How to Set Up Integrations in HubSpot's Operations Hub (Step by Step Tutorial)

Kyle walks through setting up Data Sync in HubSpot's Operations Hub to sync customer data with external apps every five minutes. The feature syncs contacts, companies, and deals with up to 100 apps, works two-way or one-way, and comes free with HubSpot, though Operations Hub Starter unlocks custom field mappings.

Hey, welcome back. I'm Kyle and today we're talking about Operations Hub and how you can use it to sync your data from HubSpot to all your other apps so you can have consistent customer information across your entire tech stack. So Operations Hub includes Data Sync, which is a real time two way sync between HubSpot and up to 100 different external apps. These are integrations that fire every five minutes day in and day out, so that if something gets updated in HubSpot, those changes get pushed to your external systems. And if something happens in those external systems, they get pulled into HubSpot. Unless you only want it to go one direction, you can set it up that way also. But the point is you can have consistent customer information across your entire tech stack so that regardless of where you're interacting with your customers, you can give them a consistent experience. So here we are inside my HubSpot account. To get to my integrations, I'm going to come up to the top right corner and click this settings gear. All of your HubSpot settings are here together, but notice this integration setting. If you click on Connected Apps, we'll see the apps that I have already installed in my account. If you want to add new apps, you can visit the App Marketplace by clicking this button here. And I just, just want to take you there quickly so I can show you. There is a section in this left hand side for Data Sync built by HubSpot. So here's where you're going to find these apps that have this real time two way sync. You can look through them, see the ones you want and set them up. Let's just go back to my connected apps and look at a data sync integration I've already set up. I have an integration here with Square, so if you click into this, you'll get this overview of the sync's health. We're seeing how many records are in sync, how many are failing to sync, how many are excluded from sync, and this excluded from sync deals with the filters you set up. You can decide what records will be pushed between systems. And I have three that are excluded. For records that are failing, you can click on this number to see which records are failing and why. You can hover over here to get more information and understand that these records can't be synced because they've been deleted. If you come over to the Sync Settings tab, you'll be able to see that this is a contact sync. Depending on the integration, Data Sync works with contacts, companies and deals. Square is a Contacts only integration and if you click into this first of all you can see on the left all of my square customers are being synced to HubSpot. You have options here where you can choose no customers. If you want this to be a one way integration or if you only want certain filters to apply, we'll keep this for all customers. Similarly, on the HubSpot side you can choose which contacts, or if you have a list you want to restrict this to, you can use that. This is all included in the free version of DataSync which is included in all HubSpot subscriptions. But if you have Operations Hub Starter, you'll get this field mappings option where you can customize at a field by field level what information is integrating, what direction it goes and where that information lands. So to sum up, operations Hub includes Datasync, which will keep your information perfectly synchronized between HubSpot and your external systems. The basic version of Datasync is free, so if you have HubSpot you have access to these features, and if you upgrade to Operations Hub Starter or above, then you get access to custom field mappings. Thanks so much for joining me today. Be sure to check out the link in the description so you can sign up for Operations Hub. Let me know what you think. Let me know if you have any questions.
