SaaStr Insider: Weekly Sponsor Webinar Series

In this live “Know Before You Go” sponsor briefing, hosts Amelia, Brian, and Poya walk SaaStr Annual 2022 sponsors through every operational detail they need before the event week (Sept 13‑15, 2022) at the San Mateo County Event Center. They cover the overall event scope (10,000 attendees, outdoor 40‑acre campus, three full days of sessions and workshops), health‑and‑safety protocols (pre‑upload vaccination proof, 72‑hour negative COVID test, on‑site mobile vaccine clinic), transportation and parking logistics (load‑in parking on South Delaware, ride‑share drop‑off at East parking, shuttle service to downtown San Mateo for parties), badge pickup and express lane procedures, and the turnkey booth setup (shipping labels, booth number tagging, power and monitor availability, optional décor). They explain the lead‑capture system (GTR/Visabo app, activation code, up to 10 devices per sponsor) and provide tips for testing it early. The hosts outline the sponsor‑hall layout (Cantina, More Cantina, No Pool, coworking space, Brain Dates in Sash Square Park) and how to schedule one‑on‑ones. They detail the social program – welcome happy hour, VIP reception, multiple sponsor parties, the “party‑hopping” map, and the big Wednesday/Thursday night parties featuring Duke Dumont. Daily schedules are broken down (badge pickup Sunday‑Monday, load‑in windows, express lane, shuttle times, day‑by‑day agenda). Finally, they give practical reminders about dress code (layers, uniform shirts for visibility), swag storage (on‑site limited storage vs. hotel room), earning extra SaaStr Bucks, and where to find the mobile app and agenda. The session ends with rapid‑fire Q&A and a countdown to launch.

Oh, there are boxes behind me. Is that fine? Maybe I'll turn it up. Okay, here we go. That's okay. There. Good now? Yeah, good. Right behind you. Oh no, it's a desk. Is that what that is? A desk? Okay.
Hey, can you hear me?
Everyone can hear you. We're live.
Well, great. Hello, everyone.
All right, Poya's coming on. We've got the holy trinity of SAMHSA on for our final sponsor, Know Before You Go webinar.
You landed, Brian?
I landed safely, soundly, and in one piece.
You landed early. Hey everybody, happy Wednesday!
Happy Wednesday!
One week, one week of, uh, one week more to go before, uh, Duke Dumont's Green Light Red Light. By the way, some of you asked like where that comes from. So Duke Dumont, who's performing in a week, He has a song that he usually starts every set with, which is "Green Light, Red Light," and it's a replicate from like a Netflix show. It's a lot of fun. Usually, usually every performance I've seen, he starts his shows with that song. So that's where that—
I want to say it came out before the Netflix show.
It could have come before the show, but some of the visuals were incorporated from the movie or the series.
I see, I see. All right, friends.
Got better.
Mm-hmm.
Got better.
All right, I'm going to share my screen. There's a lot to go through today because this is our final sponsor, no before you go webinar. We're going to, you know, ask us any questions in the chat, anything burning, anything specific. We're going to answer all your questions today and go through some final reminders. So let me hit slideshow on this bad boy. Alrighty, no, before you go, it is SASTR Annual 2022. We are next week, September 13th through 15th at the San Mateo County Event Center. There will be 10,000 people here. Lots of folks, all festival style, which we'll get into outdoors. It's the 8th SASTR Annual, but the 10th year of SASTR. 3+ full days, a few setup days for you guys, lots of workshops, lots of mentorship sessions, great dates, everything, etc. So it's going to be a big celebration. You guys know the three of us. If you need it, our contact details are here. Once you're on site, the best place to come will be the SAS booth. We'll have a booth there. If you have a question, comment, concern, go to the SAS booth. That's the best place to go once you arrive. All right. Event details. Yes, we are next week. The official event days are the 13th through the 15th. June 17th here at the San Mateo County Event Center. We're already here, tents are set up, booths are being built. Very exciting, the sign of the times out here. Branding is going up. So yeah, this is where we will be. As a reminder, we are gonna be outside this year. It's a little warm this week, but weather right now, wow, chef's kiss for next week, should be perfect. It's 72 all 3 days. We're just gonna, you know, hope that that holds in the weather.
Safe prayers.
Yeah, say some, you know, burn some sage, whatever you're into, that the weather holds. It's perfect at the moment. It's really— it's been hot. It will be perfect next week. But just as a reminder, it is outside for better— for a lot of reasons, better airflow. It's hotter outside. There's more energy, there's a lot of space, it's 40 acres, but do dress appropriately. It can get warm in the afternoons. Early in the mornings though, especially if you guys are coming in the early, early mornings for like setup, it can get a little chilly, and it can get chilly in the evening. So like yesterday, even though it was really hot, it like got cool-ish in the evening. I will say last year the big party got a little like, it felt good, but definitely like a light sweater. Sweater or jacket. It's good to dress in layers. Hoya or Brian, anything to add here?
I think you kind of covered it, but just to like hone in, it's okay to bring like daywear and nightwear, right? Duke Dumont's going to be a lot of fun. You'll be jumping up and down. You'll be partying hard and dancing and all that fun stuff, but it might also be a little breezy. So you might want to bring something just to cut the wind and cold. Outside of that, yeah, I think you absolutely— Nailed it 100%. Poya, anything?
No, I would just say this week's really hot, but next week is going to be really cool, so don't let this week impact your decision for next week. So that's it. That's my—
Yeah. —piece of advice. Bring or grab sunglasses, a hat for when you're here, some sunscreen. We do have coat checks if you want to bring layers. You can always use coat checks so you don't have to carry it around all day too, or for your luggage when you're traveling in and out. Dress code.
Sir Poya, you want to talk to this one? Yeah, look, uh, we'll keep it simple. The rule of thumb usually for these things is you look uniformed. If you're sponsoring, uh, our biggest recommendations, like, you know, look different, stand out, attract, make it easy for people to find you. Main reason for that is time after time we hear from our wonderful sponsors how they have a shirt and out of nowhere someone grabs it and says Hey, we're a customer, we love your product, and we give you feedback, right? So that's the purpose of looking uniform and standing out so people could find you and then connect with you as a result. And last but not least, if that's not your type, it's completely okay. Just wear things that are comfortable. So we're going to be on concrete, so comfy tennis shoes usually is the way to go, and bring a light jacket. That's all.
Perfect. That is good reminders. Okay, health and safety. A few of you got some emails, so if you got one of these in the last few days, great. We are— if you submitted yours and you haven't heard back yet, that's probably because you're approved. We will send an official email once you are approved. But just as a reminder, I think you guys have seen this many times now, just as you're coming on site, Biggest thing is, if you have not already, please do pre-upload your proof of vaccination just in case our health and safety team has a flag or a question for you to meet our guidelines. It's much better to do that before you get on the airplane and come here just in case. So please do that now if you have not already. If you've had problems with the file upload, I think sometimes like the file size can impact it, you can also just email your proof of vaccination to our registration team. It is registration@sasterinc.com. Um, very helpful there. I will say, more importantly, since you guys are coming and starting to travel on site, keep in mind these are stackable guidelines. So it is proof of vaccination and proof of negative COVID test within 72 hours of your first entrance to SASTRA Annual. So if you're coming early for setup, only you will know when you're coming for first entrance. We don't know when you're coming for first entrance, so it's the 72 hours from when you plan to come on site and get your badge. You can do an at-home test, which I know we get a lot of questions on. So you can do an at-home, just over-the-counter test. Just take a photo with your ID and timestamp it of when you're doing it. So when you get here, our team can look at your photo and verify it. Or you can do any, you know, sort of lab test result or PCR, whatever your flavor of COVID testing is. I think most folks these days do the at-home rapid test because they're fairly easy. There will be daily temperature and ID checks every day. So once you come back, so something to keep in mind is there will be an express lane. You'll see hexi signs that say express. Once you have your badge for the next concurrent days of SAS or Annual, be sure to go through the express lane. Have your ID on you. It'll be super easy to get you guys in. That takes about 20 seconds, if not lesser. If you need to come and get vaccinated on site, because you do not currently have a booster yet or your shots were outside of this window, we will have a mobile vaccine on site with our friends at Lookout Health. It'll be Monday and Tuesday. Monday they're doing it from 12 to 4, which is mainly for sponsors because y'all are coming in early. Tuesday it'll be from 7:30 to 11:30. So for those who are arriving later, there's another chance to get the— a shot on site. Just be aware this is our mobile vaccine clinic. They can give you any shot in your sequence. It can be a booster. It can be a first. It can be a second. They will, they will do that. They will do it all. And they do Moderna and Pfizer. So enough on health and safety. Going into promos, I think a lot of you have seen the chatter and the talk and promotions of FASTR Annual picking up. So if you haven't seen them yet, the branding and logos are all here for you guys. We linked them in these next few slides. So we'll link it, we'll relink it out to you guys again. There's speaker promos, there's session promos, there's sponsor promos. We've seen a lot of these go out in the last few weeks, so continue to use them. Anything else on promotions you guys want to add? Zaster, Hosts.
I mean, look, I think that you can have fun with it, right? Like, it can be your promo, it can be your card that we put aside for you, but also, like, I've seen a lot of just really authentic, like, social posts go up that are going pretty viral. So just have fun with it, like be yourself and make sure it's representative of you, your brand, or what you're trying to get across. I think that'll be most, most punchy and actionable.
Awesome. Alrighty. So a few final reminders before you guys get here. The biggest thing is make sure, you know, you've uploaded your Vax cards, make sure you have— you're going to bring your negative tests with you, you know, check your plane statuses, etc., hotel confirmations, check all that. If you've not yet shipped your stuff and you're going to rush ship it here. At this point, you are going to ship it just directly to the San Mateo Convention Center. This is the shipping instructions. Do make sure you label your box as shown here, which is also on the next slide. But, you know, we've said this the previous weeks, it's always a good rule of thumb to also stick your booth name or a copy of your shipping label in the box. We've had a few people send shipments that we've received that had no booth numbers on them. Thankfully, we figured out based on the content of the swag whose booth it was gonna go to, but highly helpful if you already put your booth number on it, it expedites it so that we don't have to go searching for your boxes. And always a good rule of thumb to put a copy of your packaging slip inside or like a big piece of paper that says, "I'm booth whatever number" inside of it with your shipment just in case that happens. So just a final reminder there. I think many of you have already shipped your stuff, but if you're reshipping it, this is where to ship it to. These are the labels. If for some reason you are rush shipping, you're just gonna ship to the event site at this point. So hopefully you've already shipped your swag. Parking on site. I know there was a few questions about this in the Q&A. During load-in, so Sunday and Monday, you do not need to be ticketed. It will be staffed though. So like our teams will be at this very specific parking lot. There are multiple parking lots just past Duranuel. So if you're coming and you're parking Sunday, Monday, you don't need the parking pass yet. They're just gonna ask you if you're a sponsor, they'll let you come in and park. This is the specific address you need though, because there are 3 parking lots here. This is the only one you'll be able to park at on Sunday and Monday. So make sure you bookmark this address. It is the south parking lot. Concurrently, it's also where you'll be parking the rest of the week if you did get a parking pass. But just remember this for Loaded, it is 2701 South Delaware Street, open parking during Loaded. Just come in, let them know you're a sponsor. There's plenty of parking on site, but do put this address into your Google Maps or Apple Maps. It will be super helpful. I will say there's also construction outside, so please follow the directions for this specific address and don't just put in the San Mateo County Event Center. That can get confusing.
Yeah, go ahead. The only thing to call out on there, because it could be— if you're going in Delaware, we've been driving for load-in all week. The easiest way to know when the SAF lot is, it's where the Saster branding ends. You'll see our brand at the gates. So if you keep driving, as soon as the Saster brand ends, you'll see open gates. I would basically— I would go— I would make a left. So it's not your first left. It's your second left anyway.
Yes. Good call out. Yeah, your second left if you're coming from Delaware down, which is usually the way routes people. It'll be your second left. You'll also see some giant signs on the fence that say, "Sponsors park here." Like, go there. We try to make it a little more helpful. Okay, so that's for during load-in. During the event days, parking during event days is strictly ticketed. On the good news bears front, everyone who was a sponsor who requested a parking pass is going to be granted a parking pass. Our team has started that distribution as of last night, so some of you have already gotten yours. For those who are asking in the chat when you're gonna get your parking pass, it's gonna be today. So parking passes are being distributed to every sponsor who submitted. We have enough space, and so you all got parking passes. Some of you got multiples. Oh, everyone got a parking pass. So that is the good news, bears. There's a question on can you still get a parking pass? Yes, you can. You're gonna click this link and submit for your parking pass. It's also just on the attendee portal. If you go to sastreannual22.com, click the attendee portal, you'll see a big button that says submit for a parking pass. We'll do another distribution on Friday. We're gonna prioritize sponsors, but so far everyone's gotten a parking pass. So it's not a big deal. We shouldn't run out, but I highly encourage you do this pre-show. If you show up, we cannot guarantee that you can park here. So request a parking pass. It will tell you the lot, will get you in the south parking lot. It's the closest to the expo. Trust us for a lot of reasons, it's free. So just request one if you need one. For those who are getting their parking passes, if you had multiple people on your team, we did accommodate it. However, if you're like, we actually don't need this and we can carpool, be a good fellow citizen to your other sponsors and let us know so we can give that parking to someone else who may need it. And cool, that's parking. And shuttles for those who are maybe carpooling or staying at the Crowne Plaza. There are also shuttles. You don't have to park here if you want to avoid some of the construction and that goes on at the San Mateo County Event Center. It's much calmer to drive to the Crowne Plaza. There's plenty of parking. You can go in and out. If you don't have stuff to unload, it's actually a good idea because the shuttles are running. So the shuttle will be running all 3 event days. That is Tuesday, Wednesday, Thursday. It's also on our next slide. Ta-da! So shuttles will be running Tuesday, Wednesday, Thursday. On the schedule, they go from the Crowne Plaza, which is 1221 Chest Drive. It's about 10 minutes away, guys. It's really not far. And then they pick up and drop off at the East Lot, which is even closer to the sponsor hall. That's where the sponsor hall actually is. So if you want primo service door to door, take the shuttle. It's air conditioned, comfy. They're big. If you've ever been to Coachella, they don't smell like the Coachella shuttle.
Sorry, that's funny.
So yeah, they're, they're a great time. They're good ride. You can meet people off the shuttle and they run on a continuous loop. So they'll be running all 3 days. On Tuesday, they will be running to downtown San Mateo. To the sponsor parties that we're having downtown. So if you need a way to get there, that's a good way to get there instead of Uber. Try to avoid Ubers as much as you can. Just keep in mind there are 10,000 people coming, so Uber and Lyft tend to surge price. It's honestly sometimes cheaper to get a rental car and park it at the Crown and take the shuttle here rather than Ubering everyone on your team. Just saying, but personal preference. You can, you know, just expense your Uber too. Okay. Event agenda. Final reminders here. If you have not yet planned when you're gonna come on site, or you're a little iffy on when you need to come on site, I'll say this and I'll let Toya jump into the booth. So turnkey. So once you get here, get your badge, go through health and safety, get your lay of the land, look at your booth, maybe organize your swag, test your monitor. There's not a ton to do after that. Not that we don't want you to. I just want to level set your expectations on the booth. They're turnkey. You don't have to put your graphics physically up. People are doing that now. You don't have to like run power. There's power for everyone. There's monitors. So you don't have to do any of that. It is turnkey, but you can show up and make it homey. You know, you can get some decorations, Target. End of your swag, whatever you wanna do. So that's really why we have pre-load-in days. We also recommend it because most people come day one to get their badge. So in order for you guys to be able to come and like be at your booth the moment that the gates open, if you will, it's highly, highly recommended you come early. Anything to add here, Polya?
Um, a couple of things. Uh, usually I would start off the day like have a good breakfast at your hotel and everything. Yes, there will be options at the venue, uh, but if you're one of those people that likes to have a full meal before you get the good day going, usually it's best to do it at the hotel. Um, the other thing I just want to call out on this, the setup, everything's good to go, but everything you're hoping to do the 3 days of the show like test that out on Monday during load-in or first thing, because we'll be there to make sure things are working. So that means your Wi-Fi, your lead scanning, like have those things good to go. So when folks start showing up on Tuesday, like it's the best reflection that you want to have of your brand. So, uh, that, that's the reason we allow sponsors to do it. Uh, and the last thing, I can't emphasize it enough, please, please, please, please have your team check in on Sunday and Monday. That way they can literally go through the rush line, which will take maybe at most 30 seconds to get in. Yeah. Whereas if they have to get their badge early in the morning, there's going to be thousands upon thousands of attendees that they have to wait behind. So again, again, do whatever you can to please have your team pick up their badge sooner rather than later.
Yeah, go ahead, right ahead.
I was just going to say one other thing, just to keep in mind, it's— but you're bound to have maybe one or two things that you need, or, you know, that you might feel like you need assistance with when you're doing your load-in, and that's completely normal and natural. So just make sure you have like your sponsor success email, maybe your rep's name, their email, phone number, just set aside so that you can access it. You're good to go. That's what this deck's for too, but just like again, to call it out so that you have it screenshotted maybe on your phone and you can get us, and we're all going to be running around, so we'll see you if you need us. We'll be there to help. So sorry, Amelia, I didn't mean to cut you off.
No, you're good. Good point. Okay. All good points. So we're gonna go through the schedule because again, highly, highly, highly recommend you come early to get your badge. To Poya's point, there's not an express lane just for sponsors on Tuesday, Wednesday, Thursday. So if you come Tuesday, you had 2 and a half extra days to go get your badge early. So there is not like, I'm a sponsor, I really gotta get to my booth because I have to meet with somebody. It's the same one. Oh, the employee's point, you're gonna wanna go through the express line. So come get your badge Sunday or Monday. Here's how to do so. Okay, Sunday, we are open Sunday. We're open from 12:30 to 4:30. You can come get your badges, go through health and safety, make sure your team is all squared away. Get your badges is the most important thing here. And then you have 4 hours from 1 to 5 to do sponsor load-in in the E slot. So it doesn't mean you're gonna be here for 4 hours. It's just we have a 4-hour window for folks like you guys to come, you know, get your badges and get a lay of the land. We're also gonna be doing it on Monday. We anticipate more people on Monday than Sunday, so we are going a little longer. Load-in for sponsors is from 11 to 6. Badge pickup is actually open from 11 to 7, so 1 hour later if we're for some reason you come at the very end of load-in, right, to come pick your badges. We are open an hour later. I will say each person on your team needs to come pick up their own badge. You can't come on Sunday and be like, I'm here early, I'm gonna pick up for Amelia, Brian, and Poya. Amelia needs to go, Brian needs to go, Poya needs to go. Everyone needs to come get their own badge. Even if you have their VaxCard on your phone and you have their lab test, they still need to come. In person to verify that they are them. That also means there's no badge swapping per day. So I think you guys know that by now, but just kind of reinforce that in case one of your— one of you is like, oops, didn't think about badge swapping per day. We will also have satellite registration open on Monday and Tuesday. It's at the Crowne Plaza, which is also where the shuttles are. So if for some reason on Tuesday, that's your first day of getting there, or Monday night, it's your first day of getting there and you don't want to come on site, or you can't make it on site, you can go to the Crown Plaza and then catch the shuttle starting Tuesday. So the satellite registration is open from 12 to 6 on Monday. There's also health and safety at the satellite reg, so if you wanna avoid some of the line, you can go to the Crown Plaza. Our full team is there to help you. We are also having a sponsor welcome happy hour on Monday evening from 6 to 9. It's at Paul Martin's. I think it's on the next slide. It's a poya. What do you want to tell people about the welcome happy hour?
Yeah, a couple of things. This is our way of thanking our sponsors, so it's only for sponsors. Uh, by now you should have submitted 1 or 2 people that you want to send. Some of you have asked, can I bring 6, 10 team members at a time? The tough part about Paul Martin's, it's limited. Like, we have the whole restaurant, but they have a cap for, uh, for different reasons of like around 300 people. So we just want to make sure every sponsor has a, has an opportunity to send 1 or 2 people. So as we get closer, that might change, but for now We're keeping it to 1, 2, at most 3 people per sponsor. If you still wanna send people, please, please, please email your AE. That's no problem. I'll get them added. We still have room, but please, please, please do that today. And the reason, as you can imagine, right? We just gotta make sure we order enough food. And it's casual, meaning you don't have to dress too nice, business casual, casual is more than okay. And our only ask, whoever you're bringing, please, please, please make sure they have their badge. So our only ask, pick up the badge before they show up so they can— we know they're with our event. So that's the one small requirement. And the food is more reception style, meaning it's not going to replace a dinner, but it's a great way to kick off your night before you go back to your hotel and have room service or enjoy dinner somewhere else. So.
All right. Welcome, happy hour. Cool. Coming into Tuesday, so this is the first full day of annual. We open bright and early. Reg opens at 7:30. Sponsor Hall opens at 8:00. Plenty of time to come early before the rest of the crowds. I would say if you're coming Tuesday or if your flight lands, you know, Monday evening, come first thing Tuesday at 7:30 to beat the rest of the crowds that are gonna come Tuesday. So we start bright and early here on site at 7:30. The express lane will be open, so if you come early, you'll start going through the express lane with your badge. Our mobile vaccine will be here. Satellite registration will be open again this day, again at the Crown Plaza. It's open all day from 7:30 to 7:00. So if you want to get your badge there, you can and then jump on the shuttle. It's a great way to get to SASTRA Annual. And then you guys have an hour from 8:00 to 9:00 to refresh your booths or come stock your booths. This is your first time coming in before we open to the general Attendee public. So there's a lot going on Tuesday. The full agenda, hopefully you guys have seen it now on sasharadicals22.com/agenda-and-speakers. There's a lot of content this day. Sasha Square Park will be open this day. The coworking space is open. Sponsor Hall is obviously open. There's gonna be lunch on site. There's like our inclusion brunch. We have this not-so-secret speakeasy to try and find. We have in-person content running in the afternoon and then kicking off the morning with networking. It is the first day. A lot of people do come day one. We do have Tuesday night offsite parties, which we'll get into in a second, as well as our sponsor VIP reception. So it is a bit of a longer day. So just keep that in mind if like Tuesday you're coming in, this is like your first full day of annual to get set up and chat with attendees. Keep in mind the happy hours are in the sponsor hall. The stages go through the sponsor hall. So it is a highly trafficked area at all times, unlike maybe some other conferences or events you've done. There is traffic at all times. So just be prepared to like either shift people in and out. And, and it's also good to make sure you have people who are, you know, going to content, doing Brain Dates, enjoying Satchel Corp Park, cooling off in the coworking space, taking a call if they need in the coworking space. It's good to kind of rotate people because then you can meet attendees, you know, in the cantina while you're going to sessions. There's other ways beyond the booth as well. So that's Tuesday. The first of our evening events is a VIP reception. Hoya, I think you are managing who's coming to the VIP reception. I am.
So for the most part, invites for this have been sent out. Most of you got this with your sponsorship. But just so everybody knows, the Tuesday night, most of the sponsor parties happening on Tuesday are actually in the same vicinity at Pacific Catch, which is kind of nice. So inside will be reception style only for VIP attendees. If for whatever reason you forgot to send it, send it. If we can get them in, we will do our absolute best, no guarantees or anything. But inside will be for VIP reception attendees, outside will be for general attendees. But there's about, like, I want to say 10 sponsor parties or sponsors that are hosting parties, and they're all walking distance, which is kind of nice. So you can come in, meet some people for the VIP reception. If you want to hit some of those other parties, you absolutely can. So that's the, that's the nice part. But that's going on on Tuesday. If you have any questions or anything, reach out to your rep. Or you can reach out to me. We're all hands on deck, so happy to answer them for you.
Yeah, to Poya's point, Tuesday night is really meant to be like a party hopping night. So the shuttles will be going from the San Mateo County Event Center starting at 6:00 PM over to downtown San Mateo for all the different sponsor parties, including the sponsor VIP reception, including the other ones that Saster is hosting, and including some of the other ones that many of you are hosting. This is not a full and complete map. I think there is more that have been popping up. We were, we're trying to catch them all, you know, like a good Pokémon trainer, but there's a lot of them. So we try to put it into this guide. If you click it, it's on saster.com. We made a little map. You can see there's a lot of parties here that you can party hop from one to another, and they're all walkable. So definitely take the shuttles. You can park over there. So if you're self-parking here on site, you can park over there as well in downtown San Mateo. There's plenty of parking structures and lots, and after 6, it's free. Free, so there's plenty of parking in the evenings. Yeah, it's meant to party hop. Again, make sure you bring like a light jacket and bring your badge. Don't forget once you get on the shuttle to go to downtown San Mateo to bring your badge with you to the parties. There's a few different ones. I do, you do have to pre-sign up for a lot of these. They're free. You just have to pre-register. So again, go to this link that's on sashter.com, our guide to the Tuesday night parties. Sign up for the different ones. There's some cool ones going on. Um, boy, any of them you want to point out, like super cute venues? You know, you know the downtown San Mateo very well.
Yeah, downtown San Mateo is really fun. It's walking distance. For those of you driving, there is a ton of parking structure, especially during the weekday. There's 2 parking structures, but you can also park at, uh, right next to Rise. There's a little parking area for Caltrain. So if for whatever reason you guys want to drive, just be safe. And then pre-register, that's important because at the end of the day it's different sponsors having different parties. And for whatever reason, if you can't get into a party, Saster outside of Pacific Catch, we're going to take over 3 restaurants outside of Barrel Bistro, outside Pacific Catch, and outside of Urban Momo, which you'll have a chance. So the map on the left shows the general downtown area. The map on the right with pinstripes and palm lines is actually like a 10-minute drive. So in the chance that you want to go to the mall instead of downtown San Mateo, you could do that as well. Just find your own transportation. So that's about it.
Great. Okay, coming in Wednesday, we've only made it to Wednesday. There's another hour in the morning for you guys to come in and refresh your boots again as you go, like, you go through concurrent days of SASRA Annual, it's good to, you know, just make sure you have all your swag refreshed, ready to go. You have all your collateral ready for the day. Wednesday's usually our biggest and busiest day. We have all 8 stages running. There's a ton of content this day, the most content in a single day we've ever had at a SASRA Annual. I think the most greatest we've ever had on a single day too. So there's a lot going on and it's also the big party day. So Wednesday's a big day. Make sure you wear comfy shoes on Wednesday. 'cause there will be a lot of traffic in the sponsor hall this day. Like I said, there's a lot of content all 3 days, but especially on Wednesday. Happy hour will be in the sponsor hall, and we go right from happy hour to the big party on Stage A. As Poya mentioned, we will have DJ Doutoumont playing. Last call to bring a buddy. I think there's like only a few of those passes left. If you're one of the quick ones, you can bring a buddy. If not, I think it's almost sold out or in the single digits to Bring a Buddy. It is 6:00 to 8:00. It's on site. There's going to be food. There's going to be music. Duke will have an opener. It's going to be a really good time. It was like a mini Coachella last time. So yeah, get ready for the big party. Coming into Thursday, last day of Fast Rave Annual. I think a lot of people ask us, do people come back on Thursday? They do because it is BCN money day. So there's another hour for you guys in the morning there. Again, by this day you'll probably be well versed in using the express lanes. The shuttles will be running. The sponsor hall will be open from 8 to 6 to take us through the wrap party. We have areas of VC breakfast that we're doing this day on Thursday. They're on the agenda. So if you want to join one, it's a good idea to do so. We have in-person content going all day. And then the biggest things in the evenings are happy hour starting at 3:30. And then going right into the wrap party. We'll go until 6:00 or, you know, people twiddle. So I think we get a question on like, when should I be leaving on Thursday? It's really up to you guys. People like attendees do stay all the way through the wrap party when we shut down. We have to kick people out. It's after your wrap party. So people stay all the way through. You might feel like by this day at 4:00, like I've been here so long, I've chatted with everyone. It's really personal preference. And there is an extra hour after the wrap party for sponsor loadout. This really is like, you know, putting any swag back together that you might need to ship with Freeman back. You know, breaking down any boxes, making sure you have all your cables, monitors, etc. For those who have been asking about shipping and swag, I'll just touch on it real quick. There is limited storage in your booth. I will say I don't recommend storing your swag directly at your booth because it can get a little clunky. Also, if it's a high-value item, I would store those with you in your hotel room. Like if you're giving away iPads or AirPods or whatever it may be, if it's like a physical giveaway, I would store it physically with you in your hotel room and keep it on you at all times. There is 24/7 security, but it's a big campus, so highly recommend if you have anything high value, you keep it on you. And just bring what you need per day. Otherwise, for swag, Freeman will have what they call advanced storage. You can do it in advance if you do it on the Freeman online site, which you guys are used to because that's where you submitted all your booth graphics, or you can arrange it with them once you get here. Freeman has a service desk on site that you can visit. There is a fee for it, so just keep that in mind if you need additional storage for your swag. Okay, lead scanners. We've gotten some questions about this. Oh, that's a— sorry, copy-pasted error. But we are using the GTR app from Visabo to collect your leads for SASTR Annual this year. If you were responsible for SASTR Europa this year, you are familiar with it. It is the same system. We sent out the codes to everyone. If not, I know there are a few of you who our team had follow-up questions on, but You're just gonna wanna download the GTR Leads app from the Google Play Store or the Apple App Store. Once your app is opened, the activation code is gonna prompt you. So this is what you would've gotten from our team is like that password to put in to get access to the app. And then it's really easy to scan. It's literally like point your iPhone or your Android phone at the badge and it will capture it for you. It's really easy. There's really nothing to do now because there's no one to scan yet. Nothing to do yet. It will be obviously very important once you're on site. Again, you can come if you're coming early on Sunday or Monday, you can scan each other and test it out and see how that goes. But there's really nothing to do yet until attendees show up. So just download the app so that you have it ready to go. Make sure you're logged in and that's all you really need to do before you show up on site. Go ahead, Brian.
I will add one more thing to that. We did send out also in that email a tutorial, and I would just, I would just watch the tutorial. I think it'll answer a lot of questions that you may have if you're not used to using the GTR app. It is pretty intuitive, but in case there's something that's not intuitive or you're trying to figure out, I would just try to go and just take a dive through that quickly and see if you can find your answer. It's, it's going to be right there for you.
Two things to add You can add qualifying questions. With that said, they're very basic. It's pretty much yes or no, like it's a check off or not. I wouldn't complicate them. I would keep it very simple. Uh, two, you could do up to 10 devices. Um, so 10 mobile devices, you're good to go. Some of you have more people than 10. So the workaround there, which I saw at Europa, some people just literally bring a dedicated iPad or an iPhone. They just have extras that becomes like your lead device that's at all times at your booth. So that's pretty much what you could do as well. So, and for whatever reason, if you haven't received, just so you know that the person this went to is the, is the Google form you filled out. So just double clarify the person you filled out if they've received it. Sometimes it does go to spam, so just double check that. If you haven't received it, either reach out to your rep or Sponsor Success and we'll get it resolved for you. So that's it.
Yeah, I will say there's about 16 folks. If you're one of these 16 that have not gotten it yet, it's probably because you need to resubmit your POC because they were not registered for the event. So if for some reason you submitted and you've not gotten your code yet, it's probably because your POC was not registered for the event. Make sure they're registered for the event or just send us a new POC who will be at the event. So. Last important reminder, there are only scanners. Campus layout. There has been an update to this, which I'll share. So hopefully it mostly looks familiar to you. I'll go through this because I know there's some people asking in the chat too, like, where's their meeting space, etc. So this is a 40-acre campus. There's a lot of entry points. There's east, there's west, there's south. If you're taking an Uber here and not the shuttle and you're not parking, there are 3 lots that you can text that your Uber driver may drop you off at. Technically, they can drop you off at any one. We do recommend dropping you off in the East parking lot. That's the 2495 Saratoga— or sorry, 1346 Saratoga address. We recommend that one if you're taking a rideshare because you will avoid some some of the construction. So if you are taking an Uber, take that one. If you're parking, use the other address I told you earlier. It's a different address. If you're taking the shuttle, it will also drop you off here. So if you're getting dropped off here, this is our main registration entrance. There's health and safety. You'll come, you'll get your badge, and then you'll walk directly into the sponsor hall. Within the sponsor hall, which is the biggest area of SAOster annual, there's what we call the cantina. The cantina has 3 stages in it. It has sponsors we love, A, B, and C. It also has this fun area called the Saffron Opal, and then an area that we're now calling Even More Cantina, um, for even more seating, etc. So if you're looking to meet with somebody within the sponsor hall, the Cantina is a good place to do it. More Cantina is a good place to do it. No Pool is a good place to do it. Those are good places in the sponsor hall. Offshoots from our sponsor hall are Stages A and B. They're really easy to get to if you're going to content. They also ensure highly traffic, you know, foot traffic throughout the entire day because A and B are right here. Brain dates were in the sponsor hall. We have moved them into what we call Expo Hall in Sash Square Park. We needed more room for brain dates. Some of you pointed out in the chat the group brain dates got full, so we added more of them and we moved them into Sash Square Park. So that's why we moved them. If you previously had a brain date or you're just joining one now, You're gonna go to Sashesborough Park, you'll see the signage for it. We'll have some arrows. It's not that much further than where it was originally, so it's still really easy to get to from the sponsor hall. Um, and it's air conditioned in there, so it's a really good place, um, to go and chill for a minute into your brain dates. So brain dates are in Sashesborough Park. Also in Sashacore Park, it's like Sashesborough Park, so it's, you know, turfed, there's tables, it's a good place to meet. As well if you want something close to the sponsor hall. There's also the coworking space. The coworking space is more where you need to go like if you need to go get work done, if you wanna start emailing people, if you wanna take notes, coworking space is a good place to go to that. There's a lot of like power tables. The coat check is in there, the mother's room is in there, the multi-religion room is in there. So if you need something, it's probably in the coworking space. There's two more stages just beyond the coworking space that are outside. Odyssey Workshop Stage and the Q&A Stage. You can't miss them. There'll be a giant art cart next to the two of them, so you will see them. Next to them is our Midway Picnic. So this is our picnic area. There's like lawn games, literal picnic tables, food, et cetera. That's the Midway Picnic. Um, our VIP lounge, if you need it, um, is accessible with, you know, food, drinks, swags, et cetera. Um, and then the last stage back here is the Plaza Stage. It's really big under a tent, so you can't miss it either. The Plaza Stage if you're looking for content that is on that stage. It seems really big once you get here in person. It is really big, but we'll also have like trams on campus, pedicabs on campus to help you get to point A to point B. So you'll— it'll make sense once you get here. Sponsors we love. I think you guys have seen this campus layout before. Brady's we just chatted about. We are opening more group Brain Dates as we speak. In the meantime, there are still plenty of spaces to book one-on-ones, and there's still some spaces left in some of our Super Brain Dates. So if you have not yet, be sure to join an existing Brain Date or create your own Brain Date. You can do so by going to sasreannual.braindates.com. Really easy to get started. There's a ton of attendees already in there networking. It's a good idea to get a jump start and pre-book these now because some of them are starting to fill up. I.e., a lot of the groups have already filled. So get a jumpstart on networking, browse the Brain Dates topics, or create your own. We do have a SaaStr events mobile app, just to touch on a few last reminders. And we'll do final questions. There is a mobile app. You can like see your schedule in there. You can get the Brain Dates in there. It's a good way as when you're a sponsor, if you're like, what content is going on? When are like the breaks? When's lunch? Like what's happening outside of my tab? Booth, download the agenda— sorry, download the app, look at the agenda. That's a good way to keep track of it all 3 days of like what's going on outside of the sponsor hall. There's a lot of commotion all 3 days. Saastrbucks, I think we talked about this previously, but just if you guys were wondering, we do this thing called Saastrbucks on site where we give out swag. So if you're looking forward to some Saastr swag, There are ways, even as a sponsor, you can do to earn additional SASTR Bucks. So if you come early or if you bring your negative COVID test with you, if you do a brain date, or if you add a trick to our tips and tricks wall, you'll get extra SASTR Bucks, meaning extra SASTR swag. This is a look at the swag that we have this year. Some really good stuff. Um, these draught room flags we did at Europa, highly popular. Socks popular, hats super popular in case you forgot your journey while you're here, water bottles to keep your drinks cold, super soft shirts, etc. So lots of swag there. I will wrap there on formal presentation. See a lot of you on here, so that's great. And now we will go into some rapid-fire Q&A. So if you have not yet, be— drop your— I see you guys are doing it. Drop your Drop your questions in the chat. We're gonna answer your questions.
Uh, so one question, uh, which is, uh, hey Maxio, um, I would make sure your 10 folks get on your app and then yes, you can deactivate. However, like frankly, I think 9 is plenty. Like one way or another, yes, you can do it on site. I would just wait to do it on site before you do anything, just in case We have to troubleshoot anything, we can troubleshoot it on site.
And then— I'll just jump in on the question. Christine, hi Christine from Reprise, how are you? So Christine's question is that one of their execs is looking to book a few meetings at the event. Is Fiesta Hall the best place or are there other private spaces that we can book for a few hours? I mean, Christine, honestly, there's— it's a 40-acre campus that if he's looking for a place to sit down and like huddle in with someone, absolutely, you should go take a look at Fiesta Hall, but frankly, like, some of the best meetings that I had in one-on-ones last year were just actually from just going around the campus, which wound up being private in a way— more private— private areas— not anyway, uh, which might have been better. It just was— it was a way to get away from the commotion and take a walk with someone, which is also, you know, a good moment. So I would give either of those as good options. I don't know if either of you have other suggestions there.
I would, uh, Brian, you, you keep cutting in and out, but just to make sure everybody heard, uh, you can meet in different parts of the campus. One of the things that I think we love about events, right, is the serendipity, like just running into someone randomly. And you can literally meet on the Cantina, which there's plenty of space now where the Brain Dates are. We're going to have meeting spaces there where you can connect with people there, like other activations are replacing. There's a section in the bottom right called No Pool If you want to do something a little more fun, you could do there. If you need a quiet area, you can go to the coworking space. If you have some emails and whatnot to do, if you want something a little more chillax, you could do the picnic area. Um, so lots and lots and lots of space for people to connect. Well, and best part, if you want to do something that's about your product, guess what? You could do it at your demo or at your booth as well. Where do we sign up for the happy hour on the 12th? Alicia, I got you, but Great question for the rest of the team. You can email your rep or frankly, I'm owning it. If you want to email me, I will put my email address on the chat. Don't sign me up for your marketing campaigns. I'm trusting you, but you can hit me up at poi@saastrank.com. So either your AE or me works out.
Okay. Any other final questions? I know we had a lot of reminders.
Every time we ask this, it keeps going. So I know we're gonna, we're gonna say 2 minutes just because we got loaded. Yeah. And by the way, just so everybody knows, we are actually loading in, like, takes some time to set up, make sure everything looks good. Some things you got to change around, right? But get excited, one, one week to go. Um, how do I assign a Boof receiver. I'm sorry, can you clarify that?
I think on the app for Lead Scanners, I want to say that's the question.
Yeah, if it's the Lead Scanners, you should have gotten an email. The subject line says Lead App Login. Um, basically in there it says go download the GTR Leads. If you follow it step by step, that activation code, basically up to 10 devices can use that. So Person assigned to receive packages, as long as you follow the label, you're good to go. Just making sure anything that's provided in the exhibitor kit in terms of labels is in there. The most important thing you can do is just label your sponsor name. So if you are— I'm just making this up— if you're Appcues, make sure Appcues is in there and put your booth number on there. That's the most important thing you can do. Okay, thanks for clarifying. All right, all righty, last 10 seconds.
9, 8, 7, 6, 5, 4, 3, 2, 1.
I think we're good. So we have liftoff. Safe travels, everybody. We'll see you in a week. We'll, we'll— I promise, once we get on site, all the anxiety, all the stress, everything else will go out of the, out of the window and We'll have a ton, a ton, a ton of fun together. So see you guys in a week.
Okay, be safe. Thanks everyone.
