All right, let's jump into today's episode. Heyo. Welcome to the $100 MVA Show. Real business lessons you can count on every day with our daily 10 minute business lessons for the real world. I'm your host, your coach, your teacher Omar Zenholm. I'm also the co founder of the $100 MBA, a complete business training and community online. And in today's lesson you will learn how to create accountability for your team. This is a strategy that I've been using in our team and it's really helped the whole team be accountable. You see when you meet with your team, you discuss, you figure out what you have to do that week, right? And you farm out some tasks you're going to do this, you're going to do that, I'm going to do this. You set some deadlines and you say, go, have a great week. But unfortunately, the next week will roll around and a lot of the tasks are not done or not done to a proficient level. And it's not because they didn't work hard. It's because there was no solid, clear, accountability communicated to them. The key word here is communication. You see, accountability only works when it's super clear what you're accountable for, where you're going to be asked about, what you're responsible for. And. And as human beings, we have a horrible memory. So I'm gonna share with you a technique that I do in meetings. It's called Live minute. That allows to make sure that everybody on the team's on the same page. They know what is required of them, what is expected of them, and they have their eyes on the prize. They have focus throughout the week. So when it comes to next week's meeting, things are done on time, within deadline, and done properly. We got a lot to discuss, so let's get into it. Let's get down to business. For the sake of today's episode, I'm going to share with you what I do with our development team at Webinar Ninja. We meet twice a week. We meet the whole team, and our team is remote. We do video calls on Mondays and on Thursdays. Mondays is really the longer meeting where we kind of talk about what we have to get done this week. We usually do a recap of the week before of what has been completed. But the main focus is, hey, we need to agree on what's going to be worked on and, and by when come Thursday. And the reason why we say Thursday is because we want to make sure we're still on track. If for any reason, we're not going to make it in the next two days, by the end of the week, Thursday, Friday, we need to know if there's any roadblocks. Is there any reasons why we're not hitting deadlines? Because we need to reshuffle things, and we need to make sure that whoever needs support gets the support they need. And that's what the meeting on Thursday is all about, to make sure that we're on track. But in the meantime, how do we know what we're working on? Well, usually what happens is that we're. We have a meeting, we discuss, people take their individual notes, and we say, hey, have a great week. And I've done this, and this is what I was doing for years until I realized I don't think this is working. I don't think this is clear, and I don't think everybody's on the same page. So I started doing something called live minute. We all know when you take minutes in a meeting, it's basically somebody's taking notes on what is being decided, what's being said, and then later, those minutes are shared with everybody, and that's totally fine. And minutes are a good step forward because it allows everybody to kind of know what's going on. And it's sort of a recap of the meeting, and it's a documentation of what got agreed on. This is huge. So if you're not minute already, you should do this. But normally what happens is somebody minutes the meeting. Sometimes people share that responsibility, meaning that you take turns in the team who's minuting today. And sometimes some people really like to volunteer. They like doing that. Whatever it is, usually minting is done and it's kind of done in the background. People are. We're meeting, we're discussing, we're making decisions, and the minutes are. Are being taken. And we're not really following along, following along with the notes, with the minutes. So what happens is that by the end of the meeting, we say, okay, this is what we're going to do. How's that sound to everybody? Can we get it done by this deadline? Everybody's like, sounds good, let's do it. And they're motivated. But the problem is that we have horrible memories. We don't remember what we agreed on. So what I do now in meetings is do live minting, which means that I share my screen and I write down the minutes. And as I'm writing down, everybody sees what I'm writing down. Now, I recommend you use some sort of project management software. We use Basecamp. We love it. You can use something free like Trello or even if you're using a Google Doc. But what I love about our project management software is that you can at people, you can mention people, so they get notifications on what they have to do. So, for example, when we're having a development meeting, I'll write down some notes. Like, at arena, we'll be doing this task and then, you know, James will be doing this task. And as we're deciding and discussing, I'm writing down these minutes, and they see it live. They see, hey, I'm getting written down to do that task. So by the end of the meeting, we look at the minutes together and we say, hey, this is what you have to do. This is what you have to do. This is what I have to do. Can we get it done by this deadline? This is a different story. I get different answers now because it's like, okay, now I see everything that I have to do in front of me. I'm committing to a deadline. It may be too much. I may have to push that deadline. I may need to change the scope of maybe have to do less or the opposite. Or it's like, hey, I can do more, put some more on my plate. And then when the meeting's over, we save those minutes. In basecamp, I save it as a message on the message board. Then everybody gets a notification. The minutes of that meeting have been recorded, and they have a notification about what they have to do. So it's super clear. This has changed things dramatically for us and allows us to hit deadlines a lot more efficiently, a lot more consistently. It also allows me to save time going back and forth with communication throughout the week, clarifying points or clarifying things that were discussed in the meeting because the minutes are there and people can refer back to them. I also like to do some screenshotting. I'll screenshot things. We'll talk about screenshot tasks, maybe some edits. We have to do some typos. I'll screenshot that and pop it in the minutes as well. So it's a record. It's like a visual record of what has happened in the meeting and what was discussed, what was agreed on. And there's something about things being recorded and being done live that seems like it has more gravity. People look at that and they're like, okay, my name's against that task. I got to get it done. Everybody sees I have that task. And what happens is when we meet the next time, in our case, Thursday meeting for you next week, we go back to the last meeting's minutes. All right, let's take a look at what we agreed on. All right. Irina, did you do the task that we talked about? James, what about you? What about me? What about Shane? What about everybody on the team? You get the point. It holds people accountable because they know they're going to be called upon and going to be asked about it. Because that's just the habit that we're in. That's the procedure we have every meeting where we put up the minutes from last meeting. Another great thing about this procedure, about this hack, whatever you want to call it is, hey, if somebody's on vacation, somebody's sick, somebody misses the meeting. There's a detailed record of what was discussed, what was agreed upon, and with a software like Basecamp or Trello, people can comment on there and ask questions and say, hey, what happened here? What's the rationale behind this? What do I have to do here? It's a lot faster to review these minutes than to watch, you know, an hour long recording of your actual meeting. The video. We've tried that before and to be honest, that's expecting a lot somebody to watch a hour long video of a meeting that they're not participating in. Okay, so it's better to have these minutes because a lot easier just to review quick shorthand notes. What's also great about these minutes is that it keeps people focused. This is all they have to worry about for the next few days this week. These are the tasks they have to do. Yes, we have a bigger picture and a bigger goal in mind, but focus is really important. We get overwhelmed when we think about too much of the big picture and not enough about what we have to do right now. So when we get off that meeting, they know exactly what they have to tackle. They know exactly what they have to do. They know what they're doing the next day. They know what they need to work together on to get done. And I like to do that at least once a week. So we run these minutes at least once a week so there's a focus for that short period of time. Ugh.
Could this vintage store be any cuter?
Right, and the best part? They accept Discover.
Accept Discover in a little place like this? I don't think so, Jennifer.
Oh, yeah.
Huh?
Discover's accepted where I like to shop. Come on, baby, get with the times.
Right, so we shouldn't get the parachute pants.
These are making a comeback, I think.
Discover is accepted at 99% of places that take credit cards nationwide, based on.

Anything can change the world of work. From HR to payroll. ADP helps businesses take on the next anything. ADP always designing for people.
Live minting has been an absolute game changer for our meetings and the productivity of our team. It also helps with communication. It just helps being honest and transparent with your team. Hey, this is what we're all agreed on. Just earlier this week, Right. We haven't changed. Of course, we haven't changed our minds. We haven't changed who we are. That really happened. And it holds people accountable. And also as a leader, allows you to see who's doing what. Is the load divided fairly or is one member of the team caring too much while the others are coasting? And of course, it displays professionalism and allows people to get the impression, hey, this manager has it together, it's organized, it's easy for me to refer to. And then there's a record for every single meeting. Everything you agreed on. You can see the progression of your business. Guys, that wraps up today's lesson. I hope you loved today's great tip on how to maximize accountability on your team with Live minute. But today's episode's not over because it's Free Ride Friday. Some things don't work, but some things really do. Some things really move the needle. And when they do, I want to share them. So share them with a blog post, share them with a video, share them on their podcast, share them on social media. By doing that, you develop a reputation of being a giver, an authority, and a thought leader. And hey, if it works and it helps other people, then why not put some good into the world? All right, thank you so much for listening and I'll check you in Monday's episode. I'll see you then. Take care.
