ServiceTitan September 2019 Release Notes | Big Features Leaving Beta!

Richard Cobra walks through ServiceTitan's September 2019 release. Appointment confirmations now show as darker blue on the dispatch board. Bulk statement sending, Marketing Pro audience exports, customized Academy courses by role, and preferred technician auto-assignment for recurring jobs are all leaving beta.
What's going on everybody? It's Richard Cobra here, the blue collar nerd. You already know what time it is. It's service Titan release notes time. This one's pretty dense. There's kind of a lot in here, so I'm going to jump right into it. Alright, so first thing, under invoicing we've got bulk send customer statements. So on last month's notes we saw that we hit send customer statements from the interface in the first place and now we're able to send them in bulk from this new AR management screen under the invoice tab. So for all you accounting people out there, this screen ought to be pretty handy. Next, under dispatch we've got appointment confirmation launch. Now, Appointment confirmations, that was a beta feature that has been going for a little while. I've actually been using it and it seems like now that's going to be a default feature. So if you right click a job on the dispatch board, you can confirm a job from there or you can do it from the job screen. There's a little toggle switch there. Once a job is confirmed, it will show up a darker blue on the dispatch board. And the purpose of this is just to have a workflow where you can contact a client before you head out to make sure that they are home available and ready and, and then you can confirm that appointment so that you have that information. Okay, the obligatory Marketing Pro updates. Set up details in Settings Marketing Pro email to add things such as values and key information. Why does that sound so familiar? Set up details in Settings Marketing Pro email to add things like values and key information and use this info for your marketing campaigns and email templates. Okay, let's go see what they mean by that. They don't mean anything by that. Oh yeah, it was in last month's notes. Well, let's go see if they mean anything by that yet. I guess, hey, they actually do this time. So let me check this new page out here. It looks like you can put in your company details like your address, the company name, you can select a trade. So I guess that will eventually have effects on the type of content that it shows you. You can put in default sender information, a default reply to and you can create a defaul default footer. Also under Marketing Pro view campaign details when you click on a campaign name in campaigns. So if you go to campaigns, click on one of the names, you'll get this screen here that shows you some details. This next one is pretty major. See a total number for each audience in Audience or when building an audience, including, view a list of customers for each. So now if you click on the number under reach in audience, you can see a list, an actual list. I'll put it on the screen here of who this campaign is going to and you can export it into a CSV file if you want to as well. That's great. That's been a much needed feature. Okay, under memberships, I'm going to kind of squish these two bullet points together. There's a redesigned billing module which I'll put on the screen here. And most importantly to me, anyways, automatic billing rules. Now, Automatic billing rules have been in beta for a while. It's something you could have gotten enabled, but now it seems like it's going to be part of the default product, which is great. So you can just set rules, generate this invoice on the first of the month, bill the clients on this day of the month. It's going to be great. That's really going to ease this billing process if you use recurring billing. Okay. Under onboarding, we have customized Academy courses for new users. So if I'm understanding this bullet point correctly, now, when you assign a new user and you give them a role, it's going to automatically assign them the learning paths in the Academy. Academy.servicetitan.com that are associated with the that role. And that's great. I think the Academy has a lot of wasted potential. It seems like, you know, obviously a lot of work has gone into that. There's a lot of great information there. I think the platform that it lives on has kind of done it a disservice. It's just a little bit complicated to, you know, get everything together. Complicated? It's maybe not the right word, but there's just a wall there. There's too much friction and so it doesn't end up getting used as much as it should. Okay, under Settings, I've got new phone section. Now, this is mostly just a visual update to the phone section, but here it is. I'll put it up screen. As far as I can tell, everything still works the same, just looks a little bit different. Permissions employees with edit employee or edit technician permissions can update verified email addresses and mobile phone numbers. Okay. So this is going to make it a little bit easier for higher ups to delegate. So previously only admins were able to do this and now you can just enable permission for anybody on your team. So that's going to make that a little bit easier. I know this whole new password security thing has been pain in the butt for some people, but it was necessary. This is hopefully going to make it a little bit better. Under phones, I see automated opt out for customers. So this means that whenever you send a text message out of Service Titan, the client can reply. Usually it's stopped the word stop and that will automatically opt them out from receiving any future text messages from you. That will automatically disable text for that client. And it says that they can opt back in as well. So usually it's like stop is the opt out and then you can say oops to opt back in. That's usually what I see. Pro tip, by the way, that's pretty universal. So if you ever get a spam text message that you don't want, just send stop back every time. And 99.9% of the time that will unsubscribe you from whatever list you ended up on. Under invoicing, they have enhanced invoice screen. Now, we kind of covered this a little bit already with that AR management screen, but they're just talking about the overall. You know, they put the new sidebar menu there. And we've got that AR management tab as well. We've got some updates to the payment terms feature. Now, if you don't know what the heck I'm talking about, that's because this is gated, so you would have to ask for it. This is for companies that do a lot of billing, but you can now enter a custom due date by going into an invoice updating the terms and due dates. You can export invoices with payment terms and due dates to your accounting software. And in the mobile app, the print view of the invoice now shows the payment terms. Okay. Under memberships Preferred technician for recurring services. This is pretty cool. So now under a recurring service score, a specific client you can say preferred technician. And then when you go to schedule that next repairing service, it will auto assign that technician by default. You can always override that if you want, but it's going to select that technician for you by default. This is really cool and I don't really understand why it's got to be limited to just recurring services. I think that this ought to be a great feature for just on the client's page. In general, I just want to be able to say, hey, this is the client's preferred technician and any job I book will auto assign that technician by default and I can override it if I need to. Come on Service Titan, you got to commit no more half measures. I want you to commit. Okay. On the mobile side of things, enhanced usability for done for now. So when a technician with the correct permissions marks a job done for now, they now see their next scheduled job on their mobile dashboard rather than the one marked done for now. I didn't even realize this was an issue, to be honest with you. We don't use done for now very much. But yeah, that should obviously be the way it works, I guess previously, if you hit done for now on the mobile side, that still would be the job showing on your dashboard. And so if you're job filter is set to only show you your next job, you can't see your next job. If you hit done for now, that's no good. They fixed it. So I'm not gonna, I'm not gonna complain too much, but okay, that does strike me as something that should be under the fixes section. I mean that's, that's bad enough to be considered a bug, but. Invoice filtering. So from the history tab, technicians can now filter their previous invoices by job type and business unit, so it's easier to find the ones they want. Cool. Prompts to delete empty estimates. This is a pretty simple one. If the technician goes to close out a job and they have an estimate that has nothing in it, little pop up will show up and they'll say, hey, you've got some empty estimates, do you want to delete them? So that's pretty handy to, you know, make sure things stay clean. You don't have empty estimates lying around, make sure the trash gets taken out. Technicians can also now filter forms by business unit. So now you can assign forms to a business unit and then a technician can filter by business unit on the mobile side to get only the forms that are associated with that business unit. That's handy, but I feel like at least my technicians are probably not going to use it. Kind of wish I was able to have this as an option, but also as an option be able to make hard ties between forms and business units so that I can just choose to not clutter any technicians with irrelevant forms in the first place. There's no way they're going to see them under reporting. Job status KPI added to reporting. So use the new job status Key performance indicator to filter job related reports for relevant invoices by job status. For example, you can use the KPI to exclude canceled jobs from the report. Sure, yeah. As much flexibility, flexibility as possible when it comes to reporting. TitanScore, an update of Titan Score, is launching in October 19th this latest enhancement covers more features and workflows, giving you more opportunities to expand your service type knowledge and increase your Titan score. That's cool. Hey, did you guys know it's actually possible to get your titan score over 100%? You can actually get it to be 110%. Tell you what, I'll make a deal with you. If this video gets 30 likes. All right, I want 30 likes and my subscriber count gets to 300. We're at like 280 something right now. We're pretty close. So I want 300 subs and I want 30 likes on this video. Likes on YouTube. By the way, if you came here from Facebook, don't like the post on Facebook. I need you to like it on YouTube. That happens. I'll make the video how to make your Titan score 110%. Deal? Deal. Cool. I hope you found this information valuable. Hey, as always, I did not go over 100% of the release notes. So if you want to see every little nook and cranny, I recommend you check out those release notes for yourself. And before I let you go, I'd like to thank today's sponsor. You know who it is, it's outbound 360 and inbound 365. Now I don't know specifically what industry you're in or where in the world you are, but for me, I'm H Vac and I am in Atlanta. So for us the summer is the busy season and the summer is coming to an end. So it starts to become really important to keep the board full. Be very active about keeping the board full. And one of my main strategies when it comes to doing that is outbound 360. Outbound 360 can call out to clients in the database and schedule them for tune ups. Catch anybody who hasn't been scheduled for their maintenance yet. They can follow up on estimates that went stagnant. They can even just do like an operation reach out where you just kind of call out and say, hey, you know, we just wanted to touch base. Just wanted to make sure that your information is still up to date in our database. Is this still your address? Is this still your phone number? By the way, is there anything we can do for you? And you can pick up some business that way. Whatever outbounding you need done, outbound 360 has got you covered. They've also just launched their inbound division. Inbound 365. And hey, let me tell you, if you are not happy with your answering service. And you're probably not. You're probably not inbound. 365 I mean, look, I didn't think it was possible to have an answering service that doesn't suck, but finally one exists. They're very well trained agents over there. They know how to handle the calls. They actually try to book it. I mean, they actually care whether or not they book it. They're not just collecting information. They're actually trying to help your clients and fulfill whatever need they have. And all the agents are trained in Service Titan so they can book calls directly on your board. If you're interested, you can visit goldbulletgroup.com or email maryoldbulletgroup.com and do me a favor, let them know I sent you. Anyways, that's all I got for today. Hey, if you like this video, you want me to keep making them hit that like button, give me that feedback. And also subscribe to the channel if you haven't done that already. And especially if you guys want to see that video on how to get your Titan score to 110, leave me a comment down below if you've got anything at all to say. As much engagement as possible here on the YouTube platform. That really helps me out. And by the way, I am working on a service Titan coaching group. I'm currently running a beta test with a few people, but you can join the wait list for when we go live with the full product. Link down below for that. Appreciate it. I'll catch you in the next one. Peace. Sam.
