Practical Ways Contractors Can Use AI Like Chat GPT

Richard Kohberger shows contractors how to use ChatGPT and Numerous AI for real work: building price books, writing technician bios, creating training quizzes, writing job descriptions, and generating SEO blog content.
What's going on, everybody? It's Richard Kohberger here, the blue collar nerd. Hey, have you heard about this AI stuff? Of course you have. You're a person living in a place with Internet access. Now, AI is nothing new, but it has been advancing. And with the introduction of Chat GPT, some of those advancements have been pushed into the public eye in a way that they have never been before. And at this point I think that most everybody is at least aware of AI as a thing in the zeitgeist. Maybe you've played around with ChatGPT a little bit, but when you have this new thing that's so broad, kind of a Swiss army knife that can do this, it can do that, it can be really hard to actually get a concrete idea of. Okay, but how does this help me in my day to day? How does this help me operate a home services company? And so in this video we're going to be going over some practical examples of how you can do exactly that. Now this is by no means a comprehensive list, but I think it will at least give you some ideas to get you going. So idea number one. AI can help you build a price book. So this tool is something called Numerous AI and it can bring the power of AI into spreadsheets. Now for this demonstration, I'm going to be showing it off inside of Google Sheets, but you can also use it inside of Excel. So with this tool you can write spreadsheet formulas that incorporate AI. For example, here we have the write function, which can have ChatGPT write text inside of your spreadsheet. So here I have a price book exported as a spreadsheet. And let's say here's my list of item names and I need to write descriptions for those services. Well, I could come up with them and write them out one by one. Obviously that's going to be a tedious process. I could ask ChatGPT separately in a new window to write some descriptions for me. However, that's going to mean a lot of copying and pasting back and forth. And I find it hard to believe that we're really going to be saving a subscription substantial amount of time by doing that. So with this tool, I can do it all at once right here inside of the spreadsheet. So if I click on equals write over here in the Numerous AI flyout, it's going to give me a brief explanation of how to use it, including some examples down here of exactly how to format it. So here's what I have as my formula. It's equals write. Write a description of this part or service. E125, that's column E, line 125, which is the corresponding name of the part or service key. So write a description of that part of service as it pertains to H vac. Keep it under four sentences and explain it like you're talking to an eighth grader. So there we go. I've got my formula in. I'm going to hit enter. It's going to load for a second and then there we go. It's written a description for me. It says the filter dryer is a part in your air conditioning system that helps keep the air clean and your system running smoothly. It removes any dirt, debris or moisture that might harm your system. It needs to be replaced every so often to make sure it keeps working properly. Now, already on our first example, we're kind of running into some of the follies of AI. It mostly understands what a filter dryer is, but not quite so. If you're using this tool, it'll save you a bunch of time, but you do still have to know yourself what these things are and you have to be able and willing to go back in and make some edits. Because a filter dryer does not help keep the air clean, it helps keep the refrigerant running through the system clean and free of moisture. Which again, it seems to sort of understand where it says it removes dirt, debris and moisture that might harm the system. That's true, but it got a little mixed up there. But with all that said, now that we have that formula in one cell, we can just take this and drag it down, let go, it's going to load and then boom, it's written all of those descriptions out in bulk. So let's see what we got for a two pole contactor. Here. It says a two pole contactor is a part that works like a switch in H Vac systems. It controls the flow of electricity between the air conditioner or heater and the power source. If there's something wrong with the contactor, your H Vac system won't turn on or off properly. So so replacing it is important to keep your system working correctly. That's a perfectly good description. I would probably leave that one alone. Another really cool thing that you can do with numerous AI is have it help you write formulas. So if there's something in a spreadsheet that you need to do, and you know that it's probably possible with a formula, but you're just not that much of An Excel wizard. You can come over here and click Generate formula and then just describe in words what you want the formula to do and it will spit one out for you. Very handy. You can also go the other direction and have a formula explained to you. If maybe somebody sent you a spreadsheet and you don't understand what the word mills you're doing and you want to. Very cool. Now, worth noting, numerous AI is not completely free. You can use it up to a certain point for free. I haven't paid anything and I've generated some descriptions here, but I have a big long spreadsheet here and if I wanted to fill in all of these descriptions, I'm going to run out of tokens, which is kind of just this virtual currency that you use to get these tasks completed. So here is what their pricing model looks like. I think that the professional level here would probably get most people buying hey, it's me, AI Blue collar nerd. Just wanted to let you know that this video is sponsored by Page Prosper. They're a search engine optimization and web design company. More about them at the end of the video. Kay, bye. Okay, for the next examples, let's move on over into ChatGPT. So one thing ChatGPT is pretty good at is copywriting and helping you come up with ideas. So here's one example. Let's say that you're in a home services company and when you dispatch out a technician, you send a text to the customer that has a picture of the technician and a bio about that technician. That means somebody has to write that bio. And if you're onboarding a technician and you just say, hey, write me a bio, they're just going to look at you like uh, so then you might think, okay, it would be easier if I just gave them a list of questions if I just had like a bio template with some questions built in. So let me write that out for them. And then you sit down to write that and now you're like, Enter ChatGPT. So I came in and this is what I told ChatGPT. I work in a home service business and we send out technician bios to customers when a technician is dispatching to them. I need a biography template with questions that I can have technicians answer as part of their onboarding. Keep it under five sentences. And this is what ChatGPT gave me. Introducing Technician's Name, your skilled job title at company name. With X years of experience in the home services industry, Technician's Name is dedicated to providing top notch service and ensuring customer Satisfaction when not delivering expert solutions. They enjoy hobbies, interests, and are committed to upholding company names, values of professionalism and excellence. Feel at ease knowing that technician's name is ready to handle your home service needs with expertise and a friendly demeanor. And I mean, that's, that's pretty good. The one thing I probably would change about it is that, you know, this is a bio for my dispatch text. And nothing about this lets the customer know that a technician is actually on the way. So I would probably change the first sentence there to something like, hey, good news, technician's name. Your skilled job title at company name is on the way. And then from there on I would leave it alone. All right, next example. Let's say that I have technicians in training and I want to make some sort of quiz that gives me confidence that they are ready to not be in training anymore, not just be maintenance techs or not have to ride with somebody anymore and be full blown service techs. So I want some sort of written exam as part of that. That is definitely something that ChatGPT can help me with. So here's the prompt I gave it. I said, I need to make a quiz. The purpose of the quiz is to test an H vac technician in training to see if they are ready to take service calls. I need the quiz to test their diagnostic skills. Okay, so here's what I got. Question one, A customer reports that their air conditioning unit is blowing warm air. What could be the potential cause of the issue? Select all that apply. Question two, Customer's complaining of a strange smell coming from the furnace. What could be possible reasons? Question three, the outdoor unit of an air conditioning system is not running, but the indoor unit is operational. What could be the potential cause of the problem is, et cetera, et cetera. Gave me seven total questions. You get the idea. Now, if seven questions wasn't enough for me and I was looking for like a 25 question quiz, I would just send it another message and say, make it 25 questions long. Boom. I'd get a 25 question long quiz. But one thing it didn't give me was what it thought the answers were. So it didn't give me like an answer key. So I asked it, hey, can you give me an answer key to the quiz above? And it gave me one. And this is definitely an area where you want to spot check it and then make your own answer key. Like for question one here. Potential causes of an air conditioner unit blowing warm air. It's saying that dirty air filter is one of the Correct answers. And I'm not sure I agree with that. A dirty air filter is going to restrict airflow, so you're going to get less air and potentially no air. If the coil freezes up, you're not getting any air past there anymore. But it's saying that it's blowing warm air. I don't think a dirty air filter would cause that. Remember, nothing we get out of AI is something that we should just blindly take and run with. You should think of it more as an assistant. It can get you a really good starting place. It can get your brain going. It can help you generate some ideas. But you should always double check things. Okay, new example. Let's say that we want to write out some job descriptions for all of the roles inside of our company. Job descriptions are a really helpful thing to have. I highly recommend having written job descriptions because as an employee in a company, it's just really helpful to have a clear written understanding of what is expected of you. And as an owner or manager, it's helpful to have those things to help with accountability, because it's hard to hold somebody accountable for for something they didn't do if you never told them that they were expected to do that. So here we are in ChatGPT. Let's start with a really simple prompt. So I'm just saying I need a job description for a CSR and an H Vac and plumbing company. I'm not giving it a whole lot of details about what I want because I don't really know what I want yet. But we can kind of form this as we go. So let's start there and just see what we get. Wow. So it actually gave me a pretty darn thorough breakdown here. So we could kind of just take this and edit it to our liking. So let's see what it put here under key responsibilities. We've got customer interaction, of course. Interact with customers via phone, email, or in person to answer questions, provide information about our services, and address concerns or inquiries promptly and courteously. Sure. Service coordination. Maybe this would kind of be dependent on if we have a separate dispatcher role or not. Now, number three, it has troubleshooting. Listen to customer concerns and troubleshoot problems with H Vac and plumbing systems. Typically not. I understand why it thinks that should be there, because CSR Customer service representative. In most fields that involves troubleshooting, a CSR is tech support. But in the setting of a home services company, it's pretty rare for the CSR to also handle any sort of tech support. So we would Take that one out. Billing and invoicing. Assist customers with billing inquiries, invoice clarification and payment processing. Maybe. It kind of depends if we have a separate accounting sort of role that we would want to handle that sort of thing. Order management. Manage orders for parts, equipment and supplies. Again, I mean, you could. Some people have their csrs handle that sort of thing, but usually it's the department head, the service manager, the install manager, whatever. Complaint resolution? Yes. Follow up? Yes. Documentation, Collaborative support, knowledge development. Most of this looks good. It's also got some qualifications and requirements down here. So we could either copy and paste this out into somewhere else, a Google Doc or Word or whatever, and make our edits there. Or if there's a lot that needs to be changed, we kind of work with ChatGPT to curate this to be closer to what we need. So for example, I might say my csrs won't be handling any technical troubleshooting, order management, or handling, invoicing or accounting related tasks. Can you please edit? And that's important. Always say please so that you're on the list to be spared during the robot uprising. So let's send that in and see what we get. And there we go. It's made a revision for us. Now, this is dual purpose, right? Job descriptions like this are very helpful to have internally, but. But they're also very helpful for making a job listing. So you could use it for that as well. All right, let's do one more example. Let's say that we wanted to write out some sort of blog or maybe like a social post, some sort of customer facing piece of content that's gonna help us with SEO and customer trust and things like that. Now for this example, I'm gonna show you two different methods. One is pretty vanilla straightforward and the other one also works. And I think you should know about it, but I'm not recommending you do it. It kind of gets into the gray area of AI that people are sort of concerned about. So method, here's what I'm going to say. Please write a blog article on the importance of cleaning the condenser coil on an air conditioner. The main audience is homeowners and this is a piece of content for my H Vac business to use on the website. Make it four paragraphs long. Please. Always say please if you want to be spared. So let's send that in and see what we get. Okay, so there we go. It spit out a piece of content for us again. We shouldn't just copy and paste this. Put it on our website. We should proofread it, make sure we agree with everything it's saying, make some edits. But this sure gives us one heck of a starting point. Okay, so there's that method. Pretty straightforward. And now I'm going to get into the alternate method, the kind of more shady method, if you will. But before we get into that, let's get clear on why you might want to generate content like this in the first place. Well, one reason that you might want to put, like, a blog post like this on your website is that it's good for SEO because not only is it rich with keywords, but it's also a piece of content that is written to be helpful for a real person, a homeowner. And counterintuitively, that sort of content, content that is written for people first and not just for search engines, is actually very helpful for your rankings with search engines. At least that's my understanding of it. I am not an expert in SEO, but you know who is an expert in SEO? It's the sponsor of today's video, PageProsper. So page Prosper is a digital marketing company based in West Palm Beach, Florida. And their services include things like search engine optimization, optimization, content marketing, Google Ads, meta ads, and web design and development. So if you're having trouble getting the phone to ring, or if you're frustrated by the quality of the leads that are coming in and you're worried that you're wasting your money on bad marketing, give Page Prosper a try. They can help you really dominate your market. Now, I've got a link in the description box down below where you can schedule a consultation with PageProsper. That is an affiliate link, meaning that if you do sign up for a consultation through that link and then you end up using using some of Page Prosper's services, I will get a small kickback from Page Prosper for sending them the business, but it won't cost you anything extra. And thank you to Page Prosper for their support of this independent YouTube channel. All right, back to A.I. all right, let's jump back into it. It's time to get a little bit shady. So I'm trying to write out some blog articles here, and maybe I happen to know of a competitor that has some really good blog articles that are performing really well for them. Now, what you could do, and I'm not saying you should, but you can, but you probably shouldn't, you could just look at that article that you like a lot. You could copy it. You could take it into ChatGPT and you could say please, always say please reword the following article. And then I would just paste that article in and send that over. And now I've got a very similar article worded differently now. Is this plagiarism? Good question. This is part of what concerns people so much about these sorts of generative AI models. The lines get real blurry. Like you could say that this is plagiarism, but you could also say that anything ChatGPT ever spits out is plagiarism because it only knows anything based on what information it's gathered from the Internet. But then would you say that anything that humans create is plagiarism because they're gathering information from the world around them and then that is inspiring the things that they create. Real philosophical, real fast. And it's not what this video is about. But in all seriousness, I truly don't recommend doing what I just showed. And if you are going to use a pre existing piece of content as inspiration and feed it into ChatGPT, just make sure that whatever it is that you end up using as your output is actually transformative. Look at the piece of content that you have that you're considering using and say if I were the creator of the original piece of content, would I be upset about this? Would I even know that it was inspired by my content? Of course it should go without saying that's not legal advice and the legislature has really not caught up with the technology here. Anyways, there's a few examples of how you can practically use AI to help operate your business. Again, that's far from a fully extensive list. Just a few more ideas off the top of my head. You could use it to help you respond to reviews, you could use it to help you write scripts for csrs, or you could use it to help you build out compensation plans. The possibilities are near endless. If there's something that you use AI for in your company that I didn't talk about, please leave a comment in the section down below and let everybody know. Anyways, that's all I got for today. Be sure to hit like if you liked the video and found it valuable, be sure to subscribe to my YouTube channel. If you haven't done that already.
