Omar Zenhom teaches the preloaded year technique: use a physical calendar to block out vacations first, then multi-day chunks for your top priorities, then conferences and travel, then fill the rest with routine work. Plan all of 2020 before it starts.

And in today's episode you will learn how to plan all of your 2020 today. Yep, I'm going to show you how you can plan all of next year before it starts. That way, 2020 is your best year ever. This is a technique, a strategy that I learned from my coach Dan Martell, who learned it from Dale Beaumont. Both have been on this podcast as guest teachers. So check that out in our archives and it's called the Preloaded Year. I've already completed my preloaded year for 2020 and boy do I feel good. Not only because it's all planned out, but because I know the most important things that I need to do for my business, for my life will get done because I'm prioritizing it and making time for it in my calendar. I'm going to show you step by step how to do that, walk you through it. So that way 2020 is rock solid before it even starts. So let's get into it. Let's get down to business. All right, let's plan 2020 together. Right now what we're going to do is we're going to plan out, yes, the full year in advance. Now what this does is it allows you to prioritize the most important things in your business, in your life and in your personal growth. You're putting the important stuff now before you get busy on the calendar. So the first thing you need is a calendar. Actually recommend a physical calendar, whether it's a one page annual calendar or one of those flip calendars you can get from the dollar store. Right. The point here is that we're going to use a paper and pen. We're going to write down and mark off dates for each month of the year. So go ahead and make sure you have one handy. The next thing we're going to do is that we're going to ask ourselves, how many days are we going to be taking off? We're going to exclude weekends. Now, don't worry about, you know, your weekends. Right now we're talking about holidays. Whether it's an extended Christmas break, whether it's you want to go away for a vacation, whether you're planning some sort of ski trip, how many days are you going to be off, meaning you're going to be relaxing, recharging the batteries. Decide that. Now maybe for you, that's only 10 days. Maybe for somebody else. No, I want a whole month. Maybe somebody wants six weeks. Decide how many days. Now once you have that decided when, when are you going to take those three weeks you just decided on? Maybe you'll take a week in the month of March and a week in August and a week in September. When in those months? Plan it out. Now, maybe you want to be in Japan during cherry blossom season. So make sure that you have that week planned out and booked out during cherry blossom season, whether that's in April or maybe, maybe you always wanted to go to the Caribbean. When's the best time to go to the Caribbean, weather wise? Put some days down in the calendar. Now, I know it sounds strange. Hey, we're starting with the vacations. Yes. We're getting them out of the way. We got to recharge those batteries. Make sure you prioritize that and put it in the calendar. The next step is we're going to decide on our big rocks. Our big rocks. We discussed this before, again, a strategy I picked up from Dan Martell, my coach. But what are the big things you need to accomplish this year in your business? Is it a new product? Is it doubling the size of your team? Is it growing your revenue? What are the three big rocks in your business for next year? And then ask yourself, what do you need to do to work on these big rocks? And then what I want you to do is allocate the number of days you need to get that accomplished. So for example, you want to create a whole new online course for your business. It's going to be a 10 module course. We're talking about 30 videos maybe. How long will it take you for you to produce this course? So. So that big rock is done. You need four weeks. Okay, pop that in. Where are you going to do these four weeks? January, March. When do you want to get this done? This is important to your business. It's the big rock. Put it in the calendar. Decide on the three big rocks. Decide on how long each of them will take. Guesstimate, double the time to make sure you actually get these things done and pop them in the calendar. Which days, which weeks am I going to be working? Head down on this project. Now, I know you have other things you do on a normal basis, whether it's meetings or calls or email or whatever it is. Have that in mind. But make sure that you allocate the time to get these projects done. Those other tasks we call sand, we'll talk about later. That fills in the gaps. But get the big rocks done inside your calendar. Make the time for next. What about conferences? Are you going to any conferences? Any trainings, any retreats, any meetups? You should be going to some conferences. You should be even doing some things locally so you can network, grow your relationships. No one does this alone. You got to build those relationships in business. When are you going to these conferences? What are the dates? What are the names of these conferences? How many days you need to pop in the calendar? What about travel days? Going and coming? Do you need a recovery day? Whatever it is, make sure you allocate the time. Put in the calendar. Now, you should know the events that happen throughout the year. So for example, if you know, you go to microconf, that happens in April, put it in the calendar. The travel days, the conference days, all that kind of stuff. If you know to go to sasdoc in October in Dublin, how many days are that? If you're doing a team retreat, make sure you put that in too. These are all, all considered. You know, work trips, put it in the calendar. By now you're starting to see your calendar start to fill up. You're realizing, wow, I got work to do and I got a plan now. And I know that when I look at my calendar, oh, I should be working on this big rock right now. Let me refocus. Oh, I have a trip lined up next week, so I got to make sure that I finish up what I'm doing now so that I'm not behind you start to See the theme of your year, you start to see how it's fleshing out, what you can get done in 12 months. A lot. You start to realize, hey, I have some room for a fourth big rock. Maybe that could be my partnership's big rock. I want to build on my partnerships and grow my business that way. Now, the whole point of planning this whole thing out is so we could see the whole year ahead of us and realize, hey, this is what I can get done. As human beings, we're really bad at estimating long term. We usually underestimate what we can get done long term and overestimate what we can do short term. So we want to make sure we have a clear picture of how much time we have ahead of us for the year. And we put the big important things, the big events, the things that I have to prioritize so I can move forward in my business. And it's right there on my calendar, so I see it every day. So now that my calendar is all filled up with everything that is important to me, any gaps in there, I can fill it in with the other stuff. But the priority are the things I just listed. So if somebody asks you, hey, do you want to get on a call this day? If you're busy working on something, you got to move it to a different day. If somebody asks, hey, do you want to go on a trip? Do you want to do this for a few days? Can I come over and visit you? You can look in your calendar, say, nope, that's not possible. How about this month? How about this week? Well, in advance. What happens to us now? Because the whole year's not planned. We just say yes to everything. We get overwhelmed because we're like, oh, May is a long time from now. Or, oh, September of next year. Oh, yeah, let's say yes to that wedding. If you know about that wedding and you have time, put it in the calendar now. But you gotta have some structure, so what's important gets done.

To wrap up today's lesson. I highly encourage you go through this exercise, the preloaded year. Plan out 2020. Get ahead of the game. Feel like you have a plan before it even starts. And by doing this exercise, and by the way, it only takes about an hour to do this, you're going to feel a whole lot more confident that what you know is important will get done. Most of us don't take the time to ask ourselves, what do we want to prioritize in our business next year? What are the big rocks? How am I going to do it? How much time is it going to take? When am I going to actually make it happen in my calendar? This allows us to have the freedom to actually accomplish our goals. The freedom to actually do what we want. That's why we start with the vacations, right? The holidays. Get those in first. This is not a restriction. This is a liberation. Trust me, I've been doing this and it's great.
