Okay, so it is absolutely no secret that I have been geeking out hard on AI for the last few years. Anyone who's been around here for more than about a day knows this. I'm almost as obsessed with AI as I am with funnels. And there are days, if I'm being real with you, where I think it might have edged ahead just by a hair. And that actually makes complete sense to me because my superpower in every single business I've ever had has always been the same thing when you boil it down. Using technology to automate the most crucial parts of the business so the business doesn't need me standing in the middle of it making every little thing happen. That's it. That's been the whole trick every time. AI is just the best and shiniest tool I've ever been handed for doing exactly that. But here's the conversation I keep having over and over, and I put my money on you having been in the middle of it yourself. Somebody says to me, I know AI matters. I know my business could be doing way more with it. I've used it a bit, mostly for content, but I know I'm barely scratching the surface. And then comes the second half, which is the bit that actually matters. But I do not have the time to disappear down that very shiny rabbit hole and figure it all out myself. So today I'm going to show you what AI is actually doing in my business right now, like this week. Not the theory, not the distractions, the real practical, time-saving stuff. In particular, the 3 places it's earning its keep, what each one has taken off my plate, and the one thing I'll tell you to set up for yourself this week, which by the way is completely free.
Build it, automate it, scale it. This almost feels too easy. Time to build a grown-ass business. The Doing It Online Podcast. Here's your host, Kate McKibbin.
Hey, hey there. I'm Kate McKibbin from hellofunnels.co and welcome to a very special pop-up miniseries of the Doing It Online podcast. This is Scale Like a Girl. We are 7 episodes in with 1 to go, and if you are new here, go back to episode 1 because this whole series builds from the start. Everybody else, let's talk about playing with robots. Okay, so let me put my actual position on the record first. Because it's a little more nuanced than AI is amazing, go and use it. I personally believe having AI properly in your business is essential now. It's no longer a nice to have, not a something to do someday. It's absolutely essential. But I believe just as strongly that how you go about it matters enormously because AI, as I've already said, is the biggest, shiniest, most fun and distracting rabbit hole we've ever been given. And I say that we love, As someone who is living very happily at the bottom of that hole, because everything is possible now. And that is precisely the problem. You can build almost anything, but let's be real, not every business needs to be out there vibe coding itself a custom CRM on a Tuesday. Is it fun? Definitely. But you know deep down that those 12 hours probably had a better use, you know, one that actually makes you some money. So the question is never what can AI do? Because the answer to that is everything, and that is a trap. The question really is, What would be the most impactful for AI to do in your business next? And that little reframe is the entire difference between AI being a genuine lever in your business and AI being a very sophisticated way to avoid doing your real work. And I'm walking that line myself every week, but I built a system for walking it, which I'm gonna give you right now because it's the free thing I promised you and there's no reason to make you wait for it. So what's the system? It's called AI Fridays and is exactly as complicated as it sounds. Basically, Friday mornings I do my admin and then Friday afternoons are my AI time. That's when I build, when I play, when I update. One afternoon every week dedicated to upgrading the AI in my business. And there are 2 rules that make this work. The first is that it's contained. AI does not get to eat my Monday, my Wednesday, or my actual marketing work. It gets Friday afternoon, which let's be honest, is usually a bit of a wash anyway. Now, this might sound like a limitation, but it's actually the thing that makes it very sustainable because one focused afternoon every single week compounds into something enormous over a few months. The second rule is that I don't sit down on that Friday and go, ooh, what looks like fun to play with today? Instead, I have a roadmap, a real one, a list of the things that would be the most impactful for my business in order, and on Friday afternoon, I start at the top, not the shiniest. That's it. That's the whole system. One protected afternoon plus a list sorted by impact instead of just by fun. And every single thing I build in those afternoons gets pressure tested in my own business first. This is a business doing 7 figures, so it gets a proper workout, and then the ones that earn their place get handed to my clients. Which brings me to what's actually on that roadmap, because there are 3 areas where AI is doing real needle-moving work in my business right now. And I wanna walk you through all 3, including what each of them has taken off my plate. All right, the first one is content, and I'm not gonna spend long here because you've listened to this series, you've listened to my other episodes, you already know this, right? This is essentially my cash money content system, the whole planning and creation engine behind everything I put out. And I've talked about this so many times and exactly how the AI runs it. What it really took off my plate though was that feeling of the blank page. That what am I even posting this week, right? The hours of production that used to sit between having a good idea and having a finished piece of content created and scheduled. Not the thinking, not the stories, not the opinions, not the expertise. Those are mine and yours have to be yours. This is just the machinery around it that makes it as easy and quick as possible. Now, content is where almost everybody starts with AI, and I think that is the correct decision. It's the most obvious one, but it's also where a lot of people stop. And the 2 areas after this one are where I think it gets really interesting. And I'd argue where the actual money is. And one thing I'll mention, because I'm excited about it, I'm right now in the middle of upgrading my whole content system right now. And that new version is one of the things that's being handed over to everyone inside Scale very soon. Okay. Area 2 is your admin. This is your behind the scenes, the backstage of your business. And this is the one I want you to lean in for because nobody's really making, you know, the beautiful aesthetic Instagram content about it, but it might actually be my favorite. Now, I've always loved a spreadsheet, genuinely loved them. I have a badge that says spreadsheets are my love language, but I've accepted something over the years. Not everyone speaks Excel. So here's what we've been building instead and what I mean when I say the word dashboards. So now we have AI set up to still fill out the spreadsheets for you. Capturing that data, having it in a central place is still really important, but now the humans don't need to do it. And all that background data that is now nicely in one place then gets turned into a dashboard that a human being can actually read. It's got clear KPIs designed specifically for coaching and course businesses. For example, your churn, is it going up or is it going down? Your average order value, your lifetime client value, how the funnel's converting, how that launch actually performed compared to previous launches. If you run a membership or an MRR program, the numbers that tell you whether it's healthy at a glance without having to open 6 different tabs or apps. This is a command center for your business, basically. What it took off my plate and my team's plate, the reporting itself, obviously, Hours of it. I used to track absolutely everything. Well, we still do, but now the AI helps. But the real thing it replaced is bigger than that. It replaced guessing. Because think back 2 episodes to the 9 secret sales strategies. The whole art of growing that way is knowing which lever to pull next, and you cannot know which lever to pull if you can't see the actual numbers. So most people pull the one someone on Instagram was yelling about that week, or the one that coincides with the small dip in sales they had last week. But without actually taking the time to look at the bigger picture. When you can look at one screen and see exactly what's working and what's drifting and what the cause of those things could be, that what should I do next question mostly answers itself. That is not admin, that is steering. Okay, quick one before area 3, because it is relevant. Everything I'm describing today, the dashboards, the content system, all of it is part of the AI upgrade inside Scale. My brand new high-touch program built for coaching and course businesses, pressure tested in mine and all handed to you. There are 20 spots in the pilot round. The waitlist is filling up fast and doors are opening in just 2 days. If you wanna see all the details, links below, jump on the waitlist now. Right, onto area 3. The third area is the one I think matters most for every business in our space going forward. Delivery. Using AI inside your actual programs and offers to give your clients a better experience and better results. Now, before you panic, I do not mean building an AI replica of yourself. That's not off the table, but that's not always the best option either. What this looks like is actually different for every business depending on what you help people with, but the thread is the same. Your clients getting support at the moment they need it, getting to results faster, and having those little moments of, wow, I wasn't expecting that inside your program. And here's the thing about timing and why I keep banging on about this one to anyone who'll listen right now, because right now this stuff makes people's jaws drop. We are still at the point where good AI delivery sprinkled in genuinely surprises and delights people. It makes your program feel special, different, premium. It makes your clients feel excited and supported, and it makes you look like, well, you're kind of from the future. Give it another 6 to 12 months, it's just going to be expected. Table stakes. The wow window is closing, which means the people who build this into their offers now get a real visible edge, and everyone who waits gets to play catch up to a standard that someone else set. I know which side I want my clients on. And speaking of that, I'm going to give you a peek at what that looks like in practice because I'm deep in this exact area myself right now. I'm currently building an actual app. Just for my clients, not a course portal, an app. Scale members get it first. Inside the program, it means things like progress dashboards. You can see exactly where you're up to, what's next, how far you've come. So that's faster implementation, better clarity, and honestly, just a nicer experience of being a client. But here's the bit I love most about it, and it's the reason I'm telling you rather than shipping it. The women inside Scale don't just get to use all this as a client, they get to see how it's built. Learn from every lesson we've already paid for and then install the same kind of experience or even better for their own clients without the 6 months of trial and error we've already done on their behalf. You experience from the inside and then you build it for your people. That is a real 2-for-1. This brings me to the belief I actually want to shift with this episode. I keep meeting women who think they're facing 2 separate projects. Project 1, grow the business. Project 2, catch up on AI. And they're bracing to find 2 separate programs or 2 separate coaches or 2 separate strategies to get this done. No. Inside Scale, the AI upgrade isn't a module you get to in month 9. It sits alongside every other upgrade in the program. Upgrade your offer suite. There's an AI piece that supports it. Upgrade your content. There's an AI piece there. Your buyer journey, your delivery, same. So you build the AI infrastructure of your business while you build the sales and marketing side of it. One program, one roadmap, doing both jobs. And can I tell you the part I'm most looking forward to? The room itself. Because some of the women in our world are already doing seriously clever things with AI and having a space where everyone's sharing what's working in their business and how they're implementing it. That's the kind of room where everybody gets smarter faster than any of us would alone. Okay, your homework properly spelled out because I promised. This week I want you to put one afternoon in your calendar. Call it AI Friday, call it AI Tuesday. I support both approaches. That's your contained recurring AI time. It starts this week and it repeats forever. And before you build a single thing in it, make the list. The 3 areas: content, backstage, delivery. Which one is costing you the most, or do you need the most clarity on right now? That goes to the top. Start there, not at the shiniest thing on your feed. That one habit costs you nothing, and it's the difference between AI compounding in your business and AI being a very distracting hobby. So here's a shift from today. AI is not another project sitting on top of your business waiting for a free month that's never coming. It is one protected afternoon a week pointed at the right list. And if you wanna skip figuring out entirely, that's literally what I spent this year doing for you. Which brings me back to Scale one last time before the doors open. Scale is our brand new high-touch program for ambitious 6-figure women ready to upgrade their business to wildly profitable, mostly automated, and actually enjoyable 6-figure months and beyond. And the AI upgrade, everything from today, the dashboards, the content systems, the delivery pieces, the apps, the reports, so much more. They all come with it. This first round is a pilot. There are just 20 spots. That's it. And everyone in that room locks in the best price this program will ever have for as long as they stay. Doors open at 7:00 AM this Wednesday, the 26th of August. That's Australian Eastern Standard Time, which means it's actually Tuesday the 25th most other people. The waitlist is filling up fast and being on it is the only way to get your link so that the moment the doors open, you can jump in and join. So go pause this now, click below, get your name on that list if you haven't already, and I will see you on Wednesday. Can't wait.
That's it for this episode. Now go build it, automate it, and scale it. I love the show, guys. You're awesome. For more strategies and resources, visit hellofunnels.co.
