Let me tell you about Intuit QuickBooks. When I was starting out my business, I remember sitting at my desk late at night not working on my business but cleaning up numbers, tracking and reconciling payments and wondering how this became my life. Listen in on Friday just like today to see if you won. It's that easy. In today's episode, you will learn how to organize your weekly when you wear all the hats. If you're an independent business owner, there's a good chance you are wearing many hats. In your business. You work in marketing, you work in sales. You work on the product itself. You might do customer service and reply to customer emails. You might be managing a small team of people that you need to meet and hold them accountable. You got a lot going on and sometimes it can be really overwhelming and really hard to focus. So in today's lesson, I'm going to share with you my personal technique on how to organize your week so you're not overwhelmed, so you actually see progress in all the different areas you work in. And most of all, it encourages you to have a calm and productive working environment so you're not feeling like, hey, I got a million different things to do every single day. This strategy really helped me over the years and I can't wait to share it with you. So let's get into it. Let's get down to business. Introducing Fidelity Trader plus. Fidelity Brokerage Services, LLC member NYSE SIPC I do a lot for our business and our podcast, we actually run two different businesses. This podcast, the $100 MBA, and of course, our software company, Webinar Ninja. So on a given week, I have to do a lot of different types of things. Whether it's attend meetings, whether it's evaluations, whether it's speaking to customers or working on the product or marketing the product or doing sales or writing or creating content or strategic planning. There's a whole lot of things. And one of the things that really slows you down is what's called context switching. That means it takes energy and time for you to switch from one context to another. So for example, if you're working on a marketing campaign and then you have to switch over and do customer service, that switchover takes some cognitive time for you to be fully into that. It takes you time to then go out of that and go back to marketing to ramp back up. We don't want to do that. We want to be efficient. We want to be productive. So I'm going to share with you what I do to organize my week to prevent overwhelm to be productive and feel like I have a handle on every aspect in my business. So the first thing I do is I categorize everything I do in the business into five categories. And for me, those five categories are content and planning, management, product marketing, and sales. I can pretty much put all my tasks in one of those five buckets. For example, let's say somebody reaches out and says, hey, I would love to have you on my podcast. That goes in my content bucket. So that appointment would go in that category. So what do I do with these categories? Well, I take each of these five categories and I assign them to a day of the week. So for me, content and planning is on Monday, management's on Tuesday, marketing's on Wednesday. Thursday is sales and Friday is product. And these are my themed days. I love this because I get to wake up in the morning each day and say, this is all I gotta focus on. I get to enjoy my day because this is marketing day and I get to go all in on marketing. You know how you can start hating something is that you do too much of it. It becomes a burden. And when you have to do marketing every single day, for example, a little bit every single day, it's not exciting anymore, it's not a novelty. The same thing goes with management, where I get to meet with my teammates, run collaborative meetings, find out what everybody's working on and see if I can help them out. This is where I get to work on my leadership and enjoy my time with my awesome team. When I'm working on product, I got my creative hat on. I'm thinking of solutions and figuring out how to help our customers. I even do customer interviews that day to improve the product. When I'm working on sales, I'm looking at my targets. I'm focused on how to convert more people into our funnels and into our product and make sure we have a plan of action of hitting our goals. I literally mark on my Google calendar with a different color every single day of the week and write down, this is product day. This is marketing day. So when I wake up in the morning, I look at my calendar, I know exactly what I'm focusing on. And all my to do's that I have to do that week are plugged into the calendar at different times for that theme. I all my marketing tasks are on marketing day. All my content tasks like the podcast are on content day. This allows me to be in a flow state for those days. So I'm focused on that theme. Ideas beget ideas allows me to kind of just stay in that mode and not content switch. And by the end of the week, all the departments have been taken care of. Everybody's gotten an answer or helped out in some way. We've made progress, and I haven't gotten burnt out in the process. What's also great about these themed days is that it makes it easy for me to schedule whatever I have to do. So, for example, like I gave that example with the podcast interview, I accept podcast interview appointments on this day because that's my content day, right? If I'm running meetings, I have all my meetings with my team in one day, which is my management day, so then I can go into deep work with no interruptions. On my other days when I'm scheduling a webinar, I don't have to guess what day I'm going to do it. I'm going to do it on my sales day because I'm selling on that webinar. If I want to experiment with some marketing with newsletters or marketing with Facebook ads, I'm going to do it on marketing day. You get the point. This makes your life so much simpler because you just plug it into the calendar based on the day. Now I know you might be asking Omar, what about like email and messages and communicating with people? Where do I put that? I'm glad you asked because I like to schedule 20 minutes before lunch and 20 minutes at the end of the day every single day, which I call cleanup. And that means just check inboxes, check any notifications, my DMs on social, check if I need to answer any questions. And it's just 20 minutes and I just check in at those times and I'm done. I don't have these tabs open constantly all day long. I'm not replying to emails in the middle of tasks. No, I am doing it at the allotted time. I got more on today's topic, but before that, let me give love to today's sponsor. Hey Fidelity, what's it cost to invest with the Fidelity app? I like to spend the second half of Friday, my last day of the week, on things I call things I missed. So this is sort of a chance for me to catch up. If I miss something, something on the to do list didn't get done in time. I can jump in and kind of clean things up, finish things up. Maybe I have to get back to somebody that I didn't get back to when it came to sales or marketing or product or whatever it is. And I just clean up any loose ends. Often this doesn't take half A day. This takes maybe five minutes, maybe 20 minutes, maybe an hour. Sometimes no time at all. I'm done. It's over. And guess what? There's nothing on the calendar for me to do because I block booked myself halfway through Friday. Half day Friday, maybe. Reward yourself for being efficient. No problem. And go enjoy your long weekend. That's what I like to do because I like to ease into the weekend and not feel so much pressure at the end of the week. And that's why I leave half a Friday to kind of clean up any loose ends, if any. Guys, thank you so much for listening to the 100 RBA Show. The more you can help yourself to focus, the more efficient you'll be, the more you'll get done. It's incredible if you just focus on one thing, one idea, one concept, how much traction and how much ground you can cover without moving in and out of focus, moving from one topic to another, being distracted. It's all about focus. Thanks so much for listening to the $100 NBA show. Don't forget to hit that subscribe or follow button on your favorite podcast app. Do that right now so you don't miss a beat. We've all been there. You hold on to a coupon, hoping to cash it in at the store, but then you forget about it and suddenly you've got a mountain of useless expired coupons.
Do you think this one's still good? Free milk.
Oh, mate, that expired in 1993.
Dang it.
Fortunately, there are better ways to save money. Like by switching to Geico. You could save about 900 on car insurance without ever touching a coupon.
Ooh, how about this one? Half off floppy disks.
Now, you should try a bit of spring cleaning.
It feels good to save big. It feels good to geico.
