The 5 Top Daily Productivity Habits For Real Estate Agents
24 Apr 2025 · 19 min
Solo podcast episode (host Lars Hedenborg) teaching real estate agents five daily "non-negotiable" habits to scale their business while preserving personal wellness and time freedom. The five habits are: (1) personal wellness (daily personal development, sleep, hydration, movement, meditation/journal, goal/vision review), (2) disciplined productivity (time-blocking, daily top-three, weekly planning, avoiding time-suck consumption), (3) tracking production numbers (daily reporting, dashboards, tools like Clarity; ‘measured and reported improves’), (4) daily database building (add contacts, consistent touches, 60-touch system, CRM or simple spreadsheet; 10–15% conversion heuristic), and (5) expanding digital footprint (one-platform daily posting, jab/jab/jab right-hook approach, social proof and Google Business Profile). Episode closes with a non-sales CTA to book a strategy session at milliondollaragentmethod.com.
Let's get the party started. So if you're new to our world, this is where we get together and I get to train you once a week on the stuff that actually works to help your real estate business scale. And when I say scale, only 1% of agents sold 25 homes or more last year. And I want you to do a whole lot more than that and do it in a reasonable amount of time. So the top five daily non negotiables if you want to get to 234668 transactions per month, legit closings per month without losing your life in the process. So what I want most for you is absolute time and money freedom.
The real estate industry has failed to create a clear path to time and money freedom. Having helped over 5,000 families in my real estate career and coached thousands of agents to scale their businesses, I know.
What works and what doesn't.
And my goal on this podcast is to share it all with you. The good, bad, bad and ugly of building a highly lucrative lifestyle business so you can focus on what truly matters in life. You won't find any hype or fluff on this show, just real world tactics and strategies that get results.
You just gotta do the work. So why does this even matter? Why am I talking about the daily non negotiables? Here's the deal. I have never achieved anything in my life and my business. Multiple businesses at this point past seven figures. So I've scaled multiple businesses past seven figures. I exited one business for a seven figure valuation. But I have not achieved anything without a significant amount of commitment and just committing to the things required, the activities required to get the thing you want to get right and having clarity around what those things are. Especially in real estate. There's so many things you could do to generate new leads. There's so many things you could do just spend your time on. You can get lost in all the AI this or AI that or this system is better or that system is better. Having clarity on what you control. Ambiguity will not get you there. Wondering what to do to be successful is not going to help you achieve your goals. And the real deal when it comes to success in anything worth having is consistent and persistent. Action over time ultimately will conquer all the obstacles that you're seeing right now. So if you're not where you want to be financially, just know that being consistent and being persistent will conquer all. There's an expression in a Christian business owners group that I belong to called C12. Priorities are what we do. Everything else is just talk and So a lot of the things we're going to talk about today, you must make these priorities where if I could sit on your shoulder for a couple weeks and see where you spend your time, where you spend your money, where, where your attention goes, I would know very clearly why you're not hitting your production or even your financial goals. And I've broken this all down to in our world, in Million Dollar Agent method, we spell out all of these things in a dashboard. We work together for 91 days or 13 weeks and we spell all of this out on the daily. So you're literally ticking boxes or filling in numbers every day. And by doing that, your results will compound over time. My recommendation if you're not in our world, is to use a simple habit tracker. I use a product called Ticktick T I C K T I C K to make sure you're actually doing those things. To do something consistently and actually doing it requires that you actually track it. And we'll get into one of the five daily non negotiables has to do with tracking your production numbers and your implementation progress. So the first daily non negotiable is to take care of yourself in terms of your personal wellness. The last thing that I want to teach you to do is make a crazy amount of money, but have your physical body suffer or to be in a situation where you're getting a divorce or you're separated from your family. Right? So this is the thing ultimately that I want to guard for you is your personal wellness. And in our implementation dashboard, we actually track these things. The first thing here is your personal development. Every day I want to challenge you at least 10 minutes to either read or listen to a book or listen to a podcast, but related to your business. So either personal development or learning how to do something in the business that's going to be helpful and you can use. Right? So personal development every day. Second thing here under personal wellness is to eat well, drink enough water, sleep 7 plus hours per night and move your body otherwise or aka taking care of your personal body to be able to harness the amount of energy and engagement that you'll need to crush your financial goals and do the things that you need to do every day. You have to take care of your physical body, otherwise you're not gonna be able to bring the amount of energy you need. I have an app on my phone, it's actually hooked to my aura app which tracks my sleep. The app is called Rise R I S E and it tracks how much like my energy through the day but also how much of a sleep deficit I have right now. Straight talk. I'm operating at a 12.3 hours over the last 14 days sleep deficit and it says that my energy potential as a result of that deficit is only 39% of what it could be. So this stuff is real. I'm operating at a deficit and I know that there are times in the day where I'm barely dragging myself through the day. So please, please, please take care of yourself physically and then find time every day to meditate or journal. Just be still. Give gratitude. The five Minute Journal is an amazing app. There's also a paper version of it. If you pray, pray daily. At the same time, there's also a scriptural meditation app called Abide A B I D E which I highly recommend. Last thing here on Personal Wellness is to review your goals and vision every day. I do this on the app Ticktick. As I mentioned before, T I C K T I C K. I'm not an affiliate for Ticktick, but I review in. I've got multiple businesses, two businesses at this point. I have personal habits that I review every day. First, I say a prayer. I pray over my business, I pray over my wife, I pray over my kids, I pray over myself as a leader. I pray over my friendships. And then I review my personal habits and goals for this year for my real estate B school, my coaching business, for my revenue share organization. Rev Spire by exp I pray. I pray over that too. But I review those goals. I review my 20, my financial goals for 2025, I review my vision for 2027 and then I kind of say a prayer over how I want to lead those around me. And I ultimately I want to be leading like Jesus would lead his people from a service standpoint. So there's a series of prayers that I'll go through there, but that's every day. So do you think that I have an increased chances of being successful, taking care of my physical body and putting my personal wellness first or a, a decreased chance of achieving the goals that I'm about to set out for you or you know, in the areas of business? Right. Massively increase my chances with, you know, putting good stuff in my head, putting good stuff in my body, take care of my physical body, spending time to be still, and then reviewing my goals and vision every day? All right, so that's number one, personal wellness matters. The second daily, non negotiable, is that you have to commit to being a productivity warrior. Productivity matters, you know, doing the right things consistently over Time that's going to help you achieve at an unreasonable rate. That's what I want to achieve for you. Sell an unreasonable amount of homes in a reasonable amount of time. So first thing here is that you must time block your calendar and honor those time blocks, realizing that there's massive freedom in structure. And I know it's an oxymoron because you want your calendar free and clear of everything. But if you don't know when you're supposed to do stuff, how are you going to get anything done? Right? Next part here is to do your daily top three. These are the business building activities. This is not, you know, new business development or lead follow up or going on appointments with buyers and sellers or, or negotiating deals. These are the things that you're doing to build your business above and beyond the normal job of a real estate agent. The big differentiator between Million Dollar Agent Method and most every other program out there is that we help you and force you to put your business building hat on at certain points in the week where you're actually building out the systems that will allow the leverage, the automations and the delegations that will give you the financial freedom and, and the time freedom that you're looking for. Next here, once every week, we call it a weekly planning session. You have to take time out every week to think about what went well, what didn't go well. And this is a recurring appointment in your calendar to look at, you know, where did it all hit the fan this past week? What can I do better this coming week? Sitting still, looking at what's going on in your business and being honest with yourself. Last part here when it comes to becoming a productivity warrior is to stop spending time on consuming things that don't matter. This is the ultimate life sucking tool if you use it properly. And I'm holding up a phone if you happen to be listening to just an audio version of this, the phone is the thing that will detract from your goals. It is not the thing that is going to give you life. It's not going to give you increased odds of, of achieving at the level that you want to. So there may be things it could be. For me, it's YouTube. I get sucked into YouTube, I know I'm not, you know, doing what I need to do in there on a regular basis. I'm watching like crypto or I'm watching, you know, I'm into, you know, working out and stuff and so I'll watch, you know, stuff from you know, all the gurus out There, the health gurus. But then I can stumble upon random like, you know, fail videos about, you know, animals scaring people or spouses scaring their spouses or, you know, crap that just is not moving my me any closer to the meaningful goals I've set for myself. So just watch that. You have to guard your time. Number three, the third daily, non negotiable. And this is on the daily, you have to track your numbers. And inside of Million Dollar Agent method, we've got a sort of a low tech version of this with a production dashboard and then we have a higher tech version of it with a tool that's proprietary to our group. It's called Clarity. Now and the whole point here is that you may not think this is a strength of yours, but I have not met a person that's achieving at a high level in their business or an area of their personal life that's not tracking. And so you just have to, no shame, no blame here, if you're not a tracker and this sort of like gives you hives, so to speak. But you have to consider this is your day one, you have to get started and just stop making excuses that you're not a numbers person. Especially in our world. Like I said, we have a very low tech version, even a paper version of tracking your sales production numbers, right? The chances that you magically sell two to three homes per month more than you're doing now. If you're not willing to track your numbers and be honest with yourself about the actual output as a salesperson, and it is, it's not likely that you're going to get there. There's a quote by Carl Pearson. I think he's like a 1860s British mathematician or something. The quote goes like this. That wish which, that which is measured improves. That which is measured and reported improves exponentially. So reporting your numbers is great because it'll improve. But if you make those numbers public, it improves exponentially. Let's take the example of your physical body. If you have £50 to lose, five, zero pounds to lose and you go on Facebook and you show the whole world, all your Facebook friends, you standing on a scale and saying, I'm 250 pounds overweight, you know, by the end of this year I'm going to get to £190. And you post your scale weight every day, that the chances that you'll get there, you're measuring and you're reporting your chances of achieving that goal, it improves exponentially. The same goes in your business. So make sure you're using a business tracking tool and you're reporting your numbers consistently. The fourth daily non negotiable is to focus on new business every day. Sorry, actually go back the fourth. The fourth daily non negotiable is to focus on building your database every day. And the the way we do this is first we start with mindset. This is a seven figure annual income pillar. Maybe not for you yet, but your ability to turn your database and this is you know people that know like and trust you and you, it's organized and you're adding value added touches. That whole thing could be in a CRM but we have members doing three transactions, four transactions per month out of a simple spreadsheet. So it may not require any technology. But the mindset that this is a seven figure annual income pillar, if you treat it that way, the chances that you'll actually get this to be at least a multiple six figure annual income pillar. Maybe on your way to a multiple seven figure annual income pillar. We actually have members that are doing probably dozens of members doing over seven figures a year from their database. Hard to imagine if you're only doing a handful of deals from your database, but no one's come alongside you and taught you how to do it. So this could be from your lead generation efforts, it could be from networking, your past clients, social media. There's so many ways we actually have a process that we take our new members through to build your database from scratch. And easily we get folks to 250 on their way to 500. The reason you want to do this is that 10 to 15% of your database with our touch system or a proper 60 touch system in place will yield 10 to 15% into closing. So if you had 250 contacts there's 25 to 37 closings there. If you had 500 contacts in your database, there are 50 to 75 closings there. You and that's like 1% of 1% agents, right? That's one out of a thousand agents that are selling 50 homes or more. And most agents, this is the only income pillar or lead gen lever rather that we need to install in their business for them to get there. And if you're starting with a database of Xuri, maybe you're new to a market. The mindset here is that Monday through Friday, if you committed to adding one contact to the database every day Monday through Friday you'd be at 250 contacts in a in a year's time that next year there's 25 to 37 closings there. If you did two contacts, added two contacts to your database every day, Monday through Friday for a year with two weeks vacation, you'd add 500 contacts to the database. There's 50 to 75 deals there. The challenge is there's no consistency around it. Right. So we're committing to the daily non negotiables to launch and scale a phenomenal, unreasonable amount of money in a reasonable amount of time. That's the promise. And then last thing here on building your database and the daily process. This should be a lot of fun. This should allow you to get creative with your value added touches. So these are mostly not real estate related and this is kind of the jab, jab, jab, right hook approach. And I'll go into that a little bit more here in a second. But most of these touches have nothing to do with real estate. Yeah, you could throw a market up it estate in there. You could, you know, have a spring maintenance tips or a winter maintenance tip or you know, all of those things, those are, are fine. But most people are interested in you personally and what you have going on and how you manage real estate. With being a spouse and a parent and the insanity of the more honest you are and authentic about that stuff, the, the better the conversion rates actually. All right, number five, daily, non negotiable. And this is when it comes to expanding your digital footprint. So a million dollar agent method, our baseline lead gen lever is to help you build and structure your database that's good for 2, 3, 4 transactions per month using our touch system. The next layer, which is a 10x factor in terms of reach is expanding your digital footprint. Let's say you have 250 contacts in your core database. You could easily expand your reach to people that digitally know, like and trust you to 2500. It's like a 10x multiplier. And we help you do that. Do this in a way where you present yourself online. You have to be the authority in real estate, but you do it through authenticity. And this is where the jab, jab, jab, right hook comes in. Again, where most of the stuff you put out, the jab, jab, jab. This is a book by Gary Vaynerchuk. In case you don't know the expression jab, jab, jab, right hook, the jab, jab, jab are the non real estate, non call to action value add posts or touches that you send out to your database or you post online. The right hook is something more obvious. You know, if you are interested in the impact on the value of your home because you're sitting considering selling and there's insanity going on with the markets and tariffs and all that. That's you know, go here to, you know, go to this website to get your free home eval right. Keep it simple. When it comes to social, one platform, one post daily and then be social by caring about people online. We've got something we call the 555 that we have our members do. It's basically a way to actually care about, comment and like and message people online under a single platform. And then the last comment I have here is that when it comes to expanding your digital footprint is that social proof? Social proof is everything in marketing and this is where a properly set up not just on the front end but fed regularly content a Google business profile with reviews. It could regularly generate business for you if you set it up the right way. All right, so if this was a little overwhelming and you know you need help with it, I don't have anything to sell you. I would not take your credit card at this point if you asked me to. But you can go to milliondollaragentmethod.com and book in a strategy session with either myself or someone on my team and, and we'll run through exactly what the system is. We'll give you a full demo. We'll dive deep into whether or not it's even a fit for you. So if that is you and you know it's you, go to million dollaragentmethod.com and we'll see you on the next video.
