Ep96: Stop Doing $5 Tasks — How Hiring a VA Can 10x Your Growth

Matt Dart explains why hiring a VA is worth it once you hit $5k/month revenue. His first VA handled editing at 20-22 hours/week; he now employs two VAs for social media, lead gen, and admin while managing 38-39 clients. VAs cost $3-5/hour and free you to focus on growth instead of repetitive work.

All right, episode number 96. Welcome to the show. PT profit leverage and Lifestyle Show. My name is Matt. In our newest podcast studio, the Library, which is awesome. We're going to be talking about when to actually hire a VA and why you should hire one right now. That kind of gives you my answer. So firstly, before we get into that training, I'm gonna give you guys another little update in terms of what we have been working on right now. Because I feel like I like actually knowing what people are actually working on and actually going through what challenges are as well. So some of the challenges that you know, I'm experiencing right now is we're running a monthly workshop which is like a conversion event which you know, people buy a ticket for, they love our stuff and then they want to join our proper 12 month program after that. So one of the things that I'm actually struggling with right now, or not struggling with, but just understanding is the, the subtleties that things, if you make subtle changes to like a landing page, how much that actually affects the performance. So for contacts, for example, and this is where like the online game is so different from face to face. Face to face is just so easy compared to online, online business, The contacts context. So we've done three events. We had 13 tickets sold on the first one, we had eight, sorry, six on the second one and we haven't got any tickets sold yet for the third one. So if you are keen, actually this, by the time this comes out, the workshop would have already happened. I think maybe you can come to the next one. But anyway, we're running ads to this workshop and we got like 200 people view the landing page which is basically where you find all the information where you can buy a ticket. But no one actually purchased the ticket. And we're like, oh well, super, super interesting. And then I, you know, pop it, popped it in our mentors chat that I'm in and got some feedback from some other people and it was, it was like, well, it's too many, too many things going on. You just need to, you know, firstly the hook, the hook isn't even there. So there's no hook to get people to buy the ticket. And it doesn't tell them what exactly they're getting. It does down the, down the page but people are actually only scrolling 20% of the actual page, which is, which is why we have like a CRM to give us the data to tell us that. So it's actually not the content that we are delivering on, which is what I thought it was it was the hook at the top of the page that gets people to scroll down to get the ticket, which is why we're not getting any sales from it. So I'll let you know next week if we end up getting some sales. Well, we will. We usually get at least 5 to 10 for the workshops, but it's so important, the hook to get people interested, otherwise their attention span is just so small that they just won't scroll, which is fine. But same with your, your organic social media, right? Like if your hook isn't there, they're not gonna watch your videos, especially if it's like long form, for example. So you need to have the hook in there for anything really. Anywhere we try and grab attention, you need to have a hook. So it's super interesting and I just, it's just that you gotta, you gotta test different things to see what works. And as time goes on and as you play the game for longer, and as Simon Sinek always says, the whole purpose of entrepreneurship is just to keep playing the game. You're still playing the game, then you're winning because many people lose the game. As long as you're still playing, you're winning, which is a good way to look at it. So yeah, that's my little update there. That's the stuff that we're working on right now. So this is actually an AI workshop that we're doing. So if you can just drop me the word AI and I'll send you through the details. But let's get into today's episode. So as I said on last week's episode, we're going to be doing more my opinion, rather than the how to's, we're actually going to start doing how to videos on YouTube. So I'm actually in the process of getting someone to come in and do some editing, which they might come in here and actually do some editing, who knows? But yeah, we're going to be doing more. My opinion, which I know everyone wants to hear my opinion, but I'm going to go through when you should hire a VA and why you should hire one right now. So let's start with why you would actually need a va. A VA is an extremely cost effective way of outsourcing tasks that are one, not exciting for you and two, things that you don't necessarily need to do or should be focusing on. If you're running a face to face or online PT business, you need to be focusing on growth tasks which include lead generation, sales, not so much delivery, but yes, delivery to a degree. But you need to be working on the business. So sales, marketing, you're not focusing on that stuff, you're not going to grow the business. So it would make sense if financially it's viable to outsource a lot of these small, basic, boring tasks to a VA that you could get for 3, 4, $5 an hour compared to if you were to spend the same hour on that task. It's going to take you the same amount of time as a va. Maybe slightly faster, but VA is still pretty fast. It's going to take you a similar amount of time. Like prime example of this would be getting data from social media in terms of views, engagement, blah blah blah, email, open rates, click through rates, etc. The data failed payments, chasing up failed payments or redoing payments that fail. General admin tasks like KPI trackers, if you show them where to get the data from, they should be able to fill that in for you. But there's in general like anything that you don't like doing you theoretically, as long as it's pretty basic stuff, you should be able to outsource that to a VA. So my first hire was the VA. In fact I've got two VAs now. I've had them for one for well over 12 months and the other one just started with me, but I've had the previous one for 12 months as well. So completely lost my train of thought then. Yeah, why should you get a va? So if you think about it like if you audit your time, right, these low income producing tasks, wasting your time. Imagine if you were to outsource five hours a week and you should only really have five to ten hours a week worth of admin stuff to outsource. Unless you want to outsource social media stuff as well, which I can get into as well. If you were to get back five to ten hours a week of your time, that you could focus on more lead generation activities, whether it's organic stuff or paid advertising or just calling leads, how much more money would you be able to make? Because I can guarantee you like most of your hourly rates are probably like 100, 200 bucks an hour. If you're doing more lead generation activities in those five hours, is that going to move the needle in your business 100%? It is. So wouldn't it make sense to delegate or even automate, which you can probably automate a lot of your stuff as well, which you're probably not doing. So delegate or automate to then get more time to do more growth tasks. So it doesn't mean you just sit on the couch and watch Netflix. It means you do more of the income producing activities until you get to your, you know, financial goal type of thing. Okay, so one of the biggest things, or one of my best hires, in fact, the best hire that I've made, actually probably second best was getting a VA to help me with editing content. I'm not good with editing content. Like I'm good with the scripting, I'm good at filming the content. Like I've gotten better with filming content over time. I've done, you know, fair few videos over the, over the last 12 months or so, but editing content I'm not good at. If you scroll back through my social media like more than 12 months ago, you'll see what I was, what I was like. And you can see my content now with my VA that does all the editing. So she does like 20, 22 hours a week. So all the carousels, all the reels, she's editing all of them. I don't edit a single thing. I just make the content. I'll give her the raw version and she turns it into something decent. Okay, so that was one of the first things I delegated because I would have wasted 20 hours a week doing editing. And she can do it in a lot quicker time and she actually enjoys it. The other thing as well, getting these VAs to do these things, they actually enjoy these tasks and perhaps you don't really enjoy them. So if you get rid of the tasks that you don't enjoy, how much more fulfilled are you going to be Showing up for your clients, showing up for the sales calls, showing up for your marketing, your content, for example, you're probably a bit more happier. Okay, so the other question that you'll probably ask is, you know, maybe I'm not at stage yet. You probably only need to hire a VA when you are at, probably at least over, bare minimum over 5k a month. If you're under 5k a month, don't bother. You don't have enough clients to need to outsource anything. You just need to get more clients and still do the growth tasks. Of course, but you should, you should have plenty of time is what I'm trying to say. So a lot of my clients will generally, when they get to around 8k a month, look at getting a VA. And then absolutely, when they're over 10k a month, they've got the income, like it's not going to cost that much, like three, four, five dollars an hour, you know, for 10 hours a week. That's maybe 50 hours. Oh, sorry. $50. A week. 50 bucks a week. Cheapest chips to one. One pub meal or one and a half pub meals. So that's, that's my opinion. So I've got two VAs, you know, and we manage. We've got like 38, 39 clients now. So they don't help with any of the like delivery stuff, they just analyze data. So two VAs, one does social media and one does lead generation and admin. The admin stuff only takes maybe five to ten hours a week. And I'm just pretty much every single week I'm giving her more stuff to do. So I'm making more systems, more SOPs, so she can just do the delivery. Okay, so. And in fact what we're working on right now is actually helping her identify clients that are actually not progressing as what we expect. Identifying them and then giving them to me to kind of be like, hey, we've identified that you haven't done this, this, this. What do we need to do to get you back on track? Let's book a one on one call type of thing or. And you know, let's kind of get things moving again. So. Yeah, I just think Anyone that's over 5k a month, it's gonna really help you get more time back, which is what you want, right? You want more time back. And also it's gonna enable you to focus more on those growth tasks. And every single week just keep adding, adding one extra task, adding one extra task each week, adding one extra task. And then eventually, guess what? You'll find you're just gonna be doing all the exciting things which is the sales, the marketing and the delivery. And then eventually you could probably get someone to help with delivery. Funny story, one of my good mates and previous mentors, they actually have their online coaches and they do, I think they do probably they do about 100k a month sales. So whatever that is, 101.2 mil a year. They've got 17 team members. I think they're all Filipinos. Not one of them is Australian. Like all the coaches, dietitians, physios, and they all get them from overseas. It's just so much cheaper. So much cheaper. Get the same result, but they're just so much cheaper. If you imagine if you have like a physio, physio on board, it probably cost you 100, 150k in Australia. I don't know how much they're paying their va, their physio from international, but it'll be a lot cheaper overseas than in Australia. So really cool cost effective way to grow grow your business. So that's today's episode. That's my opinion. I think you should get a VA actually. And the next thing that I want to talk about is where to actually find them online jobs ph which is basically the seek version in the Philippines if you want. Actually if you want the actual exact ad copy that I use to get my base, just send me a message with the words VA and I will send you through a copy of it. But also side note, if you actually want help with you growing your face to face or online coaching business, that's exactly what we do. We help people grow, add $10,000 per month to their recurring income and if you don't, we'll just keep working with you for free until you do. And yeah, I'd like you to join, you know, see if it's a good fit. You know, we do heaps of different things in our program. We do events, we do planning sessions, we do weekly coaching calls, we do one on one coaching calls. Obviously you get the school community as well. Plus you also get our bot, which I made, which is a 2.0 version of me, a better version of me. So I'll leave it there team, if you have any questions on the va, just let us know. But until next time, peace out. Have an awesome day.
