DataSelf Tips & Tricks #1: Sales pipeline analysis for account managers

A spoken walkthrough of interactive sales-pipeline dashboards focused on account managers. The speaker demonstrates a per-account-manager bar visualization and a broader sales pipeline dashboard with filters (status, stage, probability, territory, product area), showing how to isolate an individual manager (e.g., Lee) and drill down to open opportunities and specific probability/stage buckets to obtain detail rows for action.

This one here is a simple one that has at the very top the pipeline by account manager. So for every account manager, it has its own bar. The size of the bar relates to how much open. You know how much opportunities are for this account manager. There's the amount in the box as well and the kind of all atom. If you add them all together, you get the total, which is in this case is almost $70 million. And this is based on filters. So with my sample database is all opportunities in those two years, all months, showing all opportunity by status, all stages. At the bottom we have details about all opportunities for all account managers. Now this whole dashboard is dynamic. Let's say if I only want to see open opportunities, I can remove the lost and won. And now we show that I have $43 million in open opportunities and how much is spread out by each individual salesperson. If I want to see let's say only opportunities in the demo area, I can just check demo here and it shows for each account managers we have opportunities that are open in the demo and they are listed right here with the total which is matched with this. So this is a very simple way of looking at the pipeline back on manager and you can look back on manager by account, by territory, by so many different possibilities. Now let me show you another dashboard that has a broader view of the pipeline. In this case is this sales pipeline dashboard. At first it may be a little bit too crowded and some people find it too crowded, some people actually like to add more things to it, but it's not too hard to read. So the same filters are on the right side as I showed before. The account manager section here is the same as the other ones. For every account manager, you have how much they have in opportunities added to the total. But then we also have one segment showing how opportunities are split by open, won and lost, how opportunities are split in different buckets by the opportunity stage, prospect, qualification and so forth, and also by the close probability. So all of this dashboard has more information. At the bottom I also have the opportunity details like I showed before. Now with a dashboard like this, the dynamic of it, how you use it, can become even more helpful for management to decide where to put efforts. Let's say if I want to see, well, let me see what's going on with Lee and just focus on lease opportunities. So I click on this box for Lee and when I do that automatically, now I'm only looking at this $17.7 million of. So right now, opportunity startups for Lee only these are open Opportunities one and closed, and then how the opportunities are split by the stage and how the opportunities are split by the probability at the bottom. I only have Lee with all the opportunities in detail listed here. Now, what if I only want to see Lee's opportunities that are open because I want to help him close more of them? Well, now I click on open here, and then now it's only showing lease opportunities that are open, which is $10.5 million, and now it shows how they're split out by stage and the percentage probability. If I go to the bottom, these are only open opportunities for lease. And then what if you want to see only the opportunities that are in the 10% or maybe in the qualification or demo or whatnot, you just pick and choose and now you're narrowing down the analysis even further. Only for lean, only for open, only for 10%. Then you go to the bottom. You get all the details of those opportunities. So this kind of interactivity is part of the whole framework. And this is one example in spinning a dashboard like this in a different way is something that you'll be trained on how to customize. Maybe to have more views or less views, more crowded or less crowded would be like a personal preference of your team, and you'll be empowered in changing those things by yourself.
