Managing AR in QBO

Linda Artesani shows how to track overdue invoices in QuickBooks Online, find which ones customers opened, and send reminders. Watch out: BCC-ing yourself marks an invoice as viewed even if the customer never saw it.

Hello, Linda Artesani, Artesani Bookkeeping. I just wanted to do a brief tutorial on managing customers in your customer accounts. I just wanted to show you when you come into QuickBooks, if you're in the new version of QuickBooks, it says Sales over here, it doesn't say Customers. This is the sample company and it's still not updated. So I like this, to come into this page, and once a week I try to come over and Click on the money bar, grab my overdue people, and every Friday or Saturday I just send them reminders in case I, you know, haven't— don't have them on an automatic billing feature. I like to send them a reminder to remind them that they owe me. Maybe they lost or forgot the email, so it's nice to do. A lot of times I'll see where somebody will say, well, I don't remember if I actually emailed this. I created it, but I'm not sure if I emailed it. How can I see if I sent it. So you can click here, grab your overdue email, overdue invoice, and there's really— there's a little box here that says it was sent. So you can see that it was sent. You can also come to your audit log down here. So this was something that was just added recently because a lot of people on the community forum were asking, why— how do I tell if this was sent? So you click on here, you've got the history of the transaction. So I want to show all the details. And here it will give me the details in here that it was sent as well. But it is on the main page. So when you click on the invoice, you can actually see now— this is fairly new— that you can see that it was sent. If you want to know if the client viewed it, that doesn't show in here at all. So one of the ways that you can see if there's an error in delivery is right here on that audit history. It'll tell you that maybe it got bounced back. Or it didn't get sent. For details on that, you may see something in there, and that'll give you a clue that it didn't process correctly. Another way to see if your invoices were seen, it will show as viewed. So you can come over to your transactions by this year, since it's still the beginning of the year. And as I sorted, I can see my overdues. Under the status, it shows as overdue, and you'll see the ones that are open, and you'll see the ones that are paid. I've actually sorted it by this column. You can click on the header and sort by any of these. You can sort by the customer's name, you can sort by date, so you can change and click any of these headers here. You would also see— this is a sample file, so I can't actually visually show you, but in the status, it will show as viewed. It'll show as sent. It'll show— you've got several statuses that will show here. So you'll see that in here if you had an invoice and you sent it and the customer opened it, it'll show as viewed. So be aware, if you added your email as a BCC so that you get a copy of every invoice that's sent, and I highly recommend doing that, so you have a copy of the words in your message in case you modify them. If you do that and you send it to yourself and then you see it in your inbox and you click on it to view it, it will show as viewed even if the customer never viewed it. So you have to be very careful when it comes to that. So that is my short tutorial on how to manage your accounts receivable and your people that you're emailing invoices to and maybe people who are a little slow in paying, sending reminders. If you have any questions or would like to hear any further topics on customers or any other topic, find me on Facebook. I'm the only Artisanal Bookkeeping out there, and just give me a little shout out that you'd like to see a video on this or that, and I will create the video for you. Have a great day!
