How We Cut 80 Hours of Business + Marketing Work Using These Workflows

In this solo presentation, Eric Siu walks through a suite of custom AI‑driven workflows that his agency uses to automate content creation, SEO, recruiting, sales outreach, and UI design, collectively saving more than 80 hours of manual work each week. He begins by showcasing the tangible results—doubling long‑form YouTube views, generating tens of thousands of article reads, and converting video viewers into high‑value leads. He then details each workflow: the AEO/SEO pipeline built on GrokBot that gathers ideas, filters drafts, and enforces depth, style, and data requirements; the JEV classifier that scores content and candidate fit; the Team Talent Bot and Juicebox recruiter that source, screen, and rank candidates via automated questionnaires and AI scoring; the Lookalike Outreach bot that builds prospect queues, validates emails, writes sequences, and sends personalized outreach; the Speed‑to‑Lead bot that instantly qualifies inbound form submissions, auto‑dials, and logs calls; and the Leveling Up Content Engine that automates YouTube thumbnail and headline packaging, continuously testing click‑through rates. He also demonstrates a UI design workflow that turns website screenshots into reusable templates via AI‑generated concepts. Throughout, Siu emphasizes human‑in‑the‑loop gating, Slack integration, token cost awareness, and the need for team members who can manage and iterate on these bots. The video ends with a call to action for hiring and a reminder that adopting such workflows is essential for founders and marketers who want to stay ahead in AI‑augmented business operations.

In this video, I'm going to show you how I cut 80 hours of real business and marketing work using these custom workflows. So I'm going to show you the dynamics with these workflows. So I'm going to visualize them for you. I'm going to show you, show you the inputs, the outputs as well. And by the end of this, you're going to have what you need to be able to do this for your business as well. So I want to give you real use cases here. I'm not here to tutor you on different new tools and things like that. I'm here to show you real business workflows. So let's get into it. So first and foremost, I want to show you the output. So you can see the output here. We're getting more views on these YouTube videos over here. And in fact, the long form, we're getting more than 100% increase on long form views. So you can see that this is compounding over time and I can basically make whatever thumbnail I want. And that used to be like a 10-day ordeal just to get a video out because you had so many cooks in the kitchen. But not only that, I'm showing you the views over here. You can see overall 31% plus more on views, but I've actually stopped doing the short form so I can focus more on long forms. But this is a thumbnail that I probably would've paid hundreds of dollars for and it would've taken a long time to get together before. And I'm telling you, it's these custom workflows that allow me to do so. Not only that, you can see that the articles that we write on X are getting a decent amount of views, right? We're talking 16,000 here. And if you look at, if we go over here, you can see, okay, this one just came out today, right? Just like an hour or 2 ago, but 16,000, 15,000, 14,000. I'd have other ones where you can get like, tens of thousands or so, or even hundreds of thousands. And I've done that, but usually this is already doing a pretty good job, right? And this is what these workflows. Now, the key thing for me is not only that it drives views, that it drives leads as well. So we're talking about leads that a company that might've raised $100 million recently that has actually come through very recently, right? Earlier this week, I know the team talked to someone and they do really well. They're like a property management company and they deal with current institutional firms. And how did they hear of us? They were watching the YouTube videos, right? But not only that, we're actively working on a new redesign right now. And this was designed using the workflows that we have, using the taste that we have over here. And I'm not going to say that this is perfect, but when you can create all these different screens over here very quickly, having service pages over here, that was just the homepage that you saw, looking at how this looks, and then we can continue to tweak it and then adding the ability to leave comments here if we want to. And this is just a new way of working now. So honestly, this is probably saving more than 80 hours. That I'm thinking of, right? And not only that, the first thing that I'm going to show you is actually this AEO SEO workflow that we have. I'm going to show you how this is diagrammed out. So you can see that this post over here, it has a table of contents. There's an overview over here. There's images in here. There's tables in here. There's embeddings in here. And to me, this is continually getting better over time. And this allows us to unlock how we scale out our content from an AEO SEO standpoint, right? So My point of showing you all this is that you can very much do this because a lot of this is, you know, your team can definitely help. But if you have the taste as a founder, so me as a marketer, I have the taste as a marketer, you can just go ahead and do this, right? So the first thing I want to show you actually here from a workflow standpoint is this is Grokbot. So I have Grokbot open and we made a team AEO SEO bot, okay? So this is a bot over here that will gather information, filter, draft, and check. And then the humans can decide what gets written and what goes live. And in fact, this is my first time seeing this with you, okay? So I asked it to draft it just for this video. So what does it do exactly? So every weekday, 8:35 AM, it gathers X posts, YouTube, call themes. And what it does is just figures out, okay, based on the content that I have out there, it will ingest content and it'll figure out, okay, what actually— what content have we actually published already? What's too close where we don't want to be publishing that, right? So we have a machine gate over here and then the human will decide what to ship. And then over here, the machine will gate it again and then Basically deciding, is there good depth with it? Do we have statistics in there? Do we have the right statistics? Are these made-up statistics? Do we have embeddings in there? Do we have images in there? And then we have humans will then review, publish, and then afterwards, we'll make sure that it's being indexed as well. And then we'll pace and get feedback on it and we'll just continue to get better over time. So the cool thing is this is an end-to-end solution. So not only does this get the work done for you from a workflow standpoint, but it also helps you have your humans focus on human work while your robots do robot work. And this workflow, I'm not even going to tell you it's perfect right now. I'm eyeballing it right now. I'm like, I can probably make this a little better because I want this to improve over time as well. So there's that. And you can see here, we've added JEV into this, the JEV API, which helps with classifying, which I have more videos on this channel about it. But when you look at this, like, okay, if we have 80 ideas that are shaped from X, YouTube, call themes, SERP gaps, DK data, And 52 are considered fresh. We'll suppress 28 and then we'll clear only 5 and then 5 will be drafted and then 3 will be passed. And so there's a funnel every single day. There might be a bunch of net new ideas, a bunch of content spikes that we can attack, but maybe only 3 make it through, right? And not only that, we have a depth bar over here. So this is just how we work now. I'm like, okay, for our blog post, at least 1,500 words, we should have H2 sections, H3. We should target a real buyer, 20+ searches a month. We can pull that from data from SEO API. We want 2 in-body pastel diagrams. And honestly, we're going to continue to tweak this. We want a featured image as well. And then we have an anti-slop skill that we added into this to make sure that we removed AI tell from this. And we want to open with a story-led operator scene. And this combines another skill called the Last 30 Days from Matt Van Horn. And then this will then look at, oh, okay, from the last 30 days, what is related to this topic where we can pull statistics from? Because statistics are always good. And then Jev Ship will score this 0.35 or higher. So, that's like a confidence score. So, all these things are real. Okay, here's our pacing over here and then here's where we kind of fell off. But we're trying to publish 20 a week at least, right? If not more. Honestly, we're just getting started on this. I see this going up to quite a bit. But if you think about this, what you can do before is maybe you can only publish 20 pieces a month and that might cost you thousands of dollars or so, right? If you're looking for high quality. Now, not only are you bringing the cost of that down, but the time to value here and also the quality goes up too because you're picking the right moments that not every human can pick apart, right? One human editor is not going to be able to ingest all these content ideas. You just couldn't do it before. And then you have something like a JEP that can classify very quickly and doesn't hallucinate much. That's extremely powerful, right? And so the other thing is from a workflow standpoint, okay, we made this AEO SEO bot, But we've shared this with my team and so they can use it inside of Slack. So they're using inside of Slack, they're talking with it back and forth and then they're able to publish it, they're able to take control of it. So the whole idea here is that once you get these workflows going or let's say someone on your team has these workflows going, the idea here is that you're sharing it within Slack. So this is why I love GroqBot for this because one, it's gonna be stable 'cause they're ran by SpaceX. And not only that, the Team GroqBot version that you want to think about, okay, how do you permission? How do you make sure that this is something that you can, your team can stand behind and how can it be reliable, right? So I tend to like GrokBot. Trust me, I've used all the bots out there. I've used Hermes, Instinct, Muse. I've used all those things and I still continue to use those things. But from a team standpoint, this is just gonna get things done, right? So to me, honestly, this might just cover the 80 hours right there, but I'm gonna continue on here because there's just so much more to cover, right? So if we take a look at, this is our workflow when it comes to Hiring. Okay, so right now we're looking on Team Talent Bot here, and so you can see this is an evidence-based first recruiting operator. So what does this do exactly? So one, it sources, and then it will do a title screen, and then it'll send 7 questions, and then it'll score replies. Then it'll ask them to send like a Loom video as well. Then there'll be a human screen, then there's a paid project, then there's a talk. And sometimes if it goes to like the CTO or somebody else, they'll send them a link as well. But the whole idea here is that This can do what a human recruiter couldn't do before. By the way, if you're enjoying this right now, you got to check out Single Grain with a G. So singlegrain.com. This is where we help people with AI marketing implementation. So scaling ad creative, we got it, right? AEO, SEO, we got it. We're talking about Reddit optimization, we got that as well, right? If we're talking about scaling cold outbound infrastructure, we will build that infrastructure for you and we will have the agents hanging out with you inside of Slack, inside of Microsoft Teams to not only talk to you but collaborate with your team as well and actually get stuff done. Singlegrain.com, and we'll see you on the other side. So now when it comes to inbound or outbound, when it comes to talent recruiting, um, you can just say, okay, does this person have the, the, the title, the right title that we're looking for? But not only that, if you use Jev, you can say, okay, well, do they have 2 promotions at 2 different companies? And do they have ideally an average 3-year tenure, right? And then what happens if they do? If they, if they send that they're, that they're interested, if you do outbound, it'll send them the 7 questions that we have. And And then we'll score them using Jev to classify whether they're a fit or not to get to the next level. And then if they do get to the next level, then we'll just shortlist those people. But all the filtering, all the outreach that a human recruiter had to do before, which honestly, this is a full-time job over here. You might have an army of people doing it. You don't need that anymore. You just need people that have taste and know how to run these bots. And this is why it's a requirement. Like you can build all these custom workflows, but if people on your team don't know how to use it and they don't wanna know how to use it, you can't have that, right? It just doesn't work anymore. And so this is just how this is how our this is how our recruiting funnel works now. It's gonna continue to get better, but the whole idea here too is the bot's reliable, right? That the bot is gonna continue to get better over time if you continue to tweak it. That's why we're all bot creators now, and that's why we're all bot managers now. And and this is why probably the most important thing you can do right now is to set your talent bar unreasonably high because most people as of this recording. aren't gonna wanna do it because it's a human inertia thing, right? And so, and I'll guarantee you that if you're working like this right now, you have an edge for the next couple years. So you can see how this works over here. We talk about the different steps. So by the way, like, look, I'm just talking to these bots, but before I record this video, I was like, hey, I'm about to make a YouTube video here. Can you show me some diagrams and some workflows here? So I'm gonna show you one more. So this one is using our Team Juicebox bot. And so what Juicebox is, is it's our agentic recruiter. But not only that, like, here's the thing, we're paying $1,100 a month for this thing. And I'm like, okay, well, we already have Instantly, we have Apollo already, we have Clay already. Why do we need to pay for this? Right? And so, but anyway, it's using it right now, but it has to log into the UI. But I'm like, there's probably easier ways to do this. And so just by watching this right now, if you're spending $1,100, $1,500 a month on these agentic recruiters, I just saved you like $12,000 right there. Right? Probably even more than that if I'm being honest. So if we take a look at this, so when we have JuiceBox sourcing, it's going to queue people up. There's a title check and then they'll pick people each day and then it'll review, kind of look at their work history and then Jev will evaluate. And then anybody that's advanced will be shortlisted. Anybody who's borderline is my call and then fail is skip, right? And so we'll kind of look through the other areas here and then we'll ask them the same questions again. And then if they don't answer the questions, then we just move on, right? Because most people aren't going to want to answer those 7 questions that we ask because they are fairly detailed questions in terms of how AI fluent are they, right? If they're not very AI fluent, it's just not going to work. So this is just what it looks like over here. But the whole idea here is that, again, these are— the fact that I'm showing these flowcharts over here, literally these are workflows and you can build them on your own, right? So I'm going to show you one more over here. So this is our workflow for Lookalike outreach. Okay. So what this does is it builds a review queue of warm prospects with evidence-based drafts. And I never send without approval. So this is the team outreach agent now. And so what it does is it'll look at lookalikes of closed won customers or more so lookalikes of prospects that have reached out that are ICP fit, right? So you can do that as well, or this could be closed won customers that are no longer customers right now, right? So you can kind of mess with this however you wanna mess with it. But 7:00 AM, it'll build a queue and it'll find the lookalikes and then Clay will confirm the real email and then Jev will score it. You can see I've added Jev into all these workflows. HubSpot check, owner, suppressed list, no deals. And then it'll write a sequence for these people and then it'll check on the final copy and then if it's clean, it'll send. If there's an odd case, it's my call. But this has gotten to the point where I can trust it and it's sending about 15 of these a day. And you can probably have it send more than that, but I'm just honestly testing this right now. And then the cool thing is, again, you can hand this off to your team. So another workflow that will make a lot of money for you, if I'm being honest, especially if you're in B2B, is this Speed to Lead bot. So what this does, again, it's a workflow, but if someone on our site fills out a free consultation form, HubSpot will create the contacts of whatever CRM that you have. And then it will check very quickly if they are fit to work with us. So if they're fit to work with us, we're gonna call them within 60 seconds or so. We'll score the lead and we'll quickly check the budget and edge checks. If it's a vendor spam, do not contact, or non-US or Canada, we skip it. If it's $10K plus, right now we're just testing this bot. So if it's $10K plus, we'll review it, or under $10K, we just dial all of them right now. We're just testing it on all of those. And then the Slack, we'll get a Slack brief. It'll auto-dial via Twilio. And then we'll use the xAI voice, which is Which is perfect. We've tested it. And then basically the AI will qualify them, then warm transfer to someone on our team. And then call recording and transcript, and then HubSpot call and log transcript. So this is literally the job of a sales team. So to have to record this first and foremost, to have to call the people quickly, to have to be Johnny on the spot and quickly identify if they're ICP fit or not, or if not, just don't even call them. And so to me, This is actually well over 80 hours of business and marketing workflows that help, and we're just going to continue to do that. And a lot of the— you just need to continue to reinforce. You should be having robots do robot things and go from there. So let me show you. I'm going to go back to the— let's go back to my YouTube channel real quick. So the way this is working right now is I literally have a workflow, okay? So if you look at the thumbnails over here, I literally have a workflow called the Leveling Up Content Engine. And what it does is it will find, it'll want to help me package the video, okay? So packaging means the thumbnail on the YouTube, sorry, the headline and the thumbnail. That matters a lot. You might think it doesn't matter much, but if you have a 10% click-through rate, if 100 people watch, 10 people are going to click through. But if your click-through rate's like 2% or so, Only 2 of 100 are going to click through. And not only that, that affects how many views the YouTube algorithm is going to feed to you because they want more data to work off of. They want to know that people are clicking on this, right? And so for me, I just will say like a couple months ago, you know, the thumbnails weren't good. And this was all done by hand, right? The editing was done by hand. And you can see that the views weren't that high. So you can see we got 400 over here, 900 over here, 1,300 over here. 1,000 over here. They're not that good, right? 466 over here, 438 over here. So not that good. But as we go up over here, you can see now when we started to refine this workflow, it got better. So it got a little better over here. So 16,000 views, 2,800, 30,000, 16,000. So you can see that the average views start to go up. Now, as I continue to refine a little more, it's like, oh, okay, this one's getting a lot better. Okay, the missing piece, how Jeff supercharged our agents. Okay, 11K, 15K over here. Right? And we might get some that don't perform as well. But, you know, and by the way, I changed, I just changed the packaging on this one yesterday. And this is not anybody else besides me just telling the workflow, hey, I want to change the packaging. And this video is actually starting to take off again, right? It wasn't doing that well initially. But once I changed it to this thumbnail over here, it's doing a lot better, right? So I'm having a lot more fun doing this. One more thing, if you like what we're talking about right now and you work in this way, well, we'd like to hire you. We have A bunch of job openings right now. Go to singlegrain.com/careers. We're looking for more for-deployed marketers. We're looking for more for-deployed engineers. So SEOs, paid media people, engineers, sales, right? And honestly, AI automation interns as well. So, and more creatives too. So anything that you, if you're working like this already and you think that you have a good chance of contributing to this company, you should just reach out. But if anything, go to singlegrain.com/careers. I will see you on the other side. And here's what I'll say. If you're a leader right now watching this right now, or let's say you're a founder watching this and you might think that, oh, I don't want to create content. Part of the reason you don't want to create content is because it's a pain in the butt because there's so much productivity tax from what you have to do. It used to take me, again, 10 days. I kid you not, 10 days to get a video out. So if I wanted to do any newsjacking content where it was trending content, I couldn't cover it because it would take at least 2 to 3 days if I wanted to really push my team to get a video out. And the thumbnail probably wouldn't add up to what I wanted, okay? I couldn't test the packaging rapidly if I wanted to. I couldn't edit it. I couldn't get the first 30-second retention to what I wanted it to be because that first 30 seconds matters a lot because YouTube looks at that. Now, my first 30 seconds with the YouTube video is like we're talking 60% plus. It used to be like 50% or 55%. So, you want it to be 60% plus because then you're retaining at least 60% of your audience at 30 seconds, right? So just a game for each of these channels. But again, if a video would take me 10 days to get out before, I mean, how many hours is that? And this would take probably— this would be the job of 3 or 4 people. But now that you have a workflow doing this, like the Leveling Up Content Engine doing it, then in that case, I'm like, okay, well, just publish it for me, schedule it for me. And also, I have a JEV repurposing gate that will look at the video and classify, hey, based on what we're seeing with this, this might be a fit for repurpose for short-form content, or X content or LinkedIn content. And then if I wanted to edit for me, I would just have it edit for me. And that's where I just use OpenAI's Dots and I just talk to it and I say, hey, I want to do these over here, right? So the whole idea here is that if you want to make these workflows, GrokBot can make them easily for you, right? But you do need someone to manage it for you. Who's going to manage it for you? Who's going to optimize them for you, right? Because when we build these for clients, that's constantly a struggle. How do you be on top of the models? How do you make sure that we're saving the most on tokens? How do we make sure that we're building the right workflows? And then for us, our workflows are continuing to compound over time, right? So we're gonna continue to build these workflows for ourselves, also for clients as well, but we'll compound on the learnings. And that's how we just end up cutting a ton of time from a business and marketing standpoint. And this is honestly how the future of all this stuff is gonna work. And so that's that piece, right? But then if I take a look at this one, which I just showed you earlier, Let's take a look at this one over here. So this is a new web design that we're working on. This is a case study page. I haven't seen this. This is my first time. I'm like, okay, this is not bad. This is like a template. Okay? So I'm like, hey, make a bunch of templates for me based on the screens that we have on my website. Okay? So this to me, you can just now make this into a skill. Okay? So this is a, okay, here's what the consultation page looks like, right? And this just scanned my entire website. I gave it some feedback on what concepts I wanted to see. And then whether you're using like a Claude or whether you're using like the latest model of, whatever OpenAI is using, right? Then the designs are just going to get much better over time. This is already pretty good. Okay. So this, like, what does our careers pages look like? Let's look at this. Okay. Here are the openings right now. Okay. Here's what it looks like to work for us. Okay. View current openings. Okay. Here's what mobile looks like. But to be able to build a UI like this and give my team the ability to comment on all these pages too is extremely powerful. And how do you build a workflow? Well, you first, you build something first, and then if you like it, Then you just make it into a skill, right? And then you can make it into— then you can decide what you want to loop. And then you can decide how you daisy chain these things together, right? And then, I mean, we're getting to the point now where I built something called Trusted Continuation, which allows you to build more trust with their agents to allow you to continue to ship. Obviously, you can run like /goal commands and /loop commands and things like that. But my point is, look, this page doesn't look bad and I barely refined it. And now I'm going to hand this off to my team to refine. I'm actually curious to see what my team came up with because the very first iteration of this compared to my team, this was the best version. And my team had taken, I'll just say someone on my team took 4 or 5 weeks and granted that person had vacation. But when it came down to it, I'm like, this took me like, I just literally cut and pasted the conversation that we had and dropped it into this. It came up with 3 nice concepts and it took me 15 minutes to get to this concept over here. Right? Literally what you've seen on my screen probably took about 15 minutes or so. And I'm going to continue to make this better. But the bar is getting higher and time is compressing as well. And again, I'm going to just reiterate that it's cool if you're working like this, but it's not going to be enough. Your entire team has to work like this. And your job is to continue to put this stuff out there, put this stuff out there. And if they're willing to work like this, great. You can help them level up. And if they're not willing to work like this, it's just not going to work over time, right? Yeah. But showing you these examples over here, you can see that this was just an iteration of the YouTube thumbnail that you saw earlier with the only way to work now, how to be a top 1% founder. And this article, by the way, was created by an xUnified article skill that we have talking about how I work with these bots. And so I expect, I mean, I just launched this an hour ago or so. Yeah, literally an hour ago or so. I think this one's going to do decently well. So there's no excuses for you now not to be optimizing. Like I just showed you some talent workflows. I showed you some sales workflows. I showed you some marketing, some content workflows, some AEO SEO workflows. There's no excuses for you now not to be leading the charge with this stuff. There's no excuses for you not to see results, the similar results that I'm seeing, right? Because I'm just out there, right? Like hanging out and doing this stuff. The other thing I'll say to you is this: if you want to be on top of this stuff, you got to be hanging out on X, right? And some of you might hate me say, oh, you got to do this, you got to do that, right? Like no, no, no, you you you do you do got to do. Like if you want to be on top of stuff, you got to hang out there, right? Because that's where the frontier engineers are hanging out. That's where they're sharing their newest stuff. That's where the top AI researchers in the world are are sharing stuff, right? And so the sooner you can do that, the sooner you can start spending hours a week on this, the sooner you're going to be ahead. And you know, probably one of the videos I'm going to make too is talking about. one of the biggest challenges with enterprises right now, enterprise AI adoption. It's not like anything related to tools. It's not anything related to trainings. It just comes down to hiring at the end of the day. So I'll cover that. So anyway, I just wanna show you how this works overall. These are things that are very doable from your end. Don't let the word workflows or hours saved or, you know, JEV or classifiers or orchestration or permissions governance, don't let any of that stuff scare you. You just gotta get into it. It's just like riding a bike, right? Like once you finally start riding a bike, Like you might fall the first few times, but once you get it, you get it. So that being said, we'll catch you in the next video.
