What to Do Before Anyone Walks Into the Room | Facilitation Preparation

TJ Walker says facilitators prepare content and slides but skip the hard part: planning what to say when someone talks too long, dominates the room, or stays silent. Write your responses ahead of time so you respond deliberately instead of freezing up.

Ultimize. Here's something most facilitators never prepare for: what they're going to do when things go wrong. They prepare the topic, they prepare the question, sometimes they might even prepare slides, but they don't prepare for behavior. And behavior is what actually determines the session. I've seen this over and over again. Someone talks too long, someone goes off topic, someone has to dominate because they love the sound of their own voice, Or no one speaks at all, and the facilitator freezes for a moment. They think, uh-oh, do I interrupt? Do I let this go? What do I do here? That hesitation is what costs you control. Strong facilitators don't eliminate those moments. They prepare for them. Before the session starts, they've already decided, if someone goes long, I'll say, let's keep responses brief so we can hear from others, please. If the conversation drifts, I'll say, let's bring this back to our main focus. If no one speaks, I'll say, take a few seconds to think, then I'll come back to you. If one person dominates, I'll say, I'd like to hear a few more different perspectives. Now, when those moments happen, and they will, believe me, they will, good facilitators don't hesitate. They act. Calmly, naturally, immediately. Here's the difference: unprepared facilitators react, prepared facilitators respond. So here's your takeaway: before your next session, don't just prepare what you'll say, prepare how you'll intervene. Ask yourself, where could this go off track? What will I say when it does? What about this one person Joe, who always talks too long, do I have a response ready if I've got to rein things in? Because when you've already made those decisions, you stay in control of the facilitation session.
