It looks good.
Okay, good live stream. It takes a second. Okay, it's going, it's going. Alrighty. Okay. Hello everyone. Welcome to the staffer sponsor Weekly Insider webinar. I'm Amelia, I've been your host. Brian is out today, so you guys are stuck with foia.
Yeah, you got me. So, hi everybody. As you're chiming in, I'll say hi, Autumn, Bianca, Andres, Alexis.
I say that, but honestly, we're gonna go through some stuff today that like as Hoya's been our longest rating A here, you know, he knows a lot about. So it's going to be a good one. There is a lot to get through. So we're going to start in just a second here because there is quite a bit while we're doing that, I'm going to drop into the chat the link to this slide deck and the sharing is on for everyone this time what I did last time. So there's the deck in the chat so you can follow along or you can skip it or you can save it for later. And then, yeah, as always, we're recording this. We are live streaming, as you can see, so it's on the SAS for YouTube channel. We will send out both once again over email to everyone after. And then if you have questions as we go, drop them into the chat or the Q and A, we will answer all questions. So, you know, if you've got like some very specific questions, we can do them at the end. But yeah, ask away. And then without further ado, we'll go ahead and get started. So let me share the deck here and hopefully my zoom control. Okay, great. I didn't lose my screen. All right, cool. So yeah, first and foremost, yeah, lots to get through. Hopefully you know all these wonderful people by now. This is your sponsor team and the best way to get in touch with us pre events will be to email one of us once you're on site. You know, you'll meet everyone, get phone numbers, et cetera. But yeah, email is the best way to go. You can always either CC or reach out to the sponsor success team if you have something that you want to get answered quickly and that is just sponsorsuccessasterinc.com hopefully by now you all know, let me go into slideshow mode. Yeah, it's better. Hopefully. Yeah. Hopefully by now you all know we'll be at the San Mateo county event center, the 13th, 14th and 15th. That's coming up in just a couple of weeks. Oh yeah, hopefully your flights are booked, can think about packing your Bags, your hotels are booked. One thing people ask us, I know it's kind of little, it's, it's further on the deck, but just on weather and dress code. Do you want to speak to this for a second? Because some people have been asking about this.
Yeah, of course. So both Amelia and I are very familiar with San Mateo County. San Mateo in September is beautiful during the day, Usually it's very warm and sunny, usually in the 70s, 80s, sometimes, but. But it can drop sometimes in the evening by 5, 10 degrees. Last year, for example, the first day was a little more cloudy, just a tiny bit chilly. So we'll talk about dress code. Our recommendation always is dress the part, meaning stand out. This is one of those events you should supposed to look good, have some theme, be a little different than most sponsors, but comfort goes a long way. Look, it's going to be three days of being outdoors. So anything you can do to be comfortable is highly, highly recommended. Tennis shoes as well as a light jacket. So that's, that's typically our top tips. Hopefully. That's.
Yeah, top tips there. Yeah. Sunglasses, hats, layers, sunscreen, all good. There are, like, there are things nearby, so if you're like, you know, if there's a CVS nearby, there's a target nearby. If you get some stuff, you know, there is like basic suburbia amenities around.
To make it easier, we're going through just reminders. I'm sure a lot of you have been fantastic at doing these things. So if it's. It's just for those of you that haven't, just one last reminder, that's all.
Yeah, one last reminder. So a few key reminders here and then we'll get into like, some stuff you guys should know before you go for on site, since it's coming up so quick. And there's actually this is the third to the last webinar, so there's only two more after this. So if you think of something again, drop it in the chat. So, number one, first and foremost, if you haven't already, most of you have done this, but about 20% of you still haven't. You do need to register your team's asap, as we are past the deadline. Now, I know there's a few of you who are looking for additional passes. We're working through that with the registration team right now. But just. Yes, if you have not already, please do register your entire team ASAP as we're past the deadline. You know, use your code that you have for your full passes and don't forget to register your speakers, if you have content. One thing we'll say about this is, you know, as you're finalizing your path, this is just for you guys. This is for your team, not your customers, not your prospect, which we'll get to in a second, which we've already done. This is for you guys because it does print a badge that says sponsor on it. It gives you special sponsor privileges. We just want that going to the actual sponsors. And so you do need to use your sponsor code in particular to register. Please do so. Like, unless you want to start being hounded by Polya and myself every day until you register, register now. One thing, if you already did your lawnmower and you just thought of, oh, I have somebody who's coming in to work one day of the show and they're taking the place of someone else. Per our health and safety policies this year, they cannot badge swap. Meaning if FOIA is registered to represent faster, I cannot take his badge on last day, per our health and safety policies. We do also ID check every day. So it's not like, you know, if koia's name was a girl's name, I couldn't get away with it either because we do check IDs. Maybe if it was an identical twin with the same name. But that's.
But what's funny about this, I'm actually a twin, so I know you are a twin. Not the same name, but I'm a twin.
Not the same name, though.
But the reason, the reason we're hammering this home, just so everybody knows, we actually load in this weekend to the event outdoor. It takes a really long time and frankly, this helps us forecasting for food and a lot of other things. But more importantly, we just have to have this registered. So the last two weeks, we can double check everybody's health and safety. So please, please, just one last reminder. If for whatever reason someone has forgotten to register, do so. Preferably today, but at the least latest label is this Friday.
Yep. Okay, cool. So that is that. Hopefully that is a straightforward reminder. Number two, this just first, a big thank you to everyone. We've got the majority of our graphics in. There are literally just a handful of folks lingering to finalize their boost graphics after they got the proofs back. So if this is one of the few of you, and again, it's only a few of you, please do so as we're also past this deadline.
Thanks to everybody else. Thanks for 95% of you. So thank you.
Yeah, cool. All right. Another, again, these are just reminders. We're just going to go through them fairly quickly because most of you have done all this. But just as a final, final reminder, if you do have content, final slides were already due last Wednesday. If you haven't already submitted them or given a speaker team a timeline of when you will give them your slides, we need that as soon as possible. Since the deadline has now also passed. So many of you have done that. So big thank you to everyone who did submit their slides so that we can start testing them with our AV team on site. Because that's why I mentioned we do start setting up next week. Takes, you know, two weeks to set it all up. And that's why these deadlines are, you know, prevent. Okay, another one that most of you have done. But again, a final reminder. If you have not already, submit your point of contact for the lead scanner license. Super important, most of you have done this, some of you have not. So everyone, how it works. If you're unfamiliar and you haven't done this yet because you're confused, you just need to submit one point of contact for your lead scanner license. Everyone on your team will be able to use the same license login once we have your poc. So just to further explain, if I'm like the main point of contact for our booth on site at Sasper Annual, I would submit my information for the lead scanner license. I will then get back a login next week so that I know what my login information is. I'll get all the app information. It is an app so you can use it on your phone so anyone can use it. Meaning like if I submit for my company and I'm the main PoC of FOIA, can then use my login to also scan people at the booth. So you just need one license. Most of you just have the one license and you just need to submit your main point of contact for that license. And then I would then just give FOIA my login so that he can do the app on his phone and he can also scan people at the event. Anything to add on that foia?
No, I'll just add two things. I added the form for whatever reason, if someone hasn't submitted it. It's in the chat now, so feel free to click on it. Last but not least, the person, the point of contact preferably is someone that's on site just in the chance we run into a hiccup. Again, having a point of contact beyond set just helps us out. That's it.
Perfect. Okay, that's a good call out because Somebody was asking where they submit. So thanks for doing that. Okay. People are asking about VIPs, which we'll get to in a second. Okay. Health and safety guidelines. We talked a bit about this last week. We'll talk a bit about it again today. And just because there were a lot of questions. So if you missed last week or you just registered and realized that there were semi complex health and safety guidelines, we'll walk you through them to hopefully illuminate our health and safety guidelines. So one is vaccine verifications are enforced. I know the CDC just came out with like other guidelines. Literally, I think last week after this webinar or during this webinar. That does not change anything for us because we are a mass gathering. There are 10,000 people coming to Saster Annual, 8,000 of which have already registered. So if you can imagine the influx of attendees that will register in the next, you know, three weeks. We will be 10,000 people on site in San Mateo across 40 acres. Very important to pay attention to these health and safety guidelines. So we're just going to cover off on them. Please ask any questions you have on them. Okay, I see a question now. Great. Ask away on questions. We're going to go through this. So one, everyone has to be vaccinated. So one, if you have a booster at any point you got a booster, you're good to go. So if you got, you know, J and J, that means a second booster. If most of us got, you know, majority or whatever else you got, that would be a third shot. So if any time you got a third shot, you are good. If you have a fourth shot, that's fine too. Like any booster quantity is fine. So if you got a booster, it doesn't matter when you got it. That is good to go. I will say on boosters, if you are vaccinated without a booster, we will have on site boosters this time at faster annual. So you can actually get boosted on site. And since boosters are effective basically immediately, you can get boosted on site, get your badge and go in. So we will have that on site booster vaccine on Sunday and Monday 12 to 4. Just remember that if you want to come on site and get boosted to get into faster annual, so there is that. So if you're in that first crowd, which is the majority of folks, as we've seen as we're starting to check vaccine verifications with our health and safety team, if you have a booster, you're good to go. That's the majority of people who hopefully on this call and what We've seen in our registration system, if you didn't get a booster, you're still allowed in if your vaccination was within the last 270 days. So if you, you know, got a first shot last month because you just, you know, you were later, that is fine. So if you received, you know, a vaccination within the last two 70 days, that's fine too. That is acceptable to come into Satra Annual third, which is the thing we get the most questions about if you have like a partial vaccination. So let's just say you got vaccinated like when they first came out, like I did, which was a while ago, and you didn't get a booster because you got Covid, which many people, you know recently had Covid and they recover. So if you recently had Covid, what we need is some sort of proof that you had it recently, meaning you don't need a booster and you weren't vaccinated in the last 270 days. So a recovery certificate. If you're coming from international, this is more common to be called a recovery certificate. If you're here in the States, this is a signed note from your doctor saying you had Covid and you recovered on XYZ date. So the date is really important. That's what we're looking for in that recovery letter. If you don't have a recovery letter, which some people have been like, I got Covid. And I just, you know, I buy next at home. I got Covid, I was fine. I don't have a letter from my doctor. You can take an antibody test if it's above a certain threshold. It'll basically prove to us that you recently had Covid or some people. This is another bucket of people who recently had Covid so that they had a picture of their positive tests. That is what we do this day and age on social media. I forgot the COVID So if you have a photo of your positive test and it's timestamped and there's some sort of identifier that it was in fact you who had the COVID we are accepting that as well. That's really rare. Most, you know, it's easier just to have a note from your doctor. So those are the ways that it is accessible to come in to Saster Annual. I will say all that is to catch the majority of folks. This basically means if you are not vaccinated, you are not allowed entry. Right? So if you're partially vaccinated in the last 270 days, it's fine. If you have a booster, that's fine. If you've recently recovered, that's all fine. Right. It's just we don't accept anyone who's not at least partially vaccinated because of the size of your annual crowd. You know, Covid is still very common these days. Like it's probably more common now than you think and just not talked about. So I'm not going to go there. But those are requirements for entry two. You will. Yeah, go ahead, boyo.
No, no, I see a couple of questions, so I'll just, I'll answer for you and I'll do it live. So for those that haven't submitted their proof of like health and safety, whether it's your vaccination recovery certificate, if you didn't do it during reg, I just added the link in here. Do it. It's just our health and safety. You can go on the website halfway down, you'll see it. But I just put it again in the chat. The second question I get is what kind of like testing we allow. We will do testing on site. However, just to save the 10, 15 minutes the way you want to do it. I'm showing a couple of these because I have them. I have them on site. So this is the federal one. There is emed where you can do that as well. There's some flow. The most common one I think is this is the. These guys that I won't really open. But basically what you want to do once it's done, you just want to take a photo of your negative test. So this is my negative test result from this morning. Put your ID next to it, do a timestamp and that's all we need. So if you want to do it at home, you can, I usually recommend just take a common one. Sometimes if you read it on it, as long as it's FDA authorized or FDA approved, you're good to go. So that's in regards to the testing. Hopefully I've done a good job. Yeah, I've done a good job of answering that for you.
Cool, thank you. Yeah, that was, that was a good one. Yeah. There is a question here. Like we just answered it live. Chloe showed you guys some of the at home tests. Basically any. Except like any at home test is acceptable. You know, if it comes in a box, I know they have them at Costco these days. If you're in the states, like any of those are fine. Those are all good. So there's a. Okay, so let's get into testing because I think it'll answer some of the questions that are now coming in. So vaccines we covered. This is a stacking health and safety policy. So all of these have to be true. So you do also need to provide a proof of negative COVID test when you get there. So when you come to registration to pick up your badge, that will be your within 72 hours. I don't know when you're going to enter to pick your badge. It might be Sunday, it might be Monday, Tuesday. So whenever you're going to pick up your badge, you need a negative COVID test from within the 72 hours of when you're first coming, just when you're first coming to pick up your badge. We highly recommend that you test yourself versus like with one of these at home test kits before you come to Sasbury Annual for a lot of reasons. One, you might be positive or someone on your team might be positive and if someone on your team is positive, you probably need to swap that person out. Well, actually you need to swap that person out. So it's always good to know before you get on the airplane or before you drive over to Saster Annual if everyone on your team will be allowed in and that they don't have Covid. It's just good to know when you're getting together. So highly, highly recommend you do an at home test. To Poia's point, if you're going to do an at home test, any of the ones that are over the counter are fine. If you want to timestamp it so that you can prove it's within 72 hours, like you're taking it at your hotel or you're taking it, you know, before you get on the plane at home, just if you've got an iPhone, take a picture with your iPhone of the test result next to your ID. Your iPhone will automatically timestamp any photo you take. So like when you click on a like an image in your camera roll, it's got the time on it. If you don't have an iPhone, take it next to like your computer with the date and time on it and your ID and then the test result or a clock. If you have a clock that has the date on it, it needs the date and the time. So if you got an iPhone, it's super easy. Just take a photo. Your camera roll will automatically do it. It's like when you tap your photo, the date and time shows up with your id. So that's the best way to do it. We will have on site testing but I don't recommend this for sponsors because if you're trying to get in to load in your stuff, the last thing you want to do is wait for your COVID test results and we cannot speed up time. I can't do it. FOIA can't do it. The lovely people on site at Saster annual can't do it. You are going to have to wait in line one to get tested. So let's get between, you know, 24 to five minutes depending on how many other people there are waiting to get tested. I don't recommend it at all. Like I, I don't reco it especially for our sponsors. Bring a test, it'll be nice and fast, plus you'll know in advance if your team will be the team to attend the faster annual. If you need to make any changes because someone has Covid, trust us, it's going to happen. It happened in Europa. People sponsoring people were like, oh no my team ever has Covid. We're like, that's okay, let's swap their ticket out and we'll change their registration. So yeah, please test over the counter at home before you get here. And then lastly, this is the easiest one there is a daily temperature check with an ID check. So that's why there is no badge swapping. But they will be checking your temperature every day just to make sure that you know, you don't develop a fever or you've developed, you know, any symptoms. If they need to, they will retest you if needed. So that's that. So someone's asking a good question is like, how do I, how do I show up and show my result of my at home test? So for some of these at home tests they do like a lab result where they email you. So the email one that POIA showed, that one actually emails your results. That's really easy. You would just show that to our check in team. If you're doing an at home test, you would just show the photo at the time you're picking up your badge. There's going to be three entrances at each registration unit of staff, three annual if you will. So there's going to be an express line. So once you do have your badge, this is going to be really quick, like there's not going to be a line, there's going to be an express line. So let's just say I'm koia, I'm coming on Tuesday for the first day of show. I got my badge early. He's going to go through the express line, they're going to check his, his ID they're going to check his temperature, go check his badge, and they'll let him in. That literally takes 30 seconds. It's really fast the first time you come. If you bring a test, this really only takes a minute or two. It's really fast to register. I think our average is about 75 to 90 seconds. So really fast. You'll show them the photo of your negative COVID test, they'll check your id, they'll look you up in the system, they'll print your badge. It's really easy. It's that quick. Again, Our average is 75 to 90 seconds. We did not make that up. That's a real average of how fast it is. When you bring your test, there's a third entrance. If you did not bring your test and you do need to get tested or you lost the photo or something happened and you need to get tested on site, that one takes the longest. That again takes anywhere from 20 to 45 minutes, depending on how many people there are and the wait times for your results. So that takes a while. We don't want our sponsors to be in that bucket of like, I got to really get to the boost. You need a prospect. We can't expedite it for sponsors. It is one line. So highly, highly recommend you bring your task because it'll take 90 seconds versus 45 minutes. Anything else on that one for you?
I think we nailed it. Good to go.
Cool. Okay, I'll let you guys read through that one. Okay. Last but not least, we've seen some of you starting to promote SAS granules. Thank you. Yes. Awesome. Yeah, I love, I love seeing it. Some people have asked like, can you guys, can you use our logos? Can you make your own graphics? Yes. We don't care. Here are our logos. Use them to your hearts. Also if you need them. There are speaker promos, session cards, and also sponsor cards in these handy links. So this deck is linked in the chat. You can click any of these links on here to, you know, find your sponsor promo cards and use them on social media. Good question. Here you also have a discount code for attendees. Is there any tracking on who redeems your promo code? They're tracking on our side. So if you want to get that, you can reach out to small things success and they can let you know if someone has used that promo code. Okay. Just a few things on the on site agenda and a few things you guys should be thinking about before you come to sas. Randall one, I'm going to try and burn the schedule into your first and foremost, the big days to know is the first day you can start coming on site Disaster annual to pick up your badge and start your sponsor load in is Sunday, September 11th. I know it's a Sunday. Just because our event falls on a Tuesday, Wednesday, Thursday, it doesn't mean you have to come Sunday. You've got all of Monday too, which is why we put these two dates on one slide. But we do recommend coming one of these days to set up early. You can also get your bearings, you know, see the lay of the land, see the layout of sponsor of Sastry annual. The whole thing will be set up by the time you get there on Sunday or Monday. Kind of see how far it is from wherever you're staying, figure out, you know, the ride share situation. And also if you've got any boxes, you know, start going through them. Set up your swag if you need to go buy some succulents at Target, whatever it is to make your booth cozy for the days that you'll be working at very long hours. So that is sponsored load in A question we do get a lot on sponsored loading is like, am I going to be there? Like, put my graphics up? Like, no, like your graphics, once they're all finalized and approved will be put up by Freeman. It'll be all set before you go, everyone's got a trash can. Your TV will be there and mounted for most of you. Some of you have freestanding that'll all be there. So it's a good time to, you know, set up your booth, sort through your swag, get a lay the land, check in, you know, get your badges. That part takes a while. So again, doing all that ahead of time really speeds it up for when you come for the on site show days. And then you'll also be able to test anything you want to put on your booth monitors. So, you know, if you want to test your graphics, if you want to test a video loop you have. Those are all great things to do during load in. I see some, I see some questions about shipping and booth monitors, which is great because we're going to get to them in the next few slides.
Let me answer a couple of questions. These are important. So we get these all the time. So in terms of the shipping info, just ask us. It's an exhibitor kit. There's two places to ship it. So we'll give you the.
It's also in this deck.
Yeah, also in this deck. So amazing. The couple of questions. What's the right amount of swag? A lot of people have different opinions of this, but I usually say 100, quite a quantity per day is a good one. So 300 total, I think that's a good average. So if you're only bringing T shirts, I guess 300. But I usually. We usually recommend diversifying it because a lot of people give out T shirts. In terms of the second question, how do you connect to the booth monitor? It's an HDMI cable. So in the chance that you have a MacBook, bring the dongle.
Bring a dongle, guys.
Bring your dongle. So as a backup, I usually recommend people bring their cables as well, just to be safe. But HDMI cable usually is provided by Freeman and the team. So, Camille, you're asking about WI fi? Yes, WI fi is provided. It's free, it's included as part of your sponsorship. So one less thing you guys have to worry about.
Yeah, I will say I don't think anyone really like, you shouldn't. It's like, I don't encourage anyone to order a hardline through one of our providers. You can do. I think it's worth it. No, like, we spent a lot of investment to make sure that this festival, because it is outside, y' all has WI fi everywhere. Like, this is why we set it for two weeks. I literally go out into the parking lot and test the WI fi at every single person's booth to make sure it works for you. So you do not need to buy a hardline. You can I honestly just recommend bringing everything you need for your booth on a flash drive, making sure it's in Google Drives. That's the easiest way to do it.
The other question is thumb drive. Flash drive, yes. As long as it's a jpeg, no problem. If you're trying to do a hyperloop or video on a. On a thumb drive or flash drive. I've historically never seen that work. So it just depends what you're trying to do. Again, if it's a video hyperloop, recommend doing a dongle and connecting with the laptop. If it's just a quick photo or something of your brand, you're good to go.
So.
So, meaning the flash drive would work. Is the entire conference booth everything outside? Yes, it's tented. Everything's tented. Everything has a tent. You'll still be in the shade. It's a good time, but the whole most of the event is primarily outdoors. But it's fun. Trust me, it's festival style. It's a good time. Someone anonymously asked, what do we do about load in Swag collateral. A lot of this stuff is an exhibitor kit. But to answer your question, each of your cabinets, pretty much every sponsorship they have a two storage cabinets. As long as it's not expensive, swag, you can leave it there. However, you can also do storage with Freeman where if you have something a little more pricey or expensive each day, you can ask them to take it to their storage, pay their fees and bring it back to your booth.
Yeah, we were getting some good questions so we're trying to answer. I just answered a few of these live. If you do want to order a hard line, where do I order it from? That is in the exhibitor services kit, where to order a hard line. You can also just reach out to sponsor Success Ask. That's probably actually the quickest way. So just email us. Okay. So, okay, I'm gonna keep going cause some of these are on material handling, which we'll get to in a second. So yeah, highly recommend loading in Sunday or Monday. It's the quickest way. Like there are some early attendees who show up, but it's mainly sponsored. So it's a good way to get through reg. It's a good way to get your bearings, see where everything is. And if you do need a booster on site, it is Sunday and Monday, so the times are here for you guys to have them. One thing we will say on Monday, which is when most of our sponsors show up the day before. We are going to have a welcome sponsor happy hour this evening at Paul Martins from 6 to 9. So it's right when early load in finishes. So if you're looking for something to do on Monday and you're like, I haven't found anything for the team yet. Well, you can come to the welcome sponsor happy hour. It's going to be on Monday, September 12 from 6 to 9. Again, this is right after loading ends. It'll be at Paul Martin's. It's about 10, 10 minutes. It is walkable from the San Diego County Event Center. It is open to all sponsors. If you want to come to this, we. We would like an RSVP from you. So if you can email your AE or sponsor sponsor successnastring.com can be weird. Beer, wine, pizza, sliders. I was just looking at the menu. And this is open to anyone who wants to come. You just need to RSVP to us. So let us know if you want to come to this welcome reception. Lots of folks were asking what we were doing Monday, so we're having a little happy hour. It's informal. You can, you know, come as you are. Come in your boo shirts after loading. All good. Okay. Thanks Boya for answering some questions as we go. I'm going to come into the main show days. There is a lot on this agenda if you haven't already perused it is also on, you know, faster annual.com bigger things for you guys to know are highlighted. So anything that's sponsor specific is highlighted on these slides. Registration opens at 7:30. So if you're coming home like just Tuesday to come Disaster annual and that's your first day there. Reg opens bright and early at 7:30 so you can come early booths sponsors will be able to come in and start, you know, refreshing their booths, get everything all set up. The sponsor hall doesn't open until 9 so you have that extra 90 minutes there to get all set up. I will say year over year, not everyone comes early. Some people come right at 9. Personal preference. Like attendees come early though. So that's what I'll say. It's personal preference. Everything on Tuesday will be pretty much open. So the sponsor hall, mentorships, lunch, some of the fun things we're doing on campus like the co working space square park in person content. This day goes from 1 to 4, then we go from 4 to 6 into happy hour and then two very specific sponsor things. On Tuesday night which is the first official day of SAS for annual is we have our saaster Tuesday night off site parties in downtown San Mateo and we also have the sponsor VIP reception. So many of you have already given us who you want to come to this VIP reception. We'll be sending them calendar invites very shortly. So I know y' all were asking about that. The info is here. So yeah, just a quick slide on the VIP reception. So this is Tuesday, the first official day of Sastry annual 13th. It is from 6 to 9. It's in downtown San Mateo. So if you're not familiar with the area it is in hub of where all the other sponsor parties are going to be. So it's going to be easy for your executives to go from the VIP reception to any other parties that you might be wanting to go to. If you want a party hop if you will. So yeah, it's in downtown San Mateo. There are going to be shuttles going on Tuesday night from 6 till 10 from San Mateo County Event center to downtown San Mateo. So you'll be able to just catch the shuttle go to the VIP reception. You don't have to worry about getting a ride share unless you want to. But you can just pop on the shuttle and they'll take you downtown to all the parties. So that's a quick and easy way to get there. So again, if you haven't already, please send us your allotted RSVPs for the VIP reception, your AE and sponsor success as soon as you can. That'd be the big Wednesday. This is the second full day. I know Annual is kind of long. It's the second full day of Bath or Annual. You have another hour in the morning here to refresh your booth. People ask us what this means overnight. Like, you know, they do come through and like collect the trash overnight, but we'll clean that out. But if you want to, you know, like put out any of your PDFs that you have, arrange any of your swag, sometimes it gets messy when there's a lot of people in the booth, really just to refresh your booth so that it's nice and tidy before attendees get there. So you have an hour to do that and then the sponsor hall opens at 8. There's also a question of like, do I need to be at my booth the entire time? I mean, we recommend it, but as part of having a successful sponsorship experience, Disaster Annual and we recommend, you know, doing some sort of staffing schedule for yourself of, you know, who's going to be at the booth at what hour so that it's not the same. Having the same people all three days can be a little tiring. So to keep the energy up, it's always good to kind of rotate folks and let them experience the rest. Semester annual, there's a lot of really good content. There's a lot of mentorship. There's, you know, tons of space to take a meeting. So always good to have team members kind of rotate what they're doing in annual at any given time. Tuesday is going to be a big day. It is our heaviest day of content. So there's a lot of content going on this day. There is a lot of free dates going on this day. We also have happy hour and then the big party. So the big party is like our big on site party. Like a full blown music concert at SAS Re Annual. Especially because we're outside and we already kind of have a music festival vibe. So it kind of adds to that. It is on site. You don't need to go anywhere. You've got a badge, you'll be able to get in. We are going to have DJ Duke Dumont at our big party. So he recently played at Coachella, if you don't know of him. Yet we went to Spotify and his YouTube, he's got millions of views. You probably heard one of his songs. You're like, oh, this guy. It is the last call to bring a buddy. So if you have somebody who's like, you know, not part of your sponsoring team and already has a badge but someone else that you want to bring, like a significant other or a partner or somebody, you know, who's an AE who works somewhere else in the Bay Area to the big party. We have limited bring the buddy passes left. They're almost gone. So I'm offering them up sponsors first. You can click that link in this deck and bring a buddy to the big party until it goes. For those asking, the link to the deck is in the chat. So go into the chat. It's. It's in there. It's the top.
I'm. I'm sending it anyway. But yeah, cool.
Yes, it's in there. It's in there, guys. Okay, Thursday is the last day of show. So a couple things here. Again, you have another hour in the morning from 7 to 8 until Smarter hall officially opens at 8. There is still really good content. People do come back on Thursday. I think that's our number one question. Like if people come the last day of the annual, do I save some of my swag? You should. The answer is yes to all these questions. People do come the last day of annual. It's money day, it's VC day. There's a lot of investors, there's a lot of VCs, there's a lot of founders who all come on Thursday and come back on Thursday. So you'll see that content ends a little earlier this day at 3:30. And then we go straight into happy hour and the wrap party. What most people did last year is they stayed through happy hour and if they felt like they were good and had a lot of conversations, started departing. For some of you, you know, if you haven't looked at the schedule and you have flights, doesn't mean you have to change any flights if like your flight's at 4. But just food for thought. Like most people, I think stayed through the happy hour and then started packing up their booths as the wrap party was kind of going. So the wrap party is really like an extra hour that we don't kick anyone out. You know, the beer in line is still flowing, the music is still going. So we're not kicking anyone out until the venue tells us, which happens in Europe, which did happen this year in Europa. But yeah, that.
But to make it Easier for people every day of the show. So Monday, Tuesday, Wednesday there's a happy hour. It's all on site, 4 to 6. It's provided. So as long as you have a pass, free beer, wine, sponsor cocktail, non alcoholic beverages, it's a lot of fun. It takes place in the sponsor hall and this year we've distributed the flow of traffic. So I call that out because a lot of people want to leave at 3 or 4. Happy hour usually is one of the busier times in the sponsor hall, so that's why it's important. Monday there is the VIP reception and the sponsor parties. Wednesday we're going to do the big party with Duke and then Thursday we're going to do the wrap party. So hope that helps. But again, just calling out, please, please, please do not leave at 3 or 4 because 4 to 6 usually each day gets quite busy.
Yep, cool. There's a couple. Okay, I'm going to go into on site and I'll answer some of these. Campus layout if you've. If you're new to Sam's annual as a sponsor this year, if you're coming back, some things have changed. So one, we made this comment earlier for those who don't realize we are mostly outside again this year. It's like a music festival think, you know, giant parking lots and a bunch of tents. So there's shade everywhere because everything's tense and every booth has a, you know, tent over it. Every stage has a tent over it. Brain has a tent over it. Registration has a tent over it. So if it's not in a building, it's tented is the answer. So there is plenty of shade. The sun does move. I can't, you know, which I much as I try, I cannot control the sun. So it's smooth throughout the day, which is why hats and sunglasses and sunblock are all a good idea as well as layers because it can be cold in the mornings and like a little dewy. So yeah, first we are all outside, so dress accordingly. I see a question about parking which we'll get to in a second. So yeah, dress accordingly. Just to take you guys through kind of the overall layout. There is a shuttle which we'll talk about in a second, which drops off by the main registration rideshare. Drop off is actually open in both slots. So if you're taking an Uber, there's a slide in here like the specific address you should use. Other than that, some of these things are indoor but most of it is outdoor. So the co working space, which is what we call like a mini we work, if you will, that is indoors. It's a good place to get work done. Like if you're gonna like, I gotta, you know, crank out this email. I gotta, you know, at the end of the day during happy. Well, I guess maybe not during happy hour because it's a busy time in the sponsor hall, but in the early mornings, if you're coming in and you're like, I just need a place to sit and like, get some work done and follow up with these people. The co working space is where you want to go. There's power tables, there's snacks, there's coffee in there. The co working space is a great place to literally go and cowork and get work done. If you're looking for somewhere to take a meeting, highly recommend Sasha Square Park. So this is more of an open area. It's less of a quiet zone because people aren't working as much. We're going to be streaming the content in there so you can kind of like watch it as you're hanging out. Their puppies are in there. So park is a great place. If you're like, I need to go have a meeting with someone, where should I tell them to meet me on site? Station Square Park. That letter H on this map is the best place to go. It is inside. There's coffee, there's snacks. It's also a good place to get away from the sun for a little bit once it gets too hot. So Sasha Square park is your friend. If you want to take a meeting or lots of you have been asking, where can I take a meeting outside of the booth? National Square park, great place to go. Where can I take, you know, a phone call and get some work done? Co working space, there's a lot of stages. There's eight of them. If you can find them all on this map, I give you a major thumbs up. There's a lot of them. You'll see a lot of them are actually within the sponsor hall are connected to it. So it encourages the flow of traffic. One thing I'll let Puya talk about for a second is like traffic at Sasbury Annual is different than other traditional conferences, if you will, like a Dreamforce or Adobe Summit where there's only traffic during happy hour. This is all day traffic.
Yeah. So let me. What Amelia pertains is if you look on the. Right on the top, our main, main registration, the main entrance, where shuttles get dropped off, everything is right above the sponsor hall. So in order for people to go to the rest of the campus, they have to go through the sponsor hall, which is kind of nice, but we also drive a ton, a ton of traffic to the sponsor hall as well. The cantina is basically our hub where people grab coffee, food and drinks throughout the day. There'll be snacks, refreshments. And then throughout the sponsor hall, there's lounges. In the bottom right corner, there's Brain dates, which is our networking app, which basically means in order for people to meet with one another, those meetings take place on site and they take place in the sponsor hall, which is kind of nice. And then we have some wonderful sponsors such as yourself, that do food activations or they do unique activations, which means they drive a ton of traffic. So I call that out because at other events, sometimes I go to like lunch and happy hour. It gets busy, but throughout the day it's dead. But because our content sessions are two of our stages actually surround the sponsor hall as well. You should get a good flow of traffic. Why do I call that out? At any given time, we usually recommend people take shifts. They do rotates. I believe our good friends delegate are on this call. One of the things they're doing is they're starting a competition where in this shifts they have a competition of like who scans the most amount of leads. Because at the end of the day you have to show roi, right? So anything you can do, I think to drive some, some. Some competition within your teams is a good one. But most importantly, do that shift if you can, where you have two people working at any given time and they're excited to meet our attendees. So.
Yep, cool. Other things to note, a lot of these are stages, so they're all labeled, you know, stages. The midway picnic is like a cool area again to have lunch, hang out. If you're looking for another space or if you want to meet someone, have a lunch meeting on site. That's a great space to do it. It's got food, it's got picnic tables. You can have a meeting there for those who are doing brain dates and asking about brain dates, that is in the sponsor hall. So it'll be really close to your guys's booths and really easy to get to from where you are in the sponsor hall. So yeah, lots to get familiar with. This is not to scale, so get on site. Why? We kind of recommend coming early so you can get your bearings and get a lay of the land. This is the final sponsor hall layout. So of that map, this is like a zoomed in version of just a sponsored hall. Of where all the sponsors are. So Toya's point, there's a lot of stages, there's frame dates, there's something everywhere in the sponsor hall. There's an art car. There's been no pool this year. There's a lot going on. So it does drive all day traffic, frequent traffic to boost in every corner of the realm. So if you want to see this more in depth, we put the link here so you can zoom in and see where you are and other people are. But yeah, this is our final sponsor hall layout. For those who are asking about shipping. Now that we're getting very close to on site show, this is a good time to finalize and ship your swag and booth items. There's two addresses for shipping. One thing I'll say if you're shipping it now, right now, like as of today, tomorrow, and it's gonna get there before the. Oh, these are out of order. Hold on. I think I skipped a slide. This way. Yeah, okay. Oh, sorry. I just, my sim controls are in the way. If you're shipping and it's going to get there before Labor Day because the warehouse is closed on Labor Day. So if it gets there before Labor Day, you're going to want to ship to this top address, which is Freedman's Warehouse. Basically, you know, the shipping label you'll see is on the next slide. Put that on, on the box. Put it in the box. And send sponsors with stuff like a description of how many boxes you're shipping and you know what's in it so that if for some reason it gets lost or it's not palletized, we can go find it. So this is the difference in shipping. If it's getting there before Labor Day, ship it to their warehouse and your, your carrier should be able to tell you when it's going to get there. If it's. If you're shipping it and it's really slow or it's heavy and it's going to get there after Labor Day. So after Tuesday, September 6th, you're going to ship it directly to the San Mateo County Event Center. So that's the address for the San Mateo County Event center as it needs to be displayed displayed on the shipping label. The shipping labels are here. So there's two of them. So there's one. This is the one before Labor Day and this is the one after Labor Day. Ship it to the show site. So this is going to go directly to the San Mateo County Events Center. Some people have been asking, is there a cost for this There is a material handling cost. So if you want to avoid that cost, there's a couple things you can do. One, depending on how much it is, you could just check an extra bag or two or bring it on your flight. Two, you could, if you, if it's allowed, I would call your hotel of wherever you're staying and see if you can ship it there. Third, you can ship it to like, you know, a UPS store. If you're shipping via UPS from, you know, New York, they'll probably ship, they will ship it to like another UPS store for you, hold it for you. They also charge a fee though, so you might as well ship to Freeman. So really the only way to really avoid the fees is like bring it with you if it's not that much or split it up and bring it with you or ask your hotel if you can ship it there and then just bring what you need each day on site. I think those are, is that the, are those the only loopholes? Foia, Is there anyone I missed?
No, no, that's it. Only thing. If you are going to bring it, it has to be small. Like, meaning like if it's a big box or something. Freeman can claim jurisdiction. It's, it's their event, they own it. So if they do claim jurisdiction, they usually allow, they force you to go weigh it so they can handle it and the way you pay for it. I've gone this question a couple of times. You should be able to create an account in Freeman. Usually you put a credit card down and as long as it's associated with the account, I think the credit card gets charged.
Yeah, that's exactly cool. So that shipping, parking. This is an outstanding question. It was maybe our number one question last week. It's a good question. Here are the details. There's two distinguishing things here. Kind of like there was for shifting if you're going to park during load in. So Sunday or Monday, you're going to park in the south parking lot. It's literally labeled Gate D2. It has its own address. So save this slide, put this address in your iPhone and like put directions into it and save it. It's 2701 South Delaware Street. Please put this address in because right now there's a lot of construction going around that we cannot control around the San Mateo County Event Center. This will help you get exactly where you need to be during the days of show. There's going to be, you know, a lot of people out there directing traffic during load in. There's not going to be as there's going to be some people, but not as many because it's mainly just you guys. So put this address, save it. It'll be staffed during load in but not ticketed. Meaning like you can show up, we'll just make sure you're a sponsor and you can come park. So this is only for Sunday and Monday. Many of you are, I know, like parking off site or just doing rideshare for the show days or you're getting a rental car just for load in. So this is where you're going to park. Just for load in. Okay. If you need to park during the event, the event day is the 13th, 14th, 15th. It is ticketed. You do have to reserve it. If you show up without a parking path that we've ticketed to you, they're not going to let you in. And there's not going to be any overflow parking on site this year. It's not like last year. So you do have to submit for a parking path. It's free. Just click this link. You're going to put in your name, your email and that you're a sponsor. And if you need a one day parking pass or three day parking pass, I will say the three day parking is more limited than the single day parking. So only use what you need please. Because you know, the more of you we can accommodate, we're going to try and accommodate everyone as a sponsor who asked for parking. So submit for your parking pass there. There's a link there. Just submit for your parking pass and then we'll ticket it to you. You do need this ticket. You cannot show up on site without a parking ticket. They're not going to let you park. Even if you're, you know, Brex or Pay Hawk or a unicorn sponsor. Even if you're Jason Lemkin, if you do not have a parking pass, they're not going to let you in. They don't know who Brexit. They don't know who Jason Lincoln is. Our parking staff is great, but they don't know us. So if you don't have a parking pass, they ain't going to let you park. So click this link. Submit for your parking pass. We'll take it you a parking pass if you don't want to deal with it because you're like that sounds complicated or you don't have that much stuff to bring. There's endless, basically endless off site parking at the Crown Plaza and there's a NSR shuttle stop so you can park at the Crown Plaza. Park, get on the shuttle. Be a Safer annual in 10 minutes. It's all very calm. I will say the shuttle and parking at Crowne Plaza is very calm. There is just a lot of street construction right now on and around San Mateo County Event center that the city is doing. So next year it'll be great. But this year there's construction. So yeah, if you want to park on site, submit for your parking pass and Employa drops the address for Grand Plaza into the chat. So hopefully that I put it in.
The deck as well, just so you guys have it.
So awesome. So there's, there's that the next thing is shuttles, right? So we just talked about the shuttles. The shuttles run all the events today. So it's Tuesday, Wednesday, Thursday. They run it about these hours. Unless you know, no one's getting on at 7 o' clock anymore, we're just going to end early. These are the hours they run Tuesday, Wednesday, Thursday. They're running from the Crown Plaza to the San Mateo County Event center, which is where our event is on Tuesday only they're going to be going to the VIP soccer reception and downtown San Mateo. So there's that. So if you have someone who's going to one of those things, you can get on the shuttle from San Mateo County Event center and go to the downtown parties. You don't have to worry about Ubers and stuff. Listen, there's 10,000 people coming. Uber does surge. Okay. Uber and Lyft do search pricing. It's very calm to also just Uber to Crowne Plaza and get on the shuttle because we all avoid a little bit of the surge pricing. Like these are all our crazy hacks of like there are 10,000 people coming. So just keep that in mind.
The dress code, the only thing to call out there just for everybody. We are going to offer a one way shuttle from the venue to the VIP reception and the sponsor after parties. So just keep that in mind.
Yes.
As a bonus.
Yes. And someone asking is that pickup and drop off? So yeah, it's going to, it's going to both pick up and drop off at the Chrome Plaza. So you can again, you can Uber there or Lyft there. If you're a Lyft person, you can Uber or Lyft or park your rental car or park your car there, get on the shuttle. It's going to be a lot calmer and it goes to and from there to San Mateo. So we'll get to annual and then you'll get back from annual. So and also for the town Place suites. So for that person who asked there. So yes, it'll go to those locations all three days and then on Tuesday only, it'll go, you know, one way to downtown San Mateo. So cool. We talked a little bit about draft code for those asking. We. Yeah, go ahead.
Boy, the things to add. The drive ID is a really good one. The ClickUp one, the bandwidth. Just because they look uniformed, they stand out a little. Usually they each have a representation or a meaningful. But you could also go a little more casual. At the very least, we usually recommend having your company's brand on there some somewhere just so folks can recognize you. And the reason, the purpose of that, just so you guys know one of the nice parts about events, right. Is the serendipity that's being surprised. So if someone's walking by and they see your company's brand and they're a user or their customer, guess what, they can give you feedback. Right. I think that that's awesome. You can document that outside of that, again, it's an outdoor event, so go for comfort tennis shoes, be comfortable, be relaxed. And then do bring a light jacket because during the day it gets warm, but towards the evening it can get a little chilly. That's it.
Yep. Yeah. Booth tv. We talked about this a bit, but yeah, you will need to think about what to put on this tv. So in addition to bringing any hookups that you need for your computer, it's not for the Internet, just any hookup you need to like hook into the tv, think about what content you're going to want to put on this tv. Some people make loops. Some people just, you know, throw up a slide deck that will loop. But it's good to start thinking about this now. So you don't show up and you're like, oh, I didn't think about what to put on the tv. So think about this now again, you know, save it in, save it on the flash drive. Save it. Make sure everyone on your team has it. Make sure they can talk to what's on the screen. So somebody walks by and they're like, hey, you saw this thing on the tv. That's one of our last reminders for today is to think about what to put on these TVs. Some of you have multiple monitors. So, you know, thinking through what you want to put on your Saster tv, if you will. Okay, that was a big deck. We got through a lot. There's only three minutes left, but we'll stay on for questions. We did answer about 50 questions already, so if you have anything we've not covered, please drop it into the chat right now and we'll, and I will stay on. Will you take good care of us? We're nervous. Yes, we are. So our, it sounds like you're new to Dastard as a sponsor. Our entire sponsor Success team will be on site. We make constant rounds. You can, we also have a booth. So Coyote will be in the booth along with Brian and everyone else that you guys know. If at any point you have a question, you can run to them. If we're not, you know, on one of our active rounds, you can run to them and we'll take care of you. They, you know, they're there, the resources, they can help you with pretty much anything, you know, within reason. Like, can I get a Starbucks? I don't know if they could bring me a Starbucks. Yes, anything within our power.
So let me, I'm going to answer a couple of these things. Whoever's nervous, please, please reach out to your AE if you want me looped in. Happy to do like a free like guide to Saster, like making the most out of it because we're on the hook right at the end of the day. We want you guys to come back for multiple shows, 20, 23, so on and so forth. So feel free. If you need 30 minute call with any of our sales teams, let us know. Scanners is an app. It's. We call it gtr. If you don't have the instructions, email sponsor success. But as long as you fill out that form, that email is going to go out in the next couple of days. Super, super, super self explanatory. A lot of people get a little nervous. It literally just allows you to convert your mobile device into an app and it works fantastic. We just had it at Europa. We got that resolved. So for the most part, rest assured, things are going to be good and we'll have our sponsor Success team there. Just in case we run into issues, we'll resolve it. And the last question was about shuttles. The only shuttles we'll offer is from Crown Plaza in town and I believe the Hilton over there all three days. Outside of that, if you're staying at another hotel, maybe in Burlingham near the airport, you have to work with them. But I don't think they offer shuttles to the event venue. They might do shuttles to the airport. So those folks we just recommend a, I would say Uber or Lyft's probably the easiest way.
Yep, yep, Good questions. All right. I think for those who have stayed on the full hour. Thank you. I know there's a lot of you.
Thank you.
Do you have any more questions? We'll hang out for another minute or two.
By the way, Sasser just turned 10. We didn't want to make it all about us. So yesterday we had our 10 year anniversary. So as a thank you, we want to celebrate with you. So come join us at Sasser Annual. Bring your team. And for everybody on this call, please, please, please come to that welcome happy hour on Monday. It gives us a really good chance to have a quick drink, some finger food and us kicking off hopefully a really good three days of Sasser Annual. So we'll wait one more minute and then we'll say our goodbyes. But if you are nervous again, nervous is a good thing. Bug us.
Nervous is a good thing.
We want to make this successful for you guys. So until next time, be well, be safe and catch you, catch you on next week's webinar. Bye.
