Thanks for checking out Covert HR, the HR and employee onboarding platform designed for small to mid-sized businesses to make the onboarding and HR process fun and paperless. Thanks for checking us out. The reason we created Covert HR is because companies with a formal onboarding process see 60% higher productivity per employee than those without. We also discovered that making onboarding fun for employees and the employer will help you to increase engagement and retention levels substantially. Today we're going to take a look at how the Pawnee Parks Department uses Covert HR to drive the paper out of their hiring process and HR processes while making onboarding fun. Let's take a look. We've logged into Covert HR as an admin. The first thing you're going to notice is that I can complete my own profile so that my teammates can see who I am and get to know more about me when they join the organization. The first thing you're going to do as an administrator is create a list of tasks and files for your new hires to complete. Whether this just be something simple like complete your I-9, complete your W-4, which they can do electronically within the system, or adding unique and fun things like an onboarding scavenger hunt, you can create a list of tasks and different lists of tasks that can be used for various roles within the organization. You can even add files like your employee handbook and different items for the employee to download, review, and sign if necessary, if necessary for re-upload, or we can even create custom forms for them to fill out inside the system and electronically sign. Once I've created my list of tasks and files I need an employee to complete, I can simply fill out a few fields and invite this employee to join my team. I can choose based on ro— role, whether they're an employee, manager, or even a contractor, and I can choose the list that I need to add the employee to, to get them started. Simply click Save and I can send an invitation that's emailed directly to the employee to get them set up in Covert HR. After we've invited our employees, we can add the tools that our employees use most frequently to give them a single place to come for different resources. So we can add things like our CRM tool or any marketing or customer service tools that they need to use as part of their role, or any other web applications that might be necessary for an employee to access frequently that they can come to in one single place. We can also provide more information about our company and our history. We can upload videos so that the, the new hire can get to learn more about us and our mission and culture and get engaged earlier in the process than they may otherwise. As an administrator, I have access to my team. As an admin, I have access to my team. I can come out here and see all of my team members, and I can even get a notification once they've completed the appropriate documents and complete the employer portion of the I-9. I can I can simply choose the file and upload and store it securely out here behind our— and store it securely behind 256-bit encryption and with encrypted data for each employee. If I click on an employee from my team, I can view their information that they've filled out, where they've electronically signed and completed their I-9. I can even view their progress on the tasks and files that I've assigned to them. I can see what they've completed and what they haven't, add attachments to their profile, of different things, whether it be a document that they've signed for me. If we've had a disciplinary conversation and I want to add a copy of the document that they signed, I can choose to hide it from the employee or notify the employee. There's a lot of flexibility in what we can attach to an employee file out here. We're virtually creating an online employee file. So this system goes beyond just onboarding and it has value throughout the entire employment relationship. Next, I can add notes to an employee. If the employee is frequently frequently late, or if there was just a conversation that we had, or Ben, please finish your, your profile. We can use this communication tool in a host of different fashions, and the employee can add notes out here as well. Once again, we can choose to hide the note from the employee or even notify them when we make the note on their profile. You can access our support team simply by clicking on this button in the bottom right corner. Now let's take a look at what it looks like from the employee side of the application. Now I've logged in as a manager to give you a view of what it looks like for both the manager and an employee. When we first log in, it will give us notifications to let us know to fill out our profile where we can add information both personal and also things like our direct deposit information and emergency contacts to be tracked for the employer purposes. This can also be exported for— to allow you to set up an employee just one time rather than setting it up in multiple systems. As a manager, I can also add employees much like the admin can do, but I'm required to come out here and complete my I-9 and my W-4 just like any employee. I can electronically sign this information and it lets me know that I must present the acceptable identification document. I can complete my W-4, and I can review what tasks and files I need to complete on behalf of my employer. When I come to the dashboard, I'm going to learn more about my company and see more about my team. I can look at my teammates and view a quick bio of them so that I can get acclimated to the organization and allows me to feel assimilated earlier on in the process and take care of the tasks that are assigned to me as a new hire. So as you can see, Covert HR is very simple to use and fun and easy for the employee. We're making it even more fun by adding more games such as the new hire scavenger hunt that you can add to your account, and even new hire bingo, which is currently in production.
