What's going on everybody? It's Richard Kovrigger here, the Blue Collar Nerd, and in this video I'm going to be showing you a little Chrome extension I built called Report Buddy. So Report Buddy is free. First of all, let me lead with that, it's free. And once you install it in ServiceTitan on your reporting page, you're going to have this little Report Buddy button. We'll also see that button if we go into any particular report. So let's look into a technician performance board and we'll just go ahead and run one of those for the last 30 days. And then you'll notice we still have this little Report Buddy button. So if I click on that That will open up this little ReportBuddy sidebar, and ReportBuddy has two main functions. It can help you find reports and it can help you analyze reports. So I'm actually going to start with the second tab here, Analyze Reports, just because that's my personal favorite feature. Well, part of it is. So there's two features within this. There's the live report highlighting and there's the report analysis that you can do with an exported report. My favorite feature is the live report highlighting. So with that, let me collapse the side menu here. So I've got some more room. So with this, we can come into this settings area, uh, select our trade. Which is going to give us presets of thresholds for certain KPIs. And as you can see, what it's doing with those presets is highlighting our report live green or red according to whether or not they're hitting our threshold. So all of these trades here just set presets for your KPIs, but if you don't like the presets, that's fine, you can customize them. So right now, Converted Job Average is actually not in our report, so let me add it to the report and say Apply. We'll rerun the report. Okay, and my Converted Job Average Uh, thresholds are currently set to 500 being good, meaning it'll get highlighted in green, 350 being average, meaning anything below 350 it's going to get highlighted in red. And if it's between those two numbers, it's just not going to get highlighted at all. So like I said, you can adjust the presets for any of these KPIs that are already in here, but not all of the KPIs are in here, and maybe you want to add one that's not. For example, we have a column here, Completed Revenue with Adjustments. Well, I didn't put in a preset, you know, KPI threshold for that because it's kind of up to you. Like, that's company to company what you want your revenue goals to be. It depends on too many things to just like say, okay, here's a benchmark. But maybe you have one, so you can scroll down here and say Add Custom KPI. And then we need to type in the KPI header name exactly as it looks in ServiceTitan. So we need to say Completed Revenue with Adjustments as we see it here. So there we go, Completed Revenue with Adjustments typed exactly as I see it. Then we're gonna set the direction, so in this situation, higher is better. The format we could set to either number or currency, it doesn't really make a difference. And then we can say, okay, our good threshold is 10,000 and our average threshold is, I don't know, 6,500. Add KPI. All right, so that's in there now at the bottom under custom KPIs. We can see our save button is kind of flashing at us, so we need to hit that. And then there we go, now that column is being highlighted as well. The other cool thing you can do, let me stretch this out a little bit, is that if you're changing these numbers up, you can save your new numbers as a custom preset. So maybe you're changing up a lot of these defaults, or you have different settings that you want for different types of scenarios and different reports that you're pulling. Well, no problem, you can just change the numbers one time and then save that as a custom preset. So just to kind of show you how that works, let's change up some numbers here. So we'll change this to 600, uh, we'll change this Number to 400. Uh, we'll change this to 500. And you see that everything that we change stays highlighted in blue. Our Save button is kind of pulsing, so we could save it to make it live with the report that we're looking at right now. But we could also say Save First and then Save as Preset. And maybe this is our HVAC Service Preset, and we'll say Save. Okay, so now we have that saved under the main HVAC Residential umbrella. Okay, so if I click into a different, like, bucket here, a different main preset, it will disappear, but it comes back if I click into the HVAC residential preset area. And then let's click this reset button to put everything back to the defaults and say save. Okay, well now that's back to the defaults. I can click on my custom preset right here and it brings my custom numbers right back. Color coding is just something I've always wanted out of ServiceTitan reports. I think it really helps to just do a quick analysis of like, okay, what's looking good, what needs some work, and what's just okay. This is a sample account, so there's really not much data here, but with a big report with a lot of data, this can be really helpful to just reduce the cognitive load of analyzing the information on that report. And speaking of analyzing, we can also export certain reports and then upload it right here to get a full analysis of that report. So we can see here in the dropdown that there are currently 5 supported reports. So I just so happen to have an exported Opportunity and Estimate Follow-up report. Right off screen here. So I'm going to drag that in, and then instantly it's going to give me an analysis here. So in this situation, 200 out of 207 scored KPIs are below the benchmark, so not great. The dollar value of our estimates older than 30 days with fewer than 3 follow-ups is over $1 million with 103 total estimates. Then we've got some further insights down here. Now if we wanted to, we could download a PDF version, which I think looks a little bit cleaner. So let's just save that and see what that looks like. Okay, so here's the PDF version. We've got our overall health up here, some quick stats, and our key insights, and it gives some action items down here. And then if we keep scrolling down, we will see a color-coded version of that report that we uploaded. Now I am redacting some information here, so that's what these black boxes are. Yours won't look like that. All right, so that's pretty cool as well. Now the other function of ReportBuddy is over here under Find Reports. So first of all, on this tab, it's always going to randomly pull up a helpful tip based on frequently asked questions about reporting. So right now we're getting one that tells us that close rates are calculated based on the estimate sold date, not the job completion date. Only the technicians listed as sold by on the estimate receives close rate credit. The opportunity conversion rate is recommended over total conversion rate for industry best practices. So it's just helpful information there. I tried to make it like actually helpful based on real questions that people ask and not just like super generic stuff that's obvious. And we can hit the shuffle button here to kind of go through them, or if you click learn more, it'll take you to a page where it just lists all of them. We've also got a list of popular reports. So if you're just getting started with reporting and you're just kind of overwhelmed and you don't know where to start, these are some popular ones. Things like Master Pay File, things like Job Costing Summary, things like Technician Performance and Emergency Outage Report. And then we've also got popular report combinations. So somewhat recently, ServiceTitan has added the ability to combine reporting templates. It's a more advanced feature and a lot of people just don't know where to get started with that. So these are some use case examples of report templates you can combine. And why you might want to do that. So for example, Technician Metrics versus Business Unit Goals. So combining these lets managers see how each technician is individually contributing to the business unit's overall numbers. Okay, and we can also use our search bar here to find a particular report that we're looking for. So I can just say, I'm looking for a report that's going to show me technician lead flips. All right, I'll say Find Report, and it's gonna tell me that I can use the Technician Performance template And the lead set column shows how many leads each technician is generating. It gives me some key columns that are relevant to what I asked for, and it shows me a list of prebuilt ServiceTitan reports that use the template that has the KPIs that I need. Certain queries might also surface a relevant tip like this one is. Not all of them will do that though. All right, let's try a different query. Let's say I'm looking for a report that will show me call volume by time of day. All right, we'll say Find Report. And in this case, it's actually recommending a legacy report, which is the correct thing to recommend in this particular situation. Typically, I wouldn't recommend a legacy report, but for what I asked for this time, the legacy report is the only one that really does it the way I asked. So the Call Volume Legacy Report shows calls broken down by day of week and hour of day, which is exactly what you need. True. This one is also surfacing a tip. So it says the Call Volume Legacy Report is the best option for time of day analysis. The calls template has individual call records with timestamps that you could export and analyze externally. Now you might notice we've also got this button that says, ask AI for a second opinion. So the way this works is when you ask a question, it's running through an engine that is looking for keywords to see if it can figure out without using AI the answer to your question. And if it has low confidence, it's automatically going to route your question to AI. But if it doesn't do that and you get an answer and you're like, ah, I'm not so sure about that. Like I looked into it and it doesn't seem like it's correct. Well, then you could click this button. AI will analyze your request and you'll get a second opinion that's hopefully a little bit smarter. In this case, we got the right answer the first time, so our answer didn't really change. All right, let's try a bit of a harder one. So I want a report that's going to show me invoice totals and balances alongside individual payments for those invoices. All right, let's try that. Find report. All right, and in this situation, ReportBuddy is telling me that I can get what I need by combining two report templates. So to get this, I would combine the Invoices template with the Applied Payments template. It gives me some details here, and then if I keep scrolling down, it even gives me step-by-step instructions on how to build this. Under that, I can even expand this to see how filters are going to work in this report. So when we're combining templates like this, there's common shared filters as well as independent filters, and this explains how all of that works. All right, and finally, of course, ReportBuddy does have a dark mode to match your ServiceTitan dark mode. The ServiceTitan Dark Mode is another Chrome extension that I made. If you don't have it, I highly recommend it. I think it's pretty great. It does exactly what you're seeing here. When you want to toggle into dark mode, you just click that button and it's a little bit easier on the eyes sometimes. So anyways, that is ReportBuddy. Again, it is completely free. The reason it's completely free is this right here. I've got a little baked-in ad for Blue Collar Nerd's Ultimate ServiceTitan Guide. That is a not-free product that I offer. It's a video library where I personally walk you through basically all of ServiceTitan. All of the videos are transcribed and searchable, so you can use it as a guide, as the name implies, to just look things things up when you need them. Lots of good practical stuff in there that you're just not going to find anywhere else. If you like my videos that I put out for free on YouTube, and if you like what I just showed you with ReportBuddy, you're probably really going to like the Ultimate Service Titan Guide. But if it's not for you, that's cool too. You can still use ReportBuddy completely free and just ignore this. I'll put a link where you can download ReportBuddy and the Service Titan Dark Mode in the description box down below. Remember, these are Chrome extensions, so you have to be using Google Chrome in order to utilize them. Appreciate it. Peace!
