My favourite method for getting sh!t done each week!

A productivity system that starts with a weekly brain dump, then cuts ruthlessly: discard anything not important and not urgent, trash the urgent stuff too, and pick just one important task to focus on. Everything else gets mental space back.

So you guys have likely seen me talk about various ways to get more shit done throughout the week. One of those ways would be my Sunday setup, for instance, um, which I've covered in previous videos. And of course, that's a very effective strategy, but one of the things that I like to do alongside that is actually clear what I call my hot list. Now, you probably have a hot list or something similar yourself, but maybe you just refer to it differently. Perhaps it's just your to-do list or your goals list and so on. Or a task list. But basically, as I'm going throughout my week and I have different ideas and inspirations and, and things pop up for me that I want to work on or get done or add to the things that I'm currently trying to achieve, they all go on what I call my hot list, which is actually tracked all inside the app that we use here. And one of the things that can happen if I don't continually make sure that I'm staying conscious of what's being put in there is I can just end up with this massive overwhelming list of obligations that essentially are impossible for me as an individual to carry out. It's different if I had a massive team around me and I could delegate all these different things to different people, but whilst I don't, then what's essential for me to do is go on to that list and clear it down at least weekly, because sometimes I can end up with anywhere between, say, 7 and 20 new things added to the list each week. The problem is, as I'm sure you can see, if you go a couple of weeks, you've now got 50 things on there potentially and so on. You just get to this point where it's like, holy shit, I'm already trying to work on my body, I'm trying to maintain my business, I'm trying to keep my mind present, etc., with my family and all these different things, but yet now I've got this massive list of additional tasks I need to do but seem to have no time to actually accomplish. What we want to do is take our list. So if you have a list, or you might even hold this list in your head— oh, I know I need to do this, this, this, this, and this— all these different obligations and things. The first thing you want to do is get the list down onto paper. Obviously, in my case, it's done in an app, so that's how I get it down. It's everything's written down within the app. If you don't have an app, do it on paper. Get everything written down. Then I want you to get ruthless with this list. And what we do is we go through the list and identify which things are important. So these are things that you know must get done, but they're not necessarily urgent. They're things that you know must get completed over the coming weeks or months, but they are not urgent and therefore don't need doing right now. Then I want you to mark off the urgent things, and then I want you to mark down which things are not important and not urgent. So there, there's just 3 categories. We've got important, which are things that must get done but don't necessarily need to be done right now. Urgent, which are the things again that must get done but need to be done right now. And then the things which are not urgent and not important, they also go down on the list. So now we've got 3 different categories. Immediately scrub through all of the things that are not important and not urgent. Doesn't mean they'll never get done, but if they're not important and they're not urgent, we don't need them in the way right now, getting in the way of our mind space, getting in the way of our decision-making. Getting in the way of our energy and consuming our energy and resources before we've used that on the more important or more urgent tasks. Now, the next thing I want you to do is also go through your urgent list and scrub those out as well. Now, you might be thinking, why the fuck would I scrub out my urgent things, Ty? This shit needs to be done. It's got to get done. And if it's really urgent, it will get done. And I'm sure you've experienced this yourself. You've got things that are important to you that you want to get done quite often, but the urgent things get in the way because they have to be done right now. So there's no need for us quite often to actually keep a list of urgent tasks because they will get done anyway. We've got no choice, they're urgent, right? They must get done as soon as possible. So if the pressure for those things to get done is great enough, they will get done regardless of whether they are down on a list or not. So what we're trying to do here is clear mind space and energy so that we can show up and be present with the tasks that are actually important. So now we've gotten rid of the not important, not urgent. Now we've gotten rid of the urgent. So now we're of course left with this list of important tasks. Now what I want you to do is pick one specific task on that important list to get done this week. That will be your main focus. And then what we have with only choosing one thing is now space, time, energy resources left over where we can focus on other things. So let's say I'm trying to get my body sorted and I want to lose weight and I want to focus on eating a bit better this week, or maybe working out this week. Well, now that I only have one additional important task to figure out or to work on, that leaves me time, space, and energy to focus on my body. Let's say I'm trying to grow something in my business. Well, now again, I only have one important task I'm trying to get done, so I've got extra resources— time, energy, effort, money, etc. That can be allocated to those particular business tasks that need to get done, because I'm not overwhelming myself with too many additional tasks that are on my not important, not urgent list, or that are on my urgent list, which is going to get done regardless of whether I set a plan or not. So it sounds a bit simple, but it's highly, highly effective. And it's one of the things, like I say, every single Sunday I go into my app, reduce down my hot list, clear anything that is not relevant and it's not going to help me move forward, and it's just going to serve as a distraction for you guys. I recommend you get it out on paper if you don't have access to an app or something where you track this stuff. Get it down on paper. Clear that space in your head. What we often find is just getting it out actually gives us some mind space already because now I don't have to remember everything because the paper remembers it for me. But of course, once we cross it off because it's not important, if it turns out that it is important at some point in the near future, it will crop back up for us again. And of course, then we will address it because it turns out, oh, it was more important than I previously thought. So that's my tip for you guys here today. Of course, if you have any questions on this or you want me to dig into it deeper, or if you want access to the app that I use so that you can start tracking this stuff yourself digitally rather than on paper, hit me up in the DMs and I will get you all the details. And if not, people, I look forward to chatting with you all in my next video. Take it easy and I shall chat with you soon.
