Hi, Mike. How are you doing? Hi.
To all the listeners, one thing, like Mike said, make sure you are going to be taking notes because note takers are money makers. And just remember that success loves speed. So, yeah, thanks, Mike, for having me on podcast. I'm excited. I'm excited for 2021.
Yeah. Last year was the 2020 was just. It just. It was just crazy. It was just a time for us to kind of stop, you know, reset, see what's going to happen moving forward. But the good thing is that 2021 is gone and now we're in 2021.
And let's move forward.
Yeah. So thanks again, Mike, for having me on the podcast. Just like any of us, every day is a learning day, so just make sure you keep learning.
Most of you don't know me, but I'm Jose Villa.
Right.
I'm married to Jessica Villa. We've been in business for over 20 years, me and my wife being married for 20 years.
Fantastic. Well, thank you so much for sharing. So I know that's a unique feature. I mean, a lot of people are married to their business partners or not married to their business partners for a certain reason. Right. And that takes a unique skill set to be able to negotiate both. Because you get to go home and turn it off, right?
That's right. Yeah.
And you guys have an incredible family. You have kids. How many kids do you have?
We have three beautiful children.
Yeah. Yeah. Fantastic. So, I mean, to have the business and then take it home and you have to turn it off there, so fantastic. Go ahead. You have three kids.
Yeah. And nowadays it's like you can't even shut it off sometimes because you're just at home. Right. But when we first started our journey, when we first started our business, Jessica and I really told ourselves, hey, this is going to be for us. We're going to be able to move forward and start our business because we want this for us and we want to leave a good legacy. And that's kind of where we're at. Right?
Yeah. And you are. You are doing a fantastic job. You have accomplished some things recently, personally, that only a few hope to accomplish. So congratulations on fulfilling part of your dream mission in life. And it is going to be a family legacy. And I am so happy for you. So what do you like to do outside of work? I mean, I see you out there all the time with your kids. I know you like to spend time on the water. What else?
We like to go fishing. We like to go snowing. Snowboarding. Just go out and enjoy the Pacific Northwest because there are so many things to do here in Washington. But one of the things that we were fortunate enough is last year or this year, we were able to buy a secondary home, which is going to be one of the highlights of 2021 for us, for our family. But all that's been, you know, been possible because we've done a lot for our agency. We've implemented a lot of things.
But yeah, yeah, that's what I can't wait to pull out of you in just a couple of minutes. Things that you've done in your agency to be able to cause that kind of growth and to be able to begin to create the legacy. Fantastic. I heard you say you're up in the Pacific Northwest, so your agency's in what city?
Lidwin, Washington, 20 minutes north of Seattle.
Yeah. Okay, fantastic. That gives us a place on the map. But have you always been up in that area or did you come from somewhere else?
I was born in California and moved up to Washington in 95. I believe Jessica was also moved up to 95 the same time we were in. But, yeah, I've been here in Washington since 95 and love it. Love the rain.
Fantastic. Hey, everybody loves the environment they're in, especially when we acclimate to it. And you've done wonderful things. So let's talk about the agency for just a minute. Tell us a little bit about your story. How and why did you start the agency? When did you start the agency and what's going on nowadays?
So we started our agency back in 2006. 6. We started the agency with in mind that we wanted to do more for us. And we didn't want to be just like our parents. Just worked and worked and worked. I mean, I know you have to work to be to get to one point, but we didn't want to have to work all the time. And if I did work, I wanted to work for myself, not for anybody else. Right. So one of the things that we did it was Jessica worked at State Farm years ago. She became really knowledgeable with the insurance. And at that point I kind of met her while she was working at State Farm, I think State Farm back in the day, they were doing banking or they were doing refinances for autos or something like that, I believe. So I was able to. She was able to help me refinance my truck, but all of a sudden she's got me cross selling auto insurance. So that's kind of how we met. And, you know, everything kind of went from there. From there. I think she'd had a game plan, everything ever since she sold me that, that rate, you know, the.
Insurance. She had a plan, but it was a good plan. Right. She had a vision, and the vision was me, part of that. And then I think that's when we kind of said, okay, we can start our own agency. Let's just go and move forward. Right? Yeah. That's where we kind of came from.
So fantastic. She was working in the insurance business, going through client by client by client by prospect by prospect, by prospect. And finally she came across you and she said, oh, finally I found one that I want.
That's right. One that has the same vision and likes just like me.
That's fantastic. I didn't know that part of the story. Thanks for sharing. So, and here we are, three children and a wonderful personal and professional life. So let's jump into the first P. You've been in our coaching program, a platinum coaching member, I believe, four years. Thank you for trusting us to stand by your side. It is the people, the processes and the promotions, right?
That's right. Yeah.
And, you know, one of the things that we are going to really dig in today is the second P, which is processes. And I admire what you have done from a technological and digital standpoint so much, and I want to pull that out of you in just a minute. But let's talk about the first P for just a second. In your agency, roughly how many team members do you have?
So we have seven. Okay, so we have seven. We have two in the commercial department, and then we have three in the personal lines. And then we have two, actually three including myself in the marketing department, because we have a marketing department too. So. Yeah, so. And that's one of the things that I learned right from, from joining up is you can't do everything. You need to just focus on what you like and what you like to do, because that's the only way you're going to be able to move forward and get to your next, you know, your next point where you want to get to. That's the only way. Because if you try to do everything yourself and it ain't going to happen, because I try to do that for the first 10 years of the agency, right? I was trying to do everything. And we met Mike and UP went through the, you know, through the whole learning the UPP process. And you learned that you have to delegate everything, that you don't have time for that, you know, you can make more money doing other things. So that's what I did. I started learning processes from you. But when I first met you, I was doing processes on paper, right? So I was like, wait, this is cool at that point, because I didn't have anything. I didn't have no processes back then. But then years come, you're like, I don't want to do this anymore. I want to have to print a paper, have to check off on a piece of paper, having to like, get the sign application, do all that. I was like, there has to be a better efficiency way for our agency. And that's when everybody wanted to go kind of paperless, right? Everybody wanted to go paperless. Nobody wanted to print stuff. So this is when I said, okay, now it's time to change. This was like maybe three, four years ago. Then I found job forms, right? I found job forms and everything kind of went from there.
So fantastic. Before we met, you were doing everything on paper and you really didn't have the right people or even the right processes in place, so you couldn't promote the heck out of it like you really wanted to. And then we met, and then you got clear on the fact that you should only be doing the things that only you can do, right?
That's right.
And you want to empower and delegate to other people who are more capable anyway in that realm. And you decided to focus, follow one course until success on the things that you are skilled at. And what has happened since, it's been great.
I mean, the forms that I've created, I've created more than 15 online forms for our agency. With those online forms that I've created, I've saved so many hours of manpower. Just because everything's so digital now. I don't have to worry about a printer. I don't have to worry about a scanner. I don't have to worry about anything besides just. It's all right here in front of you on the computer. It's like, just make sure it's done, like, the right way. Like the vig way. That's the only way. Right? That's what we. That's where we come in. Me and Jessica is like, okay, we have to sit down and make sure that this is the way, the only way. No other way. Because.
No.
Where did the vig way come from? I mean, where'd you come up with that concept?
We came up that concept. I believe it was probably in one of your master. That one on one that we had with you and Jessica. And we were just trying to figure out how to make everything flow one way. And that was the big way, and that was the only way. So, I mean, we came up with that concept. It's always been like that. It's the big way, that's the only way.
And how's that working out for you?
It works great. I mean, we just tell our team that's the way, and that's the only. The big way. And they understand. They understand.
Fantastic. How long did that take to get it ingrained into the mindset and the heart set, if you will, of your team?
Well, it took a while because we did go through a couple new team members. You know, we were implementing, we were teaching. All of a sudden we have a new team. So I was like, oh, here we go again. From, you know, from. From start. But I think I want to say it did take a while. I know, a couple, seven, eight months. Right. Because it takes time. I mean, training is one of the things. Like you can't just hire somebody within a month and expect them to do everything you've done for the last 15 years. There's no way. You got to keep learning every single day. So it just takes time and time. But I want to say it does take a few months to just to get everybody on board. So whatever you're going to be implementing for your team, make sure that you understand that it's not going to be a thing overnight. It's going to take time.
Yeah, I think that's an absolutely critical point, Jose. And I want to keep reminding people about that. We don't have any magic pills. We don't have any silver bullets. And, you know, we can share information with you, but it's Going to take time to get it ingrained into your business, into their hearts and their minds. And ultimately, would you agree with the fact that get them believing that the vig way is the right way?
Yep. That's the. I mean, that's the best way you can do for any organization, because as leaders, they're looking up as you at you. So I've learned that you've, like, I've learned, like, I'm always. I always have to be on my game, like, just killing it every day, because I know if my team sees that they're going to mimic me, and the ones that are not mimic me, then they're not part of our bus. Right. They need to leave and find somewhere else where they can be happy. Because I'm happy every day. So if I'm happy every day and doing the things that I love, you have to be doing the same thing as I am. Because if not, then I understand maybe this is not for you. So we'll find you another job, and that's okay. I mean, you've taught us that. Right. Because we want to make sure that we have the right people in the right seat, because, you know, everybody has an important seat, and we want to make sure that we have the right.
People on that seat because that bus is going places. Right?
Yep, yep.
And, hey, if we're not the right fit for people, it's okay. We'll release them back to the marketplace.
Yes.
There's other opportunities out there for them. So kudos to you for installing the vig way, which is your way. It's your business. This is the way we run things, the vig way. Let's jump back to digital technology, which is what I really wanted to, you know, fill some time with today and learn more from you continually. So thank you for your willingness to share today. So you said that there's no scanners, there's no printers. You have none of that in your office anymore, correct?
That is correct.
Okay, so, yeah, so let me drop something. Go ahead.
No, no, go ahead. What?
Let me drop some topics on you. So what happens with a phone message, as an example, in your office, then?
So phone messages. So, yeah, good question. That's one of the first, like, job forms that I created. Love that form. Before that form was created, we used to get a phone message, like a little paper phone message. That was so annoying. So now, obviously, everybody works from home. So now our director. Welcome. Or anybody that answers the phone, if that person is not available, they just fill out our online message form. They just Fill out the name, the phone number. Most important is if. Can we add text to that? I mean, can we send out a text?
Who's the message for? Who's the message coming from? Is it a current customer? I've set up that form so it's just so easy for us to read that we can just know exactly what the customer needs and then just fill out that form. It takes literally like two minutes. You submit it and it's a done deal. So when that form, you submit that form, our director, welcome, gets that form and then she directs traffic. So she'll direct the whatever message. Who is that message for? So I don't even touch the message. I don't direct traffic. She does that all for us throughout the day.
Because you're only doing the things that only you should do, right?
Yes. Right.
Fantastic. So is that by chance integrated within your agency management system or. They haven't gotten there yet.
No, it doesn't, it doesn't integrate with hoxoft.
Okay.
Not yet.
Not yet. Exactly.
Not yet. It's coming, everybody. I think one of the things that I like about technologies, if all the, everybody that I'm associated with, somehow they keep learning and the technology that like Hogstoff, they keep implementing updating, implementing updating, that's great, right? They're not just stuck like the dinosaurs. They want to keep evolving with technology. So I love Hocksoft.
Fantastic. Yeah, I agree. They are forward thinking. They are very much of the mentality, we're not there yet.
Right.
So that's a phone message. What happens with quotes?
Quotes. Another online form quote sheet that I did. So we have everybody. So all the forms that I created, everybody on their computer has it on their tab up above. So literally they just, from a touch of a button, they see the form, it's right in their computer, and then they just start filling it out. And I mean all this, all the sales people know that in the insurance world that in order for us to do a good quote, we need like personal information and this the most information we can get. Better for us. So on that form I pretty much, I gather all the personal information, all the drivers, all the autos, what kind of coverages, Just any other information that I can, I can gather for quoting purposes. Because remember, I'm not the only one that gets all this information. It's Jessica grabbing it, it's Giselle, it's Vianney, it's Lupit somebody. Right? But we all want to be consistent and get the same information. So this is one of the Ways that everybody's consistent and we never miss one. One thing, you know, one critical thing that we need, like a VIN number per se or something like that, or a date of birth, because it's there. It's asking you for that specific question. Another thing cool about these forms that I created, if the customer is not able to give you that information at that moment, I can create a link, send the link via text through hoxoft or via email, provide the link for the customer. They get home, they sit down wherever they're at, and they fill out the information. When they have time, they submit it. I get that. So I don't have to do it right there and then. And I mean, that's just great because I've done that so many times that I'll send this form out via text to customers or clients that need a quote or they have a friend that needs a quote. Oh, I can send you the form. Can you just fill it out for me? Of course they fill it out, they submit it. I get it. The next morning, I'm calling people the next day with quotes. Either myself or Bianni, we're calling. I mean, and that's how that quote works. And it's the same. Same way for the home quotes, the same way for the business quotes, same way for the life insurance quotes. I mean. Oh, and a certificate of insurance, that was another big one. Mike, the COIs before.
We, because you.
Guys are pretty coi heavy because you have some niches in the commercial realm that you're dominant in, and so some of those niches need a lot of certificates back to you.
Yes, we are. Our niche is the artists and contractors. Right? That's what we like. And I mean, that's who looks for us. So we're going to look for them. Right? That's just how it works. So we, before we had all these job forms, we used to literally get 10, 5, 15 calls a day requesting a certificate of insurance. And the phones just rang just for that. No quotes, just a certificate. Because I'm like, oh, this has got to stop. All. All I'm doing is answering the phone for a certificate. I ain't making money like this. This is not working right? So then I'm like, there has to be easier way. So then light bulbs turn up. I was like, oh, I can do.
A form online, send it via email, send it via text. They fill out the form. When they need that certificate, they submit it. They don't have to call us anymore. They don't call. I literally get maybe One call or two call a month from certificate and we say, oh, did you, do you have the co hi link on your phone or in your email? Oh, I don't. Let me send it right now. And we send it out. So I mean the calls for certificates stopped. Stopped completely. They all send, they all are from home or. And it's so cool because they can be at the job site and the contractor, whoever's asking for that certificate, they can be like, hey, can you help me fill this form out? Yeah, let me help you out.
So.
So again I'm giving the customers tools so they can have tools themselves and get the stuff faster because at the end of the day they want something from us. So I want them to have the tools to get whatever they want fast and not have to wait for the phone call. Oh, we're not available, we weren't available.
To take your call at that moment.
So I just want efficiency and I.
Want to make sure everybody heard what you just said. So I'm going to ask you to repeat it and it'll be easy. So you've created a tool to give to your customers that has stopped the phone from ringing. I'll get back to that in a second. And by creating this tool for the customer and putting it at their fingertips, whether it be their phone, their computer at a job site, whatever, they want that so they can do the work for you and send it back to you to get what they need faster.
Yes.
I don't know. That sounds like profitability to me as well. And we talked about that early on. Now you have this legacy that you're creating because of creating world class processes. Kudos to you. Back to you. What were you going to say?
And we're making all these changes and all these processes because I see that there's a problem in our agency and it can be the problem is it's taking too much time or there's just problems. So one of the things that I love doing is finding solutions to those problems and those forms have definitely helped us a lot, especially now in the digital world. So yeah, forms are awesome.
Yeah. So I'm trying to think where could I put. I don't want to put problems in people. Processes, promotions and problems because that's just not a good promotion of marketing tool. We'll put processes down below, put problem, put a big X through it. Solved by Jose.
Yup.
And that's what I try to do every day, literally. So like yesterday one of the things that I did, I mean this is of kind, kind of off topic. But all day I spent migrating our email from our GoDaddy to Microsoft. I mean, that's the kind of things that I like to do. I like to get involved, get nasty, get in there and, you know, make a couple mistakes. You're like, oh, don't do that again. You learn right from your mistakes.
When do you learn right?
That's right. So I mean, and that's the kind of things that I love doing. And I mean, and I love. And I helped my team like yesterday with their emails. I mean, it was just the things that I've learned from when we first started an agency.
It's amazing. And I still keep learning and it's just like, wow, there's so much to learn.
Well, the day we stop learning is the day we stop growing. And that's part of what we do here within our Unstoppable Nation community is we are a growth and learning environment.
Absolutely. By the way, thank you so much for sharing your thoughts and your ideas because we've also borrowed some of your ideas and implemented them in our agency. And we send those jotforms out as well. You know what they send back? They said, can I just send you my deck pages? It's like, okay, yeah, I want to send those. That'll work.
You know what? Another thing you can do with those job forms is if you do send that job form, there is a little link that you can attach attachments to the job form. So they can attach attachments to anything.
I think that's what our marketing team did. I didn't do it because that's not my area of personal gift, talent, vital function, if you will. But I think they put that link there and that's what keeps happening. They fill the form out and then they just attach their deck pages in case something was missed.
Yep.
So we've got all the information. We got the deck pages we're calling to close, not to ask questions.
Right, exactly. Yeah, we're trying to make it easy for everybody.
Yeah, exactly. Let's keep digging a little bit. So in addition to the quote forms, in addition to the phone message forms to the director of welcome, the COI request, you've also got a couple of other things you use like renewal surveys to help with your retention. You've created processes for that as well.
Yep. That's one of the newest online form that I did for our team is that, I mean, and before we didn't touch base with our renewals and we found out that, you know, that's really important that you say, hey, I'm still here. We're collecting your money. So we're still here. Right. We gotta touch base with them. Right. We never did that. So now I created a renewal survey form that my customer service specialist, my renewal specialist, that's Lupe. She actually will look at every single renewal that week because she works bi weekly. She'll look at the renewal every week. And if she sees an increase, she's on it. She's remarketing them and calls them, hey, your policy increase. But I have a new policy for you for the ones that are not the ones that are renewing. But there's not that much of increase. Just the same, we're still sending out the renewal survey. And the renewal survey, there's probably like a good 15 questions. And all the questions they talk about, are you happy with our service? Do you understand your policy? Do you. Who helps you? Like, because on the form I have everybody's name because I want to know you're at. If you tell, like the clients who you're working with. Right? Yeah. If they understand umbrella policies, if they understand how, you know, their, their liability works. If they just. I have a bunch of questions that are just trigger questions to see if they're happy where they're at. Because if they say no, then that's. We're making a phone call right away and say, hey, how can we help you? Right. But that renewal survey satisfaction, it's going to go big in 2021 for us because our retention, it's going to go up by a lot because of that.
And so over the lifetime value of a customer, that's going to mean even more, right?
Yes.
And that's something that we also talk about a lot.
Yes, we want that. We want them to stay forever.
We want that for you. By the way, something else we're working on, and we won't get deep on it in this podcast, but there's something coming up. It's in the realm of AI, which is going to be really, really important to add on to everything that you're already doing. The great thing about it, and we'll wet the whistle of anybody out there, is it's going to take all this data that you're collecting, it's going to drop it into the AI systems, and it'll reveal the fact that they may not be happy. So if I find out Jose's not happy, what am I going to do? Jose, hey, it's Mike over at Via Insurance. I just wanted to check in with you today. How's it going? Build relationship. Build relationship. Then I get to the goose, right?
Yep.
Hey, I just wanted to make sure I'm looking at your insurance program. Is everything good, or do you have thoughts, comments, questions, or maybe even concerns? Ba Bam.
And that's what we want to do. We want to get to them before they even think about anybody else. Like, we're watching your policy. We're here, we're watching it. Let's, you know, let's have that conversation. Let's build that relationship again.
Yeah. And at the end of the day, something else we talk about a lot is proactivity versus reactivity. Right?
Yeah.
Kudos to you for being proactive. So in addition to that, you have checklists for all the departments to keep those processes and efficiencies operating at their highest levels, right?
Yes. So the checklists are all. Again, they're online and they're embedded in Hoxoft. So. So everything that we do is through Hoxoft.
Jessica and Giselle run the commercial department. So they have checklists for cancellations, for commercial cancellations. They have checklists for the renewals. I mean, they have checklists that I created for just, again, making their job easier. Because there was a lot of things that we were missing here and there, and Jessica had a problem, says, Jose, help me out. Okay, I'll help you out. Tell me what your problem is. I'm missing all this. I can help you. Let's. Let's do a form and I. And I. And that's what I do. I do forms and I try to help everybody in our team because at the end of the day, I know if I help them, they're going to help me get to where I want to, you know, my. Our next destination. Right. That's the only way, right?
Yeah, absolutely. Kudos to you. So I know your checklists are also working at home, because when we jumped on today, Jaden had followed the checklist and when she's on Zoom for, I'm guessing her schoolwork. Right?
He. Jayden.
Say that again.
That was Jaden. Jaden. He's a he.
Oh, forgive me.
Forgive me.
Extend my apologies, my public apologies to Jaden, please. Well, he had borrowed your computer system and had his name on Zoom, Right?
Yes.
Yeah. So fantastic. So, anyway, Jose, thank you for sharing the wealth of your knowledge today. Is there anything else you'd like to add on at the end? I mean, what would you. If somebody's out there watching everything that you're talking about, what would you like to say to them? As far as how they can make progress like you have in this realm of digital technologies and efficiencies through processes.
Good question. Yeah, if I can. I mean, there's so many things that. I mean, if we wanted to go through everything that I wanted to share, Mike, we'll be here for another maybe hour or so. Right. But I know time is essential. We have to kind of probably quit soon. But I want to just let everybody know that when I first started, I knew nothing. Like, nothing. I was. I was a maintenance guy. I knew how to fix stuff at my house. But now that, you know, technology is changing, all this stuff, you have to be on top of innovation. You have to keep innovating, you have to keep changing, making changes to your agency. If things are not working right, make the change. Because when you do make the change, good things come out of that change. But you have to make a change, because if not, nothing would change. I've learned that the hard way. But yeah, just keep moving forward and be committed. Be consistent. Stay accountable for your own things you say you were going to do, and just be consistent. And I think the key is consistent. Be consistent for everything you say you were going to do. And I think at the end of the day, as long as you're consistency with anything, you'll be great. It's just like any athlete, right? They want to be the better athlete. They have to be consistent of whatever they want to do. And it's the same for us. We just have to be consistent. And I think that's one of the words that I learned. You know, being in our up is being consistent, accountable, and, you know, making sure that you do what you say you're going to do. Right? Yeah, but I think that's one of the things that I want to make sure everybody does, because if I did it, anybody can do it.
Well, I don't know about that. Congratulations to you and Jessica for being such incredible agency entrepreneurs, the high achievement realm that you've entered into, and we can't wait to see you continue to grow. Not only that, personally and professionally, you've got some such cool things going on in your family life, and we look forward to standing by your side into that future.
So one more thing, Mike, please.

I was just going to share with our listeners the platform, the technology platform that I'm using because I wanted to make sure that you guys understand that I'm using several things to make everything work. For example, I think I talked about Jotforms. So we know Jotforms. I'm using activecampaigns for my automation. Using Screen O Matic. Right. For video recordings. Using.
Zapier. Right. For so so so platforms can talk to each other. I'm using get. Get more reviews dot com. So our reviews on our Google are going up, right. So I'm using all these, all these technology behind, you know, behind scenes, just so everything could run efficiently in the front of it. So if anybody needs help with anything, let me know and I'll be happy to help.
