Set up purchase orders before moving accounts payable to ServiceTitan. POs should list items and expected costs, drafted by your install coordinator or service manager. Match incoming vendor bills to PO details to keep AP running smoothly.
What are some like best practices, tips that you can think of for how to make a transition to having all of this AP in ServiceTitan easier, flow more smoothly?
So the first thing I do is make sure you have a really good purchasing process where when you're going to Johnstone and you're buying your stuff, You're writing a purchase order for the amount you actually expect to pay. Your install coordinator, your service manager, whoever's writing your POs is saying, I'm buying these 12 items. This is how much I expect that they cost. When you get a bill, it should look like this.
Okay.
When that process is set, then you can have your accounts payable clerk or whoever's job it is to take that vendor invoice and make sure it matches what you thought you were going to be paying, to look at the purchase order, say, yes, this is correct. And make the bill. Instead of having to enter it all again in QuickBooks because you're not using ServiceTitan, you hit create bill from that PO and it just creates the bill with all the items on it. I'm sorry, you hit that from the receipt. Well, even if you're not touching purchase orders, even if you're never writing a purchase order, if you turn on payables, you can create a bill when you receive that bill from the vendor. Link it to the job, and then the cost from that bill will go back to the job and you'll still have job costing even though you didn't write that PO in the first place.
