And close. Cool. I'm going to let Leonard in here. Okay. All right.
I.
We do have a few reminders to go over this week as we do every week, but we wanted to start out talking about lead scanners and lead licenses. So Leonard, can you hear and see us? Looks like you can.
Yep. Hi.
Hello. Do you want to introduce yourself to the folks who don't know you on the, on the Saster sponsor world?
Of course. Hey everyone, I'm Leonard. I'm a project manager over on Bizzabo. So I've been working closely with Amelia on check in gear badges for Saster annual and here to talk a little bit about the Cap Tello experience for the exhibitors and a bit about session scanning if we get to that as well.
Yeah, awesome. So let me go ahead and share my screen and then you can take over. Let me just start off here on leads so I'll go maybe more fuller screen. But yeah, I think session scanning we just so you know, Leonard, we scan for the sponsors so I think that's maybe less prevalent. But yeah, in terms of like lead capture, I think be helpful for you to just walk folks through how it all works. I can click any of this link straight for you or, or I can stop sharing and you can share your, you can share your screen of just how it all works. Maybe your best tips and tricks. I know this is like the number one question we've been getting lately. Just because folks are getting ready to start scanning patches.
Yeah, absolutely. So yeah, you can keep sharing and click on things if we need to, but let's just start this way. So basically invites from Captello have not been sent out yet, but should be coming out soon. So there's two different kind of statuses of people using the Cap Tello experience. There's a primary user, so a main POC from each example exhibitor company or sponsor company and then there's additional staff users. Right. Secondary people at the same company. The main invite is going to come to the primary user. They're going to get a series of about three emails and we need you to take action immediately as you get those emails. The first important thing is to open one email. I think it prompts you to create a password basically so you can access the web portal that's only available by laptop or computer that only comes to the primary user. So once you create that password, you'll have access to the Cap Tello webpage on the back end and from there you will do a few things. You can add additional staff users so People that need to download the Captelo app and sign in to actually collect leads on site. And then you also have the ability to edit your capture form. There are some basic fields that automatically you'll capture when you scan an attendee's QR code on their badge. Things like first name, last name, email, job title, company, work phone. And we're also working on adding state in there as well. But you have the ability to add additional qualifiers. So as you're talking to attendees on site, you could ask them different questions and you know, and answer those questions all from within the Capdelo app. Adding those things like I just mentioned are is all done from the Captelo web portal. So the primary user is in charge of setting those things up there is.
Also into the portal too. Leonard. Just so folks can. Oops, sorry I flipped. But I think one question I have for you because I always recommend this and I don't know if it's true or not, but what's your take on. I always say it should be somebody that is going to be on site. Like somebody who's going to be in the booth on the floor. Is that your recommendation as well?
Definitely, absolutely. It is possible to change that permission level, but as a standard I would always suggest the primary user is someone on site. I agree.
Yep, 100%.
Thank you for sharing this. I can kind of walk through those two screens I was mentioning. So this is kind of that homepage. Amelia, if you go to the setup, the second option. Perfect. You can. You can add in optional company profile information on the left if you would like to. Really only for you. But then on the right side, this is where the primary user would add additional users. Perfect. Click Add user. You're going to add in a first name, last name and email address. And then you have the ability to choose how that user will receives their invite. I always suggest email so they can mark it as unread, save it somewhere important and then as soon as the primary user clicks invite, that additional user is going to get an email with the link to download the Captelo app and then their own access code to be able to log in. So pretty simple.
Just for our sponsors. Yeah, sorry to interrupt. Just for our sponsors. I know what question we get is like if you have a company policy that doesn't allow for lead capture on your own devices, how to get other devices to do so. So if you guys are in the sponsor portal, which is one and go to resources, you can go to the the AP form, just have like iPads, you can Do I? I typically will go iPad. They do have phones you can rent out to, but that's a way to get around not having it. Honestly too. And our AV team would say this, sometimes it's cheaper to buy if you can buy like a new device, like a refurbed iPad or refurbed iPhone, sometimes it's cheaper than renting. Just so you guys know. Sorry to interrupted. Where do you want to go next?
No, no, you're good. The only other thing I was going to mention is if you go on to Capture form, the third option down on that left side and then View form, this is where the primary user can add additional fields basically to their capture form. So you'll see once this loads the left side of the screen are the fields that are going to be there automatically. These are just standard. I don't think we're capturing mobile phone on your reg form, so that won't populate but work phone will and then address fields like state will populate, but on the right side of the screen are the additional qualifiers that you can add as a main user. You can add things like another email address, you can have ranked questions, multiple choice drop down options. So anything you can just click on, drag over to the left and if it's like a multiple choice question, you'll be able to then edit. What's the question? What are the multiple choice options? You click save and then it's available on the app to use. So really important to note really quickly that editing this form again can only be done on this web portal. So a reminder to everyone here, I would suggest bringing a laptop on site to the event at the Expo floor. I would assume that most of you will set this up ahead of time, but in case you need to add something or edit anything, it can only be done on this web page, not on the app. So you will need a laptop to do so.
And if they need help on site, I know you'll be around, but there will also be two folks from Captelo dedicated, right? So they can come find you. Yeah, exactly.
If you have the cap, if you're a user of Captello already or have it downloaded from a previous Zastro Annual or potentially other event that you've been to. That's great. I would just suggest that you check that the app is the current version. Right now it's 9.7.8. So if you have it downloaded just double check or just go ahead and redownload the latest one.
Any other Just like general tips and tricks when it comes to scanning badges, I Know, some folks ask us about should we hardwire into like an ethernet cable on an iPad so it works a little better. Just what's your general kind of like functionality tips and tricks for just scanning because obviously you know there's multiple people from each company on at the same time. It's a big event. Yeah, stuff like that.
I don't think you need to have a hard line, but I definitely suggest connecting to a stable WI FI network. So not using your cellular data on your phone but connecting to maybe the WI fi that's provided by Saster or just the venue. Venue WI FI network. Something that's pretty stable and it's going to work. The Captilla app should work fine off if Internet drops for any reason. But always good to be on a stable connection for sure. The only other kind of tip that I would suggest or just reminder I guess is the only QR code that will work for session scanning is the QR code that is on an attendee's badge. I've seen certain events where attendee might have like a business card with their own QR code that maybe links to their LinkedIn or something else, some other tool that they have. It's not going to work. It's just going to show up as a blank lead in Captello. You can only scan the QR code on the badge. So just remember that.
Cool. That's a good tip and trick. Guys, if you have any questions on lead scanning, drop them into the chat now so that we can. We'll let Leonard go after this. You just need to hear all the sponsor reminders just as a. Just on those notes. If you guys have any other questions we. As you mentioned, we'll. We'll be sending out the invites this week to all the admins. If you haven't done it yet, just go into the portal, go on the task list and submit your admin. I know a few folks told me they like resubmitted their admin because they didn't realize there should be somebody on site. That's totally fine. We'll take whoever was your most recent nomination and as he said, you'll just get an email that you have to. It's kind of. It's just time sensitive because it expires after a certain time. So you'd have to just get set up on Captello, download the app. It's super easy. I'll give you guys my QR code so you can scan me as your dummy for the event. Super easy so you can test it and make sure it Works and all that great functionality. Speaking of WI Fi, I know that's been a common question too. Some of our sponsors have hardlines which we'll dive into in a little bit, but there is a dedicated network just for sponsors at Sasser Annual, so make sure you're on that one. There's also like a backup one too if you need it. Yeah, usually that's the best way around it because there's far fewer people on the sponsor network than on just like the general attendee network. Anything else, Leonard? The folks should know just the last.
Thing and you've linked it here, so just calling it out on number one and number four, you've linked an important article which is really helpful. This should be available for to anyone who clicks on it. It's kind of separated into three sections. Something to do pre event, during the event and post event. So primary users are like admins. Make sure you read this first section. It just talks about what we the screenshots that we shared already, but adding your users, setting up your capture form, things like that. The second section is using the app at the event. So really simple. Just kind of goes through a few screenshots of what the app looks like, reminding you to submit your lead and save it after you scan. But really simple there. And then just the last section is how to export your leads. You can do that through the web portal or directly from the app. So again, really simple. It's meant to be short and sweet, but I would suggest that everyone reads it. Just gets familiar with the basics before getting on site.
Awesome. Well, thanks for all the tips and tricks on this. You are now a small Saster celebrity, so I'm sure the folks will come find you when you're on site. And thanks for taking the time. We're going to go through some other sponsor reminders, but yeah, thanks for joining and everyone will see you in about 3, 3 ish weeks here, 2 and a half weeks. Whatever it is.
Thanks Leonard.
Your time.
Thanks Leonard. Bye.
I'll just jump in and just add that this app, we've had several apps over the years. I think we've used this one for the past, what, two or three events and it's been by far the best. Really easy. I wouldn't stress over it on site. We could totally help out. I forgot Leonard himself will be on site or there's always.
Yeah, he'll be there with like two other people and they'll be dedicated to lead capture. So if you guys have any issues, they'll be walking around. Go Find now you know what he looks like.
Exactly. Yeah, we'll. Yeah. So don't stress over this part at all. This app works really well and yeah, just follow the steps and you'll be good to go.
Yeah, totally, totally agree there. Cool. I think just the other. I know that was like one of the number one questions we've gotten. I think just some other questions we've gotten and things we just want to touch base on and if there's any specific questions you guys have, let us know. I think a few folks have been asking like am I behind on any deadlines which I'll be doing now that the event's like a lot closer. I know we've said this, but I'm just going to reiterate. If you scroll down on the homepage of the sponsor portal, there are the expo hall hours. So that would be first and foremost thing to check out. As a reminder, Monday is optional. A lot of you guys have turnkey booths. We really recommend Monday. If one you're already in town because you're traveling so you might as well come get your badges, get all of the land. It's a bigger campus, it's nice to do, but it's definitely not required. You can come bright and early Tuesday morning at 9, you set up your booth which is really just if your booth return keys, that'd be like rolling your swag, putting your stuff on your monitor, getting some coffee, waking up, that kind of thing. Also you can just work from your booth. I've seen a lot of people do that there or like they've taken zoom calls just like on campus that day until attendees come. So yeah, that's, that's kind of Tuesday and then yeah, Wednesday, Thursday we start at 7, 7:30am and then go till pretty late. So that's the spiel on hours. Let me just check the chat. Here are the Thursday booth hours until 6pm yes, that is correct. So the sponsor hall is open on Thursday from 8am through 6pm the other thing I'll mention, just on schedule and logistics, I know the tendy block at the Hampton Inn where the shuttle is is sold out and the other one sold out for a little bit. But we're trying to open up more rooms. So we will send that to you guys in an email or you could just probably refresh the link tomorrow. And they're going to try and release just a few more rooms too if you haven't booked one yet and you want to get in at the Hilton San Francisco airport. But yeah, they will open up some more rooms there since the other ones pulled out. So just in terms of logistics and travel, you haven't booked your travel yet. The immediate hotels in the vicinity are fairly booked out at this point now. They're just things to keep in mind. I know a lot of folks have been asking also about things like parking. So just coming into this attendee portal, we also have. I know some of you are registered for the show, some of you aren't. So if you are registered, you'll get the weekly attendee newsletters. There's. There was like a big one that went out last week. I know there's another big one that goes out tomorrow just with some of the new sessions and stuff we've been adding. So do make sure you're registered already as you know on your ticket as a sponsor because you will still get the attendee newsletters, which are quite handy. Parking. If you do need parking because you don't want to Uber or you can't catch the shuttle and it's a little bit more cost affordable to have a rental car, you can fill out the parking request form on the attendee portal. I know some of you have already. We have not distributed the parking passes just yet. We basically get them all at once and then we have to distribute them. So that'll start taking place on Monday. So don't worry if you've already filled this out and you haven't gotten it yet. If you need to though, you can still fill it out. Just pick, you know, sponsor as your attendee type. If you think you need parking all three days, just click all three days to be safe rather than sorry as a sponsor. And then from here this is where we will get your parking passes distributed out. So the other question I know we've gotten from sponsors lately is do you need a parking pass if you come on like Monday for early load in? In that case you would not need a parking pass. It's just open parking on the Monday of load in if you come. But you'll need it for the event date. That would be like Tuesday morning, Wednesday, Thursday. You would need a parking pass for those days. If you have a vehicle. If you also have an activation, that is where the activations will be. Your vendors would need a parking pass. So either you can have them fill it out or fill it on their behalf and say they're a vendor. Here's their basic information and they need parking whichever days you think they need parking for. So just general things to keep in mind. There's yeah, the Double Tree Is opening new availability. It might be there now. Let's see. Yeah. Okay. It looks like they just opened up some rooms because I know yesterday when I came here, it was. They're like, there's no more. So yeah, it looks like the Double three did introduce some new rooms if you still need a room. So while the Saster shuttle doesn't go here, there is a shuttle from the airport that goes back and forth from here. So something to bear in mind. And the prices are fairly decent for Bay Area. So if you need one, that's our. That's our like now available room block. The other one is definitely the Hampton is definitely sold out, so. And I could not add anymore. I'm sorry guys. I did at the Doubletree, but Hampton is literally booked to the brim.
Hey Amelia, there's a couple questions in the Q. I see them. Okay, cool.
Yeah, no worries. Yeah, we're gonna all things we will get to. Okay, great, great. I do want to talk about the campus map because I feel like I've seen a few questions about this of like, what to do on campus, where do we go? I mean, obviously you guys will be in your booth. A lot other things that are on campus. I like the Sandy Data campus map. It's. There's like a few fun things we're going to be adding but like nothing major will change on this map. So if you saved this one now, it would still be pretty good. So first and foremost, all the like gold and up sponsors are in this hangar West. The Silvers and Unboots are in hangar east closer to the summits. So we do have two halls of monsters. We have 1, 2, 3, 4, 5 stages in here, plus the brain dates and who do you want to meet Lounges. The AI demo stage and pitch comp that we're doing is in numbercloud 7 here. So there's a lot going on. So basically what you need to know when you get there. And again, why we say Monday is optional, but definitely recommend you come at least by Tuesday morning. I wouldn't recommend coming right before the sponsor hall opens on Tuesday. I did see some folks do that last year and honestly they were scrambling. They were like, I didn't realize the campus was quite big. And I am now like rushing to get all my stuff together in my booth before attendees arrive. I think it's better again you could just go work from there. There's like food provided those days. There's coffee, all full wi fi and facilities. So you can literally work from there until attendees arrive. Which we recommend doing. Just come hang out. Me and David will be there all day anyway. You can come hang out with us. Yeah. Kind of recommend doing that versus coming late as a sponsor there. You'll notice there's three registration entrances. I'll call this out because I know sometimes it can get confusing. So there's cloud number one, there's cloud number two, and then there's cloud number 20. As a sponsor, there's basically just two things to know. One, if you are bringing anything in, like you have boxes or you have, you know, again, a vendor you're working with that's bringing it. I know, I know a lot of you are bringing in plants. I just also want to call that out. Like, if you think plants is like a very unique thing to do, there's now like five people bringing plants. So just, you know, it's fine. We allow it and like, you can ship it to Freeman or bring it in with Freeman and low card it into your booth. But just if you're like, plants are my differentiator. It's pretty common now. Just so you know, plan especially if they're live. Slash or fake. Different implications there. But. So yeah, anyways, things to know as a sponsor, when you first come to the campus, when there are multiple addresses to the San Mateo County Event center, so you'll know which one your Uber or ride share defaults to because you'll know what the street address says. So if you put in like San Mateo San Mateo County Event center And it says 2495 Delaware, that is taking you to cloud 20. That is the Delaware entrance. The important thing about the Delaware entrance is that it does have exhibitor services. So if you're bringing anything in, you would need to use the Delaware entrance. So that's anything again, like boxes, things you want to bring in, things you want Freeman to Freeman or like your vendor to bring into your booth. Any food activations, you absolutely need to use the Delaware entrance and registration. They're only there. They're not at the number one Saratoga entrance because it's too busy. If you're not bringing anything in though, you can use Cloud one. And again, you'll know because it'll say on like your ride share, if you pay attention to it, it'll say Saratoga. I think it's 1346 Saratoga Drive. That's the one. It'll say for you if you go to Saratoga. This is what many consider the quote unquote main address because that's where the shuttle goes in and out. Honestly, I've had people ask me this too, on terms of. In terms of like, booth location. The entrances are even like, honestly, each year we pretty much have a 50% split on who comes from either entrance. So if you're a sponsor, really the important differentiating factor of what entrance you should use should just be, do you have stuff to bring in? If so, use Delaware. If you don't have stuff you're bringing in, then you can use Cloud one. That's kind of it. There's really. There's literally no difference. Like, that's the only difference. I'll actually probably call that out on the next version on the map with the team that the exhibitor services is over here. But that's the only thing to note for sponsors. There's a good question here. I'll answer live. Is there actually a few good questions here just related to this? So are there common, like, highly traffic times that you should expect for the booth? So, yeah, there's a few. Right. I would say. And David can give his take on this too. There's kind of no quiet times because of the way that the Saster map is engineered, if you will. Um, I'll show you guys the agenda and I'll show you kind of the peaks. But quite honestly, there's not like. I mean, maybe Thursday morning is like the quietest I've seen it, but then it picks up. I'm like, usually people like slow roll in on Thursday and then by the time it's like 11 for the kickoff sessions, it's packed in there again. So there's no like dead, dead times. And we've had sponsors throughout the years tell us, like, when it was a quote unquote quieter time with like a better time. What's the deal?
Yeah, just a couple quick thoughts.
Yeah, go ahead.
Yeah, Something that we did for the first time last year that we're doing again. So this year It'll be Tuesday, May 13th. We're opening. Amelia, is it 1pm 12? I'm blank for a second for attendees. Attendees can walk, can come in at one. And there was not a lot of content planned that day. It was like, you know, kind of like the running of the bulls. You know, like we opened the gates and like, it was like super energy, super exciting. There were no bulls. Thank. But anyway, it was just like one of the peak times and sponsors were kind of like had a lot of traction at their booths. And so I would prepare for that to be a. What was the thing? An uptime. What was that? Downtime or uptime. That's Definitely an uptime that first afternoon. Yeah. I think, you know, sometimes, depending on the parties, the night before, the morning could be a little slower on that Thursday. But, you know, I've definitely heard stories where it's during the downtime where someone who really wants to come talk to you will come talk to you. And so I definitely would never leave it unattended. Yeah.
Yeah, I agree. I think that to my earlier point of, like, I've seen people, last year came at noon because they're like, okay, the boots, turnkey. I can just roll up at noon. And then doors open at one and they're like, oh, by the time I got my badge, walked in my booth, put all my stuff down, said hi to my whole team. I'm like, it was already one. I'm like, your hour blew by. Like, your booth is not even set up. Your hour blew by, and now attendees are coming in and you're feeling a little unprepared. I wouldn't leave it to, like, the 11th hour to come in. Even though, again, all boots are turnkey. It does take some time. Just like, again, get in, get your badge, maybe get a coffee, talk to some people, get your, you know, tv, go in, get your lead scanner working, get all your devices, like, plugged in and ready. Like, again, maybe it doesn't take you an hour, but if you get distracted, it can take you more than an hour. Yeah, I don't recommend coming at noon. I would come at least at 11. I would say if you're gonna cut it, at least come at 11 for sponsor loading. Yeah. Versus coming at 1. Obviously earlier is better. We open at 9. Come hang out with us all day. But if you're like, I already booked my flight and, like, it gets there at 11, I think that's maybe like, the last minute you can kind of push it to. Because to David's point, it will be jammed these entire six hours. Like, it's the first day. There's content, there's pitches, there's workshops. Like, there's a lot of networking. There's just a lot going on. It's. And people are, like, out the gates, excited. So that's always a high time. Anytime you see a happy hour, obviously, that's also going to be a higher time. So we do happy hour on day one, like three to six. But I would say the entire time is really jammed. It is Tuesday, so we do taco Tuesday. Just if you're wondering what's for lunch, dinner that day, Wednesday, I think people mostly ask us, like, are There people there at 8 o' clock in the morning. I'm like, yeah, there are people there at 8 o' clock in the morning. Remember that some of our attendees are international. Most of our attendees are here just to go to faster. So yeah, they will be there at the crack of dawn. So I would have at least one person there before eight since the sponsor hall opens early for sponsors. So you can be there to chat with those folks that are there early before like kind of the rush of the whole day. There's obviously a lot of speakers and content. A lot of these speakers and content you'll see here. The workshops are on a separate page are in that main hangar East. I always get the hanger confused. Hanger west, sorry, hangar West. So that's what I meant earlier. But like it is engineered so that there is constant foot traffic all day between the networking going on indefinitely and sessions going on. On each of the three stages that are in hangar west, there's always stuff happening. Plus it's the main like food area, etc. So there's always stuff happening. I wouldn't say Wednesday has any downtime, to be honest. Like last year, people always tell us the middle day is like the most. Not chaotic but just busy. So if you do have extra people that you want to staff up on, I would say staff them on Wednesday. It's usually the busiest. Busiest time is the middle day. We have a lot of really great speakers and content too that people are coming for happy hour poker and I like again, it just brings in a lot of people. So Wednesday usually the busiest. Again, Thursday morning. I would say people do a slow roll. I wouldn't say it's dead, but I know people do a slow roll because there's a lot of like after parties on Wednesday. But as David and I know, we've had people tell us like Thursday morning is when they actually close, close the deal. So again I'd have at least one person there. And then just expect by like the time it's 10am there will suddenly just be like a bunch of people in the building that you're like, where did they all come from? And then yeah, they will stay all the way till six. So I've had, I've seen attendees day all the way through till the very, very end. Jason always does like a closing ama which is really fun and people stay for. So yeah, people do stay through to the end. There's not really a. There's not really dead times we can give you. But I think more so just a reminder in the importance of if you can, rotating your bootstrap so that you're not fatigued by doing like these extra long days in the booth with like the same two or three people.
Emilio, question about, Sorry, sending things through Freeman versus bringing on our own. I know there's really strict guidelines around that. Yeah, do you want to update? I. I don't want to get it wrong.
So yeah, yeah, no worries. So, yeah, so let me go back to the map because I think this is what's burned, right? We're talking about if you need to bring anything in, you need to go to Cloud 20 versus Cloud 1. And there's like two, I think just qualifying follow up questions here on what is the guidance for sending things through Freeman versus bringing it on their own. So regardless of either one, it goes through Freeman anyway. The only things you can bring on your own is like your backpack or like your purse or like whatever you're bringing, like just literally. I don't even want to use the airplane analogy because I'm like, you can bring a lot on the plane these days. Basically a personal item. Personal items are fine. They're not going to touch that. But if you bring in any sort of boxes, that has to go through Freeman. I said this yesterday, my guidance is always default to it going through Freeman. So even if you're bringing just like a small box, go to cloud 20 versus cloud 1. So come here. A lot of the times Freeman will say that's a small box, you can hand carry it in. Or they'll weigh it, they'll say it's under 10 pounds, you can carry it in. And they'll like, sometimes they'll stamp it if they're not crazy busy. If they're crazy busy, they'll just like wave you in. But again, I would let Freeman be the judge of whether or not it needs to be carted or if they need to deliver it to your booth, if it's something you're bringing in yourself versus advance shipping it to them. So I know a lot of you have advanced shipments to Freeman. So if I come into the task list here on the sponsor portal, I'm just going to go to the Freeman online portal. Or if you're like, I still need to get my shipment over to Freeman, you can still do that. I know there is, yeah, this advanced freight deadline of the fifth, that just means that it can arrive at their warehouse and then after the fifth, you can ship it to show shite. That is also explained in our sponsor portal. So if you go to the Resources, and you go to the shipping information. We put it all in one with the labels, too. So it just means that, like, after the fifth, there's just. There's just a more of a fee if you ship it to the show site and ship it to Freeman there versus shipping it to them at their best warehouse. Again, the fifth is kind of coming up, so if you don't think it's going to make it by the fifth, I would just ship it to the San Mateo Event center, use this one, and then have it go there. That way, Freeman can get it to your booth right away. It's just so that, you know, they can collect all the shipments that are at the warehouse and then get them over to us and get them to your booth. So hopefully that answers that. That is a good question that I know people have been asking about shipments and stuff. I know another question David, you already tackled. But just so folks know, like, if you wanted to order anything else, the way to do that is in this portal. Like, if you wanted to order extra tools, which I've seen people do, that's all in here. So you can go manage your orders. There's things like furnishings you can do. You can see previous orders.
And, Amelia, you got there from the portal, there's a link, right?
Yeah. So if you're like, I don't know where to get to this Freeman portal, you can go to the task list here and then just scroll all the way down and it'll link you to the Freeman online portal.
Perfect. Bottom of the task list.
Nice. Yeah. Awesome. Sweet. There is a question of what do I do for shipping in between the 5th and the 12th, which is what's on the portal. So the 5th is the advanced rate deadline to go to their warehouse, and then the 12th is when they start receiving shipments at the venue. So. Yeah, it's a good question. Basically, you should try and have your shipment arrive on the 12. I mean, the. The venue doesn't accept weekend deliveries. So that's the other thing to know. Like, if you are. If you do end up shipping to Freeman at the venue, the venue does not accept weekend deliveries. So then you'd be looking at the 9th or the 12th. That's why they say the 12th. Listen, if you're. If your box arrives on the 8th or the 9th, they're gonna. Freeman will take it and put it with your boot stuff. They're not gonna throw it away. So if you can't get the shipping perfect, that's okay. It's just ideal. If we can get there on the 12th, but if it gets there again on the 9th, which would be the Friday before, that's okay too. So hopefully that answers that. Okay, back to the campus map. There's a few things here I want to go through. So we talked about registration, we talked about like, you know, bringing stuff in reminders that we don't do badge swapping. And so I always just like to remind folks that of anybody who's coming to work or booth does need to have their own badge. We do daily ID checks at all of our registration points and we also do daily. Actually more than daily, we do in out security checks. So much like Disneyland, if you leave and try to come back in, you're going to have to go back your security. So just keep that in mind. So again, just keep that in mind of. This is why the sponsor hall is open an hour before the attendee listed times so that you guys can get in with all your stuff, go through security and you're at your booth before attendees arrive. If you come when everybody else comes, there's not a sponsor line. I've said this for years. There's not like a VIP sponsor line. You will just be in line with everybody else. Sometimes you'll be able to get sympathy from the registration team to help wave you, like get you in and get you registered. But that's why we have these additional times so that you know, you come before basically the crush of everybody else coming. And just know too, everybody does need to pick up their own badge. So like if you, if David comes for early loading on Monday, not he cannot pick up like mine or anybody else's badges. Everybody needs to pick up their own badge. The other things to note, I think my screen share paused. So hold on, let me come back here. One second. I think I lost my screen share. Okay, let's hold on, let me just stop and I'll restart. See if that'll work for me. Come on, zoom.
If you want me to share, I can too.
I think I'll get it back. Let's just see if it works now. Okay. You can say that, right? Looks.
I see it.
Yeah. Okay. All right, cool. So yeah, other things. So again that's just the things to note when you're coming for pickup. Things like reg, there are, you know, checks. There's like coat check out here if you need to use it for like storing your luggage on like the in out days. Other things to keep in mind is I've seen this question for super golden up sponsors that do have content that the the speaker arrival will be on your calendar invite. So if you don't have it, just let me and the speakers team know. But you should already have your calendar invite by now that has specific instructions of where to go to and where to check in and when to check in with the speakers team and the green room and the AV team to get mic'd up, etc. So that'll all be on the dedicated calendar mate that you have for your specific session. Other things to know I know sometimes folks ask us like what else should we be doing on campus? Which or like where can we take a meeting? Honestly, I would say take it outside. Usually the indoor hallways or in hangers get really busy and a little bit loud. So if you want to have a like open space, honestly, like anything out here by Sasha for a park outside of the brain dates that are here, it's like really we, we just like to open seating around here and it's usually a better place to take a meeting. So if you want to send this to somebody and say, you know, meet me at cloud 16 and then we'll walk and find a table totally viable to do that to take a meeting. Other things to note just on the speaking of the agenda, if you guys do look at these times, they are again calling out. They are different than the sponsor times that are on the sponsor portal. These are the sponsor hall only hours and the ones that are in the app slash in this agenda are the ones just for are the ones for attendees. So this will always look a little bit different than the ones you guys have access to. The I would say like some of the speakers and content is here. I saw a question in the chat earlier of like where do all the like sponsor content live? Those are, those are in what we call the workshops. So if you go just to the nav or if you go to the homepage and click workshops, there's just so many that we put and there's actually more that are getting added. So they're in their own section. So they all are here on the web portion. In the mobile app it's all in one. So this is just for ease of use on the website. Most of our attendees register for sessions on the mobile app and in the mobile app it's all in one. So just calling that out. I did see that question earlier and I think I saw a few people ask this week in the inbox. It's again just for the web portion. The workshops are broken out to make it a little bit easier for attendees to navigate and on the mobile app they are all there in one. Cool. Going on to other reminders. Let me go back to my deck here. Okay, we talked about shipping, so just a few last things. Since I know we are coming up on time, I can get out of present mode. Be the screen share not or not buds today. Hold on. Okay, there it goes. Okay, last things we want to talk about are certainly but not least customer passes. So let me reshare my screen here. This is important because they are due soon. So coming to customer passes, many of you have started this, many of you have not started this. So just to note on customer passes, typically these were reserved for super golden app but we did open it up to all sponsors. So if you are in these levels you have access to what we call customer passes in which you can invite active customers or prospects of yours to come to faster with the onus of like meeting you there. So basically how this works is your nominations need to be director level and above. They do go through an approval process and everybody should already have their customer passport spreadsheet to fill out. So this is where you would fill out your nominations. Right now I know the team is looking to get a majority of these by the 30th. That deadline will likely get extended just because I know some people haven't even looked at their spreadsheet yet and need some time to do invites. So just keep that in mind that these should be people that you are inviting too faster again that you already know that you're already talking to and you would nominate them for a customer pass. They do need to be director level and above and if they qualify we will let you know if they are ticketed. There's also a second tab you'll see on all of your customer pass sheets about VIP passes. This one has a slightly higher bar. These should be people that are like again either broader customers partners of yours that you want us to invite on your behalf. It is a higher bar. So not everybody has been invited and on the VIP invites tab, but just something here to note where you know if you have a database of folks that you're like, okay, these are people that have been opening my emails but maybe not responding to me, but we do know them and they know us and they are VP level and above. These would be folks to put on your VIP passes. Really the benefit here is that we would invite them for you if they qualify. And so that's and they don't count towards your customer passes if they do qualify. Again, the bar is a bit higher so I've seen maybe fewer folks do this than the customer passes, but both are great ways to engage with prospects and customers at faster. Anything you want to add there, David, on the customer passes?
No, I think, look, if anyone needs access to the sheet, send us an email. We've sent them all over, but I know there's a bunch of emails and yeah, it's just a really super powerful way to really get even more out of your sponsorship, engage your customers, your funnel pre show. Definitely if those of you on the call to collaborate with your sales organization on this or customer success organization because they often love trying to bring some extra value to their customers or prospects. So it's a great opportunity. We've seen sponsors, you know, have huge success with this when they really engage with it over the past few years. So.
Yep, great program. Anything else you want to touch on for today? I know we're getting closer, so hopefully this is answered a lot of the big questions. Anything else you can think of, David?
No, I think I covered a lot. I think, you know, most sponsors are in really good shape. If you're speakers, make sure. I think we're still missing some slides, right, Amelia? We are something to press on. If your sponsorship includes speaking, I think, you know, please double check on that. I think all the booth graphics are in good shape. Right, Amelia?
Yeah. So cruising along had edits, but yeah, we're almost there. I would say we're like 75% there, so that's good.
Cool.
Very cool. Yeah, those are good reminders. If you guys have any other specific questions, as always, please email either myself, David and events or you know, whatever combination of people you want to email so we can help out there. I would say biggest things are doing your customer passes and registering your teams and then yeah, obviously doing things like shipments since those will be prevalent the closer the annual gets. We are still doing this through all the way up to the Thursday before D. So I think there's two more of. Yeah, there's two more of these leading up as like now there's only two more. Yeah. If you guys want any of your broader teams to attend these or share the recordings, just as a reminder, they are on our YouTube channel. If you go to YouTube.com I'm already logged in disaster. But YouTube and go to the Live tab. You can see we're live right now, but this is where all the sponsor webinars live. There's also a playlist. If you're like, I missed a few, we up this playlist. It's updated six weeks ago from the last one. I'll update it again today, but we update this one with the latest one so you can catch up on them. Highly recommend doing that, I think. Just other things that, like, hopefully by now you guys know who's, like, what your booth plan of attack is and, like, who's going to be working in the field, who's going to sessions. There's always a lot to do with Aster. So, yeah, things like activations are kind of due now. There's just some final, I think, logistics, things to wrap up. But most of all, I would say the parts that we cannot do for you are things like figuring out what you want to put on your monitor, what your pitch is going to be, if you're doing anything, like giveaways that you still want to ship, stuff like that.
