booths that do have a food activation. So that also starts at that level. And then the other piece that's really interesting is customer passes, so the ability to bring some of your customers and prospects to the event. Obviously, you know, getting branding in front of your target audience is big, getting leads from your target audience is big, but the time to actual revenue from those is obviously a little bit longer than if you can get existing customers ready for an upsell into, you know, a 2-day event where you're able to spend a lot of time with them. And if you can get mid-stage prospects that are in your funnel to an event and get a bunch of face time, like that can cut down a lot of T&E costs for going to visit customers and prospects and really help you get ROI quicker on your event.
Yep. Yep. No, I love this. I think it has a little bit of everything, right, that we offer. It's got, you know, a slightly bigger booth than the Gold so that you have that space to do an activation. We've seen folks who do activations have literally double their leads than than those without, right? So you have the space to do that in a Super Goal. So that's already a leg up on coming up to this level. It has a speaking session so that, you know, you can have an executive on stage. That also works really well for driving folks back to Ruth. Again, not meant to be a commercial, but just something that has worked really well, you know, to share in that faster style community of giving back and advice and like lessons learned, hard knocks. So that always worked really well. I'll say too, like a lot of folks are, sometimes they get on site and they're surprised like their team does not actually fit in their booth that they brought. I mean, you can really only fit 2 to 3 people in a Gold, right? There's not a whole lot of space to other than that. So I think if you have a slightly bigger team too that you want to be on site, a Super Gold, a much easier way to do that. You have a little bit more breathing room so that you can actually, you know, engage and chat with prospects more one-on-one in your booth. Without having to go somewhere else, which you might be a little bit space constrained to do. Just a little bit more in a gold, right? Because they are a bit of a smaller footprint. So yeah, love that one. And then the other one I'll just flip to is— I can get my screen share going here— is the gold, because I think we've got a couple of these left here. So let me go back to the gold. So yeah, you can see the differences here in the size. Yeah, this one is— I will say though, in being 60 days out, this one is the most turnkey. You show up, you know, you just have to sign a your graphics, register your team, and if you're going to ship anything, ship something and then show up. It's, it's really the most turnkey thing you could do. There's still plenty of time to do that. I know there's a lot of conversations, um, and with folks trying to get the last couple booths here that are gold. Um, but yeah, it is— I would say it's the most entry-level, entry-level and turnkey booth, um, that we have going on for Europa.
Yeah, I think that being said, it's still in general like our most you know, popular sponsorship level. There are people who, you know, they do gold sponsorships at events and they come back every year. It's still like if your team is there and they know how to work an event, you've still got premium space at an event with a really high level of audience. And if your team actually works like, you know, we do see gold booths that outperform super gold booths and even more premium booths than that where, you know, maybe you've got a bigger booth, but a team that's not super engaged and teams that come and have a gold booth and hustle, can really, you know, do outsized results in some cases.
Yeah, yeah, it really depends too on, you know, again, to that point of how many people you're bringing on site and what you're doing with these booths, right? So if time is something that you are worried about, these are extremely turnkey, right? It's just a back graphic and then a front graphic here. That's it. You bring your laptop to hook up to the monitor, bring your team, register them. Extremely easy and turnkey from that perspective. So With all that being said, I'm just gonna pause my screen share and go over to a few more sponsor-specific things. So if you are a current sponsor, we will also send you this recording in case you missed it. So for folks that are maybe thinking of sponsoring or already a current sponsor, a few things to keep in mind if you're still in the, you know, consideration phase. So being 60 days out, we do have a full-blown, what we call like, Sponsor Resource Center that is available to all of our current Europa sponsors. I see a bunch of you have already logged into this this week, but we'll just— we're not going to go into all the details here. But it also just goes to show, you know, the kinds of things you can expect if you, if you do decide to sponsor Europa, you know, you do have this resource center at your fingertips. There's a lot of really great information in here. All of our points of contact, all the venue information. I always recommend to our sponsors too, or even just folks who are thinking about it, to do the 3D tour if you've never been to Tobacco Docks, they have like a Matterport, which I actually think they use mainly for real estate, but works well for event venues. So yeah, highly recommend going through this if you are sponsoring it. A lot of, of, of our activations are on the ground floor with a bit on the vault level. So just highly recommend doing that. As I've mentioned, I'll talk about the venue just a little bit because I think we always were like, oh, it's at Tobacco Docks and we were there last year. So Just a few notes on Tobacco Docks. It is a really great venue. We were in last time, to Waylon's point he mentioned at the top of the call, it's indoor-outdoor. So there are, you know, if you're gonna sponsor or attend, dress in layers, kind of like if you're coming from North America or like San Francisco, like definitely dress in layers there too. It can be like chillier in the mornings and then pretty warm actually in the afternoons. So, you know, that's London in June for you. So that's Tobacco Docks, indoor-outdoor. It's got this really beautiful like, dockside view that we utilize really well. So, you know, we've done happy hours out there. Folks can kind of like have lunch out there. It's a really good place to network. So again, if you're sponsoring or partnering, I would recommend not spending all of your time in the booth if you can, like send multiple folks, right? So that you can have your team rotate between being in the booth, enjoying things like the dockside, going to things like BrandAids and networking. I highly recommend that. I've seen people, you know, get more, you know, to Waylon's point again, like have better conversations with folks if they can actually take the time to, you know, go leave the booth and network with that person or see them later at a brain date or see them in a session. Like there are more than one, as a sponsor, you should also think about, you know, everything attendees are doing. So as much as you can send your team to sort of divide and conquer, the better, right? So it is 2 days, it's very easy to get to. So again, if you're a sponsor within this portal, In our FAQs, we do have some information about getting around here. But again, if you're attending or sponsoring, it's really easy to get to off the tube. It's, you know, 10 minutes walk from a lot of the stations. And it is in central London. So again, if you're not maybe as familiar with the London area as we have become, it is in central London. It's, again, you can see it right here. Like, you can literally see it within the vicinity of Tower Bridge. It's really not far from Tower Bridge. I think it's like a 10-minute cab ride. So it's really central. It's been a great location. It's really handy if you are going to other things after the fact. I know some of our sponsors are having, you know, after parties on day one. I know folks do, you know, other customer meetings offsite. Again, you're already in central London, so really handy to get around. Much like, you know, the annual's in a very central location, so is Europa. So really easy to get around there. For folks that are traveling, just for folks to know, and this is again, similar setup to how we do it in, in, in all of our SAFTER events. We do have an early badge pickup for sponsors the day before. So in this case for Europa, it's Monday, June 3rd. Early badge pickup goes from 2 to 6. So the first hour from 2 to 3 is just for sponsors. Again, if you're a sponsor, highly recommend doing that so you can get your badge. You don't have to wait in any lines. And then you can set up your booth. I had some folks ask us, and probably you too, Ailyn, of like, What does this mean to set up my booth? They are turnkey, so they will be ready for you to go. I do know like some people like to spruce their or fluff their booth or spruce it or just like kind of make it there. So yeah, if you have any like deliveries that are getting dropped there or you're bringing anything in, this is that time to not only like get your badge, but also get the lay of the land, right? I always think it's helpful to walk the venue as a sponsor before all the attendees come in so that you know your bearings, you know where to go. And that you also, yeah, you know where your booth is and you know kind of like what fits in it, you know, organize your swag, stuff like that. I guess, Waylon, do you know of any other cases people have done for, or any other uses they've used the kind of like early badge pickup for?
Well, I think a big one this time is going to be the Day Zero opening reception as well. So yeah, getting to meet with other sponsors and stuff like that. So great opportunity to network with the SASTR team and the other sponsors. But yeah, I think, I think those are it really. I think you see some people, you know, spruce up their booths a little bit, understand, you know, the lay of the land, where they're going to need to go, maybe have a team meeting and sort of figure out like a schedule for the event of who's going to do what, when, like booth duty, that sort of thing. And, you know, divide and conquer, like you said, with things like Brain Dates, our structured networking program.
Yeah. Yeah. So again, yeah, really great day too. If you haven't signed up yet as a sponsor, you know, the Brain Dates team is usually already there too. You can still sign up for Brain Dates. Great to do that in the mornings as well on each day, day of, so day 1 and then day 2, we have what we call sponsor early access. So you guys have about half an hour before we open it up to just general attendees. Not to say that all attendees come exactly at rope drop. Yeah, you have, you know, at least 30 minutes before anything happens and then you pretty much have an hour. People start to come. So, yeah, it's 7:30 to 8:00. Again, if you're a sponsor and you're not coming day zero, highly recommend you come do the early access hours on day one at 7:30. I know it's early, but that way you can get your badge again, get set up. It really doesn't take more than 20 minutes to set yourself up. So that's why we've allotted this amount of time. Again, if for travel reasons you can't come the 3rd, just come at 7:30. On the 4th, you can still get everything done before, you know, most attendees start to trickle in about 8:30, 9 o'clock. The sessions start at 9:30, I believe. So that's when most people come, right, is for the first session. So got a little bit of time, but do remember at all SAFTER events, there's always those early birds. There are those super fans that come at 7:55 and wait for the doors to open and the gates to open. So if you do come early, it is a great way to start talking to people because there will be people already there. It just won't be as crowded, but there will be people already there. Sometimes I'm amazed that, you know, attendees are rolling up to Annual sometimes on like the second and third day at the same time I am. I'm like, okay, we're all here early, guys. We're all here. We're going hard. We're going from start to finish. Yeah, day one, I think, yeah, important call out. We do have happy hour on site this day. It's— I should have adjusted this. It's 3:30 to 5:30. So yeah, day one happy hour, great time to mix and mingle with folks. You know, we set up satellite bars all throughout the sponsor expo. Not to say that it won't be crowded the rest of the day. I think that's also a Sasser differentiation I just wanna call out. Like, because of where we put the booths for Europa, there is constant foot traffic all day. So you'll just have slightly more during happy hour, but you're gonna have constant traffic literally all day. Second. Okay. So yeah, you will have constant traffic all day. Again, good thing to know. That's why we, we always recommend as much as you can rotate your team, right? Because otherwise you have someone like literally stuck in the booth from 8 AM to 6 PM sometimes. So it is, it is a long time. It's a long time not just to be working, but like you're on, right? Like you're talking to people, like you're meeting people face to face, you're taking down numbers, you're trying to work the leads, scan all the people, like it's a lot to do. So as much as you can rotate folks, that also helps with that. Okay. Last things on day 2, and then we'll also talk about maybe a little bit on who should staff your booth, because like, that's oddly not in here, but it's something we talk about a lot on these webinars. So again, day 2, you have that half an hour before everyone else comes if you're a sponsor to come for early access. It's 8 AM to 8:30, so you get a little half hour break. The second day, reg is open all day again, sponsor hall is open all day. Usually by day 2, you're kind of just like, you know, restocking your swag, getting everything together, maybe changing your booth loop of what's on the monitor, and just getting everything kind of ready for the final day. Loadout, I'll just touch on this briefly. There is a happy hour and closing reception. A lot of folks do stay for this. So I know some, some sponsors sometimes ask us like, okay, how early can we leave? You can leave at any time, but we don't recommend that, right? We do recommend you stay for happy hour and the closing reception. A lot of the attendees do stay. I remember like literally last year we had to start doing like final calls because People were still in the venue on the second day. So again, people do come early for when the gates first open and people do leave at the last minute when we start to kick them out. So they do go hard. It's, again, maybe unlike other events, folks are going hard at SaaStr. So just bear that in mind. Again, this is, this becomes kind of like 3 days if you factor in travel. So it's a lot for 3 days. Try and rotate your team. Sponsor loadout is really easy breezy. If you have anything to ship back, you'll just work with our shipping partners to ship that back either to where it came, or if you want to ship it elsewhere, they'll ship that anywhere you want to ship it. You do not have to load it up or load it out. They will do that. So you just need to coordinate with them and then just take anything with you that you brought that you want to keep. And, uh, that's really it. So, uh, loadout for some people takes 10 minutes, take their laptops and they walk away. Uh, other folks, you know, they ship some stuff or they kind of divide their remaining swag, and then yeah, it really only takes like 20 minutes. But yeah, it can, it can really take you 5. So you've got 90 whole minutes to do something that takes probably 5 minutes max. But just in case, right? So that's loadout. Okay, and then on the subject of booth staffing, so I always recommend as much as you can, and I know they're gonna grumble about this, that you have an executive work booth duty. Maybe not the whole time, right? Maybe not from 8:00 AM to 6:00 PM on Wednesday, right? Like that, that would be too much. If you have time, like again, during happy hour, great time to do that. If you're like, okay, I really want my execs to be in the booth, but they can only do it 2 hours max a day, I would say either in the early morning, because again, you will get like the super engaged people in the morning. It's a good time to have your exec in the booth or during happy hour or during lunch, right? Those are really great, highly trafficked times. Really, or after lunch, usually that's a good time too. Maybe I'm saying there's no bad time for your exec to come to the booth, but it's always a good idea to have a member of your exec team come to the booth because so many of our attendees are at that VP level and above. I can't tell you how much of a difference it makes for our sponsors when they do have an exec that can be in the booth, right? Waylon, you've had a lot of sponsors do this. I guess maybe can you share a bit on how it's worked for them and how they, how they think about splitting their booth staffing time?
Yeah. So, you know, some big sponsors of mine from last year, G2, Vender, I mean, their CEOs were at the booth, their CEOs were working the floor, and it's just so important. Like, one of the things that we've seen in SaaS, and everybody in sales knows this, is that deal cycles are getting longer and they tend to have more stakeholders. And the best weapon against that is to build an executive-to-executive relationship to accelerate deals. So if your executive's on site and if I'm a VP of sales and you're selling sales tools and I'm able to speak with the CEO, That's the best thing you can do to accelerate that deal cycle and also give yourself the best chance to win that deal. So it's something that I think, you know, the team will certainly appreciate it, but the ROI is definitely there. It's only 2 days out of your calendar. And I think if you can meet, you know, 10 to 20 potential buyers, you're just going to get a much stronger ROI if you put that time in and then work the floor as well. Go and chat with people because you're going to meet a lot of other CEOs as well. Another thing, another good reason for CEOs to come is the Founders Lounge. So there is an exclusive lounge for founders. And just like on that, that, so that's being hosted by our friends at Rome. And then just to food and beverage in general, just make a point, you know, there is food and beverage available on site. We do have various locations to get that. We do have IBM sponsoring a pub. So there's a pub on site as well. There's all sorts of like cool activations on site to give you a better experience, whether you're coming as an attendee or as a sponsor.
Yeah, the pub is always a fun time. If you guys have been to Morisota's Cafe Annual, we call it the speakeasy there. We call it the pub in London because it's London. Yeah. And we operate it as a pub, although in the morning it has coffee and not like coffees and teas and not a beer at like 8 in the morning. But there is beers in the afternoon once, you know, happy hour starts and all that. But we do operate as a pub. It's not an all-day beer menu, but it is operated as a pub. Yeah, it's pretty fun. So yeah, yeah, great callouts there. I think, you know, we'll probably just do another deep dive. Maybe we'll use the one next week to do a deep dive on, you know, how to staff your booth and how to think about it. But yeah, really recommend having an exec there. Can't recommend that enough. You know, again, it is something where if you are on the sponsorship side or, you know, as a benefit of sponsoring, it's great to get, you know, those meetings kind of booked out beforehand and then obviously show that ROI to your exec team of like, hey, we've got all these meetings booked on site, but also do you want to join them, right? For all the great reasons that Waylon mentioned, meeting your customers and prospects in person is never a bad thing, and this is a great way to do it all at once, right? Even though it does cost some money and travel to get there, you know, even if you meet 2 or 3 people, that's a lot less than getting on 2 or 3 separate plane flights to go see those folks. So. Always appreciated too, I think, when you go to them, right? Of like, they're already gonna be at this event and you're going to them. So yeah, meet, meet people where they are. So yeah, really great things there. We'll just wrap a little bit on the booth for this year 'cause I know folks are starting to think about kind of their onsite activations. So I'll go into our mocks. You guys have kind of seen these a little bit already from like the sponsorship perspective. Yeah, it again, super— this does point out how super turnkey the Gold is, right? You're branding this back wall. It's got a mounted monitor, so you can really design around it. It's got a front branded cabinet, and then you just get the two sides to brand as well. Super— that's four, four things. That's it. That's all you gotta design. That's all you gotta do if you're doing a Gold. Extremely turnkey. For folks that are Gold, it doesn't quite have the space for an activation, but I know a lot of people have still used the Gold. Again, it does end up being one of our more popular turnkey levels for something like Europa. Waylon, how do you, again, in a Gold, I guess, what's your, what's your best recommendations for folks who are at the Gold level?
So one cool thing I think you could do, although you don't have the space for an activation, at events like this, everybody gets a lot of swag. But if you can get some piece of swag that stands out that you can ship after something that's higher value, like, you know, maybe it's a PlayStation 5 or, or an iPad or something like that where you've got a great thing to sort of lure people in and get additional booth traffic. Yeah, you're giving away something of high value so you can get some of that, that bump in your, in your leads that you get from an activation without requiring the extra space.
Yeah, no, I love that for all those reasons. I think too, I saw a lot of folks to that point on swag, like, I think the recent trend in events is to do less like just generic swag and do more either, yeah, high-value items or things that are more tailored as like a, yeah, as a follow-up item, right? So we've had folks be like, you know, fill out this thing and we'll ship you something that's a little bit more custom. We've had folks that are like, you know, come to our booth and we're doing a raffle for like a Peloton or an Xbox or like, I think I've seen someone do a car. That's a little extreme, but like, yeah, it wasn't at Master, but it was somewhere else I went where they were like, if you come to our booth, you could win a Tesla. I'm like, wow, do you have that Tesla though? Because Teslas are hard to get. So hope you have that ready. But yeah, so, you know, we've seen other, again, things like that. It doesn't mean you need to bring all that with you, right? You can get creative on It also creates a follow-up, right? If you've done things like, I've also done this myself personally back when I did more booth duty. I used to do things like gift cards that were really handy, right? Like, come talk to our team, get like an instant Starbucks card. I would literally just have the sales team like keep track of all the people they met during the day. And then each evening we would just email people their Starbucks cards. Like, you'd be surprised. Like, as much as, you know, you get those from like G2 for leaving a review. I just saw the email this morning, right? $10 or whatever for doing a GP review. People do not do this on site that often. Like, you would be surprised. I'm like, it doesn't have to be Starbucks. It could be, you know, if you're up there, you could do something a little bit more, can't think of the name right now, but like Caffe Nero or something. That isn't— but it doesn't have to be Starbucks. But yeah, you could do any sort of like digital gift card. You can do something where, yeah, they have to do some subsequent action. Like some sort of scavenger hunt, like your booth is the first step, then you make them go online, and then, you know, again, you have a reason to follow up with them. We've seen people do like ABM stuff where they, you know, collect people's information at the booth and then again ship them something after the fact. Good reason to reach out to folks after the fact. Yeah, just because you're in a cold and you have a little bit less space doesn't mean you still can't get super creative and crush leads. So again, it's all about pre-prep, I would say, on the on the Gold Booth, the booth itself is the easiest part. I think the thing that you should think about is like what you do with the space while you're there, right? Like this design, you know, you could knock out in a day with your designer. It's really just take that extra day to say, okay, what are we going to do on site to engage with folks? And you can still crush it, right? So again, that takes 2 days max, so you could still sponsor because we're 60 days away. You have way more than 2 days to get all that together. Super Gold I love because it has room for an activation. So again, this point, very similar to the Gold. It's still— all of our booths are extremely turnkey, right? You're just branding the back wall and the two sides as well as the front facing cabinet. But you do have space here for an activation because it's a bit wider. So if you are in a Super Gold, we always recommend doing an activation. We do work at Sashford to try and make sure nobody has like the same or similar-ish style of activation at the same time. In Europa, it's pretty much an exclusive, just given the volume of sponsors. At Annual, that's not the case because there's so many sponsors who literally everyone does an activation. So it's— we do try and, you know, differentiate them as best as we can. There's probably more similarities than differences at Annual, but at Europa it's pretty much exclusive. So if you're like, I wanna be the ice cream people, you're probably gonna be the only ice cream. So You'll be the only game in town when it gets warm in the afternoon. Again, great way, again, and with those activations, it's what you do with them, right? Like that's how you get people to come to you, but it's then what do you do with these folks, right? To Will's point of like, okay, what are you doing that maybe ties into that? How, or do you have an exec there at the same time? Like how can you double down on, you know, folks are gonna come to you at that time because you have an activation. So what can you, you know, maybe try and do with them? Can you do something cool on your monitor to play into it? We've seen folks do all these things, right? Always works really well for them to get the lead volume, but also like, you know, the lead, lead quality is better when you can kind of like two-factor it with either having again exacts or just something else to like play into it and get to know those folks a little bit better, right? Just to see if they are, they could be a potential prospect for your company and actually, you know, use the platform. Like, can you add value to them? That's really what you're trying to suss out in that. Short amount of time. Yeah, the, the Platinum is a lot bigger, so you know, you've got like really more direct access for an activation. It also has a little bit more seating in the booth when it's the Platinum. So I like this if you are bringing an exec on site, they can pretty much hang out there because they have the space to do that. We do have a level above this, which is not listed here. It's a little bit more bespoke. Our friends at Oracle are doing one for Europa this year. Not listed here, but you can still let us know if you want to do something a little bit more custom. They're doing something a little bit more custom, taking a little bit more time. So we don't really talk about it as much 60 days out. But yeah, still time to do these. And then I'll just flip back, I guess, any closing thoughts on Europa? Because I usually try to keep this a half an hour and I'm realizing I've rambled a little bit.
No, I think I'm just really excited and just, you know, the number of messages I'm getting from the community now of people who are excited to be going is fantastic. Like really in the past week or two, it's really picked up. So I'm super excited. I'm excited to be able to meet people and build deeper relationships than maybe you can when you're at a 12,000-person event like we are in the Bay Area. And I think that that's something that I'm hearing commonly from people. The lineup's also stacked, so that's, that's awesome.
The lineup is, I know we don't even, we didn't even talk about the lineup. The lineup is pretty stacked. Yeah, lots of really great companies coming, you know, Gong, lots of AI companies like Synthesia, DeepMind, I think. Yeah, there's a lot of really, OpenAI, good start. I should have led with that one.
Yeah.
I'm like, why didn't I, why didn't I have Barry the lead? That's the one. So yeah, lots of really great companies coming to, to Europe. So again, not too late, even though we are 60 days out. If folks want to get in touch with us or just sponsorship team in general or ask us any questions related to, you know, faster events in general, Waylon, how can folks get in touch with you?
Yeah, you can reach me on LinkedIn, Waylon McGill. Or email me at waylon@saastrinc.com. That's W-A-Y-L-O-N@saastrinc.com.
Cool. I am ai@saastrinc.com. You can also hit me up about your AI app. A few people have every week. Funny, I always say that and then people do it. I'm going to start posting my reviews of AI apps. So if you send it to me, just know I'll probably review it. I may leave you anonymous if I didn't like it, but I'm gonna start reviewing those apps. I got a few good ones though that I feel like are worth sharing with the community. So, you know, double-edged sword. It can go either way. AIstream.com, ask us anything about SAS or events. As always, thanks for tuning in. The next livestream you'll see is, I think, Workshop Wednesday. So again, we do these every week. You'll see Workshop Wednesday next Wednesday. And then we'll be back here on Thursday at 9:00 for another SAS for Insider. We'll probably cover off some more of that, you know, to staffing and just general like events ROI, um, we chat about today. Uh, thanks for joining and we'll see you guys next week.
Bye everyone.
