Lightspeed Parts Module Webinar

The webinar, presented by Lightspeed staff Christine Ruttner, Brian Tierney, and supported by Derek Marshall, provides a comprehensive walkthrough of the Lightspeed Parts module. It covers the parts invoice (point‑of‑sale) screen, handling multiple invoices, barcode scanning, web orders, serialized parts, and the Parts Locator tool for locating inventory across the Lightspeed network. The session demonstrates the ordering workflow, the Buying Guide automation for inventory replenishment, receiving processes with customer notifications, and the mobile app’s barcode‑based inventory counting and part lookup features. Reporting and analytics tools—including Part Invoice Analysis, System Alerts, and Industry Benchmarks—are showcased to help dealers monitor sales, inventory health, and performance against peers. The webinar concludes with a brief Q&A on price books, the buying guide, and serial‑number editing, followed by logistics for sharing the recording, FAQ, and slides.

Good morning, or good afternoon, depending on where you are. My name is Christine Ruttner, and I'm part of the Lightspeed marketing team. I'd like to welcome you today to the Parts Department Tools and Solutions Wednesday webinar. Just a few housekeeping items before we get started. Today we're using Zoom, and at the bottom of your screen there is a Q&A function where you can type in questions. We do have Derek Marshall with us today to help us answer your questions live, and if there is time at the end, we can go ahead and address any additional questions or concerns. A copy of the webinar will be sent to you today, in addition with an FAQ with all of the questions and answers that were discussed today. Um, I'd like to turn it over to Brian Tierney. Thank you so much.
Excellent. Thank you, Christine. Thanks for the introduction, and thanks for joining us today, folks. My name is Brian Tierney. I am the Customer Development Manager with Lightspeed and have been with Lightspeed in various capacities for a little over 12 years. Used Lightspeed in a dealership here in Salt Lake City, Utah, where I live, behind the parts counter for much of that time. Spent a little time behind a sales desk and a service desk as well, which really means I've been using Lightspeed for the better part of 30 years. And really what got me into the and into the industry was my love for motorcycles and particularly off-road racing. So thanks for having me and thanks for joining us today, folks. The goal for today, as Christine had mentioned, is to go through the parts module in Lightspeed and show you how it's a single platform with a series of solutions to managing your business and managing the customer experience with your, your business. The things that we're going to cover related to those are the parts invoice or the point of sale screen. And I want to show you all the shiny bits and things that really set us apart from other dealer management softwares and really kind of create efficiencies for managing the department. We'll also look at one of my favorite parts of the program, which is our Parts Locator tool. And we'll show you how you can use that on the Parts Invoice screen to satisfy your customers. Also got some automation and inventory management in the buyer— the Buying Guide, which is found on the Ordering screen of the program. I sometimes call it my wish list. We'll cover that as well. We'll spend a little bit of time in the mobile application and see how you can use that to manage inventory and also use it for a physical inventory count. Inside your business. We'll follow up all, all of that detail with some reporting and analytics in the program and show you some ways that you can manage the department and your business through reporting in Lightspeed. And then of course we'll have time for some questions at the end of the presentation. Uh, and anytime if you do have questions, as Christine had mentioned, go ahead and send those through the Q&A section of your Zoom screen. And my, my good friend Derek will be happy to answer those questions along the way. So where we're going to start is the parts invoice screen, or sometimes referred to as the point of sale screen. And this is really the interface that the parts department interacts with your customers. And there's a number of features and functions that live on the parts invoice screen that create efficiencies in your business, allow you to manage inventory, and really create an excellent customer experience. And we'll look at those together as we go into Lightspeed now. So I'm gonna go ahead and pull Lightspeed up on the screen. And what you're seeing, if you haven't seen this image before, this is what we call the login screen or the splash screen within Lightspeed. Across the top of the screen are the different departments or modules within the program. And we're going to focus today's presentation in Parts. And as mentioned, we're going to start in the Parts Invoice screen. So I'm going to go ahead and launch a Parts Invoice now. And in doing so, a couple of things have happened. One, the invoice screen is loaded onto the view. But there's also a tab on the left side of the screen that allows me to not only see that I've got a new invoice open, but it's going to allow me to manage multiple invoices simultaneously. I can have 2 different invoices going at the same time or 3 or 4. And we'll look at that together in just a moment. But when When I open that invoice initially, my part number field has a cursor flashing in it and it's waiting for me to enter a part number. I can use a barcode scanner to enter that part number or my keyboard and just simply enter the detail into the screen. Now in this case, I entered a part number with the keyboard, but again, if I have a barcode scanner plugged into my computer, I can scan the barcode and the same result will happen. Description for the part comes up on the screen with current pricing, and I can see the inventory value at the bottom of the screen for that part. Now since I have that part in stock, The system's going to allow me to sell it. So there's a 1 populating the SLD or sold column on the invoice. Maybe a customer wants another item and I do the very same thing. I use my barcode scanner or key the part number into the part number field. Same experience happens. Description for the part comes up on the screen with current pricing. And my inventory values are present at the bottom of the screen. Now you'll notice that the sold to box is lit up in a pink color. And it's waiting for me to enter customer information. Now you can set that as a requirement, a default requirement if you want to, or turn that off to allow for cash sales. I'm going to recommend setting that as a default requirement because I think it's important to capture customer information on a parts invoice. And as we get into the reporting portion of the presentation, you'll see why. So if I double-click into that Sold To box, my customer lookup screen pops up waiting for me to enter search criteria. Now I can enter anything that I know about the customer into that search field— first name, last name, uh, phone number, address, whatever I know about that customer, I can enter it into that field, select the customer from the list, and drop them into my invoice. And if that's all my customer needs, I'm just simply going to hit the cashier button, select my method of payment, and cashier the invoice. Well, let's imagine at this point Mr. Emig has decided to take a phone call. I was ready to cashier him, he's ready to go, but his phone rings and he has to step away for a moment. And in the meantime, another customer walks up to the counter. I launch a fresh parts invoice. And I can start assisting that next customer while I've left the parts invoice screen that I was working on prior still open on Lightspeed. So I can go ahead to the second parts invoice and do the very same thing. Scan or enter parts into the part number field. Enter a customer into the invoice screen just like I did with Mr. Emig. And we can search by first name, last name, anything that I know about the customer to add them to the invoice. And then I can cashier that invoice. So what I really love about Lightspeed is I can manage multiple tasks simultaneously using the tabs on the left side of the screen, and there's really no limit to the number of invoices that I can be servicing at any one time. Expedite the process for my business, but also increase customer satisfaction for all the folks that I'm working with. Some pretty cool stuff. So in addition to that, I'm going to open up a fresh invoice and show you a couple of other details that relate to that parts invoice experience, one of which is web orders. Now, some of you on the call may have a website where you're showing some of your inventory, your parts inventory. You might even have a storefront on your website. Uh, in which case, if you want that to speak to Lightspeed, that communication for sharing inventory out to the web, and those purchases coming back to Lightspeed goes through a function called web orders. And when I open a parts invoice and I'm speaking to my website, ARI website, Dealer Spike, or any number of online sources for web providers, there's a number showing up in my web orders button. In this case, I've got 61 web orders that are coming from my website waiting for me to process them. I click my web orders button, select the web order from the list, and then I can process that sale within Lightspeed. Taking care of my customers on the web, taking care of my virtual remote customers, and I'm still managing inventory and the customer experience within Lightspeed. I'll go ahead and cashier that invoice and away we go. So a couple of other things I'll just kind of highlight as we go through the parts invoice screen. One of which is a brand new function called serialized parts. And what's really exciting about serialized parts is it enables you to now sell a part that has a serial number on a parts invoice, where traditionally we've had to do that through a sales deal interface. We don't have to do that anymore. Things like power equipment or electronics that in selling those things, we want to track the specific serial number for those sales. And let's take a look at what that looks like if we do. So if I enter a part number that's serialized into the part number field on my invoice, like for example, this edge trimmer, it's a gas-powered edge trimmer. I'm going to go ahead and sell this to a customer. I'll show you what happens. So let's go ahead and select a customer for my invoice. See if we can get Miss Linda Smith's name spelled properly. We'll drop her right on the invoice. And this is all she needs. She's just going to take that edge trimmer. When I hit that cashier button, Lightspeed then asks me, which serial number are you about to sell? Because it's attached specifically to an individual serial number. I select that serial number, click OK. And then I can select my method of payment and cashier the invoice. Now what's really cool about that, when I sell a serialized part number, even though it's a part, again, it has a serial number attached to it. And the way Lightspeed looks at a serialized part is it treats it almost like a major unit. And if you've heard that term major unit before, you know that's an inventory item that lives in the sales department in Lightspeed. Now a, a major unit or a serialized part can be attached to a customer name as a customer unit. Let's go back to Jeff Emig's invoice. And if I'm on the invoice where now he's come back to the counter, he's got off his phone call, he's ready updated cashier on the oil pan and oil filter. But if I go to the very top of the screen and I click Unit Info, I get a chance to see all the units that he's either purchased from me, has had service work done in my service department, but I can also see the serialized part or serialized parts which effectively show up as customer units in his record. And in the past, he bought an edge trimmer from me and I can see the individual serial number, model number, The make of that product and year for that product. And really what that looks like if I'm providing the customer an invoice. So I've sold the product, cashiered the customer, delivered the item to the customer. The customer's copy of that invoice looks basically like this. They're going to get a print copy with my dealer logo attached to it. All the details pertinent to that sale, such as part number, price, date, salesperson's name. All the applicable prices and tax values. But the serial number is found at the bottom of the document. So it allows you to track that serial number, allows you to manage inventory on your parts side of the business that requires a serial number. Something that's new to Lightspeed. I think you're really going to like it. Pretty cool stuff. At the end of the day too, when that serialized part needs service, for example, needs an oil change, needs some warranty work done, when you come into the service department in Lightspeed, you'll be able to attach that unit As a, as a unit to a repair order. Treat it just like a motorcycle, a boat, an RV. Makes it really cool. Pretty cool stuff. So last little detail I'll speak about on the parts invoice screen is the ability to look up parts right from the invoice screen. Now depending on your industry, we've got a number of electronic parts catalog tools available. PartSmart, PMPro, and there's a number of OEM-specific electronic parts catalogs that are available through the parts invoice screen. I can select any one of those that I'm licensed for and it'll speak right back to Lightspeed, allowing me to look up a full catalog of brands and products, look up a specific year, make, and model vehicle, look at the schematics of the chassis motors, pick an item off that list, and then send it back through a shopping cart tool back to the invoice screen where I can then sell the part or order the part for the customer. Now, the next detail that I'll speak about in the parts invoice screen I think is one of the coolest features of certainly the parts department and maybe one of the coolest features of the entire program. And it's one that I'm really excited about. And I'd mentioned that I worked behind a parts counter for many years, and I found this tool to be helpful in 2 ways. And this is our parts locator. We're going to speak about what that looks like in just a second. But the parts locator is a tool that exists on the parts invoice screen. It's a way that you can locate parts somewhere in North America that you don't have, be able to expedite the process for your customers, not only on the parts side of the house, but also service and sales. Let's take a look at what that looks like together now. So I'm gonna go ahead and pull Lightspeed back up on the screen. And let's imagine we're helping Mr. McGrath. He's looking for a wheel collar for his '88 YZ250, for example. So we go ahead and launch the EPC. I launch my Parts Manager Pro Online tool. And it comes up on the screen and I select year, make, and model of the vehicle that he would like a part for. And then I send that part right back to the invoice screen. And when that happens, we're about to take a look at something really cool. If you haven't seen this before, I think you're really going to like it. So I've got the part number for that wheel collar. Description for the item shows up on the screen with current pricing. And I can see that I don't have that part in stock. So Mr. McGrath is a little disappointed. We don't have it. We need to order it for him. So since I don't have it, there's not a 1 in the sold column. I can't sell it because I don't have it. There's a 1 in the SO column, which is my special order column on the invoice. Now once Lightspeed recognizes I need to order that part, Some green lights have lit up on the bottom of the screen— warehouse, dealer, and store locator— and it gives me an indication as to where that part is in the country and allows me to answer the question that Jeremy inadvertently will have is, how quickly can you get it? Because anymore, as you probably know, customers have the opportunity to buy parts on Amazon or eBay or any number of online sources. So if you can expedite that answer to the question, tell Mr. McGrath how quickly you can get the part, and if the answer is tomorrow or a couple of days, Usually that's the difference between getting that sale and them going out and ordering it on Amazon themselves. Which is really cool. It's going to help keep those customers in your business. And I'll show you another feature that I really like, but let me get to that in a second. So the wheel collar from Yamaha, I can see that there's plenty of those in stock in all of Yamaha's warehouses. So I could tell Mr. McGrath, yep, looks like they've got one in Cypress. We're here in Salt Lake City, Utah. I can have it in 2 days. How does that sound? There's also times when the manufacturer or the third-party companies like Western Power, Stagg, NTP, Land and Sea, Parts Unlimited, maybe they don't have the part in stock. Maybe it's backordered. Maybe it's discontinued. The beautiful thing about Parts Locator is it's going to show you other Lightspeed dealerships to the tune of about 3,800 dealerships nationwide that have inventory shared out to our Lightspeed servers. And I can see who those dealers are that have that part that I need, how far away they are from me, and who to contact if I need to get that part from a Lightspeed dealer. Opens up opportunities not only for the parts department, but also for the service department to get inventory that you couldn't get otherwise. Pretty powerful stuff. And if you happen to be one of those businesses that has multiple locations, maybe an east side store and a west side store, you'll be able to see between your stores who has what part in stock. Pretty powerful stuff. Opens up all kinds of opportunities. And the last little detail I'll speak about on Parts Locator is the button that's on the upper right corner of that window, Upload My Data. What does that mean? Well, if I want to share my inventory out to the world so that other dealerships can see what I have, and why would I do that? Well, maybe I've got some obsolete parts sitting on my shelf, some things we ordered 15 years ago that we haven't been able to sell and it's collecting dust. And I'm sure you have those. I know that I did when I was a parts person. You'll be surprised at how many times each week dealerships across North America call and say Lightspeed says you have this part in stock. If you have it, I'll buy it from you. And you can get rid of some of that old obsolete stuff and it makes a huge difference on your inventory counts and also creates additional sales and additional customer relationships with other dealerships. So pretty powerful. Great stuff. So let's imagine now we've cashiered the invoice. And we're going to talk a little bit about inventory maintenance. And if we've cashiered that invoice, we told Mr. McGrath that we can order that part for him. We cashier the invoice. It takes that special order and it drops it into the order screen. We'll take a look at what that looks like in just a second. But also look at some other ways that you can manage inventory within Lightspeed. Some inventory management tools that allow you to manually update inventory. But also let Lightspeed keep track of the things that you're sold out of, your fast-moving parts, so that you don't reach into that bin one day to find a light bulb or oil filter and the bin's empty. So if you've had that experience, you know how painful that can be. I have had that experience many a time. Let's show you some ways that you can manage that in Lightspeed to reduce those and potentially eliminate those situations from happening. So again, we go ahead and cashier the invoice. We're going to sell that part to— or the 2 parts that we have in stock to Mr. McGrath and order the 3rd part. When I cashier that invoice, that special order part has now gone over to my order screen. We're going to take a look at what that looks like now and also how you can use the ordering screen to manage inventory. So parts ordering. Now the ordering screen, I sometimes think of this as my wish list. And this list contains a series of parts that need to be either ordered today or at some point in the near future. Each line represents a different unique inventory item. Now, a couple things I'll point out as we're looking at this screen. First of all, you can see part number, description, the supplier that we get that from in terms of a supplier code, some order cost values. But we can also see, is that part a special order part? We know that based on the SO column, and there's a dot in the SO column that gives an indication that that part is a special order. So on this particular 5-step, 11-inch hook ladder, it is a special order item and it's been ordered for Mr. Robert Grant. And we can see that detail at the bottom of the screen. It's a retail customer over the parts counter. But maybe we've got something like this oil filter that's been ordered, also special, but it's been ordered for a repair order customer. I can see the repair order number and the customer name that's attached to that item. The items that don't have a dot in the SO column are just simply items that we need to order for stock. Things that we've discovered that the bins are empty or that the shelf is low on inventory and we just need to get those coming. And I can come into my wish list or my order screen, enter parts into the list, and just add them to my list of items to be ordered for the day. Or use that automation I talked about called the buying guide. And the buying guide is a way that you can let Lightspeed manage your inventory for you. You can set specific reorder points like minimum values, maximum values. You can use the sales curve, which uses a little bit of the in-vogue term artificial intelligence, if you will, to the order process. But essentially what it relies on is a budget that you've put into the system. The columns that you see here represent each month of the year and the dollars we expect to spend to restock our shelves. The suppliers listed on this window are all the suppliers I work with— OEMs, third-party companies, local companies— all the companies that I order parts from. And the categories are things like chemicals, tires, clothing, anything that I'm categorizing to put into buckets for my inventory. And I can say, hey Lightspeed, what am I sold out of? What am I low on? What do I need to order so that my shelves are stocked? And I run the guide. And the guide comes back with a list of items that it recognizes that I'm low on, that I've gone below my minimum threshold or that the sales curve has determined that I should reorder. And if I don't like what I see, I can make adjustments. But if I like what I see, I can click up— click update and it adds those items to my order screen for the day. So it makes it easy to automate the reorder points for my system and maintain my inventory so that I don't have to remember all those nuts, bolts, and fasteners that I'm selling out of and then run out of it at the wrong time. And I'm sure you've experienced that. So at this point, after we've updated our buying guide, it's now time to place an And in Lightspeed, when I hit that purchase order button, I can then select my specific supplier like Land and Sea, Parts Unlimited, Honda, whomever it might be, or Western Power Sports, for example. Preview the order just to make sure the detail makes sense, or maybe that I've hit my free freight threshold for my purchase order. I can see part numbers, descriptions, special order customers, and when I'm ready to process that order, I hit process. And it communicates the order electronically from Lightspeed to my vendors. Now we've got some direct feeds to certain vendors like NTP, STAG, and with Parts Unlimited, and there's a number of others. We've got some ways that you can save the file to your local hard drive and then import that into your vendor's order portal. So depending on the company that you're working with, either of those scenarios would work. If you have questions about who we have relationships with for those order functions, or for another concept called price books. Now when I go to Parts, List Price Books, Going back to those retail prices, the descriptions, the costs that we saw on the invoice screen are also on the ordering screen. We update that information every single night from our providers so that you've got the latest and greatest costs, retail, supercession information, UPC codes, part numbers from all of these different companies that we have relationships so that when you enter a part number from Drag NTP or Drag Specialties, NTP Stagg, Parts Unlimited, Honda, on a parts invoice, repair order, sales deal, the information comes up automatically through a service called Pricebooks. We've got several relationships, probably well over 250 different relationships with those companies. And if you have questions about who those companies are, who we have relationships with in that regard, check out our website, lightspeeddms.com, where you can see a list of all the partners we have for parts and also for sales and service and even rental within the, the website. You can come into the partners page, select a specific department, select a specific industry or specific integration, or just search by name and find out if we have a relationship with a company that you are looking for, for your business. And if you have questions, also reach out to your account rep with Lightspeed, and we'd be more than happy to help answer those questions for you. Also about the EPC catalog we looked at a moment ago. So with all that being said, after I've placed my parts order, I've completed my wish list for the day. Now it's time to receive parts because the UPS guy or the FedEx guy or gal is knocking on my back door and I let them in and they drop off a box and now it's time to receive those products into the system. So I would go to Parts and Receiving. And I'll select my specific supplier. And this is the last little detail I'll talk about regarding parts ordering and receiving. When I receive special order parts and I'll know it's a special order again, that SO column is present indicating it is a special order part. Customer information is on the bottom right of the screen. As soon as I enter my packing slip number and hit save, that customer gets a text message or email letting them know their parts have come into the system. So text or email, depending on your, your favorite mode of communication, uh, lets the customer know. Now, one caveat to that is if it's a service-related or sales-related special order, we don't notify the customer on those. We notify the appropriate department, service or sales, that the parts have come in. And the way we do that is either through the mobile application, which we'll show you in just a second, or we do that through the Lightspeed desktop. And we'll look at desktop when we get to the reporting portion so that you can alert different departments about Uh, intervals in the program such as parts have been received, or even that customers have arrived in the system. So we'll look at that in just a moment. Excellent. Well, let's take a look and go back to our, our PowerPoint. We're going to speak about the mobile application. And I want to introduce this to you. If you haven't seen our Lightspeed mobile app before, I think you're really going to like what you see. Not only does it allow you to access parts inventory to see if you have parts in stock and what the counts are, but it also allows you to streamline the physical inventory count process. And we'll take a look at that together now. I'm going to go ahead and pull Lightspeed back up on the screen. And close a couple of the windows that I've got open. And let's pull up that mobile application. So what you see on the screen now is our Lightspeed mobile app. Now this works in Apple or Android devices. It doesn't care which brand of phone you have. It works in tablets or cell phones. As long as it's a mobile device, it works. And a couple of things that we're going to feature in today's presentation are the parts lookup functionality as well as the scan inventory. But you can see there's a lot of other functions that live in the mobile application. That have come up in prior webinars that you can view on our website if you want to check those out. We went in a little more depth on some of those functions in previous presentations. But for now, we're going to talk first about the scan inventory function. And why do we have that in there? Well, uh, the long story is that during the pandemic, the provider of barcode scanners for Lightspeed was out of product. We couldn't get scanners. So our programmers decided to build the scanner right into the Lightspeed mobile app and allow us to provide a service for our customers to do a physical inventory count. And that's what we see here. Here. So with my cell phone, which most people have these days, you can launch the barcode scanner, walk around your shop, your showroom, your back room, scan the barcodes on the products. It saves that inventory into a cached memory where you can then download that information into Lightspeed through a tool called Inventory Updating and Scanned Inventory. And essentially, when you've dumped that data into Lightspeed, you'll see a view that looks much like you see on the screen here. Part numbers, quantities that you've counted, the old quantities which is about to be— get overridden by the new quantities. And there's a few color codings that tell us a little bit of information. If Lightspeed recognizes the part, it's lit up in white. It's in inventory, it knows what it is. If it's in price books, so maybe you— your inventory was off but you've got a part that price books recognizes, it's lit up in purple. So it'll add that item quickly to your inventory once you update. If you get a part from multiple suppliers, so maybe we get it from NTP Stagg, but we also get it from Donovan and they use the same part number. Well, it's going to ask us which supplier do you want to update, the Donovan or the NTP Stagg? And if it's something that it doesn't recognize, like if you scanned a can of Coca-Cola, well, the scanner will read that number, but Lightspeed may not know what it is. And so you'll have to go and do a manual update. But at that point, once I hit update inventory, It updates my inventory. I've got a real-time count of what I've just scanned through my cell phone, and it expedites the process. And if you've ever done a physical inventory count with a clipboard and a number 2 pencil, you can imagine how much faster and more efficient this is than the old-fashioned way that I was used to back when I was in the dealership. The other thing that you can do with that mobile application I'll speak about is looking up a part. So if I launch my part lookup on the mobile app, I can search by description, I can search by part number, I can search by a number of criteria including supplier. Find the item that I want to look for, like the foam filter cleaner for example. Drill into the detail, see how many I have, what the dates are that show last setup date, last count date, last sold. And I can see all that information right from my cell phone. So it makes it real easy to check inventory, manage inventory, and increase the business experience with the mobile. Pretty cool stuff. Last little detail we're going to talk about in the presentation today is reporting and analytics as it relates to all the things we've talked about thus far in the presentation and also as it relates to your parts department. We've got some great tools in the program that allow you to track customer purchases, inventory levels, performance of your staff, and also compare yourself to other dealerships across North America and see where you stand in the, in the grand scheme of things. Let's take a look at that together. So I'm gonna go ahead and pull up Lightspeed again, and I'm going to go to one of my favorite reports in the program called the Part Invoice Analysis Report. And that lives in the Parts module. And I select that, select my date range, which I've already done, and gather data. And at this point, I get to see things like who my best customer is, how frequently they come to see me, and how much money do they spend when they do. What's the busiest hour of the day in my business? If I'm trying to schedule breaks and lunches, this gives me a sense of what my ebbs and flows in the business look The daily report, which lets me look at a month of, of time or a week of time to see what was the ebbs and flows of business during that period of time. Did we see a spike in business around the holiday or the weather event? And what were the dollars and number of invoices cashiered during that time? The day report, which correlates roughly to the hourly report, showing me ebbs and flows in business throughout the week for scheduling decisions or just making decisions about the business. And then going back to tracking customers on invoices. As long as we're capturing their information, including zip codes, Particularly for those of you that are interested in web orders or using web orders, you can see where your customers are coming from. How frequently does that zip code come to see you? How far-reaching is your social media page or marketing campaign going? Some really powerful data here that'll help you make decisions about your parts department and really about your business. In system, there's a function called System Alerts. And some of you may have seen this before, some of you may not, may not have seen this before. But System Alerts is available to most users based on permissions. And what it allows you to do is schedule alerts to yourself based on specific intervals or instances in the program. Things like this one, for example. I want to get a notification in Lightspeed. I want an email and a text message when a part is in my inventory where the cost is greater than the price. I also want to know if somebody has sold a part into the negative. I want to get an alert about those kinds of things. I want to know when a lost sale has occurred in the system. And I want to know when something was sold below cost or that a, an item was sold below a specific discount threshold. So I can assign those alerts to myself so I don't have to sit and read paper and look over people's shoulder and make sure they're doing what they're doing. I can get a notification to email, to text, or even a little pop-up in Lightspeed to let me know that those things have happened. Even things like a customer has arrived that I want to talk to in the parts department. Or even just a customer has arrived somewhere in the business that I want to make sure I say hi to when they come in. So really, really powerful stuff. Back to that alert screen when parts have been received across departments to the service department or sales department. If I want to know about those things, I can see that special orders have been received on my desktop, which is another function that lives in the system menu. You can assign yourself a series of widgets based on the things that you want to be alerted about and to be notified about in the program. You can also be alerted about when other departments are requesting parts. So when the service department or sales department is requesting parts. Service-specific related special order statuses for fully ordered, partially ordered, or not yet ordered items. And I can really monitor what's going on with relation to ordered and special order parts in the business. And finally, one of the coolest reports in the program is our Lightspeed Industry Benchmarks. And what this tool allows you to do is compare yourself with other dealerships across North America. And you can target specific departments or specific aspects of the report. But it allows you to see things like what your parts department trends were in the last 13 months? What does your gross profit look like in relation to other businesses in your area? What is your salespeople's performance? And what, what sort of parts do you sell by zip code to the different people that come into your business? So a lot of really powerful information that lets you gauge how you compare to other businesses like yours and kind of give you an indication if you're on the right track. It's really, really powerful stuff. So in closing today, we talked about a lot. We had a very short time to talk about those things. We spent a little time on the parts invoice screen, introduced you to that serialized part concept, which I'm very excited about. We're able to show you all the different bells and whistles that live on the point of sale screen. That parts locator, which hopefully you found some value in that. I certainly have. I've had tons of use of that over the years. Automation and inventory maintenance through the buying guide and the wishlists or the parts ordering screen. The mobile application, which I'm hoping you see some value in that as well. And I hope you saw some reports and some tools in the software that you'll be able to lend to your parts experience and also to your business experience. And hopefully you found some value in all of those things. And I certainly appreciate your patience and your time and your attention today. And do we have any questions that we can answer right while we have everybody?
Derek, were there any questions that we should review really quick before we end our session? I know there was quite a bit of questions that came in.
Yeah, so we had a few questions come in. A lot of people just asking about price books and the buying guide and things like that. So outside of that, you can edit the serial number in the receiving screen. So that was one of the main questions that came in, and you will find the serial number at the bottom of the invoice as well. So for tracking.
Excellent. Excellent. Very good. So that being said, we will take a record of the questions, put them into a formal document with the question along with the answer to those, and share that out to everybody on attendance within the next 24 to 48 hours. Along with the recording of today's presentation, so you can watch it again if you like. If you feel like you missed something, you can review it, and you can also share with other people in your department at any point in time, and it'll also be posted to our website. And we're also going to share a copy of the PowerPoint just for your review as we go through our next webinar, which is coming up in about 30 days. But we certainly appreciate everybody's attendance. Thank you so much. We hope that we were able to provide you some, some value and answer some questions you might have had and show you some things you might not have seen before in the Parts Department.
Thank you everyone for joining us, and if you have any questions, please feel free to reach out to us. The number and email address is up on the screen. Thank you so much. Have a great rest of the week. Thank you very much.
