My Virtual Assistant's Daily System for $80K+ Brand Deals

Jeffrey Daza demonstrates his virtual assistant Cora's daily operating system used to secure and manage brand deals that helped the business gross over $80,000. He walks through a typical day: a 15-minute morning call, inbox management across two Gmails and an Instantly outreach inbox (30–60 minutes), posting/repurposing videos to YouTube and Facebook, responding to Instagram messages, following up hot leads and gifted collaborations via Monday.com boards, and two hours of targeted outreach ("legion") to gather brand contacts and feed automated email sequences. Tools emphasized: Monday.com (CRM/task boards) and Instantly (email automation).

Hey, what's going on everybody? In this video I'm going to show you exactly what my virtual assistant does for me in a day. This is the exact setup and operations that I've used in my business to help us close and gross over $80,000 in close brand deals. And I'm going to walk you through a step by step so that you can implement it in your pet creator business. So what we see here is a tool called Monday.com. it's a CRM that I use to help organize my task with my virtual assistant on a daily basis. These are the tasks that show up automatically. We set up some automation so that my va, her name is Cora, sees this on a daily basis. So she knows helps keep her accountable. She knows what to do every single day before we jump into this daily task. Every morning I have a quick 15 minute call with my VA to go over these daily tasks and to go over some of these items that are in a different board called brand leads where we see exactly what's going on with the hot leads, with the contract leads, with the gifted collab leads. So every morning we have a quick 15 minute call to go over these boards. So that's what happens before my VA does her thing in a day. So I just wanted to preface it by saying that. But that's the only time that I communicate with my virtual assistant other than that she takes on the business and operation sides of running a pet creator business. So, so every morning my VA goes into both my inboxes. I have two Gmails where I have incoming warm leads who come to us asking us for rates, asking us to work with us, negotiate it. So she comes into my inbox and she does all of this. She comes in here, she negotiates, she follows up. This is her job to do. She takes about 30 minutes to an hour doing this for both inbox every day. And that's what you see up here, morning inbox. Check if she has any questions about anything here, whether it's a different rate that she wants me to, she wants my input on if we want to give discounts. She sends me a message here and she says, hey Jeff, you know at Jeff, no question. So then I get notified here about this question and I can check my phone and I can update it. If it's a priority and she needs it urgently, she just lets me know here, hey, this is urgent. So that's what she does in the morning. She checks my Gmail, she checks my Instantly inbox. Instantly is a whole, it's a Different platform where I use to send out hundreds of emails a day to different brands if they wanted to partner with us. We have a whole setup here that I can send, I can create another video on how we do this. But we have a whole sequence of emails. Email 1, email 2, email 3. This gets sent every two days to the brand. This is very important to, in order to grow, in order to scale. Without this system you really can't do it manually. It's going to be hard to do it manually. So it just takes away too much time. This is how we automate and streamline things. So that's what she does in the morning and then right after that she goes into YouTube and Facebook and she posts some videos for me. I asked her to, to repurpose some of my older videos on From Instagram and TikTok, put them on my YouTube and Facebook video Facebook account. This has helped my Facebook account to get to almost 100,000 followers. Now my Instagram is at 160,000 followers, TikTok 270,000 followers, YouTube at 3,000 followers. So this is part of her routine. It's very important for her to keep up with that because as creators it's hard for us to keep keep up with the admin stuff and with the follow ups and emails. Like we don't want to do that. We want to just solely focus on the content creation and being able to be creative and grow our account. So this is what she does here. Next step here she goes into my Instagram and she responds to all my messages, all the brands who reached out to us or we reached out to manually, any fans, any, any important things on Instagram, she responds to it for me. So I don't need to take my time out of my day to do that. She follows up with all the hot leads we have, which I'll show you in a different board. We have a whole set of hot leads where we reach out to them or they reach out to us. And at minimum there's always a thousand dollar deal that's in play. So we always put the rate, this is a potential here. So at any given time we have anywhere between 10 and 20,000 in brand deals that are warm or hot. They've asked for our rates. So this is what this looks like here. And if she has any questions about the brand or she wants my feedback, she comes into this bubble here and then she asks me my, my feedback. Well, she gives me updates. She made a follow up here and a follow up there. So that's part of her day to day. And then for two hours she did straight Legion. And what I mean by Legion is she goes into Instagram, she sees other creators who they work with and, and she wants to find out, she wants to message these brands and ask them, hey, love what you're doing, your product looks amazing. Who's the best person to contact for a collaboration? They give us an email. Once they give us an email, we put that email into instantly and that instantly do its thing and send automated emails to the brand. Because most of your brand deals are not going to be closed in email one, they're going to be closing email three to five, to six. So it's constant follow up the that my virtual assistant does for me. So she does that in a day and then after that she, that takes up almost most of her day. We have some meetings in between if we have to discuss any contracts or discuss any hot leads that she needs help on before the end of her day, she does a quick inbox check to see if there's anything urgent. So she checks both inboxes. But most of the day is really about organization, like organizing all of our leads. These are hot leads. These are gifted collabs. What needs to follow up with the gifted collabs? We need to, sometimes we need to make a video for the brand. As a gifted collab, they give us a product, we make a video for them to post on their channels. We see, you know, what does Jeff need to follow up here on? Jeff needs to follow up on XYZ and these gifted collab deals that I haven't done. There's some things in contract that I need to follow up on as well. I need to take care of. So this is how we stay organized. These are some things Cora needs to follow up on. She needs to reach out in a few months of these brands. This is a hot lead here. So I can always see from a bird's eye point of view as a creator what's happening on the back end of my business. So that I know that my virtual assistant is taking care of that side, which is equally as important as our side of the business, which is content creation, growth, making, video making, content. Because the more that we grow, the more the company grows, the more that Cora does her outreach and negotiates with brands and close contracts and checks all my emails, the more time I have to take care of what I need to take. So that's what my virtual assistant does for me in a day. This is what's helped our company grow in 2025 we have I'm My account on Instagram is husky freezing. You can see it in the links below. And this is something that you can set up with your virtual assistant. If you want to grow your business in 2026 and moving forward, this is a good opportunity to just outsource right who, not how. You can't do everything you need a team to do. Even Michael Jordan couldn't do everything by himself. He needed a team to really become a winner. And this is a system of operations that we set up here so that we can continue to grow. I have full trust in my virtual assistant to take care of the operation side and I take care of the growth side. So this is another video in my series of how to implement a virtual assistant into your business and hope you enjoyed it and you have any questions, put in the comments below.
