Chapters
Welcome to Chapter 2 welcome of the EConnect Big Data Analysis Certification Program.
Today we will be going over the Behavior Report, the Statistics tab, and also Case Manager.
Let's get started with the Behavior Report.
The Behavior Report is a tool that allows you to compare employees against one another to identify a anomalies.
When you click on the Behavior Report, the initial page that appears will have options on when, who, where and how you would like to compare the data.
In the first column you will have the option to select a starting date for your search.
You may also have the ability to select the range interval, which is how many days you want to group the data together. Under Range interval, you can select the Interval count, which means how many groups of data you want to pull. For example, if you select a range interval of 10 days and an interval count of 5.
You will get the past 50 days of data broken down into 5 groups.
By default, it is set up to pull data for 7 days and an interval count of 4 which will display the results for 28 days of data.
The second column gives you the option to choose which employees, terminals, or revenue center you want to search for. Look at the first tab named Employees. You will see a list of all employees who have logged into the terminal and the time frame chosen in the first column.
If you want to compare specific employees against one another, you can easily do this by adding them.
To the right side of the employee's name. You will see a plus symbol. Clicking on this will add the employee to the box below labeled Selected. You can scroll down the list to find the employee you are looking for.
If you do not see a specific employee, you can search for the employee by typing their name in the search box.
If you want to discard an employee that was selected, simply clicking on the minus symbol to the right of the employee's name in the selected area will remove them from the selected list.
If you want to start over and need to clear out all employees that were selected, simply click on the Clear button to remove all selected employees.
The same concept applies to terminals and revenue centers.
If you are wanting to look at data from multiple terminals, clicking on the Terminals tab will bring up all terminals, just like looking at multiple employees.
If you want to compare data on multiple terminals, simply click on the plus symbol to the right.
This will add the terminal you wanted to the selected field.
If you do not see a specific terminal, use the scroll down button to see other available terminals.
If you need to discard a terminal from the selected list, simply click on the minus button and it will be removed from the selected list.
If you would like to start a new list or would like to clear the old list, you can click the Clear button to remove all terminals that were previously selected.
The Revenue Centers button has the same features in that you can add more Revenue Centers to a list you would like to compare or observe by clicking on the plus symbol to the right.
Once the Revenue Centers are selected, there is the option to remove by clicking on the minus symbol.
Finally, you can clear the list that you created by clicking on the Clear button.
Another feature that the Revenue Centers button has is if you click on the icon that looks like a computer screen, it will bring up all terminals associated with the revenues you selected.
Clicking on the icon that looks like a person will bring up all the associates that have swiped their card at the Revenue center during the time frame you already selected.
For the example we will be using Revenue Centers.
Highlight the Revenue center by clicking on the tab that says Revenue Center.
Now click the icon that looks like a person.
This will bring up all the employees that were logged into that specific Revenue center during the time frame that was selected.
The third column will give you the what you want to look for.
There is a list of point of sales or POS events that can be selected to help in the process of data mining.
The query events is the same list of queries that are located on the summary page and will contain advanced queries like Void plus, no Sale.
Note. The more events selected, the more data that can be used for comparison, but it will take longer for the software to load the data.
Clicking on each blue box will add a query and or POS event that you would like to search for.
For this example, choose the Begin Check, no Sale and Transaction Cancel and click on the arrow located to the right.
If you know a query that you do not see and would like econnect to build or help make, please contact us.
The report will be color coded and set to date ranges that you have selected. For example, using the default setting of 7 days and 4 intervals, you will see at the top of the screen that there are four sections of seven day periods.
Directly underneath the date range are the selected queries.
Note if one of the queries or POS events that you selected were not used at least once, they will not appear in the report.
The employees names for the Revenue center selected will be located on the left side of the screen.
At the bottom of the screen you will have a red number indicating the average of the selected queries during the specific date range.
Any employee who is above average will be highlighted in pink.
The far right will have the overall averages of the time frame selected. In this case it is for 28 days. The average in this case is per week or seven day period.
Again you will notice that there is a color coding system. This is used the same way a bell curve is used and measures a standard deviation from the normal.
At the bottom left of the screen there will be a chart showing you the meaning of the colors.
Green is one standard deviation or within the norm of everyone, Yellow is two standard deviations or slightly outside the norm and last is red which is three or more standard deviations or way outside the norm. These are people you should focus on.
The right side of the diagram will have the averages of each employees for the time frame you selected.
The bottom will show the overall averages for the POS event types or queries selected in red for the interval count date range that was selected. The overall average is the area that we will focus on when looking for data.
The averages is the area that will show which employee, if any, that is outside the norm.
Which will help you determine if further investigation is needed.
The person showing up in red would be a good place to start when looking further into the data.
Once an employee has been identified, the next step is to look into their transactions that are associated to them.
The numbers located under the date ranges are in blue and are hyperlinked.
This means that if you want to view the transactions of a specific date, you can click on the number and it will take you to the grid page listing those transactions.
Statistics Page.
The Statistics page is a great tool for management. This is a quick way in which certain aspects of a revenue center, employee or terminal can be viewed.
The Statistics tab will like other tabs give you the option to select a date range as well as a drop down menu for hours or days.
Information that can be viewed is as ID of that Revenue Center Number of Checks Number of menu items rung up Average number of menu items per check Number of menu item voids Percentage of menu Item voids Total $amount Average $amount per transaction Number of discounts Percentage of discount Discount dollar amount and discount dollar amount percentage this is the discount dollar amount divided by the total dollar amount and the percentage rounded to the nearest whole number.
By default the date is set to yesterday but can be changed using the calendar. To the right of each date or highlighting the date and manually changing it.
The hours can also be changed by highlighting it and changing the time, AM or pm.
To the right of the date is the drop down menu which will have options of last hour, last eight hours, today, yesterday, last seven days, last 14 days, last 30 days, and last 60 days.
Once the date and time range is selected, click on the Apply button underneath the date you will have the selection of Revenue Center, Employee and terminals. The gray boxes will enable you to search for specific information associated with the blue boxes underneath them like name, id, checks, menu items, menu item average, menu item voids, menu item void, percentage, total dollars, Average dollar, discounts, Discount percentage, Discount dollar and Discount dollar percentage.
An example of how to use the drop down menus next to the gray boxes would be if you were looking for specific data like what were the names of the employee that have 20 or more discounts?
Click on the drop down menu to the left of the discounts and you will see the symbols that represent less than, less than or equal to, greater than, greater than or equal to or equals.
Using our example, you would put either greater than or equal or greater than or equal and then enter 20 into the gray box.
This will automatically apply the information and conduct the search. The information will then appear for you to compare.
The three main selections in the statistics page are Revenue center.
The blue dot next to the Revenue center will bring up all the revenue centers and the corresponding data. Depending on the information, this can be a useful tool to see how well a revenue is doing or if it's struggling.
Another use for this is to determine if employees are needed based on the amount of real time sales as well as to ask the question why are there so many discounts versus the total amount of sales?
Selecting Employee will show the exact same information but can be used to track productivity and raise questions like why is employee X having more discounts compared to employee Y?
Selecting Terminals will give an idea of how the terminals are comparing with other terminals in the Revenue Center.
This can be used to realize that you need to open another terminal due to the increased sales or shut one down due to lack of sales.
Just like the behavior report, the number of bars are hyperlinked to the data that is associated with it. The statistics page also has a function in which you can personalize how you see the data and what you see.
On the far right is an icon that looks like a gear. By clicking on the icon it will display all the options of what you will like to have on your page.
Selection of any of those items will be adjusted the next time you log into Econnect.
A good tool in which to follow what happens in real time at a particular terminal is to select Terminal and then select the terminal you want to watch this will bring up a receipt that will follow every keystroke on the terminal. This is good if you are watching a specific person or location or if you do not have access to cameras.
Case Manager the Case Manager is where all cases will be stored and is located under the Cases tab and is where you can save, edit, add or delete cases.
The Case Manager page will also show you the name of the case, a brief summary of the case, the type of case, if video was saved the last time it was updated when it was created, and status of the case. In order to open a case, click on the Open icon to the left of the page.
After opening a case, you will see who created it as well as be able to view video if present.
There is also the area in which you can edit the case. See the comment history and Viewer history.
Located in the Media section will be any video that was saved to the case. This is the location in which to download the video.
Scrolling over the video clip will pull up options to which to play, edit, download or delete.
To make a copy, use the Download feature. This will allow you to save the video clip to your desktop, a thumb drive, or burn a cd.
Once the video has been downloaded, it will show a padlock showing the authenticity of that video clip and that it has not been tampered with.
Making a Case if watching Video as you are reviewing video and catching something that you want to be part of a case, here is how you save the video to the case. The steps to create a case are are to first pause the video that you are reviewing. Next, click the Items tab in the upper right corner of the video you are reviewing. Click on the Case server using the control at the bottom of the video. Locate a point in time that you want to start your video on.
The controls are Fast Forward, Reverse, Fast forward ahead 30 seconds and reverse back 30 seconds.
Advanced controls are the time clock in which to set the video to a specific hour and date.
To change the date, you have two one click on the calendar and select the date or two Highlight the date itself and manually enter the date you are looking for.
To select the hour, click on the hour you are looking for. These are set to military time so 2pm will be 14 and so on. Once you have selected the date and hour, click on the check button and the information will be loaded.
The eye icon will take you back to the live video.
Going back to the case Once you have the time set for recording, click on the Start point arrow pointing down icon.
Once you have found the end event, click on the end point an arrow pointing up icon.
Note the video clips are limited to 30 minutes. Anything over 30 minutes will have to be saved as multiple video clips.
Next, click on the Continue button and choose either Existing case or or New. Since this is a new case, new case will be selected and the incident name will have to be supplied as well as a summary about the case.
Click on the Create button and give the media a name like the transaction number as well as the summary of the video.
Once you have created a video and a new case, it will be located in the Cases tab at the top of the page under the Incidents.
