EIDL - The Do's and Don'ts of Proving Funds Spent | Incite Tax

In this video Ryan Vaughn explains how to correctly use an Economic Injury Disaster Loan (EIDL) for small businesses, especially gym owners. He first outlines the permissible uses of EIDL funds—paying fixed debts such as rent, payroll (including owner wages as a regular employee but not bonuses), and accounts payable—essentially defining these as "working capital." He then details the prohibited uses, which include dividends, bonuses, owner distributions, repayment of shareholder debt, acquisition or repair of fixed assets, long‑term debt repayment, repayment of other federal loans, and relocation. Vaughn warns that the SBA can audit a borrower at any time and may impose fines up to 1.5 × the loan amount for misuse. He stresses the importance of assessing a business’s pre‑COVID financial health and using tools like a 13‑week cash‑flow projection before taking on debt. The core of the presentation is a bookkeeping system based on the Profit First methodology: keep the EIDL proceeds in a dedicated account, transfer only the exact amount needed for each approved expense into the operating‑expense (OpEx) account, and pay those expenses immediately to create a clear paper trail. Any repayment of long‑term debt must be funded from non‑EIDL sources (e.g., member deposits) kept in separate accounts, ensuring the SBA cannot trace loan money to prohibited uses. Vaughn walks through example transactions for payroll and rent, shows how to document the flow, and explains how to handle excess EIDL cash. The overall message is to use the loan responsibly, maintain strict separation of funds, and retain documentation to avoid penalties while preserving financial resilience.
