In this instructional video, the presenter walks viewers through using a spreadsheet organizer to track business and rental income and expenses. The process begins by making a personal copy of the file, then entering either year‑to‑date totals (optionally all in the December column) or month‑by‑month figures derived from bank and credit‑card statements. Gray‑shaded cells indicate where users should input their numbers, and the sheet automatically sums totals. For users with multiple business entities, separate tabs are provided; each entity gets its own tab with the same layout. Rental properties have a slightly different layout: users must supply the street address, select the property type from a dropdown, and (if it’s the first year) record the purchase date and price. Equipment purchases over $2,000 require a specific entry with the equipment name and cost, while smaller items should be logged under the generic repairs category. The video emphasizes consistent data entry across all tabs to ensure accurate tracking.

Whether you need to use our organizer to fill out for your business activity and/or rental activity, this video is for you. The first step you need to do is— you see our instructions here— you want to go to File, Make Copy, and make a copy. Once you have a copy made, you will be able to input information onto the spreadsheet. If you have all your information for the entire year, feel free to put all those numbers in the December column. And where you see gray, input numbers in the gray boxes and just fill it out based on your information. If you don't have the information totaled yet, we recommend you go through your bank statements and credit card statements and then fill out each month based on those statements. So if I'm looking at the February statements, I would come in here and I would put in the information that I see from my statements. And if I have March, so you can just add the numbers up here, it does the work for you, um, and it's going to work out great. You will notice at the bottom there are additional tabs if you have more than one business entity. We want you to fill one of these out per business entity. And to do that, you're just going to simply select one of the other tabs and then fill in the information like you did on the other one. If you have a rental property, you will notice it looks a little bit different, but the process works the same. You are going to input the income numbers for that rental property for the year. And the different expenses that you have based on these categories. We have a spot here for you to put the street address, so that helps us identify which rental property this information pertains to. You can choose the select-down— the dropdown box to choose the type of property that you have, the date you purchased, and the purchase price. Now, if you've already given us this information, We really just need the street address to identify the property that you're referring to. But if it's the first year, we do want to know the date you purchased it and the purchase price. If you've expensed equipment over $2,000, we need to know the name of that equipment. Call it like appliance, could be washer and dryer, refrigerator, whatever you want to name it, and tell us how much you paid for it. More than $2,000. If it was something that's less than $2,000, feel free to use the repairs option up here. And again, at the bottom you'll see multiple tabs. So if you have more than one rental property, we want you to fill one of these out per rental property.
