The SOP Freedom Formula to Get Your Time Back

Mike Koenigs shows how to turn screen recordings into reusable SOPs that save founder time. Record with Loom, use its autogenerated transcript, refine it in ChatGPT, add diagrams from Napkin AI, then organize everything in Notion as a team handbook.

Hey there. This is Mike Koenigs and this is the Entrepreneurial Freedom Formula. It's I call it the SLP Freedom Formula to get your time back. So as I go through this, my goal is for you to get some really powerful tools that'll help you gain a lot of time back. But also it is for you if you hate repeating yourself and you want to have a self managing organization. So here's a few of the things that I'm going to cover with you. That link by the way, goes right to the SOP Master documents. You can scan that with your phone, but it's a tool to never repeat yourself again. Using AI, it's how you demonstrate and capture any task. And this means anything you can demonstrate on your computer, the AI will capture it and create a standard operating procedure for you and also convert it into a standard operating procedure in real time, which is pretty awesome. I'm going to show you exactly which tools to use, how to encourage your team to use them. That's oftentimes the hard thing. And then as I said in the very beginning, you can scan this code for a direct link to gain access to this SOP as a Google Doc so you can follow it. So this is an example of what this document looks like. I use a tool called Notion, that's n o t I o n. So and here you can see there's diagrams step by step information that will be the output that we are going to produce today together. And I'll demonstrate specifically how to do that. Now I like Notion. I also use Google Docs and the only reason I use Notion is because it allows you to create like a wiki, a structured formatted document. Now the tool that I use to capture video is something called Loom. Loom has been around for a long time. L o o m.com links are in the master document. But what is this and how can you expect it to work? Well, basically here's how it works. You start out and let's pretend, for example, you wanted to demonstrate, and this is a real life example, how to use a tool called Perplexity to do research on any prospect that you're going to talk to. And you want to have an advantage by knowing what the negotiation points would be. So you'd fire up Loom and you'd click on start recording. It does a little countdown timer and you can also show your camera, just like I am right now, video. And for example, I pasted in a link that basically said, hey, research this person and give me all the information about them. Tell me everything ahead of time before I have a conversation. And I want you to use the Chris Voss negotiation formula. That would give me an unfair advantage. So this is what that looks like. And here it gave me a whole bunch of information on a guy who's actually going to interview me and we're gonna have a conversation. So it gives me all of his information, all the associations he's associated with. Here are all the questions I asked him in this particular case, questions that he should ask me on his podcast.
But I adopt this for just about anything. And then what happens is Loom comes up and finishes the recording. So as soon as you press the stop button, boop, you get a screen that looks like this. Now, what do you see next? Well, you're going to notice in just one second here that what shows up next is.
Number one, you want to fire up Google Docs or Notion. That's what you're going to be copying and pasting content into.
And then Loom has an interface. You can see right here, there is a button that says write a document. So you'd click on that and the next screen that shows up is sop, step by step, PR Description or QA Step. So if you click on sop, for example, watch what happens. So I'm going to do this for real, as though I were running it from Loom. I'd click on write a document. I'd then click on sop, and in the background it is writing the entire SOP standard operating procedure, step by step of me describing exactly what I did in the video. I'd click on the Copy text button, open up either a Notion document, or in my case, I might use a Google Doc. Okay, and then I just do a copy paste, and then I'd go over to step by step, and I copy that content. Boop. Purple button in the bottom right, Copy text, copy that, and then go back over to my notion document and then scroll down and then paste that in. So basically what I'm doing is I'm building this step by step procedure in real time. And I might format it a little bit or whatever, but it's just building this continuous document. And the good thing about.
The SOP building that takes place inside of Loom is it's really good at first. I'm going to show you a little bit of a hack, though, that takes it just one step further. And again I just go back and forth with a couple different each one of the elements. So here you can see the next one would be the PR, description, etc. Now, next, I'm going to grab the transcript, I'm going to copy that. Now let me tell you why I did that. In my experience so far, I have found that the SOPs and all the copy that.
Loom crates are actually pretty darn good. They're not perfect, but they're pretty darn good. They're good enough for prime time. But what I found is, is that If I use ChatGPT, it'll write an even better version. So what I'm going to just show you right now, just so you know about it, is how I just take the transcript. This is what the transcript looks like and there's a button inside.
Right here. You can see it says a link that says transcript top right there. And LOOM does a really good job of transcribing. So I just grab that and there's the transcript. I'd click on copy, I'd go into ChatGPT, paste in that SOP and then I'd grab this prompt that says, please convert this transcript into a beautiful step by step SOP formatted text with markup and specific paragraphs and remove all time codes. Now again, that's just a extra prompt. This is not mission critical, it's a bonus. I do it. And that's because in my experience, what happens is when I press the enter key and I let chatgpt go to work, it'll go through, it'll spin up, and it actually does a better job of thinking than the built in Loom version. Okay, so again, I'm only showing you this because in my experience, it's good enough the way it is. Nothing wrong with it, but if you want one better, it's especially if I were creating manuals, for example. So one of the ways that I'm using this strategy right now is I actually can create an entire product step by step on how to do something, demonstrate it. I can work with a webinar, for example, and turn it into an SOP. Or I could take someone else's YouTube video and turn that into an SOP. I can import a YouTube video right into loom. So there's ways to create derivative content from some experts content and make it even better. All right, let's continue on, shall we? So the next thing that I'm super excited about is a tool called Napkin AI. And it's a tool that allows you to turn any process into a diagram. Let's take a look at it here. So this is what the Napkin AI website looks like and it is 100% free as of right now. But basically you can take any, any text, any copy, paste it into a napkin. It's like the metaphor, of course, is, you know, drawing on a napkin. In the old timey days, you paste in the content from anything, you click a little button and it starts creating visuals and then you can edit the stuff later. Let me show you what it looks like in real life. So I'm going to take one of my SOPs here that I made. This is one of my tools for using WhatsApp. So I'm going to just select a bit of copy, click on new napkin, blank napkin, and then I'm going to paste in the SOP that I got out of Loom or out of chatgpt. I click on the little arrow, it looks like a lightning bolt. And right below in real time, you'll see that it creates a whole bunch of beautiful diagrams. And it's got a lot of different styles, anything from a pyramid to a. Step by step, it'll create icons. And again, you're seeing this. I recorded this in absolute real time. So in this particular case, I might create sort of a line, linear drawing. And then you can click inward and pick styles. And then you can choose a different icon, different color, and then once you've picked it, you click on it and boom, it will appear in your document. You can go and edit the text, replace anything. But then there's this little purple link that lets you copy or download this image in high resolution with or without a background, and then paste it directly into either Google or Notion or whatever you're using for your documentation. And there you see that I just did it now. So to me, think about it. If you had to hire someone to follow along with you and do all this manually or, I mean, let's just face it, we've done that in the past, right? If you had a scribe with you at all the times, and then you'd be like, oh, I'm going to show you how to do something. I want you to take notes with me, I want you to transcribe it, I want you to turn it into a manual. Then I want someone to create a little step by step drawing and then create documentation that could have been hours, days, weeks of time in the past and it would not be as good as capturing it, real timing and doing it this way. So I'm going to review what we just covered here and give you the tools again. And then I just go ahead and scan that QR code for all the links to all the tools and the resources I've given you. So number one, I use Loom to record the process. The only reason there's lots of tools that record things. This one does a good job. I've experimented with other couple tools that actually build manuals and do it in real time. I haven't seen that they do as good as this. Okay, then I copy the results that it produces into either Notion or Google Docs. Google Docs are fine for linear one offs. Notion lets you organize them into like a wiki so you can have everything. We're putting all of our SOPs, for example, for our business, in Notion. Now if you want to do one level better, you could take the transcript and use ChatGPT with the prompt I gave you to rewrite the SOP. It does a cleaner job. Loom is good enough. Always getting better. If you want to create a diagram, use napkin AI. I'm also using napkin AI to create diagrams inside PowerPoint and keynote presentations. Then of course, you can distribute the master doc to your team. Now when you use Loom, it also pastes a link to the original Loom video so they can follow along step by step and they have the written version and they have a diagram. Then of course you can put all the links into a master handbook, which is Notion or Google Docs. And that's how I created the content that I'm sharing with you also. So with that, the goal of course, is freedom. Freedom is what we all want. I want it as a founder, I want it as an owner, and to me, one of the greatest insults is if someone asked me to repeat myself. It's like, no, let's just capture it all at once and create a master document for you right now. So I hope you enjoyed watching this as much as I enjoyed making it for you. And I'm looking forward to seeing you in a upcoming video real soon or at an upcoming meeting. But this is Freedom. My name is Mike Koenigs. I'm looking forward to seeing you soon. Bye bye.
