Why Kajabi is the Ultimate CRM Solution

James Allen shows how Kajabi combines email, courses, sales, and customer data in one dashboard. You can segment audiences by tags and purchase history, set up automation that triggers offers or email sequences, and skip paying for separate tools like ConvertKit or MailChimp.

Before we get into why Kajabi is an awesome CRM tool, I just wanted to cover what is a CRM. CRM stands for customer relationship management, and the technical definition is that a CRM is a technology for managing all your company's relationships and interactions with customers and potential customers. The goal is simple: improve business relationships to grow your business. A CRM system helps companies stay connected to customers, streamline processes, and improve profitability. And today I'm gonna show you how to use Kajabi to do just that. By the way, if you wanna take advantage of a free 30-day trial of Kajabi to play with the platform yourself, you can use my link, profityourknowledge.com/kajabi. This is an affiliate link, so I get a small percentage of your investment in Kajabi, but there's no extra cost to you compared to if you went through Kajabi's website yourself. All this does is simply support me and this channel for referring someone to Kajabi. But when you sign up with my link, I'm going to give you instant access to a course I created called Kajabi Kickstart, which is going to help you set up and launch your online business with Kajabi in that first 30 days. On top of that, when you're inside of Kajabi Kickstart, you will have access to a free 45-minute coaching session with me where you and I both get to deep dive into your Kajabi account, and I will be there to answer any questions you have about Kajabi marketing, or even making your first sale with the platform. All this is free and you can get instant access by going to profityourknowledge.com/kajabi or clicking the link down in the description. Without further ado, let's dive into Kajabi. Now the big reason that Kajabi is a great CRM tool is because you get everything in one dashboard. You have, uh, your products, all your courses, you have your sales, your website, your email marketing, and your contacts. So we're gonna start in the contacts tab. But why this is so beneficial compared to having like your online courses hosted in Teachable or Thinkific and then your email list hosted on ConvertKit or MailChimp is that all the data that you have from every interaction of your customer, from the emails that you send, their open rates, their engagement with all of your emails, the analytics on your website and your landing pages, how long someone has gotten into one of your courses or programs, you can see course completion rates. All of that stuff is inside of Kajabi on the same server. And that's where it really stands out as a CRM tool because it's about like understanding where your customer is at from the moment they get into your ecosystem and managing kind of the path that you'd like them to go on and helping them have the best experience with your business. So all this data works together seamlessly. But understanding your contacts tab, this is where all of your contacts really hang out. This is the first little section I wanted to share with you in terms of having this be a CRM tool, because you can, you could pick different segments down here. You can, choose different filters as well. So you can filter all of your contacts by the assessments that they've completed, by the contacts in general, by coupons that you've sent out and that people have actually used, customers, people have actually paid for your products. You can change out custom fields, like if you collected email addresses and physical addresses, you can customize just the physical addresses that you've received from different people. If you had like a book launch or something like that and you wanted to send a physical product, Default fields, email activity, email broadcast, email engagement. If you just want to find the people who really engage on your emails, then you, you can find those people. Okay, we have events, forms that they filled out, marketing status, offers, products, and then you can even look up different tags that you've given people, which I'll dive into in just a second. And again, all this is on the same exact server, so your entire business is communicating well together, and everybody and every keep thing is basically on the same page. So it makes it very streamlined, and that is one reason why Kajabi is a great CRM tool to be using in your business, assuming that you're using all the different tools that they give you access to. Over here you can also manage your tags. So you can have a new subscriber sequence where the people who've completed a new subscriber— if you have a welcome sequence, which I do, every time somebody opts in there's a welcome sequence that teaches them more, introduces a product of mine, and that is how I kind of create this evergreen sort of funnel. So when they finish that, then I tag them as a new subscriber, they've completed that. And then I also have Kajabi contacts, this is actually something that I did when I was doing, working with like an agency or something like that. So I can actually delete this. Alright, but you can add new tags as well. Let's say that somebody finished one of your courses, And they completed it all the way to the end. You can say completed course, hit save, and now you have a new tag. So if you wanted to go send out an email, you can click new email, hit email broadcast, and then we can choose from one of the beautiful templates that we have here. We'll just click Timber, let's hit test. And now this part is a really beautiful aspect that I wish I started using way sooner. Right here you have all contacts. So when you have your entire email list, you could have people in specific email sequences, which is like your email funnel. Uh, you could have only people who've been, uh, inside or have purchased one of your programs, and you can actually segment, uh, those different people and only send emails and email broadcast to specific people. Okay, so right here you have all contacts, only customers who bought any products. Those are by default. This is a segment that I included. If someone's not subscribed to whatever email sequence it is, if it's that welcome sequence for example, you only want people to be getting those welcome sequence emails. You don't want to be having every day they're getting a new email from you automatically, and then you're on top of that sending more emails, which is like your broadcast emails every week, 'cause you never know when people are getting inside of your funnel if you're creating an evergreen sort of model like that. But down here we can go over to custom segment, pick a different filter. So if you only wanted to email people who are a customer, then you can click that and say yes or no. Uh, people who had a hard bounce delivery, which can happen at times, you can email those people. If a contact was added in the last 60, 90 days, whatever it is, you can email only your healthiest contacts. And this is where Kajabi gets really cool because it's keeping track of everybody in all these different aspects from the forms they fill out, if they've joined recently on different forms, if it's like a new customer, customer joined in the last 30 days or whatever. If your contacts have been inactive or unengaged, Kajabi knows all this because it's on the same exact server. And then if an email was delivered, opened in the last X amount of time, if they haven't opened emails, they haven't clicked emails, uh, forms are submitted, if they own any of these products, these are really helpful segments to have. If they don't own any of these products, so you can send specific emails to people who don't own any of your products. That's difficult to do if you're using like MailChimp and then Thinkific, for example, because Thinkific is on a different software, so it doesn't really communicate as well with MailChimp as Kajabi would because it has its own products and emails all on one server. Down here, if they don't have any of these offers, or if they do have any of these offers, if they've collected any of these coupons, registered to different events that you have, because you can do events in Kajabi, if they have any of these tags as well, and if they're not registered to an event. Okay, so that's really important, you know, to just kind of distinguish based on your business. For example, like I said, if they're not subscribed to this email sequence, then I want to send them, you know, if it's this one, then hit apply. I want to send only people who aren't inside of this email sequence, or if you have multiple different email sequences that are constantly getting new people inside of them, and you only want them to get those emails, then you can send broadcast emails to everybody who's not already inside of those sequences. Now, another great aspect to your CRM tool inside of Kajabi is the ability to send custom email templates. So if we go down to the settings tab, we can go over here to email templates. When you click on this, they're gonna have the status be default, or down here it says customized. Okay, so like cart abandonment, they have default messages that automatically get sent and you can decide if you want to have cart abandonment emails inside of your different products and things like that. You have to set that up inside of your checkout page, but when you get it set up, they're automatically going to send a default message. Now what's cool is that we can customize the subject line and the text that is inside of this cart abandonment email, so you can change up the whole look and feel of it. Okay, there's not a whole lot of, like, ability to really customize the text or anything, but honestly, it's not a big deal. It's just sending them a quick email that says like, hey, I noticed you didn't purchase whatever the offer was. You didn't finalize your order. You were thinking about doing it, but you didn't do it. So just to complete your order, please check out here. And then you can send people down back to whatever page that they had left. Now why this is really cool is because Part of having a good CRM tool is connecting with your audience and using your language. I think it's really important so that people feel that it's you, you know, you've customized the different aspects and how they look and feel, how people connect with your business or your brand. And that's where these are really helpful is like you can go into each and every single one of these. Like if someone completes an assessment, you can say like, Yahoo, like thank you for finishing this or congratulations, whatever. Like you can use your own words rather than the generic default kind of, like, robotic feel that you can get from Kajabi. They're not going to be as excited per se as you can be. So you get to really, yeah, customize the feel of your different messages that every person has from every step of the way, like a double opt-in, a double opt-in resubscription, checkout double opt-in, member drip notification. So when a new module is unlocked inside of your course you can change this up and you could say like, hey, by the way, you know, there's a new module unlocked for you, click here to check it out, and you can change up the entire look and feel of that. So it takes a bit of time to go through this to really think about the different touchpoints that you're having with your customers, but I think it's a really important step to go through this and just really dive into each one of these and change 'em up. Now another cool thing you can do in terms of CRM with Kajabi is go to your different email sequences that you have, or you can always create a new email sequence, but I'll just use one that I've already made. We'll go over here. When you click here, you can go up to settings, and down here you can change up some different settings inside of here, like right here we have automation. So we click on this, and automatically it's gonna say when email sequence is complete, Whatever the email sequence is, then what do you want to have happen? You can grant them an offer, you can revoke an offer, you can subscribe them to a new email sequence, you can register them to an event, uh, send an email, single-use coupon, send a certificate, or you can add a tag. And this is that kind of stuff that we're talking about. This is where you can have that new subscriber completed. Okay, new subscriber sequence completed or whatever. If you're on the growth plan, then you can add conditions. So you have when, then, so when this happens, then this happens, and then this is your if, quote unquote. So you can give them only this tag only if any one of these options. You get a ton of different advanced automations is what they call them, okay? But this is a really great way to automatically make sure that every person who finishes that email sequence as soon as they are a new subscriber, then they're going to get tagged with this tag, and you can change up your tags like I showed you earlier. So we'll hit save, and then you can also change out the sending time, the generic sending time you wanna have for every one of these emails in your email sequence, the internal title, don't email subscribers who have purchased these offers. That's really important 'cause if someone purchased an offer, why would, and then they opted in for a different lead magnet, that connected them to this same email sequence or a freebie or whatever, then why would you want them to get the same exact emails from pitching a product that they've already purchased? Okay, so this is all part of your CRM. Now those are some of the main features for using Kajabi as your CRM tool to make sure that people are having a great experience with your business and that you are connecting with the right people at the right times. If you've been thinking about trying out Kajabi but you haven't dove into it yet, honestly, the best way to see if Kajabi Kajabi is a good tool for you is to not watch videos.
