Creating a Conference Presentation

Dan Willis builds a Toastmasters presentation live, using Prezi for slides, Canva for graphics, and Pexels for photos. He favors few words and many images to keep focus on the speaker, walks through the tools step by step, and covers exporting, Chromecast display, and follow-up materials.

Alright, that was weird. Welcome back, guys.
Sorry for that short little blurb just now.
Going to be live for the next little bit. I'm essentially walking through— I figured I was gonna sit here for a large chunk of today, actually, trying to wrestle with how I can go about shooting a video while at the same time getting this presentation that I've got to get done. For the upcoming conference. So what I thought I'd do, instead of me trying to rush through one or the other and put out something subpar, I'd actually just go live.
Why not?
YouTube's got it. I'm gonna go live here. I'll walk you guys through what I'm doing, my thought process, the tools that I'm using in order to create a presentation, and kind of how I like to put things together. And then, you know, maybe you guys will learn something, you can appreciate the tools, you can use something on your own part, and I knock the video out for the day. So that'll be there. But here we go, let's get off and running. So I've already got started, I've done a little bit of legwork. I guess I can back out here and show you guys what we're working on. So I've got a YouTube presentation that I will be delivering in Montebello this Sunday. For any of you Toastmasters attending, I look forward to seeing you there. Hopefully you can swing through and check this out. But the tool that I'm using mostly, there's 3 tools that I'm gonna be using principally in order to create the presentation as a whole. The first one that you guys see me working in here is not Google Slides or PowerPoint. I like to use Prezi. I like the motions on it. I like the layout. I like the interface. So prezi.com is one of the tools that I like to use when I'm creating a PowerPoint-style presentation. On top of that, other tools that I will be using of course will be Canva if I ever need to create something as far as a graphic is concerned, or if I need to source some great stock photos, I'll be using Pexels. So those are the 3 main tools that I'm gonna be using as I build this out. I will try to give you a play-by-play on what I think is the best way to go about a presentation. For me, guys, as always, one of the keys that I look at when I'm creating a presentation is keep it simple. Now, a lot of people create a presentation, they like text, they like bullet points, they like to have a ton of content in the presentation. For me, when I'm giving a presentation, I want the focus by by and large to be on me and what I am saying. So I try to limit the amount of text that I actually put into a presentation. I like to have images be a large part of the presentation and allow the words to be the words that are coming out of my mouth. Now, that being said, afterwards with most of my presentations that I do, I like to send out a follow-up to those people that attend that is a written breakdown of here's what the presentation was as a reminder so you have this. But I like their focus to be on me and what I'm saying as I'm doing that presentation more so than being on the slide projector behind me. So that being said, don't be surprised as we go through this that you're gonna see a lot of images and a lot less text than you would typically see inside a presentation like this. So first and foremost, guys, Prezi has a ton of different backgrounds and themes that you can choose from. I kind of like this one. It had a digital feel as far as Okay, well, it's YouTube related, it's got some internet stuff. How you doing, buddy? Keeping it positive, I am sure. Thanks for swinging by. I love that you're a fan, uh, and I do appreciate you swinging by. I remember seeing your comments on a ton of videos, so thanks for watching that. Uh, with this, guys, though, it is a digital, uh, presentation, so having kind of this digital background feel to it, I like it. Uh, I'll show you what this does, and one of the reasons I really like this is the quick presentation. You can see the animation, so This is just standard stock. I haven't done anything to this presentation. It's gonna walk me through the presentation. Again, it's simple point-and-click. So you guys can see that it's got a simple walkthrough here of, you know, this is the, this is the step and this is the process. It's gonna take you into these squares. These animations are a natural part of this. It's gonna break it down into the details. It'll go as specific as you want. You can add or remove these steps as you go. So this is, this is what you're working with from go on this, which is kind of nice. And then it's really just simple. You can back out into editing. That's never a problem. It's really, really easy to do. So yeah, it's just this really super simple way to go. I love using the tool for that. The reality is there is a lot of optional tools that you can use, but I like the graphics that I pull from Pexels and Canva a little bit more. So I tend to pull in resources from somewhere else. So right now what I'm working on, I should go back what I did note there. And one of the reasons why I love switching back into presentation is to make sure that we get the whole thing here.
So I just want to make sure that for some reason, okay, so that's the start of the presentation.
And you'll see some of the work that I've already done. And these slides with these images are already walking people through what my plans are as far as where I want to lead this and where I want to take it. So right now we're on the second portion of this presentation, which is our create section. So currently working in here. And again, like I said, I'm going to use images to display the message to help people figure out what's going on. So I want to make sure that as I progress through this on the left-hand side here, guys, what you're seeing is the progression as far as the actions go. So I know that when I click this, it's going to come into the subsection for this. Now I can make this go into as deep. Depth as I want, as far as the actions from one section to another to another. So as you go into the presentation of this, it's gonna say, okay, well, you're gonna go from brand into more detail on this. What I can have happen instead of that is I can go in and say, okay, well, the action that I want it to take, I don't actually want it to zoom in from this point on. What I want it to do is I, I think it's sufficient for it to have just this slide So for me, I'm gonna put the time in here and I'm gonna edit just these few slides. And then from there, I'm going to actually just have it back right out into the main screen. I don't want it to dig any deeper than this. So just go in here, we're gonna insert an image. I've got my generic brand image that's available.
So I'll go in here, company logos, Millennial Motivator, just pop that image in there.
And again, I'm always thinking when I'm creating these presentations of—
send to the back—
I'm always thinking about how is this gonna play? How's this gonna look? How's this gonna flow? Is it going to be— is it going to be smooth when I'm delivering the presentation? Is it gonna have that, that feel that it tells a nice story alongside the vocals that I'm giving. So I want to make sure that I'm constantly running through the presentation to ensure that that happens, right? So network, I need to find an image for that.
So let's head over to Pexels, type in network.
If you guys haven't used Pexels, it's a phenomenal tool. It really does provide a wide variety of great stock photos. All of this stuff is common use. So you can go in, you can grab it, you can use it. So I've got network here, trying to find a nice image that shows network.
What am I feeling? What am I feeling?
I mean, for the purpose of this Prezi, what I'm looking at for network here is talking about how you're building your social reach. So maybe instead of network, what I want is conversation.
Let's head in there and see what's up in there.
Yeah, I think this is a good image. Like, I like the guy with the beard. I like his look. I like that he's having a meeting. Gives me that feel of you're expanding your network at the very least, right?
So let's save that sucker in there. Head back into Prezi. We'll import that.
Okay.
You guys can see all the graphics that I use for my Instagram and my videos and everything is in here. Presentation, let's go. This is the one I picked, right? Yeah, okay. So again, you can—
all of the interface here is really point-and-click. It's really easy to do, which is one of the reasons I really love it. I find with PowerPoint I'm often wrestling with the tool to try and make it be what I want it to be, and it never comes out being just right. I don't like the flow of it, I don't like the feel of it, I don't like the graphics of it. So what I do instead is I, I go to a tool like this that is very easy to use. I can, I can display this up onto my, my Chromecast when I take it where I go, so I don't have to be messing with laptops or anything. I just plug in the Google Chrome and we're off and running, right? So, um, or the Chromecast and we're off and running. So network, and then This slide we're dealing with right now is the creation aspect of starting a YouTube channel. So you want to go in here. Rest assured guys, I am going to try to record the presentation that I do on Sunday and hopefully that will be a video that I can throw up throughout the week for you guys that are subscribers. I'm hoping to do that. I'm hoping to have that resource available for you guys so you can see how the talk went as a whole. But background, what we want to do, so we are creating, you want to create the channel itself, so you want to have a brand for the channel, you want to look at the network that you were looking to build and attach to, and then your background work that you're going to create, that's the ins and outs of your profile details. So let's say maybe information will give me something I'm looking at. I'm looking for a picture of a screen that has your login information where you're putting in your about Stuff.
I don't know that that's going to show up here.
I'm sure I can find it somewhere. Oh, there we go.
This is perfect.
Okay, so that's what we want. And basically it's the 3-step process of creating a channel where you've got to create a brand first, then you've got to create that network that you want to build around it. So your social media network, your personal network, that's what you're looking to build around it. And then last but not least, you've got to make sure that you do the background work on all of that. So if you're going to do your Twitter, your Facebook, your LinkedIn, you make sure that you've got your profiles filled out appropriately. You're using everything that you possibly have at your disposal to create awareness around that.
So we'll go in here, pick that photo, drag that down here.
And again, those little yellow cursors are just showing your alignment on the images you're throwing up. So that's there, that's fun and easy to do.
And then from that, I can go to, Show animations. I don't know, that's what I want. Let's go to present. I want to be able to delete these steps, so I've got to find a way to do that here. So let's go back in and edit. Show info, your prezzies.
Nope.
View, insert. Oh, I gotta go back to edit if I want to edit. Let's go in here and see. Show animations, add audio presets.
I want to find a way here to edit which step it goes to next.
So again, guys, I love learning.
I love growing with the tools, finding different ways to do this. This video is not the traditional video that I do, guys.
This is me hanging out with you while I do this.
So even at any point, you If you have any questions, feel free to throw them out in chat.
It would be a welcome distraction while I'm doing this, but I need to get this done.
And I don't know that doing a quality job on this and shooting a video today is going to be possible. And I wanted to make sure I get something out at the very least. So I figured I would throw this up. Okay, so I've got to figure out—
we've got present as an option. We've got presenter view as an option. That's not what I want. Okay, so we've got this. We've got this. I don't really want it to go any deeper than this, so let's see here. Let's see. Okay, well, maybe I'll put the content in for now and then I will come back and deal with that because the reality is what I'm seeing is if I go into create I don't really want it to go deeper, I don't think. So maybe if I just delete these— is this gonna delete that entirely? Yep, and that's not what I want. So Edit, Undo. I just don't want it to go any deeper than that. I want it from that step to go back to the main screen. So I've got to figure out how to deal with that, but at least those are there for now, and I'll come back to that. Let's go into the next one, which is engage. So this one's called engage, and for engage we want It's going to start with a video camera because creating content is the first step of engaging. So let's do that.
That's a pretty intense camera.
Maybe that's not exactly where we want to go with this.
This looks more YouTube-y as a setup.
So let's use that, save that in there. I know that after that, so we want to start with video, then we want to start with— from creating the video, you share it out. Oh, back.
Share it out, have a conversation and feedback. Okay, so we've got the image for engage.
For share, we need an image. So let's go with social media because that's where the majority of your YouTube sharing is gonna be.
This is a great—
that's a great image. I think I've used that image in the past for some of the video content that I—
maybe in my reel.
For conversation, what we want to do— that one's probably pretty easy to find. Conversation. Maybe what we want is texting.
Yeah, because the conversation that I'm talking about happening is within the post, within your videos themselves.
I think I want an image of somebody actually communicating over social.
And then last but not least is feedback.
So maybe a survey would be a good image to have there. Survey doesn't pull up a lot, maybe questionnaire.
Now you are slightly limited by the free stock images. I like to make sure that I'm not going to get an email from somebody down the road of, oh, you used my photo, you didn't have rights to do it, you owe me money, you owe me yada yada yada. Pexels allows you to know that this is— all of these photos inside Pexels are are there with the permission of—
that's kind of a cool photo. Oh, it's inside a different site.
So this is a paid site that you've got to use. For me, it's staying with the free photos because I am a smaller channel.
I'm not looking to invest in stuff like quality images at the moment.
As I grow the channel, that may be something I look at. I know that I've done that with audio for getting Epidemic Sound. Sound into my videos. So down the road, that may be something that I'm looking at doing. Now that I've got my images, it's as simple as plugging them in.
So finding those images, we want this one, move that over. We want, want this one, we want This one and one more here. What was the third one we wanted? Was—
we've got the feedback, we've got the conversation.
Oh, social.
Huh?
Okay, so there are the images. Again, you just scale those to fit.
And again, it's always thinking about what's the story, right? What, what is the story the images are telling? So that you can just refer to the slide. You don't have to give it a lot of conversation. The image clearly displays what you're talking about.
Always make sure that these are nice and centered. Grow this guy a little bit.
You guys can see those crosshairs, hopefully.
I know that they're a little bit smaller, but having those crosshairs there helps you know that everything is centered. And then Yeah, I mean, maybe I'll just create all the pieces, put it all together, and then figure out how to do that afterwards using our good friend YouTube.
So that's engage done. The last step that I'm gonna hop into here is inspire.
And you'll see these finance tabs and all that, that's just That's just the premade inside the template that they've given you. So that's a great starting image for Inspire. Okay, so we've got Inspire. So that's ideas, that's Resources. But yeah, this one I don't know that I need the 3 of these here, so I'm going to delete this.
I might actually just keep this last slide super simple.
Delete. Center this a little bit more. Grow it up. There's that middle point. There we go. Insert image. Get this in here. That's the one I wanted to use. Perfect. Okay, and then I wonder if I'm going to present from here. Okay, it's going to take me through Engage. I've got to get rid of those. It wants me to go through all those.
And then from Inspire— okay, great. So that just backs out from there.
Now this is bigger because— back to Edit, go back to the overview—
this is bigger because we made the inside actually bigger.
So let's bring this back down to size. So let's Similar to the others. I don't want it that much bigger. And I kind of don't like where that is placed at the moment, so let's go here and see if we can't just move this whole— yeah, we can. Okay, perfect. So let's go here like this, move this guy over here. Move this into here. Cut, paste. So yeah, yeah, yeah, okay.
So making sure, I mean, a lot of the hotkeys and a lot of the hot tools seem to be very similar to what you would be used to anyway with PowerPoint and creating your presentation.
So there's not a huge learning curve as far as that goes. I definitely want to make this bigger. That's the first point. Build this little pathway out here.
Okay, so that's that.
Now it's a matter of Taking the presentation from the beginning. Okay, so that's good, that's good, that's fine. Okay, from there it's gonna take us into create. It's fine. This is where I need it to not do that. So this is—
that's the first catch point that I need to fix here.
Preset. Presenter view. What does that do? Okay, that gives you a bunch of different tools that you can use, but that's not necessarily what I want. How do I make it so that this doesn't go deeper? What if I just delete this? Is this gonna zoom in still like that?
That's not terrible. I'm not, I'm not entirely opposed to it just zooming in like that. So if it's gonna do that, I wish it would automatically update the titles here.
You see over here where it says brand, but I go to the next one, it says wins.
That, that drives me nuts because here it says network. I wish it would just alter the 2 together, but that's not a big deal.
So let's go to network and make sure that we get the same image in here. And that was the guy, this one here. Okay, back up. Make sure it constantly be saving. Okay, go into the background. Make sure you get rid of this background. It's gonna make me delete all these individually. Is that what this is? Yeah. I'm sure there's a faster way to do this. There it is. Holding down Shift, our good friend Shift.
Okay, background.
And for background, the photo that we had was the Social Network thing. Okay, insert. Image background. Okay, so that's that slide.
How old am I? I am 33 years old at the moment. Just had the birthday.
Back out here. Okay, so we go back into the present mode here. Let's see, brand. Yeah, at 33, I've got, I got years and years and years to go on this. Okay, so we're into engage. We've got share. I've got to change this out. What the heck? I'm tempted to just— hmm, what do I want to do with this?
I guess I just want to make this share.
I'll get rid of this altogether. Have this be the social image here. Back out. Conversation. Nope, I just want this stuff. I don't want— move this out of the way. Okay, there we go. Make sure this is centered again. And I think for the image on this one we were using the cell phone.
Okay, there we go.
Back this up. Delete these, get the right text in on this side. Feedback, insert. We're going to put the chalkboard on this one. Okay, so that's that slide done. And the last one was the Inspire slide. Now I've got 2 different images here that I definitely need to— I think I like this better for Inspire. Inspire than this image here. So I'm going to scrap that, insert this one. Okay, there we go.
Alright, so I mean, that's the presentation as a whole. I'm going to go in and wrestle with how to make that flow happen. But ultimately, guys, that's it. That's the entire presentation. I, in my mind, know what I'm going to walk people through. As I have this conversation. And like I said, that video is going to be up in, you know, sometime next week maybe. Uh, I may edit it and piece it down so it's not got so much filler in it, but, uh, that's gonna be a longer video, probably 45-minute video.
So that's gonna take a little while for it to be processed.
Uh, and I am in the States next week. That's it for today though, guys. This is about a half hour here, so I'm gonna call it at this. Thank you so much to everybody that swung through. If you guys have any questions on the follow-up on this, I'm gonna put all the links in the tools that I used down in the description below, so you'll be able to find that when this video is live for consumption. And hopefully, you know, this, this gives you at least a little bit of a feel for what Prezi is, and you can use it for your presentations as you move forward. Thanks so much for watching, guys, and tomorrow is live channel review day, so make sure you're here at noon Eastern Standard Time. I will be going live helping to do the same thing, this live breakdown of people's websites, social media channels, and YouTube channels. So if that's you, you've got a YouTube channel you want me to check out, I'm more than happy to do so. If you've got a social media channel, YouTube, Facebook, Instagram, Twitter, you want me to take a look at, I can do that as well. And then websites. If nobody offers channels, we will do what we always do. We will go in and look at people that have big channels, see what they do, get some best practices from them. But I will catch you tomorrow with another great video, guys. See you then.
