In this tutorial, Linda Artesani of Artesani Bookkeeping demonstrates how to reverse (undo) transactions that have been incorrectly added to the QuickBooks Online bank feed and how to manage those transactions thereafter. She explains common reasons for needing to undo a transaction—such as linking to the wrong account, date, or customer payment—then walks through the QuickBooks interface step‑by‑step. First, she shows how to select multiple transactions on the Bank Rules screen, accept them, and then use the Undo button to return them to the For Review tab. Next, she illustrates undoing a single transaction by unmatching it from the online bank match, saving, and seeing it reappear in the banking screen for re‑matching. She also covers how to exclude unwanted transactions, moving them to the Excluded list, and how to re‑include them if needed. Finally, she explains that correctly matched transactions are flagged with a green check, which pre‑selects them for the reconciliation process, saving time. The video ends with a note that detailed steps are available in a linked blog post and an invitation to contact her via Facebook for further questions.

Hi there, Linda Artesani, Artesani Bookkeeping. So I wanted to do a little video here on how to undo a transaction in the bank feed that is linked to your transaction in QuickBooks. So why would you want to do that? Well, you may have connected your bank account to QuickBooks Online and attached it to the wrong account. I have seen people A few people have done that. You may have seen the bank feed come in and you have maybe 3 or 4, maybe to the US Postal Service, transactions the exact same amount and you link the transaction to the wrong dated transaction. So the wrong— the bank feed to the wrong date on a transaction for the same amount. Customer payments, you may have seen a customer payment get linked to the online banking, but it really should be attached to the deposit. So it's just a few reasons that you may want to do this. So let's go into my sample file here. So let's start on this bank rules screen. We'll come over to the bank rules, banking, off of the dashboard, and you'll see that I have my PayPal account hooked up, and I've got 3 transactions that are all sales waiting to be entered. So I know they're all sales that I have, so I can click here To select them all and I can accept them. So I'm depositing them into my PayPal account. I can come over here and here they are. Here's this one that I just entered and this one. So they're here. Now say I was like, oh, I didn't really mean to put those in. I want to undo them. So let's go to the register. You can see the transaction here if you come over to the blue hyperlink. It's going to bring you to the transaction. The online bank matches here. And you can see it. But say you didn't want to put those 3 transactions in, you wanted to eliminate them, you didn't mean to put them in. You can come over here and undo them. So if you just select them, these 3 transactions you just did, you can undo them. When you undo them, it's going to put them back into the Bank Feed tab. So I'm going to hit Undo, and you'll see when we come back here, they're back. So that's one way of doing it. Let's go to the register for a moment. I'll show you how to undo just one single transaction. So that's a fast way to— if you happen to put the wrong thing into the wrong account, it's the fastest way to get them out, to get a whole list of them out, or to find them. You can actually search by that, and I'll show you that in a second. So let's just say this stamps.com one, I don't want to delete the transaction, but I know I linked the wrong bank match to it. And date should have been a different date. So you can come over here and check your online bank match, or say you have to do something on here and it's restricting you from doing it, you can unmatch it here. Save and close. Now if we go back to the banking screen, you're going to see that the stamps.com transaction is now here. I can then match it, which is what I want to do. So that's about all you need to know about undoing and redoing, but this is a really useful tab if you want to get a lot of transactions done Of course, you can use that same trick if you want to select all of these. I can come up here, hit the Shift key, do this, and then hit Undo, and that's going to put them all back in the tray. Undoing is going to put them back in the tray. This rule— the rules applied will remain active. So you'll come over here to For Review, and there's all my rules, and there's all my transactions back. So I just pushed a whole bunch of transactions out of QuickBooks, a lot of the matches and the transactions, and put them back in the Review tab. So then you can go in and then match or whatever you need to do with it. And then you can exclude them. So for example, I might want to take these 3. I'm like, oh, those I don't want to put in. I already had them in for whatever reason. You could have any reason. You can come up here and exclude them. And then that takes them off the list. It puts them in the excluded list. If you didn't mean to do that, you did it by accident, again, you can either batch or do it singularly. Undo puts them all back in the list. So that's just a way of cleaning up your list. Of course, when you match a transaction, like when I match this stamps.com, this $250, if I go to the register on 6/15, you'll see that that $250 is in there. It just doesn't have a match to it. Here's a transaction. So if I go back to the bank feed screen, back to that match, if I click this and match that transaction, it doesn't create a second transaction. What it does is it actually takes the transaction I had in place, and now it's matched it. So you can see it's got the little green box. Not only does it match the transaction, but it will also pre-select it for when you go to reconcile, which is really helpful and time— saves a lot of time when you go to reconcile your banking. So I hope that was helpful. I hope that this little tutorial is something that maybe explains some bank feeds. Deposits, I will put in the notes from my blog post with this video. All the steps included in here if, you know, you don't want to watch the video again. If you have any questions or would like to perhaps see a post on a specific topic, please feel free to reach out to me on Facebook and I'll provide a link there. So I hope that was helpful. Thank you so much for watching. Bye now. Bye.
