Is your procurement software field friendly? If the answer is no, then this video is for you. If you think about any procurement software, most of them are designed for people who are sitting in office. But if you are, let's say, in construction or environmental projects, your teams are generally in the field, they are performing the job and they need to constantly need to order materials which might be missing and you know, they need to kind of order it now and so on. And most procurement softwares don't cater to that. So in this video, I'm going to walk you through how to solve that problem. If you're joining me for the first time, welcome. My name is Sachin Sharma. I'm the founder of procuredesk, where we help growing companies automate their procurement and AP processes. So let's first talk about the gap. Why there's this gap with procurement softwares. The problem is most procurement softwares were designed for people who are sitting in office ordering supplies, office supplies or IT supplies, and so on. These are the people who are generally not in the field. So you can log into a web browser or a desktop application and order the product from there, right? No problem at all. However, when you take this to construction, it becomes a problem now. So that leads to one of two problems. Either A, your construction crew is not following the process. They just go and order what they need to order. And then you have spend control issues and, and you have budget issues with their projects, or they have to call everybody in the back office or central office to order the material. That slows down the process. So how do you go about fixing that? The solution to this problem is using a procurement software that has a mobile app. So with the mobile app you can do a couple of things. Number one is you can order material when you need to. You are in the field, you realize you're missing a part. You just go to the app, figure out, you know, your favorite vendors, put in a brief description of what you need to buy, and you're done. The order is placed. And this process can also be used if somebody needs to go to Home Depot to pick up a material. That way they have a central control over what people are purchasing and for what project. Specifically, number two is you can use the mobile app for receipting. So now not only let's say you know, you can order, but if you're in the field and you receive something, you, you can take a picture of the packing slip, the product that you received, and so on. So you're capturing all this information and no information is lost. The benefit is two sided, not just for the crew, right? Because they can order material fast, but also for your finance team. Now your finance team have full visibility in terms of what is being ordered, what is being received, so that when they receive the invoice they can perform a three way match and figure out if this invoice is good to pay or do we need to get any sort of other approvals and so on. Right? So you're paying what you actually received and ordered. But more important is it keeps your job projects under budget or underestimates, right? So you can do your profitability analysis. Now, one quick thing you should ask before selecting any system is is it ready for field? Right. Does it have a mobile app? Does it allow me to take receipts and pictures and so on? And if you do that, your crew will follow and then you have an AI process that's working not just in the office, but also in the field. I hope you like this video.
