SaaStr Insider Webinar : Less than 30 days to go!

This webinar (SaaStr Insider: Less than 30 days to go!) is a sponsor-focused pre-event briefing covering operational logistics for SaaStr Annual (venue layout, sponsor-only hall hours, registration and badge pickup, travel/hotel/shuttle guidance, parking and coat-check, shipping instructions via Freeman). It also explains lead capture setup using Captelo (admin invites, user limits, default capture fields) and networking tools (Who Do You Want to Meet app, Brain Dates), plus outstanding sponsor action items and deadlines.

I'm going to go ahead and share my screen. Today's webinar is going to focus on the sponsor. Just like deliverables and any. There's just a few outstanding deadlines. So we'll go through that today, hit some reminders and yeah, if you have any questions that you want to get answered, drop them into the chat and we'll do Q and A at the end. So. Cool. We are within 30 days of the SAS re annual now, so getting pretty close again. Things like this are going to start to be prevalent just to your maybe daily lives now. Yeah, for, for where we are, San Mateo County Event Center. Again, for those that are new, it is a, it's a fairly big campus. We call it a campus because it's, it's fairly standalone. Like it's, you know, there's, there's not a whole lot of other like, amenities around that are super walkable. Um, so yeah, just know it's a campus and we do recommend, you know, we've covered on previous webinars, but especially for sponsors wearing like sensible shoes, you know, it is a lot of walking, it's a lot of standing and a lot of talking. So just keep all that in mind. The other thing I want to show folks are the exhibitor hours. I know that many of you have been registering now under your sponsor ticket passes and you're starting to get those attendee communications that go out to general attendees as well, which is great. So there's a few things I want to just call out because folks have been asking if the hours on the website are different for sponsors, and they are. So if you go into the sponsor portal and scroll down, I know it's hard because it is on below the fold here, but these are the specific sponsor hall hours to keep in mind. So yeah, some of you have asked if you can come Monday to do early setup rather than cramming it all in on Tuesday morning. And that's totally fine. We open at 1. We're open from 1 to 6. You can also come get your badges. Folks have also asked us, like, what do we do during this time since it's fairly turnkey. You know, some people like to just come for literally 20 minutes, grab their badges, maybe grab a coffee and just get all of the land so that you're not stuck maybe waiting in line for your badge. If you come at the same time everybody else does. And to, you know, if you have swag and shipments that are getting shipped there from Freeman, those will be at your booth so that you can, you know, organize your booth, make sure your TV and Internet and all that stuff is working from there. So yeah, these are the sponsor hall hours. Again, just super important to read through these. If you guys have any questions on the schedule, let us know. But yeah, these are the hours specifically for sponsors. They're not posted publicly on the website. They are just in the sponsor portal for you guys. Okay. Things that have been passed the deadline now, so things like charting and booth graphics, which you've all done now, which is fantastic. So what is upcoming? What is there still to do? I would say first and foremost registering your team, which I'll talk about next, is a big action item. If you haven't done that yet, a lot of you have, but many of you have not. So I would say that is action item number one. Action item number two being if you haven't yet, I would book your travel. So if you come to the Saster annual website here and take. There is a attendee portal and you can see here there's a few. One, the attendee portal is also handy for sponsors. Again you guys have a dedicated sponsor portal but some info does live here that's a little bit easier to see at a glance than maybe on the sponsor portal. So yeah, there's a few other things here just to take note of. So for things like travel. So a few things I'll just touch on today because we're getting closer. One, hotels again, if you haven't done so yet yet, let's just see if there's availability in the block. I actually don't know. Maybe there is, maybe there isn't. I think my wi fi is not loading. But yes, there are two attendee blocks. Basically the different. I'll come back to that one. But basically the difference is the Hampton Inn is where the shuttle runs to and from and the Doubletree is kind of closer to the airport. It's about midway between the airport and the venue and they have a shuttle from the airport to the hotel. So it is also a little bit more affordable to stay at the Doubletree. So I know folks have done that in the past, but if you haven't booked your rooms yet, then yeah, probably best to do so now. I know some of our rates are, like I said, starting to fill up. Slash. Looks like the Hampton might be almost full. Yeah, the Hampton is full, so there's that. They might have something though, if you call them. I know, I just, I talked to them a few days ago on kind of where they're were at. So that's the closer one with the shuttle. Again, hopefully you guys have already booked, but if not, I do believe the Doubletree still has availability there. Other than that, if you are planning to get things like a rental car to park, you do need to request a parking form. Do you need one? No, just sometimes our sponsors, because they have, you know, multiple people from their team, like to book at the. They like to book a rental car versus like Ubering all the time because it ends up being more cost effective, especially if you know you're kind of going again, nothing's like directly walkable from the venue, so especially if you're moving to and from just like different places or you guys want to change out shifts sometimes actually it can be a bit better to consider getting a rental versus Ubering, as I've said every year. But if you're new here, Uber does surge price when it's saturating all time. So yeah, rides are a little pricey. So just bear that in mind. If you need to park it is free. Just request it. You would fill out this form and just say what days you need parking and then just say you're a sponsor. That basically means we're going to get you in the lot that's closest to the booths. There's kind of like two equal entrances, but there's one that's more specific for sponsors who might be loading in. So. So just make sure you mark sponsor. If you already requested and you hit attendee, that's okay. Obviously we know you are a sponsor, so that's okay. There, there is a good question in the chat related, so I'll answer this now is, is there like a coat check slash storage at the venue? There is. The only thing I would say is it's at registration. So what I mean by that is I'm gonna go to your guys's handy campus map here and I'll show you what I mean, what you don't want to do is use code check for like we're going to like just, you know, store extra swag and like our luggage and then we'll just use that and like go back and forth. I mean, technically, could you do that? Yes. But you're going to enter and exit every time you do that, which is a pain in the ass. So like coat check, it's noted here. So there's basically one coat check and luggage storage at each entrance. So basically at each entrance, if you want to drop stuff off, you can do that again. It's meant to be first. First of the day. I'll read this. There's a good tip in the comments. There is a good tip in the comments. I'll read that out for people if you haven't seen it. I don't know if the Q and A is shown to everyone, but yeah, just on the. On the matter of code check, basically the moral of the story is there is one at each registration. So if you know your Uber happens to drop you off at one registration versus the other, it's not the end of the world. It just means if you leave your storage there, like let's say on the last day you get there, you want to leave your luggage, which a lot of attendees do as well because you're going to fly out from San Mateo County Event center and you don't want to store your stuff all day. So that's where again, using that coat check is super handy. The hours for the shuttles are here. They run until you know, seven on the first day. It does start at noon. So if you're coming a little bit earlier for loading, I know we start loading earlier on Tuesday, runs till 7, Wednesday 7:30 and then Thursday at 4. That's when you know, I think majority of people start to trickle out and leave. On the There is a question kind of related on like you know, booth breakdown starting at 6, like kind of what happens there. The moral of the story there is since your guys booths are turnkey, if you have nothing to ship back and you feel like at 4 or 5 o' clock like you've done the whole show, you've talked to every lead you want to talk to, you don't have to stay till 6. There are attendees who stay till 6. There are sponsors who stay till 6. Sometimes people say till like 6:37, but just know that it's not strict unless you have stuff to ship out, in which case that's what you would need to do for loadout. But other than that, like if you have nothing to ship back, you can basically just take your bags and go. I do know a lot of sponsors will kind of like break people throughout the day. Again, like if you're trying to get back for flights to get back on Friday, you don't strictly need to stay till 6. Or maybe if you have one person stay then yeah, you would just need to arrange with Freeman at that time to like ship anything back or if you have anything custom like that. So again, parking's free. I do kind of recommend it if you have, I mean all of you have more than like four people coming. So especially if you're staying at the same hotel. If you're not staying like near San Mateo, again, the parking's free. I think getting a rental car is fairly inexpensive these days. It's a couple hundred bucks, whereas an Uber will run you more than that, you know, per person, per day. So just something to consider. If you want to do that and get the free parking. You can also leave your stuff in the car sometimes that's a little bit easier. Other than that. Yeah, that's kind of getting to and from hotels. Hopefully you guys have booked all that now. And yeah, again, just good things to go through. There was a good tip here in the Q and A that I'll just read out for folks because I don't think it's public facing Q and A. I don't remember on it. They said a staff member from Sasser actually gave us a great tip last year. If you use the free shuttle leaving Sasser to the hotel, even if it's not your hotel, you can then take an Uber from the, from that hotel to your hotel. That is a pro tip only because sometimes like Uber, I don't know if you guys know like how the surge pricing works. It does it by location. Right? So if you literally say, okay, I'm at 2495 S. Delaware St. Or the other entrance, it's. It'll search based on that location. But yeah, I mean, to that point, it's like a five minute shuttle. Right. Seven minute shuttle. Right. So if you take the shuttle and Uber from there or you Uber to there, sometimes it's a little cheaper. Obviously it's going to take you longer though. So like you are going to save on cost, but it's going to take you a bit longer because you're going to have to like go 20 minutes out of your way. So sometimes you may not want that because you're trying to get to your booth. Other times you may not care. It's kind of like riding the shuttles at Coachella, but really dealer's choice there. Again, I think the most cost effective thing I've seen from sponsors is just getting a rental car because the parking is free and leave it at that. All right, Other things we want to go over in reminders. Again, these are great questions. I'm glad we're going over things like this today. This is really what these webinars are meant for going forward. Okay. Things that are due today. There is a thing that is due yesterday. So hopefully you've done it by now. But if you haven't done it it's okay. Maybe just do it right after this webinar so we don't send you endless reminders is you do need to submit who you want you your main POC to be for your lead scanner. So hopefully that said it was already due. I think it's in here. Yeah. Nominate your lead scanner admin. It said April 1st but technically it was due yesterday. So hopefully you guys have done this. If not just pop in there now, put in who you want to be your lead scanner admin. We do recommend this should be somebody who's coming on site because sometimes if you need to troubleshoot it's really hard if you're not the admin and you don't have the login credentials that like needs kind of like two step authentication and stuff and like text messages and you got text that person. So yeah, recommend it's somebody probably yourself. If you're watching this webinar, who is your admin? And then from there what we're going to do is send that to our team. We use Captelo for lead scanning. So I'm going to go to that section of the deck now to explain it. But yeah, we use Captelo for scanning again. Just make sure you fill that out in the tasks by today and then the goal is, you know, by Monday if you've got that filled out, you will get a invite. I think Monday's the 20th, Monday's not the 24th. We're doing it early but okay. You will get an invite to the lead scanner portal. Basically it'll look like this. I believe I can already log in just to show you guys but basically we need that email from you in the portal so that we know yeah. Who to invite as the admin. So once you get in your admin will get an invite that looks like, like this. You can see I've been testing lead capture. I've already scanned myself three times but it worked. So that's great. The and I will like if you guys want to test your lead capture, I can give you my. You can scan me, I'll give you my QR code so you can scan me as just like the guinea pig capture to make sure it works. But what you're going to do is like you're just going to set all this up. This is also where you're going to invite your other team members. So it's not that everybody needs their own like admin portal to be able to lead capture. You basically want one admin. And then you can see here that each admin can set up nine other people for a total of 10 users. So if you have more than 10 people, which is probably just a few platinums that are coming to staff your booth, then you would need to get with us to get another lead scanner license. I think it's like a couple hundred bucks, but there's that. And then what you would do is like download the mobile app and basically you would say, I'm going to add a user. I'll just do a test one and then I'll delete it. I'll just say I'm going to add events@saster rank.com and I'm going to invite them via email. I hit invite is required. Okay, Saster events it is. I will hit invite and then basically what you're going to do is you're going to. I'm going to show you guys the code because it doesn't matter. I'll delete this. Basically, when you download the Cap Tello mobile app, not to be confused with the Saster who do you want to meet app, which is our main app for the event, this is a separate app you do need. It's called the Captelo mobile app. You could basically set up the person you want to set up and then send them their auth code. This is the only thing they need. This doesn't change throughout the event. So this is basically like their password to get into the app. That's all they need and they can start scanning. I'm going to go ahead and remove that now. The other thing you'll need to do after you set your team up is you're going to want to configure your capture form. I always like to remind people on this, like, just because you put it here doesn't mean Saster provides it. So like the only fields we provide by default are first name, last name, email, company, job title and country. Those are our standard fields. So anything else you have outside of that would be notes for your team to fill in. So you can do things like ratings on here. Yeah, of course I can't remove the scanner, save and close. Sorry, I'm hitting the wrong things here. But you can do things like, okay, if I want to make sure I assign an owner to it while we're doing it, I just drag and drop that in. Right. So then I can assign an owner. This is something just your admin will do and it'll be prevalent for everyone. So if I set this up and I've got four people on my team, they're all going to See the same thing. You can configure this again to your heart's desire. You can do like surveys, ratings, rankings. I've seen people do like, warm, cold, or like, follow up with today, et cetera. And then that will capster and then your leads show up here in real time. I know some people about, like, you can say, I've scanned myself three times. They show up here in real time. Sometimes when people are scanning a lot of people at once, there's like a slight delay. Yeah, you can see we're kind of like testing things. So, yeah, that's. Your leads show up in real time. That's kind of all you need to know. And then you could download, you know, you could export from here, et cetera, all event data that it will give you, and that's it. And then you can, you know, put that in your. Your marketing automation platform, et cetera, do whatever you need to do. But it's super handy, super easy to set this up again. You just need to set this up once. You can also change it too, when you're on site. If you're like, I don't. This is like too many fields that we're having to go through. You know, you can change it and then it'll update you. But I do recommend doing it beforehand because sometimes it's harder to do it on the fly if you're like, frazzled and just trying to scan people. So that is the spiel on lead capture. That is like the one major thing to do today. Other things to do that are in the portal, again, just things like logistics, shipping, and things like shipping handling are getting super important. I know a lot of folks have been asking me this lately. This says in the sponsor portal as well. But if you need it, you can come here for shipping. The shipments can start arriving April 14, so a few days ago. So if you're. If you're ordering stuff now, that means you can also just ship it directly to the Freeman warehouse versus shipping it to you and then shipping it to Freeman. So, yeah, you can ship to Freeman. Now. The instructions and labels are all in the sponsor portal. So if you come into the resources, the labels are here. I think only like three people don't have their booth number yet. So hopefully you can do it with your booth number again. At the very least, put your company name and just. Again, few things to remember on shipping is Freeman does charge, like, material, what they call material handling. So this is like, you know, taking boxes back and forth from their storage to your booth. Empty storage. If you want to keep the boxes for whatever reason. And then obviously outbound shipping, they can help with that for a fee. If you do have activations, there's different things like CART service, but we really go over that with folks that have activations that might apply to that. So if you're just shipping swag again, it's good to read through those guidelines because you can go into the sponsor portal, the Freeman sponsor portal, and kind of calculate how much your shipping might be. And then, yeah, just make sure these labels are on the boxes. Otherwise it goes to the Freeman warehouse. And a lot of stuff goes there for like other events and they may not know that it's for Saster. So at the very least try and put your company name, put Saster Annual on it. That's why they have these labels here that already say Saster Annual. I always think it's good to, if you haven't shipped your stuff yet, to put this both on the outside and the inside of your packages. Sometimes, you know, things get ripped with like UPS on the front label and sometimes they'll just open a box to figure out what's in it. And then if this label's in there, then we don't have to guess whose it is. Obviously, if it's branded with like your logos, we'll figure out who it is. But I always like to put this both on the outside and on the inside just to be sure that it gets there. Same thing if you end up shipping a show site because you're doing like swag that's not going to arrive to like the last minute. I would put it on the inside and the outside so we know where it goes to put your booth number. If you already shipped and you didn't have your booth number, again, not the end of the world will match it up. But good to again, put your company name, put Saster on it so we know where it's trying to go. We've really haven't had too many issues over the years with loss packages because most people put something that we can identify them. And then one time I had a guess and we figured it out. But mostly we figured it out. I'm like, oh, this box of just random. I don't know, it's like rubber ducks or something. They were not branded, but we figured it out. Oh, like somebody will come asking where their. Where are their ducks at? So that's that. Other things just to remember again that are kind of do slash things to think about now. Like, we touched on registration. If you haven't yet. Please do register your teams. There was a big attendee newsletter that went out this week about networking. If you didn't get it, it's probably because you weren't registered. If you are registered and didn't get it, be sure to add events@sas drink.com to like your senders so that you get those all the time. But yeah, make sure you do that to keep getting those emails going forward. We talked about this a lot last week. I'll just touch on it for like a quick minute. Sponsored Customer passes are this really great program we do where sponsors can invite their eligible current customers and active prospects to Saster. So again, you guys should have gotten your sheet last week with your customer passes. If you can't find it, just let us know, we'll resend it to you. It does come from Google Drive, so I've had a few folks say, like, sometimes they just don't get the notification when we add them on their Google sheet. So that could be part of it. So just there's a lot of. Okay, these questions are not about this. So I'll keep going and I'll answer those at the end. So yeah, customer passes, if you didn't get your sheet, I know sometimes with like Google Drive, depending on what you use, it won't like go through. Sometimes like, you need an actual email link to it. So if you don't have these, just, you know, reach out to events, it's Ask For Inc. We'll resend it to you so that you have your customer past nominations. And basically there's two ways to do this. You can say, you know, on the first tab is people that you want to invite to the show. These are people you've already talked to. Again, these are your active customers or prospects. This is how many you get per level to nominate. And then you'll see there's a new second tab. So if you've done this before, we now do like VIP invites, but the bar is a little bit higher. So if you have VIP nominees you want Sasser to invite on your behalf, you can fill them into this sheet. We'll invite those that qualify and if they do qualify and end up getting ticketed, we'll let you know that they're coming so you can like book a meeting with them. They don't count. This version of the VIP doesn't count against your customer passes. I do recommend you guys do this. I've had a lot of people say it was like worth, worth its weight and gold to do the customer passes. Again, we call them customer passes. You can use them for prospects. So if you're trying to get some folks over the line, good spiff, because tickets are like 1500 bucks. So you know, a kid's fifth there to just see them at Taster. All right, hopefully you guys got the emails and know what things like brain dates and who do you want to meet is by now. But yeah, you do need to be ticketed to access things like brain dates and access things like who do you want to meet? They are all opt in programs. Who do you want to meet specifically is double opt in. But again, we went over this at nauseam last week. So if you're like, oh, I kind of missed the memo. There is a recording on our SAS YouTube channel. I literally can't go over the whole thing today because we did a whole hour on this last week. So like, even if I started now, we'd be past the hour mark. So, yeah, it's this one that's called 32. I should rename this like networking launch for sponsors. It's called 32 days till Sasser Annual. But yeah, that's the one in which we go over all the networking and how to do it. The TLDR version. I'll give you guys the TLDR version. Like, if you haven't seen any of this yet and you're like, what do I need to do? Basically, as a sponsor, it's the double opt in. So all you need to do is make sure one, you're registered. Two, download the who do the Saster who do you want to meet app. I know there's an old app in the App Store called Saster Events. That's not it. That's an old one that I'm trying to take down on the App Store because this is the new one. So yeah, download Sass or who do you want to meet? And it's a little confusing because this name is so long that sometimes you see the other one. But look for this icon. It's basically the white icon with the blue logo. The other one's a blue, blue icon, white logo. So yeah, look for this one. Look for this logo. Download the app. You can also access it on desktop, but I do recommend getting the app because you'll need the app anyway. The app also has things like your check in QR code, which is super handy when you get there even as a sponsor. Like when you go to check in as S3 annual, it's just a lot easier to scan your QR code versus like try and look yourself up in the system because the QR code is instant. Like you don't even have to attempt to find yourself. It'll just scan you and then it'll print your badge automatically. So this is what the app looks like when you download it. You'll know because I'm logged in, but it'll ask you to log in. It'll say you know a spiel about who do you want to meet and to get logged in. But basically once you're in the app, go to the hamburger menu and you'll see again, very handy. All the event information is also in here. So I know this is powering the networking, but it is also powering just the general event app for SAS Radio. So you'll see things like your checking QR code is in here. So like that's in there, that's cool. Again, that's how you check in very easily. You can use this to test your lead scanner once you're set up. So like you can, I mean you do need two phones to do it. So maybe grab a colleague on Zoom and I don't know if it's going to work on Zoom if you hold it up, but it works in person because we tested it in person and then yeah, you'll see things like the schedule. So you can like book your sessions and stuff in here if you want to. If you already booked them in visible, it'll just port over. So no worries there. It'll show you all the speakers, um, and then you can also do things like break dates on here. So that's why we recommend downloading the app because you can do everything all in once it's, it's again it's, it's great because it's got everything. So yeah, highly recommend doing that downloading the app because it is double opt in for sponsors. The best way to get into the app is to just create yourself. Right. So like the way I was already in the app and I joined, I am now basically visible in the app. It is like there's, there's kind of layers of opt ins and we do that for obviously a lot of reasons, but there's layers of opt in. So basically what you want to do is. It's funny actually. You can see I have a lot of different tickets. This one is, is a regular ticket where regular attendees have like meeting limits on how many people they can meet with. For sponsors, obviously it's double opted meaning they'd have to request you first. Like they have to initiate the, the meeting. But it's a little funny because it's like, do you want to use yours or not? So I'm like, I don't need to use mine. I'll be a little busy. But yeah, it's again, the way to get people to like request you as a sponsor is to be visible in the app. So recommend you do it. Not everybody needs to do this. I will say, like, this is a brand new program. It's a version. It's a brand new version of a program we run in the past that was super successful and we like stuck a bunch of AI in it to make it good. But not everybody needs to do it. Honestly, I would just recommend like your CEO does this. Like again, the match rate on AES we saw in the past is fairly low. No offense, guys. Marketers, not bad, right? So again, if you're like on the marketing team, I don't think it's bad for marketers either. I would just like. It's probably a waste for yourself soon to be in there. They won't get. They probably won't get any meeting requests that way. But I would recommend your execs get in there, right? So make sure your execs are ticketed and join the app so that they are visible to be matched with other attendees. That's the best way to use. Who do you want to meet? There is a good question on like, how does this differ from brain dates? How do you submit for a brain date, especially if you do want to submit it for an executive. So. So there's two ways you can do this. If you're submitting on behalf of yourself, you can just do the app version I just did. It's single sign on, right? So I'm going to show you the. Now I'm logged into my other ticket. I'll show you the desktop version, but if you're on the desktop version, you can go to brain dates here. Again, it's nice. It's a single sign on. Brain dates are all moderated so you'll see like these are ones that we hit accept to. There's many more like topics on this that are just in our moderation queue. But basically your topic has to get accepted by the moderation team to show up in that feed. So if you want to submit one on behalf of yourself because you're the one who wants to do it, this is how you would do it. You know, pick a. It's a. I'll also tell you like things that kind of work and don't work like brainstorms, ama is sometimes going to work if you like want to. If you have like a super nerdy topic or like your CTO wants to do this or like your head of engineering wants to do this. Those AMAs can work well. Open discussions are kind of okay. Deep dives are much better. Right. So you would put, you know, whatever, deep dive on AI and marketing and how we're using it. And also like this, it's funny. Like this will help you come up with topics using AI. And if you missed our webinar last week, actually a better way to do it is to Ask Sasters AI. So if you go to saster.com and click on our JSON AI clone, you'll basically get a recommendation from Ask Sasters AI here. You could tell it a little bit about yourself because then it'll make a personalized recommendation. But yeah, we did this last week in real time. It was pretty cool. It gave some good. Yeah, you can see I did this last week. It loaded up. But some good topics. This went about a brain date and these were some good ones. So yeah, you could do the same thing. That one's probably a little bit more tailored to you than the brain dates one. But anyways, you would submit your topic. You know, I'm just going to put test for now because I'm not going to submit. This group is the only option. So that's what you'll pick. Put the keywords, like if it's about AI, artificial intelligence, stuff like that. You know, marketing. Cool. You would pick a time in theory that you want to do it right. It doesn't mean it's going to get confirmed. So pick a time in theory. Hello, my browser is not loading. That's cool. Oh, I don't know why I did conflict. That's cool. Okay, I say 8. Although pro tip, if you run into that, it's probably one of these are oddly clicked. Then you hit confirm and then you would hit post. My topic again. It's not gonna. I'll just post this actually, because I can delete it on the back end. Your topic will be created. However, it actually won't be here until as you can see right there, it needs to be reviewed. So if we review it and accept it, then it'll show up in the marketplace kind of like these are here. If not, you'll get a message from, you know, the moderation team of whether it was. If it's accepted, you'll get a notification. If it was rejected, you'll also get a notification. So, you know, either way, I Will say give it about a day, day and a half before you get a response. Just not like everyone's in there right now because we just launched it. So like everyone's submitting their topics. So sometimes it's a little bit easier and it's a little faster. But typically within a day you get a response on whether your topic was accepted. If you want to submit, submit on behalf of somebody else. You can do that by going to the Saster annual site. Like let's say you want to submit on behalf of your exec. You would go here under Networking to Brain Date workshops and submit it here. This is a way you can do it. If you don't want to submit on behalf of yourself, fill out the form. Same spiel on, you know, rejection versus acceptance. Like the rules are pretty much the same and actually the bar is a lot higher. What, do you do it this way? Because it's not on your behalf. But yeah, this is the way you could do it in theory if you wanted to. Let me check the chat for comments here. Okay. We answered a few. How do we get assistance for login issues for who do you want to meet? I logged out and it prompted me to create a new account instead of logging in. That is odd. Joseph, if you want to email me and Event Disaster Inc. Basically I'm going to loop in our support team to look into that. If you also have a screenshot super handy. Like if you can show us what it looks like when you're not in incognito mode anymore, that would be super handy because I can actually just slack our engineering team who works on who do you want to meet directly and see what they say. So send me a screenshot if you can. Just email it to me and we'll get into that to you. I know it happened to Beth on our team and it's because it like timed out and then like a little bit later she was able to do the whole thing. Okay. So I know sometimes it does time out a little oddly, so that might be what happened to you, but just send me a screenshot if you can. Is there. There's a. Okay, there's a couple more questions here. Is the option to invite our VIP accounts only available to certain sponsorship levels. It shouldn't be. Laura, I know you're a gold sponsor. It might be actually because your spreadsheet was created early, so we probably. We created all the VIP portions afterwards. So we'll get that added in for you and I'll ping you when it's ready. But yeah, no worries there. How can the admins get the emails about networking? The best way to do that again is just to register for Sastry Annual. The attending newsletter goes to everybody. So like regardless of admin, main PoC, whatever, register for Toaster. That's really the best way. I have had sponsors, I will say in the past, say I'm not going to go, but can you register me? Because I want the attendant emails and we've done that on like a just like generic, no access ticket type. But basically you get the emails. I think you're going though. So just, you know, you should have gotten the email yesterday. Went out. Yeah, yesterday to again just everybody. So that's that. There's a couple questions. I think two people asked this question as well on when to expect to see graphic proofs. Most people have already actually gotten theirs and approved theirs. If you haven't gotten yours yet, it's because you submitted a little bit later than everybody. So they're still working on yours. If you haven't gotten it and it comes directly from me. So if you haven't gotten it from me, I wouldn't panic. It just means that they're getting to yours because they went through a batch of everybody else's. Yeah. Laura, if you're not going, I can just register you for like a, A whatever dummy ticket basically. So I'll do that for you today. So you get the emails. There's another question on swag. We can bring in swag with us. Not correct, actually. So here's the spiel on swag. If you are bringing, you cannot carry boxes into the venue, it has to go through Freeman. I know that is super annoying. It's not a me rule, that is not even a Freeman rule. That's a union rule. So for things like that one, I wouldn't try to hand carry boxes because then like Freeman gets a little upset. Right. Like they know that we do these webinars, they listen to them, they know we put all the like rules in the portal. And so when people show up trying to break the rules, it's just very frustrating for them, maybe understandably so. If you are bringing in swag, you do need to ship it to Freeman regardless of how much it is. Again, just general rule of thumb, ship it to Freeman. If they see you hand carrying boxes, there is a way to do it with Freeman. If you're like, I absolutely have all the swag from our warehouse, we're going to carry it on the plane in suitcases and like maybe then when you get there, then you give it to Freeman. Yeah. For things even, like, small boxes, that all has to go through Freeman. Honestly, it's better to go the other way around. Like, I've had sponsors say I only had a handful of boxes. I went to the Freeman check in desk. They didn't care. Great. That is fantastic. Like, let Freeman be the one to make that judgment call. Like, again, don't try and game the system. Can you drop it off with Friedman if you're local at the warehouse? Is that what you mean? I'm like. Or at the venue if you're local. Okay, same venue. Okay, so same answer for both questions. Really? And I'll answer this live. This is a really good question. So in the. And I'm talking about things like boxes, people are like, what about one pager? It's like, okay, stacks of paper are maybe the exception to this rule. But other than that, Let me pull up the shipping guidelines and I'll tell you guys what I mean. So I know this is long, it's a little dense, but this basically explains material handling. So things under £10, as you can see here, doesn't.
