PageProof Academy: PageProof integration for Monday.com

Marcus demonstrates PageProof's two-way integration with monday.com, showing how to install the app, create proofs directly from Monday boards, and sync reviewer feedback back as to-do items. Reviewers can annotate files without Monday accounts, new versions upload from Adobe InDesign, and final approved files automatically populate a designated column.

Hello everybody, it's Marcus from PageProof here for another PageProof Academy, this time on the monday.com integration with PageProof. So thank you for taking the time today. Let's get straight into it. So the first thing to note with the Monday integration, this is our flagship integration. This is the best of PageProof with monday.com, and this has some great benefits, including a native two-way integration which means that information flows back and forth between the two products seamlessly. And it's a really, really great way of managing your work and getting all your proofing done. Now, it's built with feedback from customers, which means that as customers give us feedback about what they'd like to see inside of the integration, we're building that constantly. And that is why you see what you see today, which is a fantastic integration. Now, all of the things that you expect from page proof are there. So all of the different media types that we support, from PDF through to Photoshop files, Illustrator, but then also through to the video files, like things, files from Premiere Pro and After Effects, you know, Figma prototypes, websites, banner ads, email templates, Microsoft Office documents, the list goes on. We support it all. So That is one of the reasons why people add PageProof to their Monday boards. Workflows, obviously, for flowing the proof from one team to another in the right order are there. Checklists so that people are guided through their review and they can check off when they've gone through the, the right things at the right time. And then, of course, all of the proofing tools you'd expect inside of PageProof, like the barcode scanner, color sep, PDF comment import, which we recently introduced, and that allows you to bring in comments you might receive. For example, a, a PDF which has markup on it already, and you think, what am I going to do with this? You can just import those comments off the PDF over the top of your PageProof proof and then use it in the rest of your workflows, which is absolutely brilliant. Now, reviewers don't need Monday accounts. This is a good point to make out here. Reviewers don't need Monday accounts and they don't need access to your Monday boards either. So all the proofing can occur in PageProof over here and the results of their proofing show up as summaries inside of your Monday boards. So that is a really good thing to take note of as well. So for today, we're going to go through 3 areas. Number 1 is going to be the setup. So we're going to go through finding the PageProof app in the App Store of monday.com, installing it in Then we're going to add all the views and the columns and things. So we'll go through that. The second thing we go through is how to use the integration. So we're going to use it from Monday. So if you put media inside of Monday, you can initiate your proofs from Monday. The second one is going to be initiating your proofs from PageProof and connecting to items in Monday. And the third one is going to be how do I connect my proofs, which I've initiated from inside of the Adobe extensions, to my Monday items as well. Now the first one of those, which is going from monday.com, we're going to go through a full proofing cycle, which is, which is going to be great. And then the third thing we're going to run through is some advanced tips and tricks for your Monday boards, which will hopefully give you some really good ideas on how you can build out your integrations and then also, you know, really get the most out of your page proof and Monday setup. So let's get straight into it. Now with this Monday board, we've got PageProof integrated. Now how did we get PageProof into here? Well, very simply, at the top of your Monday board, there's a little icon here which says Apps. If you click onto that and go to the collaboration area or do a search at the top for PageProof, you'll see PageProof here. You can install it from here now, and then that will give you access to adding in items, sorry, item views and board views into your boards. So the next thing you would do would be to go to Add View, and you'll be able to add the page proof board view. Now that board view, when you click onto it, what it does is it gives you an overview of all of the proofing that's connected to this board. So you don't need to sort of go through all the items trying to track down where the proofing is. You can just click on this overview, and it shows you all of the proofing. And if you go through these, you can see that, alright, there's some information about these approved proofs. A few tips inside of here where it says reference, because you may not know which of the items it's connected to. Where you see it down here, if you click onto this and go view on Monday, it'll pop up the item inside of here. So you can very quickly get a look at that particular item and close it down again. You've also got the option here of hovering over certain elements inside the summary view, and we'll give you details so that you're able to see who approved it and all those sorts of things. So everything's inside of here for you at a board view. Now, if you go down into an item, if we open up the item view, this will show you the item again. You just go to the plus symbol here, go add view, and you can add the page proof item view. And this again will give you the proofing that is connected to that particular item. So in this case, we can see we've got one proof. Now you'll see at the top there, it says Settings. So if you click on the Settings icon here, you can change things like, you know, which of the information you want to be showing on that right-hand side. So you can see I've got decisions showing here at the moment. If you click on Settings, you can change that to due date or approved or, you know, number of comments, whatever it is. So you can actually customize the way it views inside of here. And then down a bit further, you'll see this is the mappings that you can set up. So when you go create proof, it will pull the due date from the due date column. It'll pull the message to reviewers from one of your text columns and pick up the file from the assets column. So you can set up how that is going to behave from right inside of here. Now, the next thing you'd look at is doing this is which columns do you want to have? So the columns are quite important. You can add in columns into your board view. So you can see I've got proof status sitting here. I've got proofing step. I've got proof link, proof version, and you can also add the final approved file, and I'll talk about that in a moment. We've also got here the item ID showing, and this is actually quite important. I really like using this item ID. So this is the item ID for the Monday item. We'll show you how that's useful very, very soon. And then on the end here, I've got total comments, just as an example of some of the things that you can, you can add in. So these would be the columns that we would say, hey, these are great ones to add to your boards. Now, you need to also do that at sub-item view as well. So if you go into sub-items, you need to also put those columns in there as well. So just if you do work with sub-items, be aware that that is something that you need to do. I believe there is a button you can say to inherit all the columns from the major item if you need to. Now with that all set up, there's one more piece, and that piece is putting some integrations on here. So if you click on Integrate and you go to the Integration Center and you do a search for PageProof and you click on the icon here, you'll see there are 9 integrations that you can choose from, and we're adding to these all the time. Now these are recipes that are already set up. And you would use these for adding features to your board that are page proof related. So for example, the one over on the very left-hand side here, when a proof referencing a subitem on this board reaches a certain status, upload its file into a column. Now, I wonder what it means by that. This is a really great one, and we'll, we'll look at this in action. But this one, when a proof reaches approved, upload its file to the final approved file column. So you can add this to the board if you want to have that particular feature enabled. So there are 4 of them that we recommend. So if I go here, here are the 4 that we recommend if you're using items and subitems. Okay, so as you can see here, I've got these 4 because I've got, you know, proof referencing a subitem on the board, keep it in the subitem in sync, You need that one to keep the information in sync. And the one below it, if you're using items, again, does exactly the same thing, keeps all that item information in sync. And then the bottom two that we've got added here, these are to do with copying the final approved file into that final approved file column that we have set up on our board. So these would be the ones that you need if you're using items and subitems inside of your Monday board. If you are just using items and you don't use subitems, you would only need 2 of these. Okay. All right. So let's take a look at using this. So we've now got the views in place. We've got the recipes in place that we need. How do we use it? So this very first one that I'm going to do, we're going to run through the whole proofing cycle. So let's take a look at sending out a proof from inside of Monday. Now I've got an Assets column where I've got a particular piece of artwork sitting in here, and I'd like to send this piece of artwork out to gather feedback from my team. So I just go into the Item View, and you'll see there's a Create Proof button sitting in the middle of the screen. So if I click on Create Proof, That then takes us and says, okay, this is how we're going to make the proof over in PageProof. So the due date is going to be picked up. We can see it's pulled over some information too for our messages to reviewers. But I'd like to choose this PDF, please. So just check on the PDF and then click on Create Proof. That pops us into the PageProof proof setup screen. And inside of here, you can see straight away all the information has been mapped over. So I I don't really need to fill any of this out. But one thing I want to highlight here is under reference, you can see there is the Monday item that it's connecting to. So great, we can see that's automatically being done. So all I need to do now is over on the right-hand side, I'm going to choose my reviewers. If you're familiar with PageProof workflows, I'll have some PageProof workflow templates that I can choose from. So I'm just going to grab hold of a a workflow template. Just a little bit of information here on how workflow templates work if you've not seen them before, but it's going to flow the proof from team to team to team in this template. So it's going to go creative check first, then to the AM team, and then down to our final approver. So lots of options here for your workflows. And then down the bottom, I'm going to add a checklist. So let's just grab hold of a a packaging checklist. So I'm just going to do that. You can see here are all the checklist items. So the idea of a checklist is it guides the reviewers through what they need to check on your proof, but it also captures a whole lot of information about when they do check them off. So you've got some sort of audit as well. So we'll send out this proof, clicking on Send Proof. That's now going to send the proof out, and you'll be able to go back into monday.com. So you can see I'm back inside of Monday now. And in this, in this item, we can see status has changed in proofing. So great, we know it's now in proofing. Here is the step that it's up to. So it's with the creative check. Here's a link to jump to the proof itself. And the version says, hey, we're on version 1. So from a, from the point of view of somebody looking inside of Monday, they can see, great, that's been sent out for proofing. So let's put some feedback on this proof. So I'm just going to click on this link inside of Monday. It just automatically opens up the proof inside of PageProof. So you can see it's popped up the checklist for me automatically. So I can go through and check off this as I check everything. But I'm just going to put this aside for now. And what we're going to do is we're going to put some feedback on this proof. So using the tools on the left-hand side of the screen, I'm going to grab hold of the red pen tool, and I'm going to say for this particular icon here, I'd like to change it, suggest a change to maybe a red icon. So I'm just going to go over here and say, make red. And I'm going to actually upload into the comment the actual attachment. So I'm going to say, here is the correct piece of media to use, and then add that comment onto the work. Now, if I go in and grab hold of the text highlight pen, I can see there's a bit of a few spelling mistakes here. So I'm just going to highlight over this piece of copy. It puts the copy up into the comment. I'm going to correct it in here so we can pass it through to our design team so they can use it to make the change. So I'm going to correct that inside of here. And then I'm going to use the drawing pen. So I'm going to say, okay, this, I'd like to see what that looks like over here. And maybe we can make this guy smile. So I'm going to put in here, move P and make, make smile, and then add that comment on as well. So now I've placed all my feedback on here. You'll see there's a button at the bottom of the screen that says send to-do list. So I'm going to send that to-do list back, and that is now going to update inside of Monday. So again, if we switch back to our Monday view, you can see here that the proof status is to-dos requested. Now with this, if I also scroll across, I can see total comments 3. So I know, ah, there are actually 3 comments that need to be done here. So with this information, we can assign this to the designer from inside of PageProof, and then the designer will receive a notification. They can open up their design tool, and from here, they're able to just choose the proof using this page proof panel that you see inside of Adobe InDesign. Now, this panel that you're looking at, it's a free download from Adobe's, the App Store. And what this does is it gives you page proof inside of InDesign, Illustrator, Photoshop, and also the video tools. So Premiere Pro and After Effects as well. And with this, I can highlight the proof inside of here, it brings down the comments into that right-hand side of the panel. And what I can do is I can just highlight this and you'll see it highlights exactly where the changes need to be. Now with this particular feature inside of InDesign, I'm going to select that and replace it. So there's no copy paste of the text. You can literally direct apply it to the design. And then there's a checkbox here to mark it as done. So I'm gonna check that off as done. Highlight the next thing. So again, I can see, all right, there are the changes. As the designer, I can make those changes, check it off as done, move to the next one. From inside of here, I can actually download the correct asset, place it into the design, check that off as done. And of course, there are the changes done right there. So right now, without leaving InDesign or making a PDF or doing any of that sort of work, it's just one click to put up a new version. So this icon right here in the panel, just go Upload New Version. There are settings in here. If you want to play with the settings, you can do that. But otherwise, just click OK. That's now going to upload the proof into PageProof. We're just going to check over some of the details here. So, okay, I can see this is version 2. I can see that it's connected still to the Monday item. So that's already here. And all the others look okay. I just want to actually change the workflow to just to our final approver. So very, very simple. You can change your settings in between versions. So you can change workflows and change the checklist if you want to as well. But that's looking great. So I'm just going to upload this into PageProof. Now, what this is going to do is obviously it's going to update the information inside of monday.com. So I'll have the information in Monday all updated, and then from there we can go and take a look at the new version. So again, if we come back into monday.com, you can see it's back in proofing. We're now at looking at version 2. So let's jump in, take a look at version 2 of this proof. So version 2 loads up, looks great to me, but Hey, am I actually looking at all the changes that I asked for? So you'll notice over on the left-hand side, there's a little pop-up here. You can go back and look at version 1 if you want to. So I'm gonna just do that, jump in and see, okay, there's version 1. All the markup is all green because the designer has made all these changes. But how do I know? Simple. There is down the bottom of the screen a compare icon. You click on compare, it puts the two versions side by side. So I can see version 1 on the left-hand side, Version 2 on the right. And you know what? It looks like everything's done, but let's go down to pixel level. So if I click on Smart Compare, PageProof will show the two overlaid, and at pixel level you can see where the differences are. There's also a slider tool over here. So if you click on the comparison slider, and then you can slide between the two versions and see exactly the differences between the two of them. So this is a really great way of just checking changes. Between the two versions. This is looking great to me. So what I'm going to do is approve the proof. So I simply come back into the proofing screen, click on Approve, and that's now going to approve it inside of PageProof. And over inside of monday.com, you can see it's approved. And you would have noticed the final approved file. It's now copying over the final file that was approved in PageProof is now being put into that final approved file column. And if I hover over this, you'll see with the preview, it's the one with the red icon and the smiley face. So that is the proofing cycle done using Start in Monday. And you've seen all the features there in one really quick way. Now, the second part of this is starting a proof inside of PageProof. So if you are inside of PageProof and you think, hey, I actually need to start my proofing inside of here, but I need to connect it to my Monday board. So if I come in and say Create New Proof, and I can do that by dragging and dropping or choosing from this menu, and again, you can see all the places that you can pick up your files from, but I'm going to say pick it up from my computer. I'm going to do this social ad here. I'm just going to Upload that and you'll notice that under reference there's no reference here. So how do I do this? Well, if you go back into Monday and you go to the item that you want to, want to connect it to, the item ID is here. Just click on the item ID. It just copies that item ID. You go back into PageProof, click on the reference here, just go monday.com, choose item by item ID and just paste in that ID. And just check the name is correct. Yes, that's the right item I want to connect it to. So just simply do that. Then just choose the workflow that you want to use. You can choose the checklist as we did before, and we can send out this proof, and that will then update all the details inside of Monday as well. So if we now go back over to monday.com, you'll see now that LinkedIn one is in proofing. And all the details, as we saw before, have all filled in. So that's just showing you how you can start a proof in PageProof and connect it back to a Monday item. Now, the same thing happens inside of the Adobe integration as well. So if you're looking at something inside of Illustrator or InDesign or Photoshop, or you're looking at a video file that you're producing inside of Premiere Pro, and you want to send it directly from here, it's the same thing. You click on this Create New Proof button at the bottom of the integration. This will start a brand new proof. So click on Create New Proof. Again, I can change my details if I want to. Click OK. That will then create the proof, take you to the PageProof proof setup screen, and inside the PageProof proof setup screen, again, you can see this one doesn't have a reference. Just choose monday.com, item by ID, paste it in, and make sure it is the right one. And that will connect it so you can send your proof out directly from inside of here. So that's starting a proof inside of the Adobe application. Okay. So I want to go through a few things that you can do inside of here from an advanced point of view. So there's there's a couple of things you may have noticed showing up inside of this, this board. One thing that you'll see is this summary proof status. So you look here and you'll see I've got a social campaign running here. And actually down below, I've also got a drink bottle campaign. Now both of them are showing this, that, you know, this sort of overall summary proof status. So how does that work? Well, the great thing with the sub items is that you can summarize their overall status into an overall status inside of the item that they belong to. You do that by inside of your subitem. If you go into the proof status column, click on the three dots and you say show summary on parent, then it will make a column up inside the parent for you that is a summary of all of the subitems. So you can see, right, right now that we've got 2 that are approved and 1 that's in proofing. So the summary, when I roll this up at a glance, I can see, okay, 1's in proofing and 2 are approved. So we've got a great summary here. But you know, how does this work? So if I go in now to that social ad and we approve it, so if I come in here and say, hey, let's approve that. Approve, yes. And we go back now to back to Monday, you'll see all 3 of them are now approved. And if I look at the summary, it's all 100% complete. So this is a great way of getting a, you know, how's my summary going? For those who are PageProof users who use collections, then this is a great way you can connect each of those proofs to a Proof Insider collection. And you'll be able to then see exactly where this is up to inside of Monday because you'll get this overall summary. So again, you can see it down below here as well. And if we roll this one down, you can see they're in various different states. So it's a great little feature, which I thought I'd show you guys because again, super, super useful. Now the second thing I want to show you, and it's evident at the top of the screen, you can see I'm getting these notifications. So these notifications are showing you, hey, PageProof, your proof call LinkedIn has been approved. You know, don't worry, be happy. It's all great. This is happening because— and a lot of people have asked, how do you do this? How do you get notifications inside of Monday for things that are happening inside of PageProof? Well, you can do that by using the Automate area. And inside Automate, when you go here, you can add a new automation and you're able to do things like you'll see here. When a subitem proof status changes to approved, Notify, in this case, PageProof, or you can say notify everybody on the board or whatever you like. So these automations, PageProof has a trigger so you can use the PageProof trigger and just choose which status you want to know about, and then it will send notifications directly from Monday. Now, why do people want this? A lot of people have the monday.com app on, on their phones. And this is where you'll get all your proofing notifications coming through to your Monday app. As people are approving proofs, you'll get those notifications showing up. So that's one little trick using the automations inside of Monday. So really, really good. They're a little bit different than the integrations. The integrations are the recipe cards which we have provided for you to use. Automations are things that you can create yourself, and they very, they very much start with when this happens, do this. So that's definitely something that you want to look at. Now, last thing I wanted to cover off is you can see we've got the total comments column here. What if you wanted to add more columns related to page proof to your Monday board? Well, let's jump in here and add one. So I'm going to just come in and say, let's add a text column to the right of this. And inside of here, I'm going to call this total todos. So you can, you can do that. Let's call it total todos. Now what I'm going to do is go into the integrate area. And I'm going to go into the item reference. So if I click into this item reference, it shows here in the recipe, keep the item in sync. And if you click on item, what this does is it shows you all the fields or shows you all of the, all of your columns from your item inside of here. In Monday. And then there's a little plus symbol over here where you can map it to PageProof. So I'm going to click on here. I'm going to scroll down and look for total to-dos. So let me just make sure that's here. So total, total, total comments to-do. So just choose that, click Done, and update the integration. And now that means that anytime to-dos are marked inside of PageProof, then that number of to-dos is going to show up inside that column. So we'll get that. I'm not going to show it to you right now, but that would be exactly what would happen there. You'd see that number showing up. So that's how you can add more columns inside of your Monday board and customize it to exactly the way that you want. Thank you, everybody. Have a good rest of your day.
