Managing Prep Time for Patients

This podcast episode (hosted by Dr. Kelly Alhooie) examines how healthcare providers—especially pelvic health clinicians and small-practice owners—can manage time more effectively for themselves and their patients. Key themes: design patient plans that minimize patient effort while delivering faster results (e.g., simple, integrated home tasks), use mentorship and group formats to accelerate learning, and delegate or consolidate tasks so clinicians focus only on high-impact activities (e.g., video creation, teaching) rather than trading time-for-money one-on-one.
Welcome to Pelby biz podcast. I'm Dr. Kelly Alhui. I have grown and established brick and mortar practice in Northern Virginia called Ortho Pelvic Physical Therapy and also founded Pelvibiz, which is an online business consulting company that helps healthcare providers make more money and be healthy while doing it, especially in the pelvic health realm. And let's get into today's episode.
Today we're going to talk about time. I just think it's such an interesting topic to talk about time. So I have many different ways I could go with this, but, you know, everyone says here that they really want their time, they really want their time back. But my question is, do people really want their time back? I mean, really, it's a great question. Do they really? Because I question it sometimes by some of the responses that I get. And time, as we know, is the most important thing that we can have besides our health, is time, because we can't get it back. We can make more money, we can do other things, but we really cannot turn back time, which we wish, right? So with that being said, I was thinking that, you know, our patients, I was thinking about our patients and the aspect of time. And it's like our patients want the least amount of effort that has to come from them with the quickest amount of time possible that they want the result. So when you guys are thinking about time and you're coming up with a structure for your clinic or your online products, what is the result that you can give someone with the least amount of time that it takes, with the quickest result that you're going to give them, so with the least amount of effort that they have to do. So let me give you an example. When you go get a massage, does the person that's receiving the massage, do they have to do a lot of effort? No, we just lie there and the masseuse massages us, Right? So that's a very least amount of effort. Example. But with occupational therapy, physical therapy, they have to put in some work, they have to do some effort. So number one, that could be a limiting thing because they have to put in the work. But also what can be a limiting factor is we know that it takes three months to truly have a musculoskeletal change. And because of that, some people are not willing to put in three months worth of work to get the results that they are truly desiring. If you think about it, if you told me today, Kelly, we're going to start a workout plan, you're going to start. And we're going to have to do this for three months. The likelihood of me actually completing that is probably very slim. If I didn't do anything beforehand, and now you want me to do something for three months straight? Are you nuts? How am I going to find time to do that? That's what I'm thinking. Who's going to help me? Who's going to support me? All that stuff's going through my head. Do I believe that I can get this problem solved? Okay. And by working with you, are you truly going to help save time? So I think the importance of this, the lesson here, guys, is not only are you trying to help solve the musculoskeletal or the nerve problem, but you're also trying to problem solve with the patient of how they can be more efficient throughout their life. Whether or not that's in parenting, whether or not that's self care, whatever it may be, part of treatment plan should be trying to get the patient to not be overwhelmed and get them to feel better about the plan that they have that they and empower them that they can actually take control of this and easily incorporate whatever you give them throughout the day. So it saves them time. That's the biggest thing, the biggest thing. I find, especially with new grads coming out, they want to overwhelm the patients. I'm not picking on new grads. I'm just saying that you want to overwhelm the patient. You want to give them 10 different exercises. If I've never exercised in my life, why then am I now going to do 10 exercises that this therapist gave me that I'm like, wait, how is that done? How did they do it? And I'm confused on it. And then I don't do it because now I'm confused and overwhelmed because now I got to think more about how to do the thing. And now I'm just like, I give up. I'm not doing this. Okay, so remember, when it comes to patients, how can you actually save them time? Is that through making their hep very simplified and incorporating things that they already are doing in their life? This is what we do. I highly recommend doing it. Like unloading the dishwasher is an actual task or is an actual exercise that we give for home program? Like, just please unload the dishwasher. That's it. And I do that 20 times. And they're like, yay, I did my exercises and I got stuff done around the house. Hooray. Rather than giving me 50 leg lift exercises that they're never going to do. And they're just overwhelmed by it. And then they give up altogether because they're like, I can't put time into it. It's not worth it. Okay? So just remember that part of it. Okay? So I think another thing is when it comes time when it comes to mentorship. So with mentorship, mentors should save you time because they typically have already been there, done that. So they should be able to give you all the tips and tricks to accelerate your growth to get back your time. So you pay them to give you the roadmap that saves you time because you don't have to go through all the heartache, the troubleshooting, all that kind of stuff, because you have now. They save you time. So I think that's very valuable when it comes to mentorship because you've already been there and done it, and you're basically paying the mentor for speed. I think that's huge. Let's see. Another example of this with time is when you pull yourself at a clinic. This is a big one for me. I remember when I stopped treating patients and I was told, what was it, nine years? For nine years, that my only value came from what I did manually with my hands. I went to school 15 years ago, so I'm more old school in the fact that all we did was like, do manual stuff. Okay, Now I've changed. I do tons of functional stuff now. But back then, our only value was what can we provide with our hands that was the most valuable. And so when I stopped treating, I was like, what? Like I'm not valuable. I have to show my team that I'm doing stuff because they're gonna think I'm just sitting here being lazy and like, I gotta be there at the office and I got to make sure they just see my face. And I'm just going to run around and act like I'm doing stuff. But the reality is I was just wasting time. I was wasting time trying to show my team that I was doing stuff. But the reality is they would just ask me questions while I was there. And I learned I can't be there. I have to be in my house because I can think. I have my own environment. I can really think and I can process and move quickly without any interruptions. But if I was in my clinic, so many people were asking me questions, it would interrupt me and. And then I couldn't move anything forward. So my point to the story is that when I pulled out, I had a lot of time on my hands. That I didn't know what to do with and the fact that I had all this business stuff I need to do right behind the scenes. Like people don't realize if they don't own their own practice what has to be done behind the scenes and how much time that that takes. And they only think, well, if you're not treating patients then you're not doing anything. That's definitely not the case. And I remember spending three months trying to figure out what my routine was going to be because my only value was treating one on one. And that's just not true. And I also realized that with my mastermind students, I used to do a lot of one on ones and I realized I was saying the same thing on all my one on ones over and over and over again. Then I thought, why am I saying the same stuff? If I just put them all together and say the same thing, they're all going to get value from it. Plus they're going to get the added benefit of having the community to support them and hear other people's stories rather than just one on one. And so I started to think about how to save time. And that's why I do a lot of group coaching, because it's actually more valuable than one on one because I can say the same thing. But they also get different perspectives from people in the community that are also going to help uplift them and move the business forward. So it's a win win situation rather than just this one mind is saying this one thing and all that kind of stuff. So it started to make me look at things differently, which was scary because I was like, oh my God, I'm not treating patients, I'm not valuable anymore. But that was my own limiting belief because I just, no one ever taught me anything else and I really was just selling my time. I mean, that's really the gist of it. Whether or not I was one on one business coaching or whether or not I was one on one with a patient, I was just trading my time for money. So my one hour equals this rate. My one hour equals this rate. And it would be frustrating after some time when I started to see the same pattern and pattern happening over and over again. It's like, no, but I can speak to the masses. This is why in clinic you can speak on social media to many people and you don't have to be one on one with those people. So. And I was seeing that when I did groups versus individual, we would actually get better results with group because again, there was different perspective There was the community aspect, which is massively important, especially in the pelvic health realm for business coaching. And I started to realize, wow, I've got to do this differently and really do this as a group. Now I don't have big groups, so I think that's why it works. But. And everyone's on the same page. We're all pelvic health therapists. So I think that's also what makes it different. And why it works is because, like, everyone's going to one goal. One thing I don't have, you know, I don't have someone that's a firefighter and someone that's a nurse. The same thing. It's. Everyone is a pelvic health provider. So I think that's what makes it really cool is that everyone can come together and put their heads together while we also save time. Like, I also used to do my mastermind calls. Two hours long. I condensed them to one hour long because I used to just answer questions for two hours. But then I realized, okay, I can put them in a group. We answer questions there and then I'll just teach for an hour. So condensing time. People want that no one has two hours to be on a call. They could be doing so many other things besides that call. So it's like, how can I condense that provide even more impactful information in a shorter period of time? So it's not about time. That's my point. It's not about, oh, if I get more time, then that's more valuable. No, you actually want less of your time taken up with bigger results. That's what you want. So my point to this is it's not about time. It's the results that you get. So can you get someone quicker results in a shorter period of time? They're going to pay you more money. If you get the same results in a longer period of time, people are going to pay you less money because it takes more, more work on their part for you to actually get them there. So instead of thinking, well, time, I just want more time. Time, my time, time, time. You have to think, how am I going to get this result in a shorter period of time? And I want to leave you guys with that today because most of us do not ever think like that, including myself. It's like, okay, if I did this in a month, how can I do this in a week? So especially too, when you guys are coming out from, like, traditional practice and to starting your own businesses, if you are, you know, if you made a Hunt, let's just say made, I don't know, $80,000 that year working for someone else. And you're like, okay, cool, how can I make $80,000 in six months working for myself? That's so possible, by the way. So now you've condensed your time into a six month time frame and of what you would have made in the whole year, now you can make that in six months and then you just keep doing that over and over again. And now you're like, okay, how can I make $80000 in just one month? How can I make $80000 in just 1 hour at an event? How many, you know, and as you start thinking about that, and it doesn't mean it's going to take more out of you, it's just, how can you be more efficient with your time? Because people want more of their time back and they don't want you to take up that time. So, so time, it's just really an interesting topic to talk about and it's important one because I don't think us as healthcare providers really understand the time game. And yeah, I think it's something to ponder after this podcast and think, what am I doing with my time? Am I utilizing it effectively? And where can I plug and play to where only I need to do things that I can only do that impact my time. So for instance, with that, I only make videos because I'm the only one that can make videos. So my team does other things behind the scenes because they can't make the videos. So if I'm the only person that can make the videos, then Kelly, to save everyone time, Kelly should be the only person making the videos and that's the only thing she should be doing. I should not be answering emails, I should not be answering DMs, any of that kind of stuff. I should only be talking to the camera because it's the only task that I can do that no one else can do. And we have to do a lot of it. So I need to get it done. And that's efficient with time and that's very valuable because I'm doing a higher level task by communicating with the camera. And I'm going to impact from communicating here, I'm going to impact many of you guys on a podcast because it's going to go out to many people and not just one on one. So that's another way that you can communicate effectively with people, to many people all at once is through a podcast. So that's another example. So hope you guys are thinking about how to get your time back, how to make time very valuable to you and hopefully you enjoyed. Bye guys.
