Ep66: How to Use AI & Bots To Turn Leads Into Clients

A walkthrough of automating lead capture and qualification using Meta ads, DM bots, and conversational AI. Run ads with a lead magnet, trigger instant DM sequences with timed waits, then hand off to a bot that pre-qualifies prospects and books 15-minute calls automatically. Parallel nurture flows keep leads warm across email, social, and a private Facebook group.

What's going on? Team Matt here for another epic episode. PT Profit Leverage and lifestyle show. Hope you're having an amazing day so far but I'm super pumped. I literally just came off a zoom call setting the stuff up today. So we're going to talk about AI automations and bots now. This is a friggin juicy, juicy topic today. I'm going to literally show you or kind of walk you through what I'm doing right now. I, I don't have much data right now in terms of what it's like. I only just set it up today. I'm just going to kind of walk you through. You know what I'm kind of testing right now in my business before I obviously teach it to all my clients but I just thought it's like a lot of people tell me about the podcast, they're super curious about what I'm doing but obviously I know I do a lot of training and stuff on here but it's also good to kind of see what's happening like right now. And right now obviously AI is still you know, going bonkers. So I wanted to give you guys some fresh hot off the press literally happened a couple hours ago about what I'm doing right now. So this is obviously a bit more advanced to what usual pts would do. If you're more into the online space or have an intention going into the online space with paid ads and stuff, this is going to be right up your alley. You're a face to face trainer. You probably don't even need Facebook ads right now to be honest. Usually especially our marketing strategy that we do organically you don't necessarily need to have paid ads but it's obviously always good helps with the brand exposure and stuff as well. So let's get into, let's get into the, the juicy stuff of this conversation. So I'll go through the automation side of things first and then we'll go into the, the bots. So I'm not gonna, I'll watch it a little bit but I'm basically just going to walk you through what it's like and I might share my screen for the automations dogs coming in. If you're watching the video you should be able to see my dog right now. Yeah, I'm going to walk you through the automations in terms of how to actually set it up. But the bot, I actually got one of my, my friends to set it up. So we, we have a partnership with a CRM company and yeah, he's really good at setting this stuff up for me. So if you have any questions, I'll probably direct him to him. He's actually done a podcast on the show Jackson Jackson Chen about automation and AI and that type of jazz, so which I might even get him on the podcast again to talk about bots and that type of stuff because he's playing around with that type of jazz. So let's, let's jump into it, shall we? I'm going to share my screen, I'm going to show you the automations and then I'll give you a bit of context on the bot and then I can even show you a little bit about the ad campaign I'm running right now. Now let's go into. So I'm in the CRM right now. So we're in partnership with acr, which is awesome. So if you want like a cheap price, just let us know. I'm gonna go into. So I'm, I'm running an ad campaign right now on my marketing blueprint, which is basically our five pillars for marketing to generate at least 40 to 60 leads per month consistently for our clients. Now I'm going to go into the Instagram one. You need a separate one for Instagram versus Facebook. And funny enough, when we actually did this today, Facebook actually has different rules compared to Instagram, which is super ironic because it's obviously owned by Meta, which is the same company. So super interesting. So essentially what I've got set up right now is basically I've got a lead magnet, which is something that people can download in exchange for their contact details. Okay. So that's as basic as it gets. You'll see an ad. So cool. Here's the ad. This is what it does. Download it. If you want to download it, you need to put in your name, email, phone number as an example, then they'll get the download. What will happen is, once they've actually submitted their details, I've got some automations that will happen through Instagram dm. So basically this will automatically happen as soon as they it out, they'll get a message on Instagram from me. It'll be first name. Thanks for requesting the marketing blueprint. I think you'll get a lot out of it. I've attached it here as a PDF. Boom. Let me know what you think, then wait 10 seconds. You literally wait 10 seconds and then boom, another message. By the way, there's a downloadable live training we did explaining how to implement the marketing blueprint in your business. I put it in the file section of the PT Growth, Leverage and Lifestyle Facebook Group, which is our free Facebook group for trainers who want to grow and scale their business. And by the way, if you're not in the group, make sure you're in the group. And then it says, would you like me to take you there now so you can watch and download it? Wait 30 seconds. Now if they don't respond, it's just going to wait a little bit longer and then go on to the next step. But if they do respond, it'll actually have, it says, would you like to take me there? It has a button that says yes. Once they click on that button, it'll automatically take them to the Facebook group for them to join. Then I can improve them. And then there's another way that I can nurture them. So that makes the explain, Let me just explain the reason why I'm doing it this way. So these days, yeah, 10, 10 years ago, before I was even probably doing this, you could just put up an ad. People just buy. These days it doesn't happen. This is so much information out there. Everyone's on social media, everyone's doing ads, they're just going to buy stuff straight away. So you need to nurture them. So we use, we use three different ways that we nurture people. We actually use about four or five. But commonly people use social media, emails and a Facebook group. So basically I'm gonna, I've already got them on social media, obviously having a conversation with them. I've got their email because they submitted their email to get the download and now I'm gonna put them into my Facebook group. Now I've also got my podcast and stuff as well. But I'm trying to get like a trifecta of a way to nurture these people. So I'm nurturing them to make a purchasing decision with me. Especially if you're an online trainer that doesn't have the advantage of face to face trainers in a rental based facility. This is super, super important. You need to be able to nurture people. And in fact, I'm actually doing a training next week about how to actually nurture people. And this is one of the things I'll talk about. So anyway, so, so they click yes and take them to my Facebook group. If they don't do anything, it'll still continue the conversation, but it's just going to, it's just going to wait one hour before it continues it. Okay, so after they've gone to the Facebook group, an hour later, it's going to send another DM which is going to say first name, wait five seconds, then it's going to say it's Matt smiley face, wait another five seconds, then it's going to say hope you're enjoying this, the training so far. Then it's going to wait three seconds and then my bot is going to come in and start an actual conversation. Now I'm not going to go through how to set that up right now mainly because it's still, it's still a bit confusing for me to be honest. I actually got someone else to do it for me but I'm quite good at setting up these automation side of things. So I'm going to stop sharing my screen and explain the next part for you. So basically that's just basically the ads running. Then you got the lead form. So they put in their details and they get the lead magnet, which is in my case right now is a marketing blueprint view, might be an ebook, it might be a recipe guide, might be shopping list, whatever it is in exchange for contact details. So you can actually start conversations now if you have a CRM, if you have a good CRM directly after they've filled in the lead form. Okay, so the lead form filled in, then they get a DM shadow. I say thanks for requesting it, here it is again. Now I've also got automations that have sent it to their email as well. Now they're in an email campaign. So this is what I mean by nurturing. They're getting consistent flow of communication from me on social media, on email, on my Facebook group, providing they're in there. So who do you think they're going to go to if and when they need help with XYZ problems? They're going to go to you or they're going to go to me in this case. But if you don't have the stuff set up in your business, they're just going to go shopping around, they'll find someone else. Whereas you need to be top of mind which is why people have the emails, they have the social media, they have, you know, whatever podcast to keep, keep people top of mind. Okay, so now the bot, so they've gone through the automations in the DM and, and by the way, anytime you manually take over from this, it's going to stop the automation or the bot. So stop the bot. As soon as they're like a manual message that's gone through it's going to stop the automation. So whenever you want to take over you can absolutely take over. But now the bot's going to come in now it's going to start the conversation to pre qualify to then eventually want to book a call. Okay. So it's gonna, for me personally, it's gonna ask questions like do you coach face to face or online? And how long you been doing that for? Cool. You know, how many clients do you have right now? Awesome. Sweet. So what's the goal this year? Blah, blah, blah. Now I don't have any live examples for you right now, but this is the type of stuff that it's going to do for me. So what we've actually done in the background is we've given it context into what most people are going to ask that like frequently asked questions and we're going to tell it that we want to get people to book a call. So we've linked it with the calendar that'll be able to get people to book in completely on autopilot with me doing nothing. So I might check in with you guys next week on the podcast and let you guys know how it's going. But yeah, just set it up, you know, an hour or so ago. So it's live right now. So you guys can test it out if you want, if you want to see it live in action and see what it's like. But that's essentially how I've set up AI, automations and a bot to get people from a lead to nurture them on autopilot and then for them to book a call. Now the call is only a 15 minute phone call, so it's nothing like they're not committing a massive amount of time. The chances are they're going to be able to commit to like a 15 minute time slot. Now this is going to save me hours, hours, like I'm in the DMS consistently right now. We might be having a conversation through a DM right now, who knows? But also the going back and forwards, taking time out of my day with my, my wife and my family friends consistently going back and forth on dms, whereas a bot can do this type of stuff completely on autopilot. Now context here, you are going to get more people booking in if you're doing the conversation. Obviously it's a new thing, but it's still getting better over time. But like long term you're going to see this happen pretty much throughout every, every single industry. So again, if you're not really utilizing AI, then you're stupid, to be honest, because that's where the world's going and you're going to get left behind. And like there's so many Manual tasks that I've been able to automate or delegate to AI to save me so much time. I literally like I choose to work. But today, before I started the day, I had 1/2 an hour appointment booked in. Sorry, 2/2 an hour appointments booked in and that is it. Thursday I've got two 20 minute phone calls booked in and that is it. Wednesdays I spend at home with my son, but nothing booked in. Public holiday as well. So I don't have anything actually booked in right now. I'm pretty lucky. I've got sales team, I've got VAs and that type of stuff. So to me it's about leverage and actually finding ways to live my life and then run a business around my life, not run the business and then work my life around the business, if that makes sense. Different way of looking at it. So a lot of business owners get stuck, they're running the business and then their life goes second. As the life should come first and your business should come second. The business should operate in a way. For you to live your life the way that you want want it to be for most people is not trading time for money, which is what most people do. So yeah, I hope that gives you some insights. Theme. So essentially just to recap what we've done, so you basically going to have an ad campaign or a meta ad. So Facebook and Instagram, which is going to be a lead magnet that people download something of value in exchange for contact details. Once they get the contact details, they're going to be automatically directed to either Facebook or Instagram, depending on what platform they submitted the form on. So I've got both. Right, so obviously just ran you through Instagram, but we've also got Facebook set up as well. So whichever platform you go through, it's going to directly direct them to that channel that they're on. Let's just say Instagram. So you're going to send the lead magnet again through dm, so it starts conversations or dm, then it's going to redirect them to go to the Facebook group to get them on the Facebook group as well, to nurture them through there in the background as well. There's emails going out to nurture them that way. So there's three different ways we're nurturing people instantly. The keyword is instantly. As soon as they register their interest. People buy off interest. I'm sorry, people buy off impulse. Okay. So you need to be fast. There's a stat. There's a stat out there saying it's like 80% of people buy from the first. The first person that they contact with. It happens. That happens to us all the time. Like, I inquired about Storage Shed, this random reason, which is something that we're planning doing for 2028 or something. So I, like, I wasn't. I'm nowhere near in the position to buy something, but I just googled it and I only looked at the first person. The first person called me within 12 hours. More than likely that person's going to get the sale. I haven't inquired with anyone else. I already know what I want. I'm not ready to buy right now. So speed to lead is a big thing. Okay. I think I covered everything. So. Yeah, basically. And just to summarize again, so once they're in the Instagram automations, then at a certain point, once they've gone into the Facebook group or after that message has been sent out, then the bot takes over to pre qualify them for the call. So it asks about four to five different pre qualifying questions and then gets them to or try and get them to book in for a call. Obviously, if I'm not happy with how it's progressing, I can just take over and manually start the conversation and the bot will just stop doing its thing. Okay, that's how you do it. I'm super keen to let you guys know how it goes. If you need help setting this up as well, just send me a dm, either Facebook or Instagram and I'll see if I can help. Until next time. I'll see you next week.
