It's TOO Easy! How to Create a Custom CRM with AI | Mocha AI Tutorial for Small Business Owners

Robyn Anderson shows how to build a custom CRM in Mocha AI without coding. She walks through writing a detailed prompt with brand colors and design specs, then cloning templates and toggling the app between private and public. Skip the monthly SaaS fees for tracking contractors, sales, and marketing spend.

When you start your own business, nobody ever tells you how much you're going to be spending per month on all of those internal apps and tools that you need to actually run the business. Things like financial tools, marketing, content creation, all of these different things that you need to stay organized from all different aspects of your business. One of the cool things about AI is that there are apps like Mocha AI that will help you actually build these internal tools with AI so you don't have to pay for all these subscriptions, but also you can really heavily customize them for what you need specifically. For instance, in my business, I'm pretty much a solopreneur and I use contractors, so I have to track what I hired these contractors to do, and I like them to track their activity as well. When I looked at some of these other CRMs, they didn't necessarily give me the exact functionality that I need. For instance, I have one contractor that is in charge of doing sales for me in a way where she's just selling speaking and teams accounts. So those are their own products. It's kind of separate from my main thing that I'm doing. So I needed that. I have another contractor that we have a rev share on a product like building a custom CRM for these two things seemed kind of complicated, but it's actually not. I'm going to take you with me while we build my custom CRM in Mocha AI. So let me share my screen and we'll get to work. All right, so if you haven't seen Mocha AI yet, so Mocha AI is a really great vibe coding platform. And it's a little bit different in how they're representing themselves than the bigger tools like Replit and Lovable. Mocha AI is representing their platform as a tool, tool and platform for small business owners. And so they're trying their best to create templates and tools that'll help us create really easy to replicate tools. Let me show you one example. So one cool thing that Mocha does that other tools don't is it allows you to clone. So I made this for my Club Jam members. So basically it's like this content creation tool where they can add one single blog or article and it'll create 15 different pieces of content. But the cool part is that once you hit clone and it makes a copy of this entire app in your Mocha AI account, you can then.
So I'll say it again, the cool part about this is customization. So I went into ChatGPT and I said, my custom CRM needs to track these two contractors and I talked about what each contractor does and what I want to track. I also decided I am now spending a little bit on marketing. Just random stuff like TikTok promotions and meta ads and things like that. So I want to track that in my custom CRM as well. So here we go. This gave me a pretty long prompt, so I'm going to copy it and then I'm going to throw it over into AI.
So we'll go back to mocha and when you hit paste, it just kind of pastes like an MD file, which is great. And then I like to give it overall instruction and say build my custom.
Oh wait, I don't type anymore.
Build my custom CRM according to the instructions below.
And then I like to give it.
Some sort of design idea. So I'll say design it in this style of Apple products and use orange tones and poppins for the font. So that's my brand color obviously. And then that's the font that I use throughout my brand. It's done.
Spelled it wrong.
Just gonna fix that.
Okay.
And then all you do is hit send. I have it listed as private while I build.
And then if I really like it.
I can make it public. And then I could also make it a template so that people like you who are watching could find it and hit clone. And instead of starting from scratch, you'd be starting with the custom CRM that I've built. So we're gonna let this bake. It does kind of tell you what.
It'S doing over here on the left.
As it goes through through and I'm.
Going to let it go.
And then if it gets to a point where we have an issue or.
It'S done, I'll show you.
I'm not going to gatekeep or skip through how this works.
Okay, so it's been about five minutes. Hope you had a good rest. And I'm back in here. This is phase one of the build out. So it told me exactly what it did and also what's still needed. So over here, this is kind of what we call the sandbox. So you can see what it's built, but you can also continue building and you could just kind of play with it and click around. As far as the design, I think it completely nailed it. I asked for like an Apple esque design and it's using orange tones, super clean. I really like the way it looks. You can see on my dashboard it's going to show me sales this month based on my contractors My marketing spend, deals won. And it even added in active subscriptions, which I didn't even ask it to do, but I really like that idea. And then as far as, like, deals, and you can go in and add a deal. Contacts, we can add contacts. We'll have different accounts. And then the products for my other contractor, and then it said it still needs to work on a couple things. So the backend API routes for worker endpoints, contractor payouts page, which I'm super excited about, because for me, that's been a messy process. Few different payment processors and different platforms, and having it in one place will save me a bunch of time. So we're going to create that and then reports page, settings page. So it's working on that now. It was nice because it said, do you want me to continue working? And then I just said, show me, because I couldn't see it. And then this popped up. So it has these core pages. It told me the database schema that it already created. And then it said, do you want me to build this out? And I said yes. So it's continuing to build out. I'm going to wait here because I know it's about to ask me for some API keys. I'm not going to share those, but if you don't know what API keys are, it's super, super easy to understand it as basically like extension cords to connect one app to the other. And usually they're pretty private apps. So Stripe, for instance, is one of my payment processors. And I can create a custom private API key. And I know it's safe to put that into Mocha. I wouldn't just go post that key or show it on YouTube. So it's one of those things you want to keep private. Okay, it just made another update. So let's see here. The API layer is fully built for all the features. We'll just need the two remaining UI pages when you're ready to continue. So let's see here. We have transactions, contractor payouts, marketing spend settings page coming soon. So I'm just going to say continue on and I will be back once it's complete. And I'm going to fill out some of this information that's a little bit private, and then I'll show you what it looks like when we're done. All right, so I'm working away in Mocha, and I just want to be super transparent because things are not always perfect. And I want to show you how you work with Vibe coding tools. So right now I'm trying to add A deal that was actually created and I hit add deal and it's not doing anything. So in that case, I'm just coming over here and I'm just reporting that bug. So when I add the deal, nothing happens. It doesn't save. So I'm really treating these Vibe cool, these Vibe coding tools, as if I'm speaking with a developer. Now, for me, that's really easy because I've been working Inside agencies for 15 years and I've worked with a lot of different developers. So I do know how to identify what the issues are and then report those. But really, it's not that hard. You just have to say what's happening, be really clear. And unlike talking to developers, talk to these platforms as if they're kind of idiots, like really spell it out. You can also take screenshots if things aren't working and upload the screenshot and then say, this is what's happening, please fix it. You can see here, I put in that prompt, it said, let me investigate. And then it literally just fixed it. It was super easy. Now the deal is saved and when I go to add deals and hit add, it works. So all is good. Well, I'm not going to fill this all out because it's pretty private information, but I want to show you how this works. So I could hit publish and then because it's an internal app, I don't really care what the URL is. So I would just go ahead and hit publish and I'm going to make it publishing. I'm going to keep the visibility private because again, this is an internal tool and so this will just publish. And then, then I would save this URL somewhere, like a dashboard or something that I check every day. I like to build what I call an AI repository for myself and I teach this to everybody in Club Jam, where it's something that you would want to. It's a repository of all of your AI tools and systems that you use throughout the day. Look, it failed again. You just. There's a bunch of AI tools to help fix the failures inside of these Vibe coding tools. So make sure you're not Vibe coding when you're in a huge rush. It's something that you should do when you have time because it does take time to work through some of the issues that still exist in all of these platforms. It happens in all of them. Lovable, Replit, Mocha. They're all just trying to learn the best that they can, be nice and work through it. Well, I hope you enjoyed this overview of Mocha AI and building your own custom CRM. While I was building it, I was getting so many other ideas of other apps that I want to build, so I'm going to get into those and share them with you.
