Top 15 Features of 2022 | Year In Review

Richard Kohberger walks through 15 ServiceTitan updates from 2022, including a redesigned permissions system, technician-assigned forms, schedule assistant, dynamic pricing, and conditional logic in forms. See how each feature works in real booking and dispatch workflows.
What's going on, everybody? It's Richard Kohberger here, the blue collar nerd. So as 2022 comes to a close, I just thought it would be nice to kind of take a moment to reflect back on some of the changes that have happened with Service Titan over the past year. I think this is going to be a helpful video for everybody because just so much changes in the span of a year that it's easy to miss something and it's even easy to see something, but then get so busy that you forgot to ever do anything about it or implement it or whatever. Plus, I also just think it's easy to forget just how much progress has been made. So without further ado, here are some of my favorite changes and new features from Service Titan in 2022. The enhanced permissions Experience so you know how in Service Titan, the permissions page is just like a long ugly list of checkboxes and text? Well, not anymore, baby. You get out of here ugly and hello beautiful. Technician Forms. So you know how in Service Titan, a form has to be attached to either a job, a call, a customer, a location or equipment? Well, not anymore, baby. We got a new kid on the block. So when creating a form, you can now choose to assign that form to technicians. Technicians will access these forms from a new tab on their main mobile dashboard called My Forms. From there, they can select any technician forms that you have published. So so they can access any of the published forms on demand by clicking that Add form button. You're also able to trigger these forms based on non job event timesheet codes. So for example, if you had a safety meeting, non job event and non job event timesheet code, well then you could set it up so that anytime a technician attends a safety meeting non job event, the safety meeting attendance form is automatically triggered for them. The Project Page Redesign. So you know how in Service Titan, the project page is just like one big long page that you have to scroll through. It's not really organized in any way. There's no good way to navigate it, and it's got like a bunch of wasted space everywhere. Well, not anymore, baby. The Project page has been completely redesigned. The Office Estimates Redesign so the Office Estimates interface has been completely redesigned. It's now cleaner. It matches the rest of the product better. It's a lot easier to use. So Schedule Assistant so basically, Schedule Assistant is going to help your dispatchers find a time to schedule jobs that is most efficient for you that also works for your customer. So Schedule Assistant is an optional feature, but Real quick, let me demonstrate to you a simple way to know if you need this. Go and sit down next to somebody who books jobs in your company and just watch how they do it. If it looks anything like this. Okay, how's today at 4? Okay. How about tomorrow at 2? Okay.
Saturday.
At 3? Got it. Then you need schedule assistant. So let me show you how this works. Like normal, you'll fill out the basic job details on the call booking screen. Then you'll click this button that says schedule assistant and that will bring up this page. Then you can input a date range. So if you're looking for something this week, you would put in that date range. You could also enter in a time range. So if the customer said that only afternoons work for them or something like that, you could enter that here. You could choose what days to look at. So we're going to ignore the weekend here. Job type and business unit will be filled in for us. And then we have these toggle switches to filter which technicians we want to see. So in this case, we're going to show technicians who have the skills assigned for this job and who have on booked availability. We could also toggle on in the zone if we had technicians that only worked in certain zones. Then we hit search and that's where the magic happens. So it is going to show us a menu of options highlighting the most efficient first and then the options get less efficient as they go on. Now I'm showing this in a sample account. So there's not a whole lot of data here. So you're seeing that my guy Dan here is showing up as the best technician for like every option. He probably just has a house that is close to this jobs and you can see that. So it says his first stop is his house, he's dispatching from home. And then boom, his first stop would be this 8 to 10. So in this admittedly not great example, you can see that this adds eight minutes to his day, but all of them add eight minutes to his day. And we have multiple pages here. So on the second page we're getting into Matt, who is again dispatching from home, but lives farther away. So this would be adding 10 minutes to Matt's day. So he's further down. But here's an example of what it looks like with a more filled in and complex schedule. So it's going to show you where it suggests putting it in and it's going to show you how much drive time that is adding to that technician's day. Once you find one, that's good for both you and the customer. Then you'll click save and then that will input all of that information for you. And now you're ready to book the job. Now you're also able to run Schedule Assistant from the dispatch board. So if you have separate CSRs and dispatchers and the CSRs are just throwing jobs into unassigned, and then it's up to the dispatchers to find the best place, well, Schedule Assistant is still great for you as well. So you see here I have a job in unassigned, I can right click it and then click Schedule Assistant and that will pull up that same page if I did want to move something. I'm also able to run Schedule Assistant on jobs that are already on the board. So should you choose to grant the permission, technicians now have the ability to text with customers from the mobile app. In order to allow for this, first you would go into the technician permissions search for chat and you should see two chat related permissions. The first one is to view customer chats. That one was already there before. That just allows the technician to see the chats that have been happening between the customer and the office. But there's also this new permission that says allow full access to customer chats and that allows the technician to not only see the chats, but send chats of their own. This is what it looks like on the technician side. So within a job, on the main job tab they have this chat section here they can tap on that and get this fly out they'll be able to see the history of any chats that are attached to this job. And from that fly out they can now send chats of their own. Next we have the new overview section. Now this one is a pretty big deal if you use full inventory. So now under the main inventory tab you have this section called overview. And under that section you have items and inventory locations. So under items you have this master parts list that gives you this high level overview of everything that's going on with your inventory. So you can see your total inventory valuation. You can see how many of your items are in the negative, how many negative inventory items you have and the total number of items that you have in inventory. You also have this table here where you can see your inventory items and see how many are available on hold on, order on hand, your average cost on that item, your total value on your inventory of that item. You also have a very robust set of filters here. So floating there at the top are some quick filters. Item name, item code, item description, Inventory tags, average cost. Those are just floating there for quick access. But then you can also click this button right here to see the full list of filters. And. And as you can see, you have a lot at your disposal. And by the way, most everything on this page is able to be drilled into. For example, if you clicked on total negative items there at the top, you would get a list of all of those negative items. If you click on an item name or code in the table, it's going to take you into a more detailed view of that item. From an item's details page, you can create an item count. You're also able to initiate a transfer or a purchase order from here if you need to do that. And if you click on a number under the hold column, and that's going to take you to the on hold section where you can see all of that inventory that's sitting on hold. We have the new default call type filter in phone number settings, so you can now configure tracking numbers so that any phone call that comes in through that tracking number is by default marked as either a lead or not a lead. Why is this helpful? Well, you can create a phone number that is specifically for your technicians and vendors to call into the office on, and then you mark that phone number as not a lead by default. And that means when your technicians and vendors are calling into the office, you don't have to worry about reclassifying those phone numbers. They're by default going to be marked as not a lead. That is super helpful and saves a ton of time. We've got a big one, conditional logic in forms. Now, this one, not technically labeled as a y', all, but I asked for it. I asked for it back in 2019 in my Christmas Wishlist video. So I'm going to put the hat on anyway. So with conditional logic in forms, you can show or hide particular sections or questions on a form, depending on the answers to other questions on the form. For example, if you had like an H Vac inspection form, you could have a question that says, is this a gas system, an electric system, or a dual fuel system? And if the technician chooses gas, then a whole bunch of questions related to furnaces will appear. But if they choose electric, then only questions related to electric systems and air handlers will appear. Or if they choose dual fuel, then both sections will appear. This allows you to consolidate forms. This allows you to make more complex forms without making them look cluttered. And it allows you to collect only the information that is relevant to a particular situation. It's a really great feature and I've got a whole separate video showing you exactly how to use it and I'll put a link to that in the description down below. By the way, myself and other members of the team have gone ahead and pre built some forms with conditional logic for you to use. Those can be found by going to Settings and Titan Exchange and under the Service Titan Best Practices Network Search for conditional logic. It is now easier to identify attachments when emailing out of Service Titan. So previously if you were emailing a customer an invoice or an estimate and you wanted to attach some pictures or videos or PDF files, you got this. Just a list of the file names and you would check off what you wanted to send, but you didn't really have a good way of knowing what was what. Maybe if you were lucky, the technician renamed the files to make it a little bit more clear, but there were no thumbnails or anything to help you out. But but now we have a very different situation. So in place of all those messy checkboxes, we now have this one Attach files button and that brings up this beauty. Alright, next we saw could it be?
Is this the day that the prophecy foretold? I admit my faith was beginning to waver. It's even more beautiful than I imagined. The option to automatically send invoices upon job completion. I. I'm at a loss for words. I. I don't think there are words. My. I've lost track of time. How long has it been? Minutes? Hours? I'm sorry my sweet. I have to break away. I have to finish the video.
I'm sorry, I. I blanked out there for a minute. This is big. This is a big one. Dynamic pricing is here. So if you have managed to not hear about this by now, then you don't watch all my videos and the disappointment I feel is immeasurable. But basically it allows you to set up pricing formulas that just says, hey, this is how I want to calculate my prices for this category, this category, this category, whatever, and and then anytime anybody, be it in the field or in the office, goes to look at the price of that item in the price book. The price is calculated instantly on the fly. As they go to look at it, Boom. It runs the formula right then and there and they see the price. What that means is that the price is always up to date. It's always running the formula. So if your material costs go up, you don't need to manually go and update all of your service pricing. It's just gonna Keep following the formula. If you change the billable hours on a certain task, you don't need to go and update that price. It's just going to keep following the formula so the price will always be up to date. You're also able to dynamically modify that price based on certain factors like is this an add on? Is this an after hours job? Or is this job for some reason more difficult than normal? You can add pricing levels so you can add level one, level two, level three, easy, medium, hard, or all the way up to however many levels you want want. And that gives your technicians or your consultants or salespeople or whoever some ability to modify the pricing. If a job is going to be particularly hard or exceptionally easy or whatever, you're able to provide them that flexibility without giving them full control to just modify the price to whatever. We have some forms page improvements. So if you now go into Settings and then forms, that forms overview page has been completely redesigned. So first of all, you'll notice we have a search box up here which helps us more easily find the form that we're looking for. This alone solves one of my biggest gripes with the old form screen. See, before you could technically do a search because the name column had a filter. But if you use that, if you made a filter and then you clicked into a form and then you said, oh, actually that's not the form I'm looking for, and then backed out, it cleared your filter. That no longer happens. So If I type 10 here, I get two results. I can take a look and see if this is the one that I was thinking of. I get this nice little preview modal. I can say, ah, no, actually that, that isn't the one I was thinking of. And my search is still here. Even if I click this edit pencil to all the way dive in and then say back to forms, it still doesn't clear my search. And that alone makes me very happy. But there's more to this. So you'll also notice we have this new status column that lets you know if the form is published or not, if it's available to be used, or if it's in a draft state. We also have a separate column for the triggers and we can see how many triggers each form has and we can even edit the triggers very quickly right from here. So, so you just click on that and it takes you to the triggers page where you can add new triggers or make edits or whatever. You'll also notice here we have a make a copy button. If you're a longtime viewer of blue collar nerd content, you know how I feel about duplicate buttons. Love me a duplicate button. And we also have this export button, and if I click that, it gives me the option if I want to also export the triggers that are associated with this form or the conditional logic rules that are associated with this form. This particular form doesn't have conditional logic, so that's not a choice. But if it did, I would have the option to export that as well. And then if I click export, I now get a file. So previously to make copies of forms or to export forms and share forms, you had to like copy and paste code. That's no longer the case. You can now duplicate forms with the push of a button. And if you do want to export the form for sharing purposes or whatever, you don't have to copy and paste code anymore. You get a file now. And even the form builder itself has been improved a little bit. So you'll notice that the status is much more visible up here at the top. This was a really easy mistake to make before you could build this form out and then not realize that you never switched it from unpublished to publish. And then you'd have troubleshooting to do. You'd be wondering why your form wasn't showing up. So that's more obvious now with these big tiles and the screen tag. And if you scroll down on a form, you've now got this convenient little scroll to top button that takes you right back to the top of the page. So overall, some great quality of life improvements there. So when you click on an appointment on the dispatch board, now instead of being navigated to that job page, you will get this fly out. And from this flyout you can do all of the most common dispatcher tasks. So right here at the top of the flyout we have a button to call the customer. Then under there we have some details about this job. And we can click this edit pencil to edit those details. So we can change the job type, the priority, the bill to, and the service location. Then we have some quick edit options. We can quickly edit the tags associated with this job, the skills necessary for this job, and we can edit the job summary again. You can do that right here, right from this fly out. We have an overview here of all of the appointments associated with this job, and we can make changes to that if we need to. We can reset.
