Mike Minutes Mastermind 01/03/2024

Recording of a Mike Andes mastermind session (Jan 3, 2024) where Mike addresses product updates and operational questions from multi-unit lawn/landscape business owners. Key points: Copilot will soon support clickable links in job notes and later in-year video playback inside the app; integration between Copilot and P2P is implemented as a one-way sync (Copilot → P2P), so clocking/primary crew workflows move to Copilot while P2P receives payroll/time data. Participants discuss crew productivity (reported averages: ~$14,000 and ~$11,000 revenue per tech/month in different periods), service mix effects (snow removal spike), and workflow choices (use dispatcher notes vs. Connecteam for most to-dos).

Everyone, hope you're doing good. Let's go get started. Sorry if I'm quiet. We're kind of in the most quiet part of the airport, so let me just go ahead and get this rolling.
No, wrong link. One second. Sorry.
Okay.
All right, we are in business. Let's go ahead and.
Get some questions rolling.
All right.
Share oh, if not today, probably tomorrow. Copilot is going to have clickable links in the job notes. So if you want to put like links to videos or anything else, you could put it in there. So I don't think I'm going to change my workflow yet because like in terms of WhatsApp videos, but you could theoretically put like YouTube links in there, Google Drive links, stuff like that. The reason I'm not going to change my workflow yet is because I know that later this year we're going to integrate videos into the actual software itself so they can just click a button and watch the video in the app. So I don't really want to change it away from WhatsApp now. Just being honest on what I'm doing. You can do whatever you want. There's a heads up that is coming here in the next couple days.
Okay. Present Share Here we go.
Dustin from Bloomington and Champagne. Morning. So I've been talking with some other multi unit owners and some of us have extremely similar issues. Which is wild how that works when everyone is on the same program. One thing that Logan, Albert and I had discovered is that the existing location once handed to a GM has some inefficiencies with employees. One of the efficiencies that I noticed is the revenue produced per employee per month. To put into perspective, we averaged 14,000 per guide per month excluding January and February as they were off the charts for snow removal. In December as we had a freeze and only one and only worked 12 weeks for 2023 we averaged 11,000 per guy for month excluding the same month. And since it was a normal year if you include those monthly came out to 11,000 per month per guy, that is 78% of what we did the year before. And through conversation with Chuck's flunky's group, I didn't know that existed, we came to the conclusion that project based work and owner's field work might make up the difference. I'm not entirely still on those two being the only two reasons for the decrease, but I'm interested in your opinion in covering anything we might have overlooked. The the first thing that comes to my mind is is your service.
The first thing that comes to my mind.
The first thing that comes to my mind is that you did off the charts snow removal and sounds like this year you didn't have that. So keep in mind service mix that would be the first thing that pops into my mind is based on what you described looks like you had a bunch of snow the previous year. Other than that, like there is going to be certain levels of decreased inefficiency if the owner is not like if the GM isn't as involved as the owner checking on the guys, things like that. But I wouldn't necessarily have, you know, I wouldn't link it to that because I've seen general managers step in and be run the crew more efficiently than the owner would because they have a lot more street cred with the team. So I wouldn't necessarily link it directly to that unless they are working less hours, they're not out in the field producing the labor like you said, etc.
Tim from Mount Vernon, is there a way we could automate the to DOS notes to go to CC and they handle it without us having to send in connect team currently putting notes in and then sending messages that we have responded to a call note or to do it could be more streamlined with an automation. Possibly. Yeah. The problem with that is if you set up.
In action one that needs action could potentially be set up that way.
I would say why not just put these as dispatcher notes? Because unless you need command center take action something. That's the part.
Where I'm trying to link it in my brain is most of the time they're asking for you to do something and it's rare that then you need to push it back to them and they need to do something. And if I'm understanding you correctly, you want the two notes to go to command center when most of the time there's something to do for you and then you need to take action.
And if we set up where every single to do was sending them a note back, most of the time when you complete a to do they don't need to take action. So most time I would say dispatch notes is probably the best place to like document things. And then using connecteam is if you specifically like after they've made a to do for you, you specifically need them to be something else. If there's a specific use case that you're thinking of that like they are always needing like they sent specifically for you and then they you need them to take action again we could potentially look at that but I see that not being super common. And I see the notes you're making usually more of a organizational and like keeping track of everything, which is probably better done on dispatcher notes.
But maybe add a little more clarity if you think otherwise and I can address it.
Kyle Tarvin from Oklahoma. We connected P4P with Gopi yesterday and now the crew cannot clock into P4P for the day. Yes. If you can't clock into P4P. Sorry. If you connect copilot with P4P, everything needs to be done with Copilot app in terms of clocking in and clocking out, it's a one way sync. Does P4P take the time from Copilot now it's integrated? Yes. Am I still able to adjust times on P3P for the day? Yes, on the time card you can still manually edit them. We're going to be adding a thing that actually you can sync and unsync each individual time card. So like they'll sync all the information over. And if you're like, hey, I don't want this to sync anymore. You can unsync and then make manual edits, but you can still make manual edits right now if you really wanted to. But yeah, if you are in, if you're Syncing Copilot and V4P, they will clock into Copilot. It is a one way sync and without going into a ton of technical jargon, it would have literally cost us like at least three times as much. No, probably four times as much. And it would have taken us twice as long to do the integration if we would have done what's called a mutual sync or like a two way sync between copilot and P2P. Because then you have to have a shared database for them to be communicating with each other 24 7. Whereas what we did is a one way sync. Where it went. Everything from copilot goes to P2P. What happens in P2P does not go the other direction. So sometimes just always think about this thing in terms of, hey, there's a one way sync. Things that happen in copilot come to P4P. What happens in P4P does not go to Copilot. But keep that in mind. So if you do integrate them, they'll just have to. They'll stay inside of Copilot for everything it and then P2P will become like where they think about how much they get paid. They'll be thinking about like how much they have to earn for the day, their route and then down the road things like.
Achievement awards, same day pay. Stuff like that will happen in the P2P app down the road. So.
All right, I think that's all I got. I'm gonna hop on this plane. I hope you all have a fantastic Wednesday. Feel free to keep the questions rolling. They've been less than usual. A couple things. If you have a question that's like not specifically of a very specific scenario, that's totally fine to put it in there. Keep in mind this is a mastermind. So there's just things you want to want me to talk about or like you've been thinking through something. Anyone just wanted to discuss it, I'm happy to do. Sometimes open ended questions bring out some good thoughts that might be provoking to other people, so feel free to put those in there as well. All right. I appreciate Yvonne and her fantastic.
