Customer-Vendor Lists QBO

Linda Artesani shows how to manage customer and vendor lists in QuickBooks Online: making them inactive, customizing columns and view density, handling recurring transactions that block inactivation, and processing payments directly from vendor records.

Hi there, Linda Artesani, Artesani Bookkeeping, and I'm here just to do a short video on some of the hidden features in QuickBooks Online that I know some people struggle with. And this one in particular is the screens that you see the lists on, maybe your vendor list, your customer list, your chart of accounts. And maybe you've deleted someone and you want to take them, or maybe somebody you're not going to do business with and you want to take them off the list. So let's, for example, let's go to Diego Rodriguez here. I did business with him in the beginning of the year, but I know I'll never do business with him again for whatever reason. Maybe you didn't like working with them. So I'm going to click to make him inactive. It's going to delete him from my list. So if I come back to my customer list, you'll see that Diego is no longer here. Now, what if I do decide to do business? I make up— we have a little resolution and we've decided that we do want to work together again. How do I get him back? So to show him on the screen, if you look over here, it's really kind of hard to see, but there's a gear wheel and it's your settings wheel. So if you click here, I can click to show my inactive. And if I show my inactive here, there's also other things on this list. You can show the address on this list. You can show your— it's a little bit squished there. You can show the email. So if I want to show my address list, I just come over here because it's kind of squished. We'll just click off of there. And I can just come up here and I have to find, you have to kind of play around with dragging the thing. When you start to see the arrows going one way, I can drag this and I can also drag this one back so I can see the full email address. So now you'll know who you've got an email for and who you don't. So it's the same thing in the vendor list. It's the exact same thing. So now if I see that here's this person and I want to reactivate him, I can just click Make Active Again and he'll be made active for the list. So I can now start working with him again and it puts him back. So that's a nice little feature. I like showing my list with all— with more compact, get more of them on the page. But if you want it a little bit less, you can just go to 50 and only show 50 on a page. And obviously when you come down to the pages as you go through, this is going to show 50 vendors and you can just— we only have 29 here, but if you had more, you could click next. If you're looking for someone and you know that you can't find them on the list, say somebody at the bottom, I can just hit Bob and see if— well, I don't know if there's even any Bobs, but we can go down here and I'll click Dylan because I can see Dylan's there and it'll bring it up. So that's a faster way to find that one customer for you so you can work through the transactions here. But that is just some of the ways I work around in QuickBooks Online that I think are a little bit easier and quicker. I like to work off the customer page. One of the things I like about this that I just realized this The other day working in it, so it shows you you can still learn as you go along. Say Jeff's Jalopies paid me. If I come here and receive the payment, I can click this. It's going to receive my payment for the $81 because I'm clicking on the actual transaction link. It already pre-checked everything off the amount received, and I just have to click up here and put what you know if it was a check, you know check one two three four or whatever, and I can hit save and new. Make sure it's in undeposited funds. Maybe I have more than one that I want to group together and. And take to the bank, or maybe I do it on my app on my phone, so I want it to go directly to my checking account. So that's just a little couple of tips here that will help you work and navigate in the customer fields. Like I said, it's the same in vendors. If we were going to come over to vendors, the same thing. If I wanted to take off Cal Telephone, I now use AT&T, for example, and I don't want to use Cal Telephone, I just come up here, click on Cal Telephone, edit that vendor, and make it inactive. And hit yes. Looks like it's used in a recurring template. Of course, I have to pick one that you can't inactivate, but if it's in a recurring template and you get that warning, now I gotta come over to the recurring transactions, find my Cal Telephone bill, which here it is, it's scheduled because it must be the same every month. Click here to edit it, and I want to delete this. Whoops, I don't want to edit it, I want to delete it. So I'm going to come to the dropdown and just delete it. Now I can go back to my vendor, Cal Telephone. I don't want it to be recurring because I no longer have this as my vendor, and I can come over here and make this inactive. And now it's off my list. So actually, that was pretty good to have that show. Again, if you want to show your inactive, you just come over here and just include the inactive, and then you can change the look of the screen to show more more compact version. You can add the address, you can add attachments, so it lets you expand on that screen. That's the tips for today on vendors and on customers. Just a couple little tips. Same thing with doing vendors. If you wanted to make a payment to this vendor, you can just click Make a Payment to this one particular vendor instead of going to the Pay Bills screen, and it creates a transaction for you. This is probably the last time I paid this. I paid it with a MasterCard, but you can change it to your checking if you decide to do it with check, and then you can just change it to print later and then come down here and print your check. So it's pretty easy to work in this program. This is what I love about QuickBooks Online. I am happy to say that as of today, my last client is converting over, so I am 100% with QuickBooks Online now. I don't have any people on the desktop program unless they call and need a little bit of help with that, but it's getting to be fewer and fewer. People are really moving to the cloud and moving to the ability to be able to log in from their iPad, their iPhone. It's just got so much more versatility. Of course, there are people who it won't work in, so work with still. Maybe somebody who's got some unique progress billing, maybe a way that they progress bill that doesn't work with QuickBooks Online. So there are reasons why you would stay with desktop. Maybe you're more of an enterprise solutions kind of a client. I do have one of those, so I guess technically I could say I'm not completely with QuickBooks Online, but with Enterprise, that's a whole different animal.
